STATEMENT OF PURPOSE The Windermere Prep athletics program strives to provide a high quality competitive opportunity for our students that aims to enrich lives, enhance the educational growth, promote the image of the school while building on the school’s mission and vision. Athletics are an essential component of the educational experience. Interscholastic athletic competition is an extension of the classroom and an educational activity that provides outstanding opportunities to teach life lessons. Through athletics, student-athletes will develop the values of sportsmanship, teamwork and leadership while learning how to win with humility and lose with grace. While our Athletics Department takes great pride in winning, we will never condone winning at any cost. Additionally, our focus will be to discourage any and all pressures which might neglect good sportsmanship and mental health.

The interscholastic athletics program at Windermere Prep strongly encourages the participation of all students. Through athletic participation, students learn to work efficiently in groups, develop time management skills and team spirit, while fostering a healthy desire to excel. The athletics program is an intrinsic part of our students’ educational experience; therefore, we provide this policies and procedures manual for students, coaches and parents/guardians to establish goals, rules, and procedures to accomplish the aforementioned belief. This handbook is an extension of the expectations and guidelines set forth in the Windermere Prep Student Handbook.

Goals: First and foremost, we strive to promote sportsmanship in all of our students. Components of sportsmanship are equally stressed: integrity, responsibility, and teamwork.

Rules: Windermere Prep has established a number of necessary rules to give students a behavioral outline to ensure that they fully understand their responsibilities to their school, their teammates, and themselves. These rules are specifically listed within this handbook, and parents, coaches, and athletes are responsible for the content and the guidelines. These rules apply during the entire sports season, on and off school grounds, twenty-four hours a day, seven days a week.

Procedures: The procedures portion of the handbook deals with common sense practices, which need to be enumerated for all to understand. These procedures deal with the numerous daily, weekly, and monthly activities in which students are likely to be involved. These include, but are not restricted too, clothing, game days, jewelry, grooming, etc., all of which are specifically outlined in the handbook.

Participation in Windermere Prep’s athletics program is a privilege. It is, therefore, incumbent upon the student-athlete, coaching staffs and families to be familiar with all of the rules and procedures outlined in this handbook.

ATHLETIC OFFERINGS Windermere Prep is a member of the FHSAA (Florida High School Athletic Association.) FHSAA rules are the rules of the Windermere Prep athletics program. Please feel free to visit the FHSAA website at www.fhsaa.org for more details surrounding the association.

All direct communication with the FHSAA should occur directly through the Windermere Prep Athletics Department. If you have a concern in which you think it is necessary to contact the FHSAA please contact the WPS Athletics Department first.

HIGH SCHOOL GRADES (9-12) ATHLETICS 9th Grade and Junior Varsity Programs are designed and intended to developmentally prepare student-athletes for varsity competition. The amount of playing time will always be determined by the coach and is not guaranteed. Close communication between the varsity head coach, the junior varsity head coach and student-athletes is important and expected. Coaches will be using similar principles and strategies, so the transition from junior varsity to varsity will be seamless. 9th grade and Junior Varsity programs will not be available for all sports offered by Windermere Prep.

Varsity Program Goals - Competition at the varsity level is the culmination of each sports’ program. All student-athletes are expected to put forth their best effort always, especially when they are wearing Windermere Prep colors. We strive to compete at the highest level in each varsity sport, while upholding our ideals of sportsmanship, respect, commitment and integrity.

At the varsity level, coaches are not expected to give playing time to all athletes. Playing time is based on talent, performance and caliber of opponent. Varsity athletics is a competitive experience in which achievement and outcome are high priorities.

MIDDLE SCHOOL (GRADES 6-8) ATHLETICS Middle school programs are designed for students to develop a passion for sports and athletic competition. Through physical education and athletics, early adolescents develop and use their physical talents and skills. Each student-athlete will have the opportunity to play at some point during the season unless his/her abilities and the game situation make it unsafe for them to participate. As long as the student-athletes are committed to and are capable of participating, everyone should have the opportunity to compete at some point during the season. There will be specific game/opponent situations that will not be conducive to every team member getting playing time.

Windermere Prep will create multiple team levels to support strong participation. If a student-athlete demonstrates more advance skill sets, he/she may be asked to move up to a more competitive level. Student athletes will never be asked to move down to play below their grade level. The head coach of the program along with the varsity coaching staff will make this decision after consulting with the student-athlete and the athlete’s family.

The 6th Grade Level Program is designed to introduce the concept of a competitive team environment. The primary goal at this level is to have student-athletes learn to effectively function as members of the team (we/us/our - THE TEAM, THE TEAM, THE TEAM) and HAVE FUN! Sport-specific skill development will be the main focus of instruction at this level. Encouraging students to have fun and enjoy physical activity, while improving health and wellness, is crucial to their overall development. Coaches will be encouraged to promote playing time for each student-athlete in every contest. Not all sports offer exclusive 6th grade team programs.

The 7th Grade Level Program is designed to continue to develop and enhance sport-specific skills enabling student-athletes to compete at a more competitive level. Coaches at this level will build on the fundamentals introduced in the 6th grade and begin teaching more advanced skills and techniques. While Windermere Prep does not guarantee equal playing time, everyone will have an opportunity to compete at some point during the season. A skill-based selection process is utilized by coaches during the designated tryout period and can result in interested students being “cut” from the team roster.

The goal of the 8th Grade Level Program is to prepare student-athletes for the transition to high school athletics where they will be competing on Junior Varsity or Varsity Teams. Team practices will emphasize skill development, individual improvement, self-confidence and teamwork. While Windermere Prep does not guarantee equal playing time, everyone should have an opportunity to compete at some point during the season. A skill-based selection process is utilized by coaches during the designated tryout period and can result in interested students being “cut” from the team roster.

Our Middle School Program participates in the GOAC (Greater Orlando Athletic Conference), which consists of nine Orlando area private schools. The GOAC is commissioned and operated exclusively by each school’s athletic director. The purpose of the league is to coordinate and run athletic competitions for middle school programs with a focus on championship level competition for grades 6th-8th. The league athletic directors meet three times per year to discuss participation rules, safety and scheduling.

COMMITMENT TO ACADEMIC SUCCESS All students of Windermere Prep are responsible for their academic success. This essential responsibility serves as our guideline for the role athletics has in the life of the student. Academic commitments take precedence over any athletic interest. Given the demands of time and schedule made on the student, the planning and preparation of academic work is critical. Participation in athletics is not an acceptable excuse for poor academic performance. In other words, schoolwork comes first! In addition, all disciplinary obligations must be fulfilled before a student may participate in any extracurricular activity.

