WinCap Web BOCES Service Requests

Website: www.wincapweb.com

Once you are logged in, if your district uses WinCap Web for other functions such as time sheets or leave requests, it may be necessary to “Change Site” to Erie 1 BOCES.

To view the Service Directory, go to BOCES Services, Service Guides, and select the year you’d like to see.

On the left you can choose the Division that contains the services you are looking for.(1)

Once you Click on a service you will be brought to a box that will send you to our service directory

To sign up for 2012-13 services, go to BOCES Services, My District Profile, Service Requests:

Click on the “Query” button.

To change the columns being displayed, click on the wrench on the right-hand side. You can save the display settings by selecting “Store as User Default Settings” in the Display Settings screen.

Update quantities and fixed costs as necessary. Any number with a box around it (Quantity or Fixed Cost) can be updated.

When you’re done, Click on the “Update” button at the bottom left side of the screen.

You can download this data to Excel at any time. Clicking on the Excel Button will bring up a window that will allow you to open or save a file in excel.

Other features available in WinCap Web BOCES Service Request system:

District Service Sort Tags – allows district users to create sorting options or “tags” to manage BOCES Service Contract data. Please see separate handout for specific instructions.

Service Contracts –

Displays the district’s contract services with BOCES by fiscal year.

History is available back to 2000-2001

Data can be downloaded in Excel format.

Use the wrench to change the columns that are displayed.

Click on the column headings to change how the data is sorted.

Service Contract Adjustments - displays all contract adjustments by fiscal year. This display is similar to the Service Contract Transaction Listing report which accompanies each BOCES invoice.

Recommendation – use the wrench to change the display settings. Select “Remark” to view the description of the change.

Reports:

Service Requests - creates a PDF file that looks like the Initial Service Request form which is distributed at the joint Superintendent/Business Official meeting every January.

It reflects any services you’ve entered for 2012-13. You must check the box, “Include base year Services not requested for the new year” to include all available services.

Service Contract Status – creates a PDF file that shows the services purchased by your district.
