Moving In When you first arrive at Graduate House, there are a few items of business to be dealt with before you head to your suite, meet your suitemates, and start unpacking.

The next few sections of the handbook explain all the move-in information you received from the GH Office Staff, with some additional details.

The Occupancy Agreement Your Occupancy Agreement is included with your offer of residence to Graduate House, and the policies detailed in this Handbook form part of the Occupancy Agreement as well. The Occupancy Agreement lays out the terms of your stay here at Graduate House and outlines the Graduate House Occupancy Period.

When you arrive on move-in day, you’ll select an end date for your Occupancy—either April or August. If you decide some time after signing your Occupancy Agreement that you want to move out sooner than your scheduled move-out date, you can do so by submitting an “Official Notice of Move-Out” form (available at the Graduate House Office). This form must be submitted one full calendar month in advance of your planned move-out date.

Please pay particular attention to Clauses 4 and 21, regarding Occupancy Fees, as well as Clauses 11 and 12, which refer to your potential responsibility for any damages caused.

Your non-refundable Graduate House Council (GHC) fees are calculated at the rate of $2.92 per month based on the number of months you sign to stay at Graduate House, up to a maximum of $35 per year. These fees are used by your residence council to organize sports, social, and other activities that you can take part in throughout the year.

Important aspects of your contract with Graduate House include:

Rules & Regulations The experience of living in Graduate House can be rewarding both academically and socially, if Graduate House is seen as a place of collegial and cooperative interaction. The rights and responsibilities of the individual Resident must be balanced against the rights and responsibilities of the group as a whole. Residents are entitled to enjoy reasonable privacy and consideration of their personal feelings and needs and to live in an environment in which both personal possessions and communal space are respected. However, residents also have corresponding responsibilities toward the other members of Graduate House, including staff members.

The Graduate House Governing Body is a committee of the Graduate Education Council, and is empowered to establish Graduate House Rules and Regulations, monitor Graduate House services, and provide advice on admissions and residence fees. The rules and regulations serve as a framework within which cooperative interactions can flourish. The Residents may suggest additional regulations or changes to these regulations, subject to the consideration of the Graduate House Council and the approval of the Graduate House Governing Body.

A Resident shall respect the rights and privacy of her/his fellow Residents. In the event of a conflict between suitemates or fellow Residents a Resident may be reassigned to another room or be required to leave Graduate House. A Resident may not change her/his room without the permission of Graduate House.

Residents are asked to follow several important guidelines with respect to personal conduct at Graduate House: Fire Safety

All Municipal Fire Regulations and the Guidelines of the University Fire Prevention Office apply to Graduate House. In a high-density building such as Graduate House there is always the possibility of a serious fire. All Residents must obey the regulations, and violations that threaten the safety of Residents will be regarded as very serious offences. Residents shall not tamper with fire safety equipment such as hoses, extinguisher or alarms, or in any other way jeopardize the safety of fellow Residents. This includes the unauthorized dismantling or covering of the smoke detectors. Corridors, stairwells and suite halls must be kept clear of obstructions.

Alcohol and Drugs

Residents are reminded that the laws of the Province of Ontario regarding alcoholic beverages apply to the University. Under the Narcotics Control Act of Canada, possession of, use of and trafficking in drugs are prohibited. Consumption of alcohol within Graduate House is limited to the Resident’s own suite, unless the Resident is participating in a University licensed event held in the Common Rooms. No unlicensed consumption of alcohol is permitted anywhere at Graduate House outside of the Resident’s suite. Please note that this includes all Graduate House common areas, hallways and even the Graduate House courtyard.

Cleaning

Residents are responsible for cleaning their own rooms and are equally responsible with their suitemates for keeping the common areas, particularly the shared kitchens and bathrooms, clean and tidy in accordance with Graduate House standards. Vacuum cleaners are available in each suite. The cost of purchasing cleaning supplies shall be shared equally among the suite residents. Residents who fail to maintain their rooms/suites in accordance with Graduate House standards and to work in cooperation with their suitemates will be responsible for the costs of any extra cleaning charges and they may face further more serious consequences if the problem persists, up to and including their removal from the suite and/or the termination of their residency.