SCHOOL ATTENDANCE Students involved in extra-curricular activities must be in attendance at school to participate in their extra-curricular activities after school. WPS defines school and class attendance as:

• A full day of attendance is defined as a student being present for three (3) of four (4) periods on Block Schedule days (Monday, Tuesday, Thursday, and Friday). On Wednesdays, a full day of attendance is defined as a student being present for five (5) of seven (7) periods.

• For the purpose of this policy, class attendance is defined as the student being present and in class for the majority of an assigned class period.

Students not in attendance according to these requirements shall not be eligible to participate that day, in either games or practices. Students who skip a class resulting in an unexcused absence from that class will lose privileges, including the opportunity to participate in any extra-curricular activity, including athletics, scheduled on that day. The Director and Associate Director of the school, and/or Director of Athletics - according to the situation - may make exceptions.

EARLY DISMISSALS/ABSENCES It is the student-athlete’s responsibility to inform his/her classroom teachers of all known absences and/or early dismissals due to athletic events. Student-athletes are responsible for submitting assignments and completing tests for classes missed and pre-arranging with their teachers to make up work, including homework, tests, quizzes, and papers due in classes missed for athletics.

STUDENT-ATHLETE EXPECTATIONS 1. Athletics serves as an extension of the classroom. You are a WPS student above anything else. 2. RESPECT all coaches, teachers, peers and especially teammates. Failure to be respectful could result in

IMMEDIATE removal from the team. Disrespect will NOT be tolerated. 3. Student-athletes will be supportive and encouraging towards every teammate. Celebrate each other’s

accomplishments. 4. WPS athletes will conduct themselves and treat others with the utmost respect and kindness. Any behavior that

is considered disrespectful or inappropriate may result in loss of playing time or removal from the team. 5. Work and play hard every day to improve as individuals and as a team. 6. Be dressed, on time and ready for every scheduled practice, game and team activity. 7. Acknowledge that playing time on this team is an HONOR and a PRIVILEGE, not a right. 8. Student athletes are expected to attend EVERY scheduled practice, scrimmage, game and all other team related

activity.

Note: Coaches have the right to recommend to the Director of Athletics the dismissal of participants from the team roster for conduct considered detrimental to the team. Dismissal may be done with or without penalty. The decision by the Director of Athletics, with approval from the Head of School, to dismiss a student-athlete from a team is final.

ATHLETIC DISCIPLINARY PROCEDURES 1. The coach will first meet with the player(s) to discuss the issue(s). 2. The coach will then discuss the concerns with the Director of Athletics. 3. If concerns persist, the coach and player(s) will meet with the Director of Athletics. 4. If the problems continue after this meeting, the coach will meet with the parents or guardians of the player(s)

and the Director of Athletics to discuss the issues, what has been done and to determine the appropriate actions.

5. If the coach believes that the player(s) continue to exhibit the same difficulties, the coach, in conjunction with the Director of Athletics, can suspend the player(s) for a specific period of time.

6. Finally, if all other courses of action have not produced the desired results, the coach, with the approval of the Director of Athletics and Head of School, can remove the player from the team.

Note: A serious violation of team or school rules could result in a player being immediately suspended from the team by the coach. In such instance, the student-athlete would be called into the Dean of Students Office for a meeting.

PARENT EXPECTATIONS As each student explores extracurricular activities that interest him or her in the upcoming year, we expect that parents will reinforce the importance of commitment to those areas and help control the total number of commitments entered into by their child/children to avoid the pressure of too many commitments. Please read through the student-athlete expectations, found above, for involvement in athletics and reinforce these guidelines as the year unfolds. Parents play an essential role in helping our children learn the value of winning and losing. Parents and spectators are encouraged to cheer for our athletes and not against the other team. Allow the coaches to coach; let the players play; and let the officials officiate and everyone can then enjoy all athletic events.

Below are some suggested topics you can discuss with your child in these situations: Values of Winning – help your child learn the values of winning by:

• Offering congratulations for winning and identifying the efforts made by individuals and the team. • Recognizing the improvement and growth of both the individuals and the team. • Emphasizing competitiveness and doing one’s best.

Values of Losing —help your child learn the values of losing by: • Providing a period of quiet time for your child to “decompress” after a loss before you discuss the game. • Crediting the other team or play of his/her opponent. • Focusing on improvement by individuals and team. • Discussing what was successful. • Discussing what, if anything, individuals or the team could have done differently. • Accept the loss, set individual goals and move forward.

ISSUES OF CONCERN What are appropriate issues to discuss with the coach? In any discussion with a coach, whether in person, via text or in email, parents should communicate calmly and politely.

Parents are ENCOURAGED to discuss: • The treatment of their child • Ways to help their child improve • Concern about their child’s behavior • Coaches’ expectations for their child and the team • Team expectations, requirements and scheduling • Sanctions incurred by their child • College participation

Parents should NOT discuss: • Placement on the team • Playing time • Strategies used by the coach during contests • Other student-athletes, unless parents have a

concern regarding the way another student-athlete is interacting with their child

Playing Time One of the primary sources for conflict in athletics revolves around the issue of playing time. Please keep the following distinctions in mind as you consider your child’s experience. Every student-athlete at the Sub-Varsity level, who fulfills his/her academic and team commitments, will be given the opportunity for competition playing time. The amount and time of play will always be determined by the coach. At the Varsity level, there are no guarantees of playing time for any student-athletes. Playing time will be determined by the coaching staff with the focus on competing for championships. Athletes at all levels should have an expectation that their development will be evaluated, and coaches will communicate areas for improvement.

COACH OR PROGRAM COMPLAINTS Athletics can be an emotional endeavor, and occasionally a conflict may arise. If any parent has an athletic issue concerning his/her child, please respect and abide by our “24 Hour Rule” – that is, please wait 24 hours before contacting the coach, except in an emergency situation. We have found that all parties who feel that they have an athletics issue who take the time to reflect on the situation, the ensuing conversation will likely be based less on emotions and personalities and more on the facts of the matter. If you wish to discuss a program or issue concerning your child, begin by contacting his/her coach. Often the problem or concern is resolved at this level. If after 24 hours any parent still feels that the situation merits attention, please follow the procedures listed below:

Steps for resolution: 1. Athlete should speak with the coach, privately. 2. Parent(s) and athlete should speak with the coach, privately. 3. Contact the Director of Athletics to meet with all parties involved. 4. Lastly, schedule a meeting with the Headmaster, Athletic Director, and coach. The joint decision of the

Headmaster and Athletic Director as a result of this meeting is final.

Productive communication: • Please make an appointment to speak with the coach at a mutually convenient time, but not prior to, or after a

contest or practice. • If a meeting can’t be agreed upon, call the Director of Athletics, and the meeting will be set up. • Chatter or complaints between parents is counterproductive – please handle each issue directly through the

coach.

Please note that angry or aggressive communication is also counterproductive and coaches have the prerogative to disengage from conversations they deem detrimental to a positive resolution.

