Then, in the afternoon, please park your car, come meet us in the café once again at 1:15 P.M. to join in prayer prior to dismissal. Students will be dismissed to the parents by grade level from the cafeteria at the conclusion of the

ending prayer. If your child is in grade 1-3, please pick them up from their classroom.If your child ever arrives after the opening prayer is finished and students are in their classrooms, please

Session III should call the Formation Office and we will take your child to the Welcome Center, where the staff there can watch your child until you arrive.

PLEASE BRING: All students will need to bring a bag lunch and/or drink. We will provide cups of ice water. Students are also free to bring a drink from home if they prefer. The students will receive a textbook and many of the needed art/school supplies. ***All Students: Please bring several sharpened pencils and a folder. ** Children in grades five and up will also need a notebook and a bible. If you do not have a bible to send on the first day, you may purchase one for $5 at the door.

PLEASE DO NOT BRING : Please do not allow your children to bring cell phones, electronic music or gaming devices of any kind.

DRESS CODE: Students should wear appropriate shoes for the playground and come in attire that promotes the virtue of modesty and respect. Clothing that is not permitted includes: items carrying messages that are derogatory or suggestive, halter tops, short shorts, etc. Parents will be notified and asked to bring proper

clothing for children who aren’t appropriately dressed. In addition, please check the included prayer schedule to plan appropriate Mass attire for the days your child attends Mass.

ABSENCE POLICY: As stated in the registration packet, absences during the summer program are strongly discouraged. This is due to the highly condensed nature of the program and the large volume of content covered each day. In the event of an emergency or illness, please call to notify us of an absence (513-388-4093). If a child must miss more than one day for any reason, please call the Formation office to discuss options (alternate session, tutoring, etc).

PARENT PRP MEETING: All families (or a designee) are encouraged to be at the parent meeting which will take place in the Café after opening prayer the second day of the session. Please be sure to sign in at this important meeting. We will go over what the students need to learn, prayers to memorize, formation dates for the 2018-2019 year, and what you need to know for sacramental prep. Parents who are unable to attend may attend another session meeting or can receive copies of the meeting hand-outs.

For Summer III- The Parent Meeting will take place at 9:10 A.M. on Tuesday, July 31st.Please note there will be an additional Sacramental Prep Parent Retreat to prepare parents of 2nd graders for the Sacraments of First Reconciliation and First Holy Communion. This will be held in Heritage West.

For Summer III- The Parent Retreat will take place at 7:00 -8:30 PM on Wednesday, August 1st.Finally, for parents of 2nd grade students and their child, we will have A Walk Through the Mass on

Thursday, August 9 from 7pm-8:30pm. See the Parent Packet for other Sacramental Prep dates, as well. *Confirmation Parent Packets are available now. Please look this over as service hours may begin this summer! Please note the Parent Retreat for Confirmation will be Sept 16, 2018 at 7PM in church.

FRIDAY, LAST DAY SPECIAL SCHEDULE: on Friday, the last day of the Session, students bring their families to join us in celebration of all that has been accomplished over the session.

FOR DAY SUMMER III- At drop off on the last Friday, we will celebrate with a donut breakfast. All families are invited to attend. Students will not need to pack a snack as we will have a slightly shortened day. Families are also invited to join us for the celebration of noon Mass on June 15th or August 10th. Dismissal will take place in church at the conclusion of this very special Summer PRP Mass.

PARENT RESPONSIBILITIES: Parents are the first and foremost catechists of their children. Parents catechize informally, but powerfully by example and instruction. Your active involvement in the Parish through weekly Mass, through Adult Faith Sharing Groups, through serving others, and through family prayer all make meaningful your professions of belief.

Parents are expected to participate weekly in Mass with their children. We encounter the person of Jesus in the Word, in the Eucharist, in the Priest and in each other as Community. Making this commitment to be a part of community and to be nourished in our relationship with Jesus is imperative in our formation as disciples.

Parents are expected to give good example of their own commitment to the Catholic Faith. Participating in Adult Bible Studies or Family Formation Events shows children that a relationship with Jesus is a life-long endeavor, worth setting aside time for. Serving others shows service to the poor is not an option: it is an essential part of our faith. Giving of your time, talent and treasure shows that it’s important to share your gifts with your faith Community. By doing

these things, you model for your child how faith is to be lived.