Noise

Excessive noise at any time is prohibited. Graduate House is intended to provide a homelike environment. Residents must respect and accommodate each other’s needs for relaxation, socializing, study and sleep. Except for official Graduate House or Graduate House Council events, designated quiet hours are as follows:

• Monday to Thursday, noise is prohibited after 11:00 p.m.

• Friday and Saturday nights, noise is prohibited after 12:30am (i.e. 12:30am Saturday, and 12:30am Sunday).

The above-designated quiet hours should not be construed as permitting excessive noise at other times. Breach of this Rule could result in the eviction of a Resident according to the terms of Clause 13 (c) of the Graduate House Occupancy Agreement.

Animals

No animals of any type are permitted in the Room, Suite or Graduate House except for fish, which must be maintained in a safe and hygienic manner in an agreed-upon location according to the terms of the Suite Mate Agreement. The possession of fish is a privilege that can be revoked.

Bicycles

The storage of bicycles within the Room, the Suite or Graduate House is prohibited, except for the bicycle storage area provided. Residents are responsible for storing their bicycles elsewhere than Graduate House if they are unable to secure a space in the bicycle storage area. Residents who store bicycles in public areas on campus as well as the bicycle storage area do so at their own risk.

Security Cards

For the safety of all residents, Security Cards must not be loaned to anyone or duplicated under any circumstances. Residents found to have loaned their security card to someone else, regardless of their relationship to that person will be in breach of the Occupancy Agreement and may face serious consequences, up to and including the immediate termination of their residency.

Smoking Policy

Smoking is prohibited everywhere on Graduate House property, both inside and outside of the building. This includes within bedrooms/suites, common areas, stairwells, hallways, the courtyard and all entrance and exit areas. Violations to the smoking policy will not be tolerated.

Guest Protocol/Guest Room Policy

It is important to remember that all the suites at Graduate House are shared. Therefore, residents need to be sensitive to the concerns of their suitemates when having guests visit. Wherever possible, we strongly urge you to keep your suitemates in the loop if you are planning on entertaining, or having people to stay.

Two guest rooms are available to guests of Residents. All guest accommodation must be arranged with the Graduate House Office in advance. The Resident is responsible for the behaviour of her/his guests, including their adherence to the Rules & Regulations. The Resident must accompany her/his guests or visitors at all times in the use of all Graduate House facilities. Graduate House may ask any guest to leave, for good reason. Graduate House can intervene if there is a complaint about a guest who stays in

a resident’s suite for more than 3 consecutive nights, or if the resident’s guest violates any Graduate House rule or regulation.

Under no circumstances can you decide to share your room with somebody else – even if all your suitemates agree!

Liability

The University bears no responsibility for damage to or the loss of a Resident’s private property. The University’s insurance policies do not cover a Resident’s private possessions. The Resident is responsible for providing insurance on her/his own personal property, and is advised to acquire said insurance.

Suite Mate Agreement

The Resident is required to complete a suite mate agreement with the members of her/his suite. This agreement will address issues such as cleaning, noise, overnight guests, garbage, recycling, utilities and subletting. A signed copy of the agreement will be submitted via the Residence Advisors to Graduate House. The agreement shall be renegotiated each time a member of the suite changes.

Personal Conduct & Interaction with Other Members of the Graduate House Community

If Graduate House is to be a place of collegial and co-operative interaction, Residents must respect the rights of others by conducting themselves in a co-operative manner. The following kinds of behaviour are examples of those considered to be unacceptable:

(a) profanity or insulting or abusive language objectionable to a Resident, a Resident’s guest, or any Graduate House staff member; any act of violence, whether physical or otherwise, to a Resident, a Resident’s guest or any Graduate House staff;

(b) creating a hostile environment and/or bullying, regardless of the medium;

(c) dropping or throwing objects, such as bottles or food, from, at or within Graduate House;

(d) vandalism or negligent damage to, or removal of Graduate House property from or within its assigned location;

(e) unauthorized entry into another's room or into any restricted area of the building;

(f) possession of firearms, ammunition, explosives (including fireworks) or other dangerous weapons; and

(g) sexist, racist or homophobic behaviour which may promote or produce an atmosphere of hostility or intolerance in Graduate House. Discrimination on the basis of race, sex, religion, colour, creed, sexual orientation, gender identity or disability will not be tolerated.

