OFFICIAL CALL TO CONFERENCE
The Members of the Camino Real Region are hereby CALLED to the
40th Anniversary Spring Conference which will convene in Woodland Hills, California
at the Warner Center Marriott Hotel on April 20, 21, and 22, 2018.
Dear Members of the Camino Real Region Family,
Your Region Board and the Spring Conference Committee are planning a celebratory
gathering to highlight our 40 years of service to the Camino Real Region and to spotlight plans
for the future. If you have not attended a Spring Conference, this is the year to join us!
This year’s theme is WORKING AS ONE: INVESTING IN DREAMS. This theme not only
represents our Federation goal, but epitomizes what our 22 clubs have worked to achieve
during this biennium: Maintaining our individual club identities while “working as one” to ensure
that the women and girls in our respective service areas achieve their dreams. Yes, we
pursue dreams, we dare to dream, we capture dreams, we make dreams come true. We are
an amazing alliance of women with hearts of gold, possessing the inherent qualities of mutual
respect and support.
Get ready for a conference that will energize! As always, we will work hard, play hard, dream big, and never stop
believing that anything is possible. We encourage you to invite ALL members to attend and to bring prospective
members to selected events. Here’s a snapshot of what we have in store at this publication date . . . with more
surprises being planned:
• We welcome our SIA Board of Directors visitor, Heidi McNamar, who comes to us from Westbrook, CT.
Our Club presidents will engage in a special one-on-one “For Presidents Only” Friday workshop with
her.
• On FRIDAY, the Conference will open with the “Working as One” Luncheon. We have engaged a
featured Speaker who will inspire and motivate (open to guests and especially prospective members).
Following the luncheon, members and visitors will choose a 90 minute workshop to attend. The
Leadership Forum has something of interest for everyone: A New Members Reception hosted by our
GEMs, Membership Workshop, Supporting Club Projects through Grant Writing, and, (back by
popular demand) Healing Women With Words Workshop by Kim O’Hara. The evening will begin with a
Welcome Reception that is hosted by the Warner Center Marriott in honor of our 40 years of service,
and conclude with Our Anniversary Celebration and Awards Night which has many surprises in store.
This will be a MUST BE THERE event.
• SATURDAY’s agenda includes the Networking Breakfast; followed by our Business Meeting that will
include a “Celebration of Life”, Special Election for Region Governor, and General Election for the 2018-
20 Region Board. We have a special treat in store when we hear from some of our Dream It Be It (DIBI)
Participants during a special DIBI Luncheon honoring participating and supporting DIBI clubs (open to
guests and especially prospective members). The icing on our Anniversary cake will be our Installation
of the 2018-20 Region Board, followed by the GOVERNORS’ BALL held to bid farewell to the
outgoing Governor and welcome the incoming Governor (open to guests and especially prospective
members).
• SUNDAY will close our conference with the Live Your Dream Brunch which will recognize and honor
ALL club level winners as well as our Region Winners (open to guests and especially prospective mem-
bers).
There is so much more in store! There are so many surprises that you will miss if you aren’t there. Your Region
Team is eagerly and enthusiastically planning this Anniversary event. We look forward to hosting you. See you in

CLUB DELEGATE
INSTRUCTIONS AND RESPONSIBILITIES
DEFINITION OF A DELEGATE
• A person elected and authorized to act on her Club's behalf. The Delegate or Alternate has the voting power of the Club’s membership.
QUALIFICATIONS OF A DELEGATE
• Have a working knowledge of Soroptimist by-laws.
• Understand the objectives and ideals of the organization.
• Be mindful of her Club’s opinion about how she should cast her vote.
ON ARRIVAL AT CONFERENCE
• Register promptly.
• Check in at Credentials desk to receive voting card.
REMINDER
• If, at any time, the Delegate is unable to attend one of the voting sessions, the Club’s Alternate(s) may take the Delegate’s place by changing status at the Credentials Desk. Once this is done, the Delegate and the Alternate may not switch places again.
DUTIES DURING CONFERENCE
• Attend all sessions.
• Participate in discussions, remembering to reflect Club’s viewpoint.
• Annotate results of voting.
RESPONSIBILITIES AFTER CONFERENCE
• Prepare report on action taken by voting body.
• Provide synopsis of speeches.
• Announce the winners of awards.
• Convey the excitement of Conference by possibly sharing pictures taken at different events.
It is an honor and a privilege to serve as a Delegate. Please exercise your responsibilities and duties with enthusiasm and sincerity. Most of all, enjoy seeing old friends, meeting new friends, and making the most of this Conference.