Parents are encouraged to help at PRP as a Parent Volunteer! Our program would not be possible without your support. Thank you for giving your time through helping out at recess, snack, craft time, in the office and more. For those of you who would still like a chance to help, there are plenty of opportunities to join in, and we would love to include you. Please contact Tina at [email protected] to find a volunteer date and time that works with your schedule. Remember that all volunteers must have been VIRTUS trained. To register for the free VIRTUS training go to www.virtus.org . If you are already VIRTUS trained and want to check if you are current on your monthly bulletins, please go to www.virtus.org to log in and check your Training Bulletin Report.

DOES YOUR CHILD NEED PRESCRIPTION MEDICATION DURING PRP? Please let Tina know if your child will need medication during the Summer PRP time. There is a medical administration form that you will need to complete. If a child is old enough to administer his or her own medication, Tina will store the medication and make it available to your child when needed. Medication must be in its original containers (child proof) and have an affixed label including the student’s name, physician’s name, name of medication, dosage, route of administration, and time of administration. This serves as the “order of the physician” requirement.The parent must also provide written permission to administer the medication by indicating the name of the medication on the child’s standard medical release form. That form may also include other specific instructions not included on the drug label.

BEHAVIOR POLICY: Respect, courtesy and Christian charity are essential elements in our PRP environments, and so we’ve established basic behavioral guidelines: Catechists first warn any students being rude, disrespectful, or disruptive. If the student does not change the behavior after a warning, the Catechist will send the children to Tina, who will kindly remind them of the importance of respect in the PRP community. Tina will notify parents of children sent to her a second time and ask them to pick up their child. Children sent to Tina a third time will not be admitted to the classroom again without a parent or guardian as a chaperone for the remainder of the program. Tina retains the right to make exceptions to this disciplinary process if needed. Any reports of harassment, intimidation, bullying or relational aggression will be investigated and handled on an individual basis.

No child will be disciplined corporally or corrected with abusive language. Some parents may be inconvenienced by this policy, but it is our hope that they will see this as an investment in the future of their children and know that our PRP community respects your willingness to be firm and loving parents. Our goal is to work together to protect the dignity of all the members of our PRP community, to help all of our children grow in their ability to treat others with Christian charity and respect, and to maintain an environment conducive to quality Catholic Formation.

HOMEWORK: Due to the intensive time constraints of this 2 week program, homework may be assigned. Prayers to be memorized will also need to be worked on at home.

SAFETY: In case of fire, severe weather, or other emergencies, the catechists and staff have been trained in safety responses to protect your children. We will use phone calls and/or e-mails to keep parents informed about closings, delays, early dismissals, emergency situations and important events. If weather conditions are such that parents wish to come to the school and pick up their children early, they may do so, provided it is safe to do so. SACRAMENTAL PREPARATION: Children who would like to receive the Sacraments are expected to be in the Parish PRP Program during the year they would like to receive the Sacraments. Parents must attend all Parent Sacramental Prep meetings or make an appointment with Tina if the Parent Meetings are missed, so you can receive the necessary information. Parents and children are expected to attend all preparation activities listed on the Sacramental Calendar (Parent Retreats, Mini-retreats, Rite of Enrollment, Instructional Mass, and rehearsals). These opportunities are designed to prepare the whole family for full, active, and conscious participation in the community’s sacramental celebration.

Baptism- Any child who has a parent who is practicing their faith and willing to fulfill their baptismal promise to raise the child in the faith may be baptized. First time parents must attend a Parent Baptism Prep Session to understand the Sacrament of Baptism and your role as parents in the Baptism of your child. Children old enough to understand Baptism should receive appropriate instruction before receiving this sacrament. Baptisms are scheduled through the Faith Formation Office. Baptism gives us Sanctifying Grace as God comes to dwell within us. This is a very sacred gift that must be nourished and cherished.

First Penance- Each child who has reached the age of reason (usually considered to be age 7 or 2nd Grade), after receiving appropriate instruction, may receive the Sacrament of First Reconciliation (also called Penance or Confession) in order to be prepared to receive Jesus worthily in the Eucharist. Reconciliation is needed to maintain Sanctifying Grace in our souls and strengthen us to avoid sin. The preparation process includes a Parent Retreat at the beginning of the academic year and a mini-retreat for First Reconciliation for both parent and child.

