Tips and Tricks for PRE TechnologyTechnology is meant to make our lives easier. Many times that is true but sometimes it can be a beast – these tips are here to help you.

Projection IssuesFreeze pane or extend screen Are you displaying your screen up on the Smartboard or screen? Want to do something else while your class is watching the screen? Look at the remote – do you see the button that is labeled FREEZE – click on that and the projected screen will stay as it is then and you can open a different window on your computer. This is good to show directions. Make sure to hit the Freeze button again to unfreeze the screen when you are done. You can also extend screen and work in one half while projecting something else. (Use this when showing videos)

Windows PHold down the windows key on your keyboard (bottom row of keys) and hit the letter P.

You will now see these choices – to make your laptop match what is on the projected screen make sure you choose DUPLICATE. Ever have “bubbles on your Smartboard and a webpage/document on your laptop screen – this is how you fix it. You can choose Computer only if you don’t want what you have on your screen to show on projected screen. Source searchDo you have an apple TV hooked into your projector as well as your computer? OR a DVD player? Then you need to be aware of the Source Search button on your remote. If it says HDMI on blue screen when you turn on projector – looking for Apple TVComputer 1 – looking for your computer (or Elmo) – what is going into video port – REMEMBER to turn on Elmo if the cable to the projector goes through the Elmo.

Trouble Logging On/Network Issues

Extra space after username The most common issue with students logging on the computer is an extra space after they enter in their name or number. Click the mouse on the line (usually top line) and see if cursor is directly next to the last character entered or if there is a space, delete the space and they should be all set. When all else fails have them delete everything and start over.Is the computer on the network?If the student or you cannot login – check to make sure that the computer is on the network. If a desktop – check blue cables – are they in place? If wireless – check the wireless switch – is it on – often it gets turned off – wait a little after turning on switch on then try logging on again.Can get on internet but can’t see H drive or shares?The computer has either fallen off the network (if you left lid open and moved to another part of building – IF YOU ARE WALKING AROUND THE BUILDING MAKE SURE TO CLOSE YOUR LID AS YOU WALK). OR you or your student attempted to login quickly and laptop did not ever connect. Look for wireless cone in bottom right hand corner of screen. Are you on PCSD Secure not Guest? Restart computer.

Going home or coming back to schoolWhenever you go home or come back to school make sure you turn your laptop off, this ensures proper syncing of files and better resource management – ie – share drives, printers etc.

Turn off wireless if on Ethernet  If you have plugged in a Ethernet cord (usually blue) turn off your wireless connection so your computer goes to Ethernet. Go to wireless cone in bottom right corner of your screen and click on PCSD Secure and then click the button that says disconnect

SETTING YOUR DEFAULT PRINTER     Want to set a default printer from your computer? Here are 3 easy steps!     1.) From the start button go to devices and printers    2.) Then right click on the printer you wish to set as your default  3.) You will see a green checkmark next to your selected printer once you set it as your default Once set, this will be the printer automatically chosen when printing. You can easily change your selected printer within Word, Internet Explorer, Outlook, etc. via the drop-down menu within the printing options.   Notice the green checkmark now!  

LAPTOP WON’T PRINT

Computer is not really on network, students log in before wireless connects or someone has pushed button for network to off position (white not orange is what you want). Verify by looking for shared drives. Just restart computer and printouts will come SAVE THEN PRINT

Learning to save their work CORRECTLY is one of the most important skills a student needs to know when using computers. It is a continuum.Students should be taught to always save then print. It is considered proper computer technique – they will be grateful someday when printer/network has issue and they go to printer and their paper is not there.K and 1 – using templates always Save then Open and then Save then Print – will go to downloads folder or documents so it can be retrieved if necessary2 and 3 – show them how to find their Documents folder under their number to save to. If using templates name will be there, if not show them where to put file name. So many students just keep saving Untitled.Grades 4 and 5 – show them how to use folders in documents to organize their files. Grade 4 work, Grade 5 work – can also do subfolders if desired. Makes use of Flash drives or One Drive easier to understand if they know how to look for where they are sThey have more space in their H drive then they will ever need!!!COMPUTER SCREEN ISSUES

Have you had a student tell you that their screen is sideways? To fix – COMPUTER MUST BE LOGGED IN TO FIRST - then hold down CTRL + ALT and hit arrow keys

until you get the correct orientation. This is considered a FUN thing to do when you

are 9 and 10 iCART REMINDERS FOR STUDENTS

Make sure the computer is off before shutting the lid. If another student is logged in when your student gets laptop, hold down power button until computer turns off. Turn back on and begin – no need to search down students.

WHY STUDENTS SHOULD ALWAYS TRY TO USE SAME LAPTOP OR DESKTOP EACH TIME THEY USE LAB OR CART.

Profiles – lots and lots of profiles. When someone logs on to a computer it will load their profile and the profiles of other students who have logged in to that computer. Each profile that loads takes time. If 20 classes each have assigned computers 20 profiles will load, if not 20 x number of students who have randomly logged on to that computer will load. Who has extra time to wait? Also – accountability and responsibility.