Proper completion of the Delegate’s Credential Form will simplify and facilitate the Credentials
Verification process at Spring Conference. Please completely fill out the form below and mail it in advance
of the Conference to the Credentials Committee so that early arrivals to Conference will not have to wait for
their Credentials packages.
Remember that each Club in good-standing is entitled to three votes – the President’s vote and those of
two Delegates. If the President or either Delegate cannot attend Spring Conference, please provide

HOTEL ROOM RESERVATIONS • All room reservations will be made directly with the hotel, either online, or by phone. Hotel reservations to be made No
Later Than March 31, 2018. • Club Pre-Paid Room - Reserving online or by phone, give a credit card number when booking the room. Indicate on the
registration form the person that will be using that room. That name will then be given to the hotel, and the credit card will not be charged at check in.

CLUB AWARDS
AND RECOGNITIONS
The following awards and recognitions acknowledge Clubs and individuals who are participating in
Soroptimist goals to increase our collective impact through programs of service, strengthening our
Region (increased), working together (collective) and by providing women and girls with access to
education and training to make a difference in their lives (impact). Many awards will be presented to
Club Presidents at the Spring Conference Awards Banquet on Friday, April 20th. Please make sure
you attend or send a representative from your Club. The following are the categories for which a Club
or individual may receive an award or recognition.
GOVERNOR’S CLUB AWARD
• Recognition is given to Club Presidents, by the Governor, for their participation in the four areas of the
SIA Club Roadmap to Success and Club Commitment Area. Presidents must return the
completed award form to Governor Ginger by March 15, 2018. (Form attached)
DISTINGUISHED SOROPTIMIST RECOGNITION
• A Distinguished Soroptimist is a member who has made a personal commitment to developing her
Club and enhancing her own Soroptimist experience by recruiting a new member and accomplishing
at least five additional Club activities during the 2017-2018 Club year. Submit completed forms to Re-
gion membership Chair, Margo Bottcher by March 15, 2018. (Form attached)
VICTORY AWARD
• This award is given each year at Spring Conference to the Club with the greater percentage net gain
(count) from July 1st thru March 31st based on SIA membership numbers during that period. Eligible
clubs must have chartered by July 1st of the current club year. (Be sure to send in a 5008 form each
time you induct a new member. Your Club’s membership figures are based on these forms.) If there is
a tie, one Club will keep the trophy until Fall Workshop and the other Club will keep the trophy until
the following Spring Conference. The time period used is from July 1, 2017 through March 31, 2018.
CELEBRATING SUCCESS RECOGNITION AND AWARDS
• Clubs will be recognized for their submission of outstanding Club projects that improve the lives of
women and girls through programs leading to social and economic empowerment or promote
Soroptimist as an organization that improves the lives of women and girls. These awards
recognize the best practices of Soroptimist Clubs in each of the four pillar areas supporting the SIA
roadmap to success.

• The Live Your Dream Award program is SIA’s signature award program. It assists women who
provide the primary source of financial support for their families by giving them the resources
they need to improve their education, skills and employment prospects. Awards will be given on
Sunday, April 22nd Clubs are encouraged to sponsor their LYD winner as one of their Beyond
the Cash Award activities.
ACHIEVED THE DREAM AWARD — Camino Real Region Members
• This new award recognizes members who have attained their dreams: educational degrees,

Dear Camino Real Region Club Presidents,
SI of Simi Valley is Chairing the LYDA Swag Bag/Purses for this year’s Camino Real Region’s
Spring Conference. We are asking for 50 items from each club for these purses, a gift for those
winning recipients who attend this year’s Spring Conference Awards luncheon.
We are asking each club to donate items that the ladies would really appreciate and enjoy receiving.
Ideas such as beauty products, beauty services, jewelry, journals, gas cards, massages, facials and
gift cards are just some examples. You don’t have to donate 50 of any one thing but if you do mix it
up, please make sure that the value is comparable.
If you buy gift cards, please make sure that the cards can be used at stores or for services that are
located in all areas of our region so that somebody residing in Ventura can use a card given by a
club in Los Angeles. Amazon gift cards and other online cards would be a perfect fit. Do not donate
anything with business advertising on it.
Please give your club’s donations to your District Director by March 20th. District Director 1, Sharon
Jones, will then get these items from the other DD’s and I’ll get them from her with enough time for
our club to stuff the purses and wrap them in cellophane for the conference.