(h) Exhibition of behaviour that is harmful to oneself or to others including, but not limited to, cutting, burning, excessive alcohol consumption, repeated underage drinking, may trigger disciplinary sanctions and/or the resident may be referred for support to a counselor or other appropriate professional. Such incidents, depending on the severity and impact on the immediate community, may require an assessment as to the individual’s suitability to remain living in the residence community.

Schedule A – Suite Condition Schedule A of the Occupancy Agreement (located at the back of this Handbook; you’ll get a printed copy of it when you move in) protects both you and Graduate House in the event of damages or deficiencies in your room and/or suite. It must be submitted to the Graduate House Office within one week of your arrival in order to be valid.

When you first get into your room, even before you begin unpacking, it is important that you do a quick inventory of the furnishings itemized, along with a thorough examination of the condition of your room and all suite common areas.

It’s a good idea to consult your suitemates about missing items since they may have borrowed items intended for the common areas of your suite.

When you move out of Graduate House, your Schedule A is used as the official record of the condition of your room and suite when you arrived. As such, a properly-completed Schedule A is your very best protection against undeserved damage charges when you move out.

If you discover anything in need of repair make sure you fill out an online maintenance request so we can take care of fixing it as soon as possible.

Schedule B – Sub-Licensing (Subletting) Your Room Schedule B of the Occupancy Agreement (located at the back of this Handbook) describes the procedures you must follow if you decide that you would like to sub-license (sublet) your room at Graduate House. Sub-licensing is a privilege available to residents who have resided at Graduate House for a minimum of 3 months. It is not available to summer residents.

Residents can only sub-license their space to a person: of the same gender, enrolled in a full-time graduate/SE program at the

University of Toronto, for no more than 6 months and no less than 2

months and within one occupancy agreement period

with the written approval of all your suitemates as well as the Dean; and

the application to sub-license your space must be submitted a minimum of three weeks prior to the date of its commencing in order to be eligible for consideration.

Schedule C – Suite Entry Schedule C of the Occupancy Agreement (located at the back of this Handbook) explains Graduate House’s procedures for notifying residents when their suite and/or bedroom has been (or will be) entered by a member of the Graduate House Staff during non-emergency situations.

Please note that if your suite has any vacant bedrooms, Graduate House cleaners and maintenance staff will be in and out in order to prepare the bedroom/suite for the new arrival. Individual notice of cleaning is not given.

Schedule D – Network Agreement Schedule D of the Occupancy Agreement (located at the back of this Handbook) explains Graduate House’s policies regarding use of the residence computing network, including access, proper use, bandwidth restrictions, etc.

Paying Occupancy Fees University of Toronto student residents of Graduate House must pay their monthly Occupancy Fees via ROSI (the Repository of Student Information). Occupancy Fees are posted on your student account at the beginning of every month and are subject to a 1.5% service charge after the 15th of the month. Graduate House does not control the issuing of service charges nor do we receive any of the service charges collected by the Office of Student Accounts.

You can monitor your ROSI account online at www.rosi.utoronto.ca. The Office of Student Accounts will send monthly e-mail notices if your account has a balance. This e-mail notice will be sent only to UTOR e-mail addresses, so make sure that you have one activated!

Occupancy Fees are paid the same way as tuition fees. All you need is an invoice/remittance slip (which you can print online from your ROSI account) which you then bring to your bank of choice. Most major banks (this includes any of their branches, anywhere in Canada) will be able to process your payment.

Occupancy Fees can be paid at a bank teller with cash, a money order, or certified cheque. You can also pay by telephone or online banking if your financial institution offers these services.

We strongly recommend that you wait to pay your monthly Occupancy Fees until the 5th of the month as this will guarantee that your payment does not appear on your account before your charge does!

For more information on how to pay your fees, consult the Office of Student Accounts’ fees website at http://www.fees.utoronto.ca.

Note that payments to a designated Ontario university residence such as Graduate House cannot be claimed as rent on your Ontario tax form (there is a separate line on the form for student residence fees). Graduate House does not issue rent receipts for tax-related purposes.

First month's Occupancy Fee: when you arrive, your application and confirmation deposits will have already been posted as credits to your ROSI account. Your monthly Occupancy Fee will vary according to your room type; your first month’s fee will also be modified to reflect your move-in date.

Last month's Occupancy Fee: this amount will vary according to your room type. These monies are held in trust until you actually give one month’s notice of your intention to move out. Please note that the University does not offer residents interest on your last month’s deposit.