Setting greeting and voicemail from a Cisco telephone

1. From your telephone, pick up your receiver and press the voicemail button looks like an envelope with word "message" above it.

2. Enter the temporary password (121212).3. The system will prompt you to:

o Record your nameo Record a greetingo Set a new password

Headphone Issues

No sound  Why: Mute is on; Volume is down; headphones are unplugged   What to do: Unmute the sound or turn it up from the lower right corner of the screen; plug headphones in; reboot.Some of the audio jacks on the sides of the computers are getting “beat up”. Put in a ticket and BOCES will re-solder them. It is rarely the actual headphone in a lab that is not working – try unplugging headphone – is there sound, plug back in, is there sound, wiggle in port – need a new port!

Safely remove hardware  Flash drives are used frequently in our schools. Make sure when removing the flash drive that you (or your students) go to bottom right corner of screen and click on Safely Remove Hardware icon.

  Trackpad not responsive     New laptop trackpad driving you crazy?!?!      Go to Start Menu and pull up to Control Panel   In the search box type in mouse. You can set how a mouse reacts or the trackpad.

Smartboard calibrations   

If you press the interactive surface of the SMART Board™ interactive whiteboard with your finger and your cursor appears somewhere other than where you’re pressing, tryorienting the interactive whiteboard.

Orientation ensures your touch is registered accurately when using the interactive whiteboard. The orientation process aligns the projected image with the workingarea on the interactive whiteboard.When is orientation needed?You’ll need to orient your interactive whiteboard:

Orient the interactive whiteboard before you can use it to control applications.• If the projector or interactive whiteboard is moved

Orient the interactive whiteboard each time the projector or interactive whiteboard change location.

• If the cursor doesn’t appear where you’re pressingOrient the interactive whiteboard if your cursor appears somewhere other than where you’re pressing on the interactive whiteboard.• If the interactive whiteboard is connected to a different computerOrient the interactive whiteboard whenever you connect it to a new computer.

How to orient your interactive whiteboard To orient the interactive whiteboard:1. Press and hold the Keyboard and Right Mouse buttons on the pen tray simultaneously until the Orientation screen appears2. Press the pen firmly near each target, indicated by the white, diamond-shaped graphic3. Maintain constant pressure as you drag the tip of the pen to the center of the target4. Once you’ve reached the target point, release your pen from the surface of the interactivewhiteboard. The orientation point registers when you release your touch.5. Repeat for each target point on the screen When you’ve set all orientation points, the orientation screen disappears and you’re ready to use your interactive whiteboard.1. Press the SMART Board icon in the notification area2. Select Control Panel from the SMART Board Tools menu3. Press the SMART Hardware Settings button. The SMART Hardware Settings window opens.4. Select Orientation/Alignment Settings from the drop-down menu5. Select Fine (20 Points)6. Press OK to apply the new orientation and alignment settings7. Press the Orient button in the Control Panel window to begin the orientation process

Keyboard doesn’t work  Why: Lost the connection   What to do: First check to be sure it actually isn’t working by pushing the ‘Num Lock’ on the right side. Does the ‘Num Lock’ light go on/off? If it does, the problem is something other than the keyboard. If it does, try this: Re-plug cord into back of tower or reboot

POWERPOINT ACTS DIFFERENTLY    Just an FYI the new Powerpoint acts different than the old when you project it .....   If you are planning to use PowerPoint in the future, here is a quick tech tip highlighting a new default setting. This applies only when you are projecting or using multiple monitors.   PowerPoint 2013 is now configured with presentation mode set as your default mode for presenting. When presenting a PowerPoint, your computer screen will switch from duplicating your monitor to extending your desktop.   What does this means.... When you plug into the projector and you see your desktop, after presenting your PowerPoint, you will no longer see your desktop but rather just the edge of your desktop. (just the bubbles if you have the regular desktop or the edge of your design)  Turning off Reading View for Email Attachments (Outlook)        By default, Word opens email attachments in reading view. This allows you to read the document more easily. For example, ClearType is used to make text clearer. And, you can adjust the size of the text without making permanent changes to the document.     Unfortunately, reading view does have its drawbacks. Complex formatting may not be displayed correctly. So, you'll want to switch to a different view to edit the document.     For many people, reading view is a real nuisance. And changing document views will slow you down in Word. But, if you don't like reading view, you can disable it.     If you don't like Reading View, you can disable it for email attachments in a few quick steps:  1. Click the File Menu  2. Select Word Options  3. Click General in the left column  4. Deselect "Open e-mail attachments in Full Screen Reading View"     If you do like it, explore the different options available. Click on the little open book in the bottom of your screen. When in Read Mode if you go to View you can change

CHANGE THE DEFAULT FONT IN WORD        Sick of opening a Word document and having to change to your favorite font every time? Here is how to change your default font and size!     1.) Open Word 2013  2.) Click on the arrow within the font section   3.) Change your font and size. Make sure to click "set to default"  4.) Check off All documents based on the Normal template and click OK  Now every time you open a normal template within Word your selected font will be your default. No more having to change your font!  

