Release 9.0 (IMDS 2020) Highlights • IMDS 2020 enhancements are implemented in IMDS Release 9.0

• This intent of these enhancements is to improve reporting speed and data quality without substantially increasing supplier effort

• The OEMs specified and provided the requirements for these enhancements, and experts from AIAG, CLEPA, and JAPIA provided feedback regarding the European, Americas and Asia supply chain perspectives

• These are the most significant IMDS functionality enhancements applied all at once in IMDS in recent years

• The IMDS Team extends sincere gratitude for IMDS Rel. 9.0 Model Office testing to the AIAG OHCE Recommendations and Documentation Subgroup, CLEPA, JAPIA and all the other stakeholders who provided feedback

• IMDS 9.0 is scheduled for Production Release on May 8, 2014

Full Description:

Previously, if a supplier sent/proposed or published a new version of an MDS used within one of more MDSs in the recipient company, if the new version was accepted, the recipient had to find all references to the old version of the supplier MDS in the recipients Owned MDSs, determine if the new version applied, then manually replace the old version with the new Version for each impacted MDS. Faster MDS updates analyzes Owned MDSs for references to accepted but unapplied versions, lists the potentially impacted Owned MDSs, and provides an easy way to create a new version of the Owned MDS referencing the new supplier MDS version. By default, this feature searches for all new supplier MDSs, but this can be changed.

Impacts IMDS-AI? No

AIAG Findings: The analysis runs on an automated schedule, not on demand. Delay varies upon system load – number of users, number of new MDSs, etc. The delay is now documented in the IMDS 9.0 Release Notes and the IMDS User Guide.

Recipient MDS InBox Note browsed but not yet accepted version of MDS 911021150 / 4, (1) “test poly adhesive,” and that this is a more recent version of previously accepted MDS 911021150 / 2 (2).

If/after this version 4 is accepted, it becomes a candidate for use in any owned MDSs which utilize the earlier versions of this MDS.

Functions -> MDS Updates

When opened, this screen is blank. Use Search (1) to obtain results. In the results pane on the right in this new IMDS 9.0 screen are accepted/ published Supplier MDSs (referred to as References) (2) for which a newer version exists than is referenced in the Owned MDS (3) on the left.

A right mouse click on a results row displays a context menu (4) from which to view the old owned MDS, update the owned MDS (and optionally edit), or perform other actions.

Acting on multiple items at once is available by using the Shift or Control keys during selection.

Is this just GADSL substances, or does it also include REACH SVHC which are not on GADSL?

It includes REACH-SVHC substances not on GADSL at both the Owned and Accepted/Used levels.

Full Description:

A substance can be confidential on an owned material MDS (MMDS) if it is not on GADSL or REACH-SVHC. Previously, if a confidential substance in an owned MMDS was later added to just the GADSL, the MMDS owner received an error which prevented sending new versions. IMDS 9.0 extends this error to include REACH-SVHC substances, and the error now applies to both GADSL and REACH-SVHC on accepted and used published MMDSs.

Areas Impacted: Owners of MMDSs containing confidential substances added to REACH-SVHC. Recipients of MMDSs containing confidential substances added to GADSL or REACH-SVHC. This change interacts with change 7 - Restrict confidential visibility.

Impacts IMDS-AI? No

AIAG Findings: Users without “view confidential” permission cannot create/edit confidential MMDSs. This may impact the goal of promoting use of Confidential instead of jokers/wildcards.

Diboron-trioxide was marked confidential (1). Recently, it became a REACH-SVHC. (2)

IMDS 9.0 generates an error indicating the new SVHC substance must not be marked confidential, and prevents transacting.

This error also applies on Accepted MDSs, and when the user cannot View Confidential substances.

Question Answer

If the OEM recipient views an MDS with overrides in IMDS, do they see the supplier provided values, Tier-1 provided values, or both?

In the Ingredients screen of an MDS, the OEM will see only the override (new) Tier-1 provided values. Their in-house system will only receive the override values in the “CA” file, unless the new optional “COA” file is used.

Full Description:

Tier 1 suppliers to OEMs (only) may optionally provide missing or corrective values for: • Public or Company Norms on materials. Company norms retain limited visibility. • Recyclate on (semi)components containing materials in classifications 1,2,3,4,5,7.1 & 7.2 • Parts marking on components containing materials in classification 5.x, • Application codes on components with applicable GADSL materials.

Areas Impacted: Tier-1 Suppliers to OEMs have new options on the Recipient tab.

Impacts IMDS-AI? Yes. For OEMs - “CA” file and optionally “COA” file for OEMs and all AI-licensees

AIAG Findings: This functionality works as designed, and will be useful for “emergency” MDS updates. AIAG Tier-1 suppliers do not expect to use this feature very often. The Tier-1 Supplier does not see the override edits in their own Ingredients tab.

Question Answer If a deleted MDS is referenced in my MDS several steps down the supply chain, will it prevent me from sending?

No, not as implemented today, but it may at a near future date. You should begin efforts to fix deleted references.

Are there any of these new checks errors which stop proposing?

Yes a), c), and d) may all generate errors

If I have an existing material that I have not updated, but I try to send to a new recipient, will this check still occur?

For pre-existing MDSs, these are warnings.

Can a master-batch be created for a non-pigment MDS? There is no IMDS check which enforces colorant master batches; it must be enforced by the Recipients.