Graduate House Council Fee ($2.92 per month). This is posted as a lump-sum charge to your ROSI account for the number of months you will stay at Graduate House, as indicated on your Occupancy Agreement. The GHC fee is wholly non-refundable, regardless of when you give notice to move out.

Non-UofT Residents Residents who are not University of Toronto students must pay their Occupancy Fees directly to the Graduate House Office on the first of every month via certified cheque or money order in Canadian funds. Personal cheques, credit/debit cards, and cash are not accepted.

Non-U of T residents are also required to pay a $200 damage deposit. This deposit is refundable within 6–8 weeks of departure via cheque made payable only to the resident, assuming no room or suite damages have been assessed.

Keys & Access Cards Security Keycard Your plastic security keycard is the one you’ll use every day when you come and go from Graduate House. It will give you access to all entrances/exits, all common areas, the laundry room, the TV room, your suite, and your bedroom. Your keycard is uniquely programmed for you, and does not open your suitemates’ bedrooms (nor do theirs open yours!).

To use your Security Keycard:

Insert it into the slot in the lock with the magnetic strip facing down and remove smoothly. If the light on the lock flashes green, the lock has been successfully disengaged (i.e. unlocked) and you can open the door. If the light flashes red, wait 10 seconds before trying your card again.

Some of the keycard locks at Graduate House can be temperamental and you may need to swipe your keycard multiple times before the green light flashes and the door unlocks. Be patient! Do not pull the door as it may break.

During office hours, the front door to the main lobby area is unlocked.

If your card is damaged or stops working:

In the event that your keycard stops working or you lose it, visit the Graduate House Office during business hours, or if after-hours, contact the Entry Assistant (up to midnight) or Campus Police (after midnight).

If your keycard becomes unusable or is damaged, you will be issued one free replacement card each occupancy period. A $5 charge applies for each additional such replacement card.

If your lose your card:

If you lose your keycard, the replacement charge is $25.

"One-Shot" Card Along with your main security keycard, you will be issued a second card, called the “one-shot” card. Your one-shot card is an emergency card that opens only your bedroom, and should be kept safely hidden somewhere in your suite, outside your bedroom. This way, if your bedroom door accidentally closes behind you (or you get locked out of your suite when your suitemates are home and can let you back into the suite), you can use your one-shot card to get back into your room.

Your one-shot card is programmed to open your bedroom door only and it will only work once.

A good illustration of the value of your one-shot card would be if you were to get locked out of your room when you go to take your morning shower. By having your one-shot card in the suite, you would avoid having to come down to the office (perhaps soaking wet, and with only a towel!) to ask to be let into your room.

If you use your one-shot card, make sure to bring it to the Graduate House Office and we’ll be pleased to reactivate it.

Is your door lock flashing yellow? If your door lock flashes yellow when you swipe your keycard, it means the batteries that power your lock are running low. Be sure to submit an online maintenance request as soon as this happens to prevent yourself from being locked out (a prompt request increases the chance we can replace the batteries before they die completely!).

Mailbox Key

Your mailbox key is a metal key (the only actual “key” we give you that isn’t a card), which opens your individual mailbox in the Graduate House main lobby. If you lose or break your key, there’s a $15 replacement charge, and a $25 charge if you do not return your mailbox key when you move out.

Laundry "SmartCard" Your move-in package includes a laundry “SmartCard” from Coinamatic, which is the company who owns and maintains the laundry machines at Graduate House. You will need this card to use the laundry machines, which are located next to the Courtyard Common Room. In the laundry room, you will find two machines to load money on your SmartCard. One machines accepts cash (in increments of $10 or $20), and the other accepts credit cards and bank cards. The Graduate House office is unable to provide change, so in the event that you need $10 or $20 bills, there is a bank across the street.

Connecting to the Graduate House Network

Accessing the Network from Your Suite

As a new or returning Graduate House resident you have access to a fast connection to the Internet from the bedroom of your suite. As you have already agreed to the Terms & Conditions of using the network at Graduate House, if you wish to get connected you will need to follow three easy steps:

Step One – Installing your Ethernet Card & Connecting to the Network In order to connect to the Graduate House network,

you will need to have an Ethernet card and network cable (most computers now have an Ethernet card built-in; you’ll probably still need to buy a network cable). The cable should be at least six feet long, though a longer cable is recommended (getting a longer cable is easier than moving furniture).

