Many sponsorship arrangements do not cater for the specific needs of sponsors, so we would like to offer you the opportunity to tailor a package to suit your particular needs.

Please note:

• All signage, including production, artwork and delivery costs are the responsibility of the sponsor.

• Inserts must be freighted to the Conference Manager or the Conference Venue at your own cost.

• Artwork must be supplied in electronic format – specifications will be supplied on confirmation.

All prices exclude GST. All advertising is ordinarily tax deductable. Please consult your own tax advisor as to the deductibility of the advertising.

Sponsorship

In order to confirm your sponsorship, we will require the Application to Sponsor form and fifty percent (50%) deposit payment to be forwarded with your booking. The balance payment will be required by 26 February 2010. Payment must be received by this date to ensure full receipt of sponsorship benefits.

Exhibition

Early booking is necessary, as space is limited and booths will be offered strictly in order of sponsorship level and the date the deposit payment and application to exhibit form is received. In order to confirm your exhibition space, we will require the Application to Exhibit form and fifty percent (50%) deposit payment to be forwarded with booking. The balance payment will be required by 26 February 2010.

How to Book and Payment Deadlines

Exhibition Details Please refer to the ARPA Conference website at www.arpa.com.au for other exhibition details including the exhibition floor plan and move in/move out times.

Exhibition Booth Package

Booth Size 3m x 2m (where possible)

Walls 2.1m high wall panels.

Signage Company names will be installed over each open aisle fascia using blue or black uppercase vinyl-cut lettering onto a white background.

Lighting 2 x 150 watt track mounted spotlights per booth.

Power 1 x 4amp power point per booth.

Items which can When attaching anything to the walls, exhibitors are asked to use velcro, bluetac, thumbtacks or pushpins.be used on walls

Conference Kit One per exhibition booth includes satchel, name badges for 2 representatives, delegate list, sponsors advertising and Conference Program/Handbook. Please note that due to Privacy Legislation, the organisers cannot guarantee the inclusion of ALL participants’ names on the delegates list.

Catering Morning/afternoon teas and lunches for two representatives on Monday and Tuesday

Welcome An invitation is extended by the Conference Committee for two people per booth to attend the Welcome Reception Reception as their guests.

Booth Position Selection of booth position may controlled by the organiser subject to the level of sponsorship.

Additional Staff Should you require additional staff to attend your booth for either the one or two days of the Conference, an extra fee of $100 per person per day will apply – covering the cost of morning/afternoon tea and lunch. The fee does not include the Welcome Reception, Conference Dinner or attendance at the Conference Sessions. Conference Dinner and the Welcome Reception tickets are available at an extra cost. Should exhibition staff wish to attend any sessions, they must register as a Conference delegate and pay the relevant registration fee.

Exhibitor Exhibitor Briefing Notes (rules and regulations of the venue, a mailing label, storage details etc) and the Briefing Notes Exhibition Contractor catalogue will be sent to exhibitors 6–8 weeks prior to the Conference.

Sponsors Those sponsors taking up the option of having a trade booth will be required to have their booths staffed at morning / afternoon tea and lunch on each day.

Accommodation

Block bookings have been made at the Conference venue. Special rates have been negotiated for those attending the ARPA 2010 Conference and you can book your accommodation through the Conference Manager. Cancellation Policy

In the event of a withdrawal of sponsorship or booth booking, please be advised that unless that particular area of sponsorship or booth is resold, the Conference will reserve the right to retain deposit monies received.

Car Parking

Limited car parking is available at the conference venue for a fee of $33.00 per day for hotel guests. Car parking for non residential delegates cannot be guaranteed. Day delegates may park at the hotel for $29.00 per day during the hours of the event.

Insurance

Exhibitors are strongly advised to insure goods during transit and while on display, against damage / loss however caused, as well as public liability. In addition, the exhibitor acknowledges that the ARPA Conference, nb&a events, the Venue and the Exhibition Build Contractor do not maintain insurance covering exhibitors property and that it is the sole responsibility of the exhibitor to obtain liability, business interruption, property damage or other insurance covering loss by an exhibitor.

Liability waiver

The ARPA Conference, nb&a events, the Venue and the Exhibition Build Contractor will not be liable for injuries to any person or damages to property owned or controlled by exhibitors. Regarding claims for damages or injuries that may arise from or be in any way connected with exhibitor occupation or display space, the exhibitor agrees to defend indemnity and hold the Organising Committee and the Conference Organiser harmless against all such claims. The exhibitor agrees to insure itself at its own expense against property loss or damage and against liability or personal injury.

Loading Dock

All exhibitor goods being forwarded to the Venue: Sofitel Sydney Wentworth, 61 – 101 Phillip Street, Sydney NSW 2000 should be marked with the delivery label provided by the Conference Manager in your exhibitor kit. Exhibitors should ensure airway bill / consignment numbers are carried with them at all time. This enables goods and equipment to be readily traced.

Personal Insurance

Participation in the exhibition does not imply any endorsement or approval by ARPA. ARPA takes no responsibility in relation to displays, products, representations or promotional material or the participants. ARPA has not assessed, endorsed or approved any display, product, representation or promotional material.

Participants shall be regarded in every aspect as carrying their own risk for injury to person or property, including baggage, during the Conference. We strongly recommend that at the time of booking you take out a travel insurance policy of your choice. The policy taken should include the loss of deposit through cancellation, medical insurance, loss or damage to personal property, financial loss incurred through disruption due to strikes or other industrial action. The organisers are in no way responsible for any claims concerning insurance.
