EXECUTIVE SUMMARY

NEW INFORMATION SYSTEMS REPORT

Animal Adventures has expanded in recent times but their information system has not kept in pace, so their information system needs upgrading.

Three staff from key areas of the company have been interviewed and they came up with some interesting issues that the company needs to review.

Firstly, the Sales Rep has to carry heavy posters to public locations such as the mall, city streets, sport facilities, and universities to sell their tours. The customer details are recorded on a notepad and gets processed when the sales rep returns back to the head office. They lose most of the sales due to the delay in getting information to the customers.

The Marketing Material Developer at the main branch in Auckland is using an old Windows XP PC with integrated graphics,1GB memory, 100GB hard drive, and Microsoft office 2003. This current system is too slow, not enough space to save files and very poor graphics.

The Auckland branch manager in Avondale has problems which involves 10 staff members. All computers are connected with old adsl router and a hub using cables. They have slow standard broadband connection, SPAM email messages, visitors cannot access the internet.

After careful consideration, looking at Hardware, software, Network, and security, we have recommended these changes to be made for the key areas.

Ipad4 for the sales rep with Wifi Cellular, Prezi for presentations, cloud computing and sales cloud software applications, downloading security programs and login password to be setup. It is very light and easy to carry. Presentations can be loaded into the ipad using Prezi which is a free application and can be used offline. Cloud computing and sales cloud applications will allow the sales rep to access data, follow up with customers on social network such as facebook or twitter. These applications will also allow the sales rep to process customer details from anywhere instantly. Customers will be able to make up their mind about the sale at the spot.

The Marketing Materials Developer should use Imac computer. This computer features are: up to 8GB memory, up to 512gb flash storage, intel hd, graphics 4000, up to 2.0ghz dual-core intel i7 processor. I also recommend OS X Mountain Lion software. This has more space to save files and it has better graphics. Adobe Photoshop is also recommended which has excellent features to create presentations. MACs don’t get viruses are less likely to get hacked. Wifi Router network is recommended to speed up his work.

Auckland branch in Avondale should install a server, customised business software, a Wifi router, and Norton Antivirus. A server makes it easy for employees to share data. It can also automatically back up your desktop and laptop systems. The customised business software will suit the business requirements of the branch. Wifi Router is faster and more reliable and Norton antivirus should solve the problem of SPAM email messages.

The company is expanding, and they need to upgrade their Information System to meet the requirements of the customers, staff and most of all, the company, to become more efficient and productive. Therefore, ‘Animal Adventures’ should put the recommendations into action.

INTRODUCTION

PURPOSE:Purpose of the report is to improve the current information systems of ‘Animal adventures’ which is has not been updated for a long time. Since

the company had expanded over the years it needs better information systems to be more efficient and productive.

OBJECTIVES:The goal of this study was to investigate the need for new information systems for the sales Rep, Marketing Materials Developer and Auckland Branch Manager for the:

hardware software networking security

MAJOR FINDINGS: IMac I pad Server Wi-Fi-router Norton-anti-virus

LIMITATIONS: overload of information and variety of choices which made it hard to figure out which choice would be more suitable.

ASSUMPTIONS: The report is based on the assumption that cost of new information systems is not an issue for Animal Adventures. Simply because they have stated that they need a major information systems review. Another reason is that the company has rapidly expanded.

This software will allow all sales representatives to access and use all available software applications from their I pad (Cloud computing, n.d).

Sales Cloud

This software can be used for recording of customer details from anywhere. Details can be sent from emails and this software will automatically update the client’s details. They can also follow up clients

on social networks to build close relationships (See what sales force can do for your company, n.d).

Network:

Wi-Fi + Cellular covers all the locations- keeps you connected to the internet using a fast cellular connection where Wi-Fi isn’t available (Ipad in business, n.d).

Security:

Login passwords should be set-up. (Secure Web, n.d).