Full Description:

a) Owned deactivated MDSs & substances create an error, and cannot be transacted. Referenced deactivated MDSs still create a warning, which should be remediated.

b) SC90 Material classifications checks now generate warnings. c) New substances marked confidential without a valid CAS or EINECS create an error. d) Explicit confirmation jokers/wildcards exclude GADSL substances, omission is an error. e) 10% (highly) confidential at top level in master batches extended to all 5.x

classifications.

Areas Impacted: These checks have impacts in each of the areas described.

Impacts IMDS-AI? Yes. MS, CMS & MP files extended to add “NoJokerForGadsl” yes or no flag

AIAG Findings: The scope of the “references deleted MDS/Substance” check was reduced at multi-supplier request. OEMs may restore the scope at a future date. Remediation highly recommended.

IMDS notifies user when material classification does not appear valid for the material composition. This is a warning, not an error. If the user is sure the classification is valid, the MDS may still be transacted, yet an explanatory comment may help avoid issues.

New Check 4e 10% confidential in master batches for all 5.x materials

IMDS generates a warning when a substance contains more than 10% confidential materials. Previously, this warning was not generated for master batch formulations in classifications 5.1 or 5.2. In IMDS 9.0, this warning is not generated for any material in any 5.x classification.

Classification 5.x 8% of 98% = 7.84% + 50% of 2% = 1.00% = 8.84% < 10% PASS

5 No New IDs for Existing Components

Question Answer Are forwarded and copied checked against each other? Yes. I am a distributor with multiple internal part numbers for a single recipient part number. How do I address this?

Forward permits one copy per supplier code; yet sending the same recipient multiple MDSs with the same part number is not possible.

I produce a single recipient part number in multiple plants with many internal part numbers. How do I address this?

Use a different supplier code for each plant, or re-use the same MDS ID (new version) for each submission of the recipient part number.

If I submit an item to multiple recipients, and one of them rejects it, do I have to revise and resubmit to all of them?.

If reject reason relates to Recipient tab, no new version is needed. If contents of Ingredients tab change, a new version is necessary.

Are the OEMs prepared for the potentially large increase in the quantity of MDS versions this change may produce?

The increase in the quantity of revisions is preferable to having multiple MDSs which all contain the same part number.

If a few recipients out of many reject an MDS and I make a new version, should I send the new version to all, or just who rejected?

Your MDS should reflect the actual materials shipped to each client, regardless of whether it is your max version.

Regarding previous question: If I send only to those who rejected, will the others reject next version because it “skipped” a version?

Version skipping alone should not cause rejection, but an MDS comment explaining the reason for the skip may help avoid delays.

Full Description:

• A component submission with the same supplier code, recipient part number and recipient as a previous item must use the same MDS ID. New IDs create an error.

• Forwarding will now support versioning. • A supplier can only forward/send/propose a specific part number to a recipient using one MDS ID.

Areas Impacted: All new component submissions of something previously submitted. This can be a special challenge to companies with offline systems that create new IMDS IDs.

Impacts IMDS-AI? Yes

AIAG Findings: This is a worthwhile activity, yet may create delays and confusion when implemented. This may create challenges for items submitted to multiple clients and rejected by a few.

To reduce the proliferation of duplicate Material MDSs, IMDS 9.0 has these changes: • Material MDSs can now be copied only by the owner/creator of the material • Accepted or published materials cannot be copied • Accepted materials cannot be forwarded

Areas Impacted: • Accepted or published components and semi-components may still be copied • In a copy of accepted and published (semi) component, referenced materials are copied.

Impacts IMDS-AI? No

AIAG Findings: Component and semicomponent copies retain references to original sub-materials. These restrictions apply only when using IMDS to copy, and not to imported MDSs.

Question Answer

Can I still copy an existing un-owned material MDS to serve as the “starting point” for my own MMDS?

No, this is no longer possible. To reduce duplicate MMDSs, the capability to leverage others’ MMDSs is sacrificed.

Question Answer

If a user does not have "view confidential substances", will they still receive the confidential GADSL change notice?

They will have the profile option and will have the chance to receive notification when there are new GADSL confidential substances. However, but they will not be able to see the confidential substances in the MDSs.

Can a Company Administrator be blocked from viewing confidential substances?

The checkbox can be cleared for Company Administrators, but any CA can check the box for any user in or outside the company, including themselves.

Full Description:

• Companies may restrict which users can view confidential substances in Owned MMDSs. • CAs : In IMDS Admin -> User, locate new 'Confidential Substances Visible' checkbox. • The default is “unchecked”, preventing confidential substance viewing in Owned MDSs. • Users: In Administration -> Personal Settings , the checkbox is visible read-only. • Company Administrators can also authorize viewing confidential substances in Trust User.

Areas Impacted: Only specified users can see owned Confidential substances.

Impacts IMDS-AI? No

AIAG Findings: • Interacts with 2 - Restrict confidential MMDSs. Users who cannot see confidential

substances cannot create or edit owned MMDSs containing confidential substances. • Users still see the basic substance groups to which the confidential substance(s) belong

Company Administrator CA’s now see a new checkbox for “Confidential Substances Visible”. By default, this checkbox is not selected, and users cannot see confidential substances until explicitly given access.

Material MDS Users without “Confidential Substances Visible” within the company do not see the actual substances, and cannot create or edit Owned MDSs containing confidential substances.