COACHING EXPECTATIONS - THE ROLE OF THE HEAD COACH Any coach in charge of athletes at any level and in any sport must maintain a very high degree of integrity in carrying out his/her duties and responsibilities. At Windermere Prep, a coach’s primary duties shall include, but are not limited to, the following:

• Clearly communicate behavioral expectations and to enforce consistent consequences for violations of school rules and regulations.

• Ensure that all student-athletes have read and understood the Athletic Policies and Procedures Manual. • Respect all players and coaches. • Respect the integrity and judgment of game officials. • Promote the entire academic, athletic and extracurricular programs of Windermere Prep, directing their program

in harmony with the total school program. • Establish and model fair play, sportsmanship, and proper conduct. • Provide proper supervision of students at all times. Coaches are responsible for their student-athletes from the

time they show up to dress for practice and games until the time they are picked up. Part of your responsibility is to monitor all activity that is taking place in your team’s locker room before and after all practices/games. Coaches must make sure that the locker room is secure and locked at all times that there is not proper supervision. Coaches must make sure that all athletes have been picked up by their parents/guardians after games/activities.

• Use discretion when providing constructive criticism and when reprimanding players, maintaining control of emotions.

• Maintain consistency when requiring all players to adhere to the rules and standards of the game. • Properly instruct players in the safe use of equipment. • Develop system for equipment accountability. • Refrain from exerting influence on students to take lighter academic courses in order to participate in athletics. • Refrain from exerting undue influence on a student’s decision to enroll in an athletic program at any post-

secondary educational institution. • Know and understand all of the responsibilities involved in being a coach. • Know, understand and follow FHSAA Bylaws, Policies, and Procedures. • Conduct oneself in a professional manner at all times. • Inform the Director of Athletics by the next day via email in the event that a coach or player is ejected from a

game. • Communicate effectively and consistently with athletes and their parents, particularly with regard to changes in

game schedule, game location, or cancellations of practices and/or games. • Never allow himself or herself to be alone with an athlete in a room with the door closed. • Never give his/her school-issued keys to any student or parent. • Maintain the confidentiality of student information.

COACHING EDUCATION CLASSES The FHSAA mandates that ALL coaches and students are required to view the online education courses, “Concussion in Sports”, “Sudden Cardiac Arrest” and “Heat Illness Prevention.” Once videos are completed all coaches must turn in both certificates of completion to the Athletics Department. No Windermere Prep coach will be allowed to start their season without up-to-date Certificates of Completion.

All paid/supplemented coaches must take and pass the following online courses at http://nfhslearn.com: 1. “Concussion In Sports—What You Need to Know” 2. “A Guide to Heat Acclimatization and Heat Illness Prevention” 3. “Sudden Cardiac Arrest”

CPR/FIRST AID/AED CERTIFICATION It is mandatory that every Head Coach be CPR, First Aid and AED certified before they can coach a Windermere Prep athletic team. The Athletics and HR Departments must have a copy of your CPR/AED certification card on file. Assistant coaches are highly encouraged to also be certified.

UNIFORMS AND EQUIPMENT The head coach is responsible for all inventoried items for their sport and will work with our Equipment Manager to ensure all items have been properly checked. This includes proper storage and handling of equipment and uniforms. The coach will disperse and collect all necessary items. The coach has the responsibility of collecting all uniforms and equipment at the completion of their season. They must return everything to the Athletics Equipment Room, along with all inventoried items, including a list of any missing items.

Coaches have the responsibility of instructing their players on the proper use of athletic equipment, protective equipment and clothing. Coaches must also inform all players of the proper management and care of all equipment. Please make sure to inform the Equipment Manager and the Director of Athletics immediately of any damaged or unsafe athletic equipment, so it can be removed or fixed as soon as possible.

ENSURE ELIGIBILITY Coaches may not allow any student to participate in try-outs, practice, or games without proper written clearances, which includes current and complete FHSAA forms. Accurate and up-to-date rosters are imperative. The Athletic Department, in conjunction with the Athletic Trainer, will communicate with the Head Coach regarding the eligibility status of each athlete on the current roster. The Head Coach is then responsible to follow up with those athletes whose FHSAA required paperwork is incomplete or out-of-date.

TEAM ROSTERS Electronically submit an initial roster of your team to the Athletic Office by the first official practice date of your sport. Any additions or deletions from the initial roster must be communicated via email immediately to the Athletic Office and Equipment Manager. Ensure that your team’s Official Entry List roster, required by the FHSAA for post-season (state series) play, is submitted to the Director of Athletics by the due date for your sport, which can be found at www.fhsaa.com.

Head coaches must also create RegisterMyAthlete (RMA) profiles. Please note that it is the responsibility of each coach to check on RMA and with the athletic trainer to make sure all members of your team have the proper paperwork. If there is an athlete participating without the proper paperwork, that individual coach will be held responsible and liable. Therefore, if you have any additions to your roster after the original tryout/start date, you must check with the athletic trainer before you allow them to participate.

DISTRICT MEETINGS Varsity head coaches are required to attend a pre-season and a post-season district meeting for their sport. If you are unable to attend please send the assistant coach so a representative may attend the meeting. Be sure to bring complete statistics to the post-season meeting as athletes may be selected to represent Windermere Prep on district teams.

SCHEDULING OF COMPETITIONS Coaches are responsible to work with the Athletic Department in regard to season competitions. Coaches must obtain written approval from the Director of Athletics for tournaments or overnight trips before scheduling them. If games and/or tournaments are scheduled over a holiday break, parents must be made aware of this as soon as possible.

PRE-SEASON MEETINGS It is required that the head coach of each sport meets with his/her student athletes and parent/guardians prior to the team’s first competition to discuss the following:

A. Safety requirements/rules/policies B. Team Rules C. Transportation Policy D. Letter Requirements E. Volunteer Opportunities F. Senior Night and Post-Season Recognition G. Other items the head coach believes should be included

Coaches, please notify the Athletics Department to schedule your Parent Meeting facility. Additionally, a representative from the Athletics Department can attend your Parent Meeting upon request.

ASSISTANT COACHES Head Coaches are encouraged to identify and recommend potential assistant coaches, however no assistant coach will be considered without first being introduced by the Director of Athletics. All Assistant Coaches, whether paid or unpaid, must also complete all Human Resource employment requirements prior to assuming any coaching duties. Once Human Resources has approved the candidate, all final decisions regarding hiring will be made with the head coach and the Director of Athletics.

EVALUATION OF COACHING STAFF Each head coach will receive written or verbal feedback utilizing the approved Windermere Prep Performance Evaluation process for non-faculty employees. Assistant coaches will receive either verbal or written feedback, as appropriate, from the Head Coach and/or the Director of Athletics.