First Holy Communion- Each child, after receiving Reconciliation and the appropriate instruction on Mass and the Eucharist, may receive First Holy Communion. God desires to give Himself to us as spiritual nourishment to assist us to become more like Him. This is necessary in order to be made ready for heaven. This preparation process includes a Parent Retreat, a mini-retreat for parent and child, an Instructional Mass, as well as practice for the First Holy Communion Mass, and is usually done in 2nd Grade.

Confirmation- Generally children in the 8th grade receive additional Sacramental Prep Sessions, participate in social service, choose a Sponsor, a Confirmation Saint name and report on this saint, write a letter to their Sponsor for the Archbishop on why they want to be Confirmed, and go on a retreat as preparation for receiving the Sacrament of Confirmation. Confirmation gives us the courage and power to be a witness to Jesus and live as adult disciples. This process will all be explained in the Parent Retreat at the beginning of the academic year.

YOUTH MINISTRY: For ALL our 6th, 7th and 8th grade students, Michael Haley, our Youth Minister, offers fun, energetic games and snacks to build a joyful sense of community and faith in our Middle School Students. These events occur once a month on Saturdays from 6pm-8pm in the Youth Room. Michael also offers 2 wonderful retreats, one in Advent to help students prepare for Christmas, and one before Holy Week to help students enter more fully into the Holy Week and Easter. Check out the flier at the end of this packet for dates.

IN CASE OF ACCIDENT: For minor scrapes or injuries, the catechist may apply bandages, ice packs, or other basic first aid measures. For other injuries, the catechist will bring the child to Tina to help with treatment.

Tina will contact parents if needed. If parents or the emergency contact person cannot be reached, Tina will use common sense in addressing the injury, and contact emergency professionals if needed.

CHILD PROTECTION: All Program Administrators and Catechists are required by the Ohio revised Code and by the Archdiocesan Decree on Child Protection to report suspected or actual child abuse or neglect to the proper authorities.

ADMISSION POLICIES: All registered families at Immaculate Heart of Mary are eligible for admission. We do not discriminate on the basis of race, sex, national origin or handicapping conditions.

NON-CUSTODIAL PARENT RIGHTS: The Faith Formation Office needs to be informed by the custodial parent of the rights of the non-custodial parent in matters like who may pick up the child, who needs email notices of registration and parish communications, or who receives invitations to sacramental prep events, sacramental celebrations, etc. If there are any additional questions or concerns, the separated or divorced parents will be asked to provide the parish with a court-certified copy of the custodial section of the decree.

RECORDS- Attendance and performance records will be kept on file in the School Formation Office. Parents may access these records by calling the Formation Office at 513-388-4093.

COMPLAINT PROCEDURE: Please contact your child’s Catechist, Tina Ramundo or Donna Wenstrup if you have a concern or complaint. We are here to serve you, and we will be happy to address your concerns. If the matter is not resolved, then please request a conference with the Catechist, Tina and Donna together. If a parent believes the matter is still not resolved after taking these steps, then we will contact the pastor.

SEARCH OR SEIZURE: If an object goes missing, we will invite all the people (Catechists, volunteers and students) in the area to look for the lost item. If there is probable cause that the item might be in a particular student’s personal possessions, or if we have probable cause of dangerous or illegal substances with a student, we will ask that student if we can search their possessions. If the student says yes, we will invite the student to place the contents of the desk, pocket, or bookbag on the top of the desk so we can see them. If the student says no, we will contact the student’s parents, who may either encourage the student to cooperate, or come to the school to conduct the search themselves. We want to give everyone a chance to clear their name if wrongly suspected, and to learn the importance of the virtue of honesty.

REFUND POLICIES: If a family is moving out of town, experiences illness or other family situations, a refund will be considered on an individual basis. Fr. Tom will make the decision.

PARISH PRP MISSION STATEMENT: The Immaculate Heart of Mary Parish Religious Programs assist the parents (the primary catechists) in the faith formation of their children to know, love, and desire sacramental unity with Jesus as His disciple.