On April 20th through April 22nd 2018, the Camino Real Region will host our annual Spring Conference at the Warner
Center Marriott Woodland Hills. This year the Camino Real Region will be celebrating our 40 th Anniversary and will fea-

The following requirements have been established for Soroptimist Clubs and commercial vendors participating in the 2018 Spring Conference Trade Fair, Marriott Warner Center, Woodland Hills, CA
A paid registration fee provides one draped 6’ table and a chair.
1. A clothing rack is equivalent to one table space (vendors are responsible for bringing their own rack).
2. Tables will be assigned by the Trade Fair Chairperson, Jo Ann Vindigni. Under no circumstances will vendors be permitted to move from their assigned spaces without express authorization from Chair, Jo Ann Vindigni.
3. Participation is on a first-come (and first paid) basis. Since many vendors offer similar or “same-type” products, those who register early will be given first preference. However, steps will be taken to limit the number of vendors selling similar types of merchandise.
4. All vendor merchandise MUST be able to fit on, or within your vendor space. If your merchandise cannot be contained within your space, you may purchase additional space before March 15, 2018.
5. While designer inspired items are permissible, “knock-offs” are not. Counterfeit consumer goods (knock-offs) are defined as goods that infringe the rights of the holder of a trade mark by displaying a trade mark which is either identical to a protected trade mark or by using an identification mark which “cannot be distinguished in its essential aspects from such trade mark”. Counterfeit consumer goods are not allowed in the Trade Fair.
6. All set-up and dismantling of displays is the sole responsibility of the participating SI Club or vendor.
7. Arrangements for electrical access can be made by contacting the Trade Fair Chairperson on or before April 1, 2018. Vendors must supply their own commercial-type extension cords. Additional fees imposed by the hotel for any added needs supplied by the hotel the day of the event, will be the responsibility of the vendor.
8. The Trade Fair will be open to the public and will be situated in public areas.
9. Vendors assume responsible for the security of their merchandise.
10. Cancellations must be received (in writing), before April 1, 2018 or fees will be forfeited.

Indemnification
The 2018 Spring Conference Trade Fair will be held in a public area, accessible by conference
attendees, hotel guests, and or other visitors or guests of the hotel facility. Camino Real
Region and the hotel facility do not provide any security, therefore it is the responsibility of
the Vendor to protect their merchandise and equipment from theft, mysterious disappearance
or damage.
The Vendor and or its officers, directors, independent contractors’ or employees shall
indemnify, defend and hold harmless the Camino Real Region and its officers, directors, and
members from and against any all demands, claims, damages to persons, property, losses
and liability, including reasonable attorneys’ fees (collectively “Claims”) arising out of or
caused by the Vendor’s negligence and or its officers, directors, independent contractors’ or
employees’ negligence in connection with the use of the hotel property/facilities that are
currently being used.

ELECTION OF OFFICERS
2018-2020 REGION BOARD
One of the most important events at Spring Conference is the annual Camino Real Region business
meeting that will take place on Saturday morning, April 21, 2018. During this meeting, the membership
will elect the Camino Real Region Board for 2018-2020. This year’s process will differ slightly. There will
be a Special Election held at the beginning of the meeting to elect the 2018-2020 Region Governor. The
General Election to elect the remaining officers will occur at the end of the meeting. Candidates who
submitted their paperwork prior to deadline and have been deemed eligible to run for the office of their
choice are featured in this Call to Conference. Per Camino Real Region policy and Roberts Rules of
Order, the Chair will call for “nominations from the floor” for all offices listed in this Call.
If you are considering nominating a candidate at the business session for the incoming Board, there is an
official Candidate Resume form which needs to be completed and enough copies provided to give one
form to each member of the current Region Board and to each delegate who will be voting for the

While I cherish the lessons learned and the path forged to be here in this moment today, I also embrace the need to be relevant to today's woman and continue "building the new''. It would be my honor to serve as your 2018/2020 Camino Real Region Governor and work together to inspire women and girls to dream more, learn more, do more and become more. I feel my Soroptimist experience serving in various leadership roles makes me uniquely qualified to understand the challenges facing our organization and local clubs.