GAME DAY ATTIRE Coaches should dress appropriately for the sport they are coaching. Dress should be clean and neat in appearance. Professional dress clothing or Windermere Prep attire for your sport is required. Blue jeans or t-shirts should not be worn. In general, coaches should wear collared shirts that are tucked in.

At games, all team members should remain “dressed out” in full uniform, when in public view, while waiting for earlier contests to finish as well as during pre-game warm- ups. The silent language of personal appearance not only projects an image of team unity, it is part of the total impression that Windermere Prep wishes to give to its students, parents, and visitors.

When teams travel to other schools, one of two approaches to attire may be taken: either all players wear pre-game warm-ups (e.g. shirts, jackets, and pants) if the team has them OR all players wear their full team uniform (jerseys, socks, jackets, and shorts or pants, depending on the sport). If the team has been given use of a team backpack or duffel bag, those items should be used to carry changes of clothing, athletic footwear, etc. Teams should be dressed out prior to leaving Windermere Prep’s campus. No student-athlete should arrive for a competition at another school dressed in street clothes.

SUMMER PROGRAM Coaches planning to have teams participate during the summer months need to be fully aware of FHSAA and Windermere Prep policies regarding such participation. The Director of Athletics must approve all activities in writing.

PUBLIC RELATIONS, TEAM STATISTICS AND RECORD KEEPING The importance of favorable media coverage is an important asset to the school’s public image. It is imperative that all reported information concerning athletic events be concise and accurate. In all reporting situations, the coach takes the role of a good-will ambassador for the school. Areas such as state rankings, individual, all-conference and all-state players should be promoted whenever the opportunity arrises. It is the responsibility of each head coach to compile game statistics and scores, and e-mail them to the media, Director of Athletics, and the Athletic Communication Coordinator at conclusion of all contests. Both JV and Varsity scores must be reported.

During the season, all varsity games must be reported to the following newspapers within 2 hours of the completion of an athletic event:

• Orlando Sentinel: 407-420-5474 or orlandosentinel.com/reportascore or @osvarsity via Twitter • Orange Observer: 321-297-7948 or [email protected] or @oberserverorange via Twitter

Ideally, every Windermere Prep athletic team will have a student manager and/or statistician to assist with the day-to-day management and record-keeping for the team. Game day and weekly statistics must be accurately kept, compiled and reported throughout the season.

In post-season play and for media coverage in-season, accurate statistics are imperative. The final responsibility for accurate record-keeping throughout the season, in all instances, remains with the Head Coach. If a team does not have a student-manager, a volunteer staff member or volunteer parent who is reliable can be engaged to keep team records. The record book is the property of Windermere Prep and should be turned in to the Athletic Department at the completion of the season.

ATHLETIC DEPARTMENT RULES AND PROCEDURES ACADEMIC ELIGIBILITY In order to participate on athletic teams, a student must maintain academic eligibility. Please refer to the Windermere Prep Student Handbook for academic eligibility guidelines. All Windermere Prep students must be in compliance with FHSAA eligibility rules. FHSAA rules and policies are published annually and can be found at http://www.fhsaa.org/rules. In addition to academic eligibility, if a student wishes to represent Windermere Prep in extracurricular activities, his/her school conduct and attitude, as well as out of school behavior, must be beyond reproach. Participation in athletics is a privilege, and students may be denied participation if they fail to meet academic, attendance, or behavioral expectations.

FHSAA Standards: All middle school student-athletes must have a 2.0 GPA based on a 4.0 scale, at the conclusion of each semester. All high school student-athletes must have a cumulative 2.0 grade point average on a 4.0 unweighted scale, or its equivalent, at the conclusion of each semester to be academically eligible during the next semester.

WPS Standard: Any student on academic probation will jeopardize his/her eligibility for continued participation in extra-curricular activities, including athletics.

ATHLETIC TEAM COMMITMENT If, for some reason, a student-athlete decides to stop participating on a team, or is dismissed from a team, he/she will not be permitted to join or participate in any other sport for the duration of that sport season (Fall/Winter/Spring).

Most, if not all, of the Varsity teams, and some JV teams, practice during school holidays. The level of commitment on a Varsity team requires the student-athlete to participate in these practices during vacations. If you are the parent of a Varsity student-athlete, please plan on your son/daughter participating in these practices. If your son/daughter cannot attend these mandatory practices, it must be understood that there may be playing time consequences for failure to attend. Consequences vary and are handled by each individual coach. If there are special circumstances concerning a student’s participation in vacation practices, the parents need to inform the coach in advance of the practice(s).

ATHLETIC FORMS All 6th through 12th grade students who are interested in playing on ANY WPS Athletic Team MUST have the following forms completed prior to participation.

• FHSAA Pre-participation Physical Evaluation Form (EL2) • FHSAA Consent and Release from Liability Certificate (EL3) • Certificate of Completion – Concussion in Sports & Sudden Cardiac Arrest • Certificate of Completion – Heat Illness Prevention • Permission for Medical Treatment Form • Student-Parent Athletic Handbook Form • FHSAA Recruiting Affidavit (GA4) (required for transfer students grades 10-12) • FHSAA Registration for International Student (EL4) (required for international students)

COACHES’ DISCRETION Coaches may establish their own rules and schedules (supported by the Director of Athletics) within guidelines that have been established by Windermere Prep. It shall be up to the coach when to have practice, how long to practice and what to practice. The coach shall make decisions regarding strategy, determination of captains, personnel and scheduling. If parents have questions regarding a coach and his or her rules, they should first be addressed to the coach.

COMMUNICATION Communication is a vital part of the success of any program. As such, the Athletics Department requires head coaches to communicate weekly about their programs. The Athletics Department will communicate both internally and externally on a weekly basis to ensure all athletic-related events and accomplishments are communicated to the WPS community.

All group communication to parents and players should be sent through RegisterMyAthlete. This tool will help ensure that parents or players do not miss important emails or messages. Coaches are required to email parents and players a weekly announcement that details the upcoming week’s schedule. Please keep in mind that it is Windermere’s Prep policy that all employees (Head and Assistant Coaches) must respond to parent’s phone calls and emails within 24 hours of being contacted.

Weekly Athletics Email Each program is required to send a weekly email communication to students and families of their team indicating the schedule for the week of practices and games. Please “cc” the Director of Athletics on the email.

Score Reporting and MaxPreps Mandatory score reporting for all events is now required by the FHSAA. Please report all scores to Patrick Hollern and Nikki Epel. MaxPreps scores and rosters are automatically updated through the FHSAA HomeCampus website, which will be monitored and updated by Nikki Epel and Hayley Ferone. Please note that team and individual stats are required to ensure accurate historical records.

Website News Along with reporting scores, coaches should include any highlights or top performers that can be posted to the WPS Athletics website. All news posted on the website is also posted on the WPS Athletics Twitter and Instagram feed. Please include a photo for news story submissions. All information should be submitted to Patrick Hollern and Nikki Epel.