Step Two – Configuring the TCP/IP Networking on your Computer

Once your card is properly installed, you will need to configure TCP/IP networking. How to do this depends on your operating system.

Windows 95/98/ME: Open the Control Panel (Start -> Settings -> Control

Panel) and double click on the Network Icon. Your Ethernet card should be listed under “The following network components are installed.”

If TCP/IP is already listed, double click on it. Under the IP Address tab, make sure “Obtain IP Address Automatically” is checked. Click the “OK” button, and reboot the computer when prompted. Skip to the second to last bullet below.

Set the connection to “Connect to the Internet using a local area network (LAN).”

Windows 2000/XP: Go to the Control Panel -> Network and Dial-up

Connections. If there is an existing icon for “Local Area Connection” skip to the fourth bullet. Otherwise go to “Make/Create New Connection” to start the Network Wizard.

Select the option “Dial-up to the Internet.” In the next screen select “I want to set up manually or I want to connect through a Local Area Network (LAN)” and then select “I connect through a Local Area Network (LAN).” Do not select anything in the screen for “Proxy Settings.”

When prompted to create a new email account answer “No.” After this, there should be a “Local Area Connection” icon in the Network and Dial-up Connections folder.

Right Click on the “Local Area Connection” icon and select the “Properties” option. Your network card should be listed at the top of the information and “Internet Protocol (TCP/IP)” should be listed under Components used by this connection.

Internet, click Network and Sharing Center, click Set up a connection or network, and then click Connect to the Internet.

Open Network Connections by clicking the Start button, click Control Panel, click Network and Internet, click Network and Sharing Center, and then click Manage network connections.

Right-click the connection that you want to change, and then click Properties. If you are prompted for an administrator password or confirmation, type the password or provide confirmation.

Click the Networking tab. Under This connection uses the following items, click Internet Protocol Version 4 (TCP/IPv4, and then click Properties.(TCP/IPv4): Click Obtain an IP address automatically, then click OK.

To specify DNS server address settings, do the following: Click Obtain DNS server address automatically, and then click OK.

Macintosh (for OS 7.5.5 or greater): Make sure you are running OS version

7.5.5 or greater. Go to the Control Panel menu and choose TCP/IP.

Select the option that says Obtain IP Information from Server or DHCP Server (the exact wording varies).

Other Operating Systems: • If you are using another operating system (e.g.

Linux), you will have to look through your documentation to find out how to set up TCP/IP networking.

Step Three – Registering Your MAC Address When First Connecting

In order to ensure the security and integrity of the network, the University of Toronto Computer and Networking Services (UTCNS) has introduced a system for the registration of MAC (Media Access Control) addresses to allow students in all University of Toronto residences to be connected.

This registration process kicks in automatically when you first attempt to access the network and it will make sure that you have successfully completed all of your Windows updates and are running an anti-virus program. If for any reason you find the free internet service provided by the Graduate House unsatisfactory, you are of course welcome to arrange internet service with the service provider of your choice via the phone or cable jack in your bedroom.

Graduate House Network Assistant At any step of the Network Connection process outlined above, assistance from our Network Assistant is available. Keep in mind that the demand for computer/network assistance is at its greatest at the beginning of terms (when most people are moving in and connecting to the network for the first time).

Please be patient during these times, as backlogs do tend to occur. The Network Assistant will respond as quickly as possible.

Computer/network assistance can be requested by e-mailing [email protected]. There are computer terminals near the fifth floor elevators if you need e-mail access. Note: although the Network Assistant is a resident of Graduate House, you should never visit their suite seeking computer assistance – please respect their (and their suitemates’) privacy and personal space by using the Network Assistant email address.

The Network Assistant can only help you with problems related to getting your computer connected to the network, and can only support computers with Win95/98/ME/NT4/ 2000/XP/Vista operating systems. Unfortunately, we do not have the time or resources to respond to any other computer support problem(s) your computer may be exhibiting (e.g. printing problems, software problems, etc.).

Accessing the Graduate House Wireless Network Currently, the residents of Graduate House have access to the University of Toronto’s wireless network in the 9th, 7th, 6th, 5th, and 4th floor common areas, along with the Graduate House Courtyard and Courtyard Common Area.