MARKETING MATERIALS DEVELOPER

DUTIES: making posters and presentations

It's better with large files and folders as the marketing materials developer will be creating a lot of posters with HD graphics.

Adobe Photoshop:

Photoshop is graphic software which is used to make graphic animation.

Very comprehensive graphics program, excellent features, a lot of editing tools.

Network Wi-Fi router

Security

MACs don't get viruses and are less likely to get hacked because most hackers and virus makers live in emerging nations just joining the information age and macs are ridiculously overpriced.

AUCKLAND BRANCH MANAGER

LOCATION: Avondale

DUTIES: manager for the branch consisting of 10 staff (sales staff, marketing, accounts and HR).

CURRENT SYSTEMS:

SOLUTIONS:

Hardware Installing a server

A server also makes it easy for employees to share data and collaborate, since it operates as a central system for all of your documents, images, contacts, and other important files

A server can automatically back up their desktop and laptop systems, so they would not lose critical data if one machine fails or gets stolen (Brown, M, 2012, March, 21).

Software Customised business software

A custom designed software benefits over using readymade business process software. A key benefit of business software for Animal Adventures is that it easily goes with their system platform or version, as it is particularly made to suit their business requirements (Wjaegel, n.d).

Network Wi-Fi router

Wi-Fi is superior to adsl or Cable connections in terms of speed, reliability, connectivity, and customization. This will help ‘Animal Adventures’ customers connect the internet while on their premises to access particular adventure guides.

Security

Passwords Norton antivirus

Norton Antivirus anti-spam offers ‘Animal Adventures’ the capability to automatically filter annoying, dangerous or fraudulent emails from their inbox (SPAM, n.d).

CONCLUSION:

It has been shown from the interviews conducted with staff in key areas, that there is a need for major upgrade in ‘Animal Adventure’s’ Information System.

To improve sales staff jobs, we have suggested Ipad 4. This will solve the problem of carrying heavy posters and the slow processing of customer details. The sales person can process customer details on the go rather than going back to the office to process these details. The customers would get information straight after request.

For the marketing materials developer to be efficient in his job, we have suggested an Imac Computer with Mountain Lion Operating System. This

will give marketing materials developer more space to save files and better graphics for making posters and presentations.

For the branch in Avondale , we suggested installing a server and a customised business software, a Wifi Router and Norton Antivirus. This will solve the problem of spam emails, slow broadband and visitors can access the internet.

If ‘Animal Adventures’ want their company to be more profitable and a fun place to work, then they should upgrade their Information System as we have recommended.

RECOMMENDATIONS:It is recommeded for Sales Rep to use Apple I pad 4 because:

o İt is easy to show off information on Animal Adventure Tours instead of using posters.

o it is easier to carry and it has multi touch display.

o They can sales cloud which is a software that can be used for recording customer details instantly. Which is beneficial because it can be used anywhere and it is a good way to build a strong customer relationships using social networks.

o it provides fast cellular connection when there is no WIFI connection.

It is recommended for Marketing Materials developer to use Imac computer:

o to do a better job in developing the marketing materials for the company.

o which contains 8Gb memory, 512gb flash storage and intel hd graphics 4000 that provides a better equipment to create more and better posters and sales presentations.

o and OS X Mountain Lion software that  has large files and folders as he will create a lot of posters.

o and Photoshop which is a graphic software to create graphic animations.

o because it is less likely to get hacked and do not get viruses.

It is recommended for Auckland Branch Manager to install a server hardware:

o which will make it easy to share data and information.

o it is more efficient to use and they will not lose any important data if the machine does not work or if the computer is stolen as the machine backs up their data automatically.

o and use business software for Animal Adventures which is established especially to suit their business requirements.

o to connect to the internet while premises to access particular adventures, it is suggested to use Wifi superior.

o which plays a vital role, and Wifi is superior to adsl router and connections depend on the speed, connectivity etc.

o and it is always beneficial to use password system. Also using norton antivirus will reduce the risk of getting annoying, dangerous emails.