Social Media Social media outlets can be great tools for our sports teams, however, along with the benefits of social media, we must also be cautious of what our players, teams and coaches are posting.

WPS Athletics Social Media: • Maintain separate professional and personal accounts. • Team Twitter accounts must be maintained by a member of the WPS coaching staff. • Send all Facebook posts to Laine Allen (and cc Patrick Hollern), who manages the WPS Facebook page. Please

note that according to WPS policy, teams are NOT permitted to create their own Facebook page.

DRESS AND BEHAVIORAL EXPECTATIONS Students represent the school to their peers, parents, and members of this and other communities. It is therefore important that they look, act, and play accordingly. Coaches are responsible for ensuring that the students do so in a manner that represents the individuals, the team, the school and the community in a positive light. Students who fail to abide by these rules are subject to disciplinary action and may have their participation withheld until they comply with the coach’s rules.

Players are expected to dress according to a coach’s specifications and should dress in a way that reflects the unity of the team. Each student is responsible to dress and groom appropriately while attending practices and competitions. The wearing of inappropriate attire could result in the removal from team competition on the specific day the infraction occurs. See your coach or Director of Athletics if you are concerned about specific attire. Please take pride in your appearance and your team.

During competitions, student’s uniforms are to be worn as specified by the coaches according to what is appropriate for that sport and that uniform. Students may not wear earrings or other jewelry while competing in their sport. All team members should remain “dressed out” in full uniform, when in public view, while waiting for earlier contests to finish as well as during pre-game warm- ups.

Teams should be dressed out prior to leaving Windermere Prep’s campus. No student should arrive for a competition at another school dressed in street clothes.

During practices, students are to wear proper attire. Coaches may make rules and establish consequences for those athletes who do not bring their practice clothes. Students are not to take shirts off during practice (no “shirts vs. skins”) and female athletes must wear appropriate tops over sports bras. While shirts and shorts do not have to adhere to the policies specified in the student dress code for school, a degree of modesty is expected and clothing shall not be excessively revealing or worn inappropriately.

Students are expected to refrain from the use of profanity, vulgar language, and rude gestures. Coaches will establish consequences for students who use inappropriate language depending on the severity of the situation and the number of times the issue has been addressed.

DRUG/ALCOHOL POLICY The Athletics Department adheres to and supports the WPS Drug and Alcohol Testing Program Policy. Students participating in extra-curricular activities are expected to obey all pertinent laws. Participating in extra-curricular activities is a privilege, not a right. The school may exclude students from participating when they become involved in behaviors that may jeopardize their safety or the safety of others.

EQUIPMENT AND UNIFORMS It is the student-athlete’s responsibility to care for the equipment and team uniforms issued by WPS. If items are lost or damaged beyond what is considered normal wear and tear, the student-athlete’s account will be billed for replacement costs. Student-athletes will have one week after the completion of their last contest to turn in all school-issued gear to the Athletics Department. Please work with Justin Reynolds to ensure that all equipment and uniforms are returned.

FACILITY REQUESTS AND RENTALS If requesting any athletic facility on campus, it is mandatory procedure to go through the Athletics Department to ensure the proper documentation is completed. Additionally, any type of athletic facility required for pre-season parent meetings or meetings with individual players should be approved by the Athletics Department. If a coach receives a facility request, please forward the request onto the Athletics Department.

These items may include practice uniforms, personal practice equipment and game day attire. The cost of the spirt pack is not to exceed $100 per student athlete.

Summer Camps - 10% Fee WPS will charge a 10% facility rental fee for all summer camps or clinics held on the Windermere Prep campus. General Liability Insurance is also required for camps/clinics with a policy minimum of $1 million in Liability Insurance.

GAMEDAY SET-UP It is the Head Coach’s responsibility, in conjunction with the Assistant Athletic Director, to ensure that their facility is fully prepared to host a home game. If a coach notices any facility issue that may impact the game, please notify the Athletics Department immediately.

HAZING POLICY Windermere Preparatory School supports only those activities which are constructive, educational, inspirational, and that contribute to the intellectual and personal development of students. WPS unequivocally opposes any situation created intentionally to produce mental or physical discomfort, embarrassment, harassment, or ridicule.

Hazing is an intentional action taken, situation created, or any conduct or method of initiation into any school organization, club or team under direct school sponsorship that denies a person his or her individual rights or results in mental or physical discomfort, embarrassment, ridicule or endangerment. Hazing should be understood to include any forced treatment or physical activity, which is likely to adversely affect the physical health or safety of any student, or which subjects a student to extreme stress. Additionally, hazing can include exaggerated or excessive teasing. Any requirements by a student which compels another student to participate in any activity which is against WPS policy or state/federal law will be defined as hazing. The fact that a hazing victim may seem willing or may even agree to participate in some form of personal embarrassment or physical/mental danger does not change or lighten the responsibility of the one who is doing the hazing. In addition, any person who knowingly witnesses or fails to report knowledge of any incidents of hazing may be considered to be a participant in the hazing. Actions and activities which are prohibited include, but are not limited to, the following:

• Any type of initiation or other activity where there is an expectation of individuals joining a particular team to participate in behavior designed to humiliate, degrade, or abuse them regardless of the person’s willingness to participate.

• Any requirement or pressure put on an individual to participate in any activity which is illegal, perverse, and publicly indecent, contrary to his/her genuine morals and/or beliefs, e.g. public profanity or indecent or lewd conduct.

• Any activity or action that creates a risk to the health, safety, or property of Windermere Preparatory School or any member of its community.

• Assigning or endorsing “pranks” such as stealing or harassment of another organization. • Expecting or pressuring individuals to participate in an activity in which the full membership is not willing to

participate. • Physical abuse of any kind. • Forcing, encouraging, or pressuring someone to wear in public apparel which is conspicuous and not within the

norm of what is considered to be in good taste. • Morally degrading/humiliating games or other activity that makes the member the object of amusement, ridicule

or intimidation. • Subjecting a member too cruel and unusual psychological conditions

All WPS student-athletes agree and commit themselves to not to participate in any activity deemed to be hazing. Any student-athletes found in violation of this policy will be subjected to discipline that may include demotion (in an organization, club, or team), suspension or expulsion.

INTERNATIONAL STUDENTS Any student on a Visa must be registered with the FHSAA. It is the responsibility of all coaches to inform the Athletics Department whenever they have an international student on their roster and to make sure that he/she has been deemed eligible by the FHSAA before they participate in any athletic competition. All international students on any coaches’ roster must see with the Athletics Department so the proper forms and documents can be gathered and submitted to the FHSAA for review. It is the responsibility of the coach to not allow any international student to participate in an athletic competition until being notified by the Athletics Department that the student-athlete has been ruled eligible by the FHSAA. Any student on a Resident/Green Card must submit a copy of the card, as well as their passport, to be kept on file in the Athletic Department. Please contact Nikki Epel, Assistant Director of Athletics, with any questions.