If you wish to obtain information on the purchase, installation and configuration of a wireless network card, please consult the University of Toronto’s website at www.wireless.utoronto.ca.

For all support/queries about wireless networking at the University of Toronto, along with a list of the other locations where wireless networking is currently available, please visit or contact the Information Commons at www.utoronto.ca/ic/ or at their support number: (416) 978-HELP (4357).

Graduate House does not offer support for the installation and configuration of wireless network cards.

Setting Up a Wireless Router If you have a WiFi-enabled laptop computer and would like to set up a private wireless access point (WAP) through a wireless router connected to your wired network access point, there are three basic requirements you should follow when configuring your router:

Turn off the network SSID broadcast. This prevents an average user from even seeing your router on the network, and raises security.

Turn on WEP encryption. CNS recommends that you use a 128-bit WEP key to encrypt the data flowing over your network.

Use MAC address filtering to limit the users that are allowed to connect to your wireless network.

Failure to meet these requirements and instructions could result in your wireless network access point being disabled. Failure to properly secure a wireless access point can expose your connection to unauthorized use by other parties (for which you could be held responsible).

Outgoing Mail Using SMTP In order to reduce the amount of spam propagated by malware that contain their own SMTP server to relay e-mail, CNS Network Security restricts outgoing mail connections (SMTP, tcp port 25), to permit sending only via the University’s own UTORmail SMTP servers.

Residents that use SMTP to send their mail will have to configure their e-mail clients to send messages through the appropriate server.

To find the server to be used, you should login to your UTORid account at https://www.utorid.utoronto.ca/ and gather the information for your designated UTORmail SMTP server name.

Entry Phone Located between the first two doors at the front entrance of Graduate House, the entry phone system allows your friends (or the pizza delivery person, etc.) to call up to your suite, notifying you of their arrival. Visitors must scroll through the directory, locate your suite number and dial your entry phone code.

Be sure to inform any guests of your suite number or entry phone code as the front desk is not able to give this information out for privacy reasons.

Your entry phone code is not the same as your suite number.

The entry phone can ring to your living room or bedroom. The living room code is published according to your suite number as indicated above; your bedroom number however is not. If you would like the phone to ring in your bedroom you will need to provide your guests with the three digit number you received at move-in.

You don’t need to have an active phone line in order for the entry phone to work – just plug in a handset in either your living area or bedroom and you are good to go!

Visitors cannot be “buzzed” into the building. You must come down to the lobby and open the door for them. Please do not ask your guests to follow someone into the building! This helps to protect the safety and security of all.

Hanging things on the walls To prevent damage to the walls, only adhesive hooks which are designed to be easily removed with no surface damage or glue residue are permitted to be used in your bedroom or suite. For concrete walls, special adhesive hooks (along with the hook applicator) are available from

the Graduate House Office. Additionally, removable 3M-brand “Command” hooks, which are known to be appropriately non-marking, are permitted and available at most office supply stores.

Other types of hooks or fasteners (including scotch/masking/duct tape, poster putty, etc.) may damage the painted walls or leave stains on the concrete. Repainting or repairing damaged walls is costly, so to avoid incurring significant damage charges we strongly advise against using any non-approved hooks or fasteners.

Bike Rooms Graduate House has over 40 indoor bicycle parking spaces available for securing your bike. If you are interested in renting one of these spaces, please fill out a Bicycle Registration Form and return it to the Graduate House Office. This form is available on the Graduate House website.

Once a spot is assigned to you, a $5 monthly fee will be added to your Occupancy Fees on ROSI.

If you are not successful in obtaining a spot in one of Graduate House's bike rooms (due to high demand), you are welcome to use the bike racks located at the front and rear entrances to the building. However, please be advised that there is a very high rate of bike theft throughout downtown Toronto. No matter how valuable or expensive your bicycle is, you may not store it in your suite.

Given the high rate of theft of bicycles stored outside on campus, we strongly recommend that you do not acquire/ship your bike until such point as you have either secured a space in one of our bike rooms or made arrangements for secure storage off campus.

Amenities Telephone There is a telephone jack in every bedroom. Residents are responsible for arranging their own telephone service.

Some major telephone service providers include Bell Canada (416-310-2355) and Rogers (1-888-395-1077). You are not permitted to cross-wire phones. Therefore, if you and your suitemate(s) are interested in sharing a telephone line, you will have to use the common jack in your living area.