Recover Unsaved Documents       Gasping in horror after Word closes unexpectedly, wiping out your unsaved content? In Word 2013, click “File,” then “Info,” then “Manage Version,” then select “Recover Unsaved Documents.” Then click “Save As” immediately!

Text Tips        Select Text Quickly  You can triple-click anywhere within a paragraph to select the entire paragraph in Word. Or press the CTRL key and click anywhere within the sentence to select the entire sentence.  You can also select rectangular blocks of text in a Word document, similar to the marquee tool in Photoshop, and apply formatting to the selected area. Hold down the ALT key and drag your mouse to select any rectangular area.  Move Text without Copy-Paste  Most people use the Cut-Paste (Ctrl-x Ctrl-v) route to move text from one location to another within a Word document but there’s an alternate way as well. Highlight any block of text, press F2 and then place the cursor at the spot where you wish to move that text. Press Enter and the selection will be moved.  Change the Sentence CASE  Select some text in Word and press Shift+F3 to quickly change the case of the selection. It toggles between UPPERCASE, lowercase and Camel Case (first letter in capital) and should come handy if you’ve accidentally left the CAPS LOCK key on while typing.  Select blocks of text quickly using keyboard shortcuts. Do a lot of editing? These tricks will save time and effort. Triple-clicking anywhere within a paragraph selects the entire paragraph; pressing the CTRL key and clicking anywhere within a sentence selects the whole sentence; and holding down the ALT key then dragging your mouse over any rectangular area allows formatting to be applied across that entire selection.   Write anywhere on a Page Did you know that you can use your Word document as a whiteboard and write your text anywhere on the page. Just double-click wherever you want to type your text and start writing.  Convert to Plain Text When you copy snippet from a web page into Word, all the styles and formatting are retained. There’s however an easy way to remove the styling from any block of text in Word – just select the block and press Ctrl + Space Bar and the rich text will be transformed into plain text.

Word QStart Menu – All programs – Word Q3 – Create New Users – English US – beginner or intermediate (look at grade level) – Under options – do you want it to automatically launch, how many words etc. An ITSS can help you with setup. ==What does Word Q do for you? Predict your words while typing. Predict words you don’t know how to spell. Hear what you are typing or have it read back a passage. Read webpages or documents. Great help for students who are not fluent typists.

Tip: Turn on num lock if you want to type a number in Word Q.

Minimize A Bunch Of Windows     Have a million windows open and want to minimize them quickly? Here are TWO easy shortcuts for you!  Press the windows key + M (This minimizes all windows)   OR    Click and hold down on the top of one window bar, shake your mouse while holding down. (This minimizes all windows except the one you shook)        Snipping Tool     In the Start Menu select the snipping tool. Enter the name in the search bar if it does not show automatically. When the program opens, drag around the area you wish to capture.  Now, make sure to save the "snipped" image (it will be called Capture – give it a name you will remember if it is something you want to use again.) and use in e-mail, Word, PowerPoint, etc.      Post It Notes For Your Computer     Do you love sticky notes?  Did you know that you can have virtual ones on your computer?  Just go to all programs – Accessories - sticky notes.  You can then click on the + to create more.  If you right click on them you can change their color too! Check the accessories folder for other tools like calculator, Paint and sound recorder. Deleted a file  What to do: Open Recycle Bin; right-click—restore  Can’t exit a program     Can’t find the X or Quit tool. This happens with young children’s programs and those pesky internet ads that marketers don’t want you to be able to exit

Menu command grayed out  Why: You’re in another command   What to do: Push escape 3 times. This gets you out of whatever you were working on and makes the command you’d like to use available  

Taskbar gone   What to do: Push the Windows button on the keyboard (between Ctrl and Alt on the left side). If it’s been hidden, drag the top border up to expose it

Closing out apps on ipad    To close an app simply swipe upward on that app’s thumbnail until you flick it off of the screen. You can close just one app, or close them all if you like. Once you’re done, either tap on an open app or press the Home button.If you want to see your recent apps - double tap the home button to bring up the task bar at the bottom of the iPad. Tap and hold down on any icon in there until all of the icons wiggle. Tap the red minus signs to close the apps.Plugged in to charge – ipads need to be plugged into carts at end of day(regularly at least) to charge but should be able to go all day with no problem.

Note - $$$$$ - headphone jacks on ipads are expensive to fix and therefore if one breaks they are not being repaired. Please instruct students to use EXTRA CARE when plugging headphones into ipad or removing them.

Apple TVApple TV “RESTART” if network/Airplay not working: Go to Settings, on Apple TV.Go to the General Tab.

Start to scroll down to the last option, “RESTART”. Make sure you do not hit RESET!

Click on “RESTART”, and Apple TV will reboot.

When it comes back up, the Orange AP Light should now be blinking and the Apple TV will connect with AirPlay/iPads