TRANSFER STUDENTS WPS follows the guidelines of the FHSAA in regard to all transfer students. Please check Bylaw 9.3 of the FHSAA Handbook.

LIGHTNING SAFETY In the event of inclement weather, the Windermere Prep Director of Athletics and Athletic Trainer have the authority to make decisions regarding the continuation of games and/or practices. The Athletic Trainer will be aware of any storms in the area and will notify the coaches of a safe place to go should a storm conflict with practice. Coaches will be notified prior to practice of the plan in case severe weather strikes.

If the weather becomes suspicious, the flash-to-bang method as well as the MxVision WeatherSentry Online app will be the methods of determine whether practice is safe. The WeatherSentry app will inform the Athletic Trainer when to leave the field of play and when it is safe to return to the field. The flash-to-bang method consists of counting the number of seconds between a flash of lightning and the first sound of thunder. The number of seconds divided by 5 is equal to the approximate distance in miles the thunder storm is from the venue.

• If the difference between the lightning strike and the thunder is less than 30 seconds (6 miles), teams will immediately be removed from the fields and relocated to the locker rooms.

• Teams will be required to wait at least 30 minutes from the last lightning strike or sound of thunder before returning to play.

It will be the responsibility of the Athletic Trainer to obtain weather reports prior to the start of practice. In the case of severe weather, teams will be moved to the locker rooms. This is easily accessible from all outdoor activities.

MULTIPLE SPORT PARTICIPATION Windermere Prep firmly believes in developing a well-rounded student-athlete. As such, coaches encourage athletes to participate in multiple sports. Student-athletes should feel free to participate in as many sports as they would like to pursue that complement the academic load they are carrying.

PRE-SEASON INFORMATION Prior to the start of each season, the Athletics Department will announce tryout and first practice dates for each sport. Student-athletes who are still participating in a sport from the previous season will be given an alternate tryout date. The completion of the current season takes precedence over the preseason of another sport. Students are responsible for providing all forms (i.e. Emergency Treatment Authorization and Consent to Treat Forms and Physical Forms) to the Athletics Department before they can participate in any way.

SPORTSMANSHIP Sportsmanship is defined as an aspiration or ethos that a sport or activity will be enjoyed for its own sake, with proper consideration for fairness, ethics, respect and a sense of fellowship with one’s competitors. Developing sportsmanship is a primary goal of this school. Good sportsmanship takes hard work, dedication, extra time, and the courage to stand up to tell people when they are wrong.

Sportsmanship is one of our most important responsibilities, and if we are successful in this we will attain a more lasting mark than any championship could bring. Everyone is expected to use appropriate language, and act in ways that are not detrimental to the reputation of the team or to Windermere Prep. Sportsmanship is expected at all times from each and every athlete, coach, administrator, and spectator, and in accordance with all FHSAA operational bylaws in this regard. Windermere Prep student athletes are expected to, at a minimum:

• Shake hands with opponents before (captains) and after the game. • Respect the official’s judgment in interpretation of the rules. Never argue or indicate a dislike for a decision. • Accept both victory and defeat without being boastful or bitter. • Cooperate with the coach and fellow players in promoting good sportsmanship. • Accept seriously the responsibility and privilege of representing the school and the community.

TEAM CAPTAINS The Head Coach has the authority to decide whether team captain(s) is selected by team members or by coach appointment. In either case, the Director of Athletics must approve the team captain selection. Prior to the captain selection process, the Head Coach will inform the team members of the selection criteria and obligations of the position. The position of team captain is one of honor, leadership, and responsibility. As a result, students serving in that capacity are expected to conduct themselves in an exemplary manner both in and outside of school. Any student who is involved in a violation of WPS rules and regulations resulting in a suspension from school, or any student who is found to be involved with drugs, alcohol, weapons, or crimes outside of school may lose the ability to serve as captain or to be appointed or elected to the position of captain of any school sponsored team for the period of one calendar year.

TEAM SCHEDULES AND PRACTICE TIMES It is the responsibility of each head coach to work with the Athletics Department on the creation of practice, game or meet schedules with their individual teams. All practice times will be scheduled after school and if necessary can be held off-campus. Teams will not be permitted to schedule games or tournaments during final exams. However, teams can practice after school during final exams. Middle school teams competing in the GOAC will be provided a schedule by the conference. All varsity teams are highly encouraged to schedule a Senior Night in honor of their respective seniors. Details for Senior Night will be discussed during your pre-season meeting with the Director of Athletics. Please note that it is recommended to not schedule your Senior Night for the last regular season home game in case the game is canceled for various reasons. During inclement weather, coaches must seek approval from the Director of Athletics before any cancelations.

TRANSPORTATION All student-athletes must travel to any athletic event held off campus on transportation provided by the school unless the coach has allowed alternate arrangements for the team. For away games, Windermere Prep will use the shuttles and vans whenever possible before ordering any charter bus. These vehicles do not require a CDL and can be driven by any coach with a driver’s license. If you do not feel comfortable driving a shuttle or a van, training sessions can and will be set up through the athletic department. Charter transportation will be considered for trips over 1 hour away. Please contact the Athletic Department with any questions.

For teams with larger rosters, coaches will need to drive two mini-buses/shuttles. In rare circumstances, charter buses can be ordered to accommodate scheduling complications. However, any bus ordered will come out of that team’s budget. All student-athletes are expected to travel home from an athletic event on transportation provided by the school. The only exception to this rule is if the Athlete’s own parents sign-out their child on the “Transportation Sign-Out Form.”

• Under no circumstances should a student-athlete be allowed to ride home from an off-campus athletic event in the vehicle of another student.

• Coaches are expected to ride on the bus with their respective teams. • Coaches must remain at school until the last student departs. This applies to practices as well as athletic events.

Please note: Security is on campus and available until 9 p.m. If busses, shuttles or vans should arrive after 9 p.m., two coaches are to stay present until all student-athletes have been picked up. For sports that only have one coach (i.e. boys and girls golf) and security is not present on campus, please instruct the last remaining student-athlete to phone his/her parents until pick up.

• All head coaches must meet with the Athletic Department with your transportation requests each week to confirm your travel needs for the following week.

It is the responsibility of the coach to inform all players and their parents of the proper transportation information. Coaches cannot schedule team departures between 2:30-3:30 p.m. to avoid school dismissal complications.

Long Distance Travel If you are planning an overnight trip or a trip with travel time greater than two hours, you must provide the Athletics Department with a detailed itinerary (i.e. hotel, transportation, location, event, cost, etc.) This information must be turned into the Athletics Department with as much notice as possible. Please remember the following when planning an overnight trip:

• There MUST be a full-time Windermere Prep employee on all overnight trips. • All coaches and student-athletes must travel together as a team and on the provided transportation. • All student-athletes will split-up into rooms as a team. • Parents may stay in the same locations and accompany the team on the trip, but may not interfere with the trip or

separate their child (or any others) from the group at any time or for any reason. • Coaches are responsible for supervising their team at all times. • Coaches must provide parents with the following information:

- Itinerary (make sure to include when you will return to campus) - Hotel and Event Information - Emergency Contact Number (coach’s cell phone number)

No team shall take a long-distance trip or overnight trip without the Director of Athletics approval.

Early Dismissals WPS policy states that early dismissal requests need to be sent out by the Athletics Department one week prior to dismissal date. This allows teachers and administrators time to adequately prepare for absences. Please communicate your early dismissal requests with Nikki Epel no later than 10 days prior to your requested early dismissal date. Please note: to avoid classroom disruption, students will be dismissed before or after class periods. No mid-class dismissals will be permitted.

VARSITY LETTER CRITERIA Windermere Prep is committed to creating a high standard of achievement for earning a varsity letter award. The student must be on the varsity squad to earn a varsity letter. Practicing with the varsity team, sitting on the bench for tournament games, or being "called up" for a few games does not guarantee a varsity letter for a student.

In addition, students are reminded that the varsity letter is a recognition award determined by the head coach in conjunction with the Windermere Prep Administration. Students who fail to complete a season for any reason other than injury may not letter. In addition, violations of school and individual sport rules may cause a student to be disqualified from earning a varsity letter. Special exceptions to these standards can be made by the head coach with administrative approval. Special exceptions to these standards can be made by the head coach with administrative approval. Students may serve in many capacities on athletic teams without participating in the sport itself. For example, students can support teams as managers, statisticians, and sideline help. Students will be eligible to letter in the sport for which they volunteer, and will be listed as part of the team’s overall roster that is submitted to the Athletic Department. The Director of Athletics maintains final approval for all student volunteers.

ATHLETIC TRAINING DEPARTMENT POLICIES AND PROCEDURES The WPS Athletic Training Team assumes no liability for any actions taken by player, coach, spectator or others resulting in harm or injury to its affiliates. The WPS Athletic Training Team will, however, provide immediate care to those injured affiliates within its scope of practice. Should care outside of the certified athletic trainer’s scope of practice be warranted, said injured person will be referred to a physician and/or hospital for further evaluation. It is ultimately the athlete and his or her guardian’s decision as to the medial course of action in regard to treatment of an injury.

ATHLETIC TRAINER The Windermere Prep Athletics Department will provide a Certified Athletic Trainer (ATC) for athletic training services to athletes under the supervision of a licensed practicing physician. The ATC will maintain open communication with coaches, parents/guardians and physicians regarding an athlete’s injury status, treatment and rehabilitation protocol, while maintaining HIPPA standards of care. The ATC will be available for all practice times for WPS Football and Monday through Friday until 6:30 p.m. for any other sport determined by the FHSAA to be in-season. Weekends and holidays will be handled as needed.

Medical coverage for practices and games will be determined based on the sport’s risk for injury, the sport’s risk for potential life threatening injury or medical emergency, amount of potential contact and location. The ATC will provide athletic training services for all home athletic contests and away varsity football games. In the case of a time conflict, an away football game will supersede any home contest of another sport. In this instance, the ATC and the Director of Athletics will work together to find a suitable qualified replacement for the contest.

Prevention of athletic injuries will be provided by the ATC in the form of prophylactic taping, wraps and braces. The ATC will work collectively with the WPS Strength and Conditioning team to ensure athletes are receiving proper conditioning. HIPAA PRIVACY NOTICE We understand that medical information about you and your health is personal. We are committed to protecting medical information about you. We create a record of the care and services you receive from WPS Athletic Training Team. We need this record to provide you with quality care and to comply with certain legal requirements. This notice applies to all of the records of your care generated by the WPS Athletic Training Department. Your personal doctor may have different policies or notices regarding the doctor’s use and disclosure of your medical information created in the doctor’s office or clinic.

This notice will tell you about the ways in which we may use and disclose medical information about you. We also describe your rights and certain obligations we have regarding the use and disclosure of medical information.

We are required by law to: • Make sure that medical information that identifies you is kept private. • Give you this notice of our legal duties and privacy practices with respect to personal medical information. • Follow the terms of the notice that is currently in effect.

We may use medical information about you to provide you with medical treatment or services. We may disclose medical information about you to doctors, nurses, technicians, healthcare students or others who are involved in taking care of you after your injury.

• For example, a doctor treating you for a broken leg may need to know if you have diabetes because diabetes may slow the healing process.

We also may disclose medical information about you to people outside the WPS Athletic Training Department who may be involved in your medial care after you leave us such as physicians used to provide services that are a part of your care. We will also provide your physician or a subsequent healthcare provider with copies of various reports that should assist him/her in treating you once you’re referred for treatment.

We may disclose to a family member, other relative, close personal friend, or another person you identify, medical information relevant to that person’s involvement in your care.

PROTECTED HEALTH INFORMATION (PHI) PHI is information related to a person’s healthcare treatment and the payment for those services. PHI includes information that could reasonably identify an individual and sensitive health information. Some examples would include, names, address, phone number, social security number, date of birth, diagnosis/prognosis, procedures, medications, physician name and specialty and test results.

Health care providers often need to discuss patient information in places, such as the Athletic Training Room or a semi-private room, where privacy is often difficult to achieve. From time to time, these discussions may result in an “incidental” disclosure of PHI.

The goal of the privacy regulations is not to prevent discussions related to treatment, but rather to ensure that the organization and its employees are doing what is reasonable to protect a patient’s PHI. Whenever possible, conversations containing PHI will be avoided in public places such as hallways, elevators, lounges and cafeterias.

HEAD INJURY PROTOCOL The Windermere Prep Athletic Trainers will follow the protocol set forth by the National Federation of High Schools (NFHS) and Florida High School Athletic Association (FHSAA) concerning the diagnosis, treatment, and rehabilitation of suspected mild traumatic brain injury.

ImPACT testing will be conducted for the appropriate sports at a date set before the first game by a Certified Athletic Trainer (AT). The AT will work with the Coach to determine an appropriate date before the first competition to provide ImPACT testing to all incoming freshmen and juniors participating on the team. All student-athletes will be required to completed imPACT Baseline testing.

Athletes who miss their assigned day will be required to make up the ImPACT testing or will not be permitted to participate.

All athletes and coaches will be required to view “Concussion in Sports-What You Need to Know” at www.nfhslearn.com. Other optional educational opportunities in cardiac arrest can be found at www.sportsafetyinternational.org and www.fhsaa.org/departments/health.

RETURN TO PLAY A student with a concussion will not be allowed to return to play/activity until he/she is symptom free or unless otherwise directed by the AHCP involved. Play/Activity includes but is not limited to Windermere Prep sports team practices and games, participation in weight lifting/conditioning, participation in PE class, participation in dance class or theatre rehearsals, and participation in recreational sports outside of Windermere Prep.

A graduated return to play/activity protocol will be completed by the student and supervised by the Athletic Trainer.

The gradual return to play/activity protocol consists of 6 stages. Once the AHCP involved has cleared the student to begin this gradual return, the student will complete one stage per day, and may only proceed on to the next stage of the protocol if they have demonstrated a tolerance for the physical exertion without increasing signs and symptoms during or after activity. Should the physical exertion cause an increase in the signs or symptoms the student will discontinue the activity and return to the previous stage. The stages are as follows:

1. Stage One: Complete physical and cognitive rest 2. Stage Two: Light aerobic activity to increase the heart rate to no more than 70% max HR, no resistance training 3. Stage Three: Sport-specific exercise (Aerobic + Strength training) 4. Stage Four: Non-contact practice and/or drills (Non-contact sport specific drills) 5. Stage Five: Full contact practice 6. Stage six: Return to full activity

In order to begin stage two, the student must have a signature of the AHCP involved on the FHSAA Post Head Injury/Concussion Initial Return to Participation form (AT18). Once a student completes stage five, he/she will have to follow up with the same AHCP to be medically cleared for full participation. Per the FHSAA regulation, the AT18 form must be completed and turned into the Health and Wellness clinic in order for a student to be allowed to return to full activity/play.

MEDICAL KITS Head Coaches must obtain an approved medical kit from the Athletic Trainer and ensure it is available at every game and practice. Medical kits must be checked daily. Each coach is responsible for taking this kit to away games and off campus practices. Coaches will check the medical kit before an away practice or contest. Each coach is responsible for notifying the Athletic Trainer that a medical kit needs to be replenished. The medical kit is also a great place to keep contact numbers for the athletic trainers should an injury occur. Coaches will not hand out medical supplies indiscriminately.

SUDDEN CARDIAC ARREST Sudden cardiac arrest is a leading cause of sports-related death. This policy provides procedures for educational requirements of all paid coaches and recommends added training. Sudden cardiac arrest is a condition in which the heart suddenly and unexpectedly stops beating. If this happens, blood stops flowing to the brain and other vital organs. SCA can cause death if it’s not treated within minutes.

Symptoms of sudden cardiac arrest include, but not limited to: sudden collapse, no pulse, no breathing. Warning signs associated with sudden cardiac arrest include: fainting during exercise or activity, shortness of breath, racing heart rate, dizziness, chest pains, extreme fatigue.

It is strongly recommended all coaches, whether paid or volunteer, are regularly trained in CPR and the use of an AED. Training is encouraged through agencies that provide hands-on training and offer certificates that include an expiration date.

Automatic external defibrillators (AEDs) are required at all FHSAA State Series games, tournaments and meets. The FHSAA also strongly recommends that they be available at all preseason and regular season events as well along with coaches/individuals trained in CPR.

What to do if your student-athlete collapses: 1. Call 911 2. Send for an AED 3. Begin chest compressions

HEAT RELATED ILLNESS The Windermere Prep Athletic Training Department will follow protocols set forth by the National Athletic Trainers’ Association (NATA) concerning the recognition, diagnosis, treatment, and rehabilitation of heat related illnesses included but not limited to dehydration, heat exhaustion, exertional heat stroke, and any sickle cell-related event.

HEAT ACCLIMATIZATION Heat acclimatization for equipment intensive sports will be conducted following guidelines set forth by the NFHS and FHSAA.

Heat illness is a cause for concern for high school student-athletes beginning pre-season practices in the warm, summer months and other times of extreme heat. The most serious heat illness, exertional heat stroke, is one of the leading causes of preventable death in these athletes. Heat production during intense exercise is 15 to 20 times greater than at rest and can raise body core temperature one to two degrees Fahrenheit every five minutes unless heat is dissipated. The following policy provides guidelines and procedures for conducting preseason practices and activities to insure the well-being of student-athletes.

The intent of this policy is to require FHSAA member schools to follow a preseason acclimatization and recovery model for all sports that enhances student-athlete well-being. The policy also requires individual schools, or districts, to select and promote a method of environmental monitoring to be used outside the acclimatization period and comply with standard recommendations for practice modifications, for the safety of the student-athlete.

A school must not use an academic recruitment program as a disguise for athletic recruiting.

36.1.5 Financial Assistance Permissible. Private schools, as well as developmental research schools operated by state universities, may administer school-based financial assistance programs for students who attend those schools. Financial assistance must be totally unrelated to a student’s athletic interest, potential or performance. It is understood that the presentations and activities of all persons involved in the school’s academic recruitment program must avoid any references to the school’s athletic program that might pressure, urge or entice a student to attend that school for purposes of athletic participation. All such presentations and activities must be in keeping with the general spirit of the rules prohibiting athletic recruiting.

36.3.2 Open Houses. A school may conduct an open house for prospective students and members of their families. Information distributed and presentations made during the open house, as well as advertisements for the open house, must limit references to the school’s athletic program to a listing of the interscholastic sports sponsored by the school and to a description of the school’s athletic facilities. No information can be distributed or any statement made that in any way implies that the school’s interscholastic athletic program is better than any other school’s interscholastic athletic program, or that a student would be better served by participating in interscholastic athletics at that school as opposed to any other school.

When a school employee, athletic department staff member or representative of a school’s athletic interests is contacted by a student who does not attend that school and/or any other member of his/ her family, about the school’s interscholastic athletic program or attending the school, the school employee, athletic department staff member or representative of the school’s athletic interests must immediately refer the student and/or his/her family member to the appropriate school personnel who have the responsibility of registering and admitting prospective students. Only during the summer period, as defined in Policy 20, and once the student has registered, been accepted and no longer attends the previous school may the student have contact with athletic department staff members or representatives of a school’s athletic interests.

37.1.4 Casual Contact with Students in Normal Community Settings. It is not considered a violation of this policy for an employee, athletic department staff member or representative of the athletic interests of a high school to have casual contact with a student who does not attend that school or any member of the student’s family in a normal community setting. At no time during such contact, however, may the employee, athletic department staff member or representative of the athletic interests of the high school pressure, urge or entice the student to attend a high school for the purpose of participating in interscholastic athletics.

37.2.1 Impermissible Benefit. No school employee, athletic department staff member, representative of the school’s athletic interests or third parties, such as an independent person, business or organization, may be involved, directly or indirectly, in giving an impermissible benefit to any student or any member of his/her family for the purpose of participating in interscholastic athletics, or to any student-athlete who already attends a school.