Cable Cable outlets are available in each bedroom and living room area. At no time can the cable outlets in your suite be

cross-connected to the same account. Each cable outlet must always maintain its single line designation.

For cable TV service, contact Rogers at 416-448-7333 or Bell at 416-310-2355.

Please note, cable providers do not have access to Graduate House outside of regular business hours. Also it is not possible to have satellite service under any circumstances.

Mail Mail is sorted and distributed every weekday during office hours. Mail that requires a signature and/or does not fit into your mailbox will be kept in the Graduate House Office and a notice will be placed in your mailbox. Please pick up your parcel during business hours.

Also, please make sure that your name, suite, and room numbers are clearly indicated in your mailing address. All incoming mail should have your address in the following format:

Mail that does not include a resident’s name will be returned to sender.

Faxes Graduate House will accept incoming faxes on behalf of its residents. Please ensure that your name and mailbox number appear prominently on your fax. The fax number is (416) 946-8887. Unfortunately, Graduate House cannot send outgoing faxes on behalf of residents.

Communication from Graduate House At Graduate House, we believe in keeping our residents well informed. The administrative staff, Graduate House Council, and the Residence Life Staff regularly circulate emails and post notices advertising upcoming events. There are also bulletin boards in both elevators as well as on each floor and in other key locations around the building.

Email Once you move in, all communication will be sent to your official University of Toronto email account, and it is your responsibility to regularly check this email address.

Please ensure your email is up-to-date on the ROSI system.

The Graduate House Website Are you interested in joining a group, a sports team, or finding out about upcoming events? Not sure how to reach a Graduate House staff member, or you need to submit a maintenance request? Information about all of Graduate House’s programs and services is available on the Graduate House website at www.ghcommunity.info

Suitemates & the Suitemate Agreement Residents are required to complete a Suitemate Agreement. This will be given to you by your Residence Advisor. Since no two of us are exactly alike in our habits or day-to-day living routine, we require that you meet with your suitemates within the first week of residency to discuss and agree on some group expectations about cleaning, overnight guests, noise, etc.

Once you have reached consensus on the basic ground rules, document them in this formal agreement that will be signed by all the suitemates. This process must be repeated each time a new suitemate moves in.

Our experience has shown that the process of talking about issues before they become a problem will save you time and frustration at a later date!

If you encounter problems in trying to come to an agreement, your Residence Advisor is there to help. Sometimes, all it takes is someone not directly involved in the matter to assist you in reaching an agreement. If you need an extra copy of the Suitemate Agreement Form you

can get one from your Residence Advisor or you can just download it from the GH News by clicking on the button “Downloads” on the top menu bar.

Resolving Suitemate Disputes We do our very best when allocating suites/suitemates to accommodate the preferences given by residents in their Suitemate Allocation Questionnaires. However, conflicts between suitemates still do occur.

Graduate House encourages open communication between suitemates. If you are experiencing a conflict with your suitemates, the first step is to be assertive and do your best to communicate your needs and expectations to your suitemate(s). This is a process that benefits from civilized negotiation and a willingness to compromise, and for which your Suitemate Agreement is a helpful tool. The second step, if necessary, is to discuss the situation with your Residence Advisor, who has been trained to assist you in working through difficulties with suitemates, and who can offer advice and guidance toward possible solutions.

If there is a problem within the suite that cannot be resolved, your Residence Advisor will inform the Residence Life Coordinator. You will need to arrange an appointment to speak with the Residence Life Coordinator to discuss your options.

Requests to change suites are often difficult to accommodate since Graduate House is typically full, and moves are granted only as a last resort after other means of addressing a suite-related issue have been exhausted.

Also, please note we do not accept suite change requests within the first month of a resident moving in so as to give the resident and their suitemates a reasonable opportunity to adjust to their new living environment and to attempt to sort out any issues using the systems in place (i.e. the Suitemate

Agreement, assistance from Residence Life Staff and/or the Graduate House Office).

Co-ed Suites Graduate House permits veteran residents (i.e. those who have lived here for a minimum of one year) to submit a request to create a co-ed suite. The formation of these suites is subject to a variety of rules and regulations, information about which can be obtained from the Graduate House office or by emailing [email protected].

Living At Graduate House From introducing you to all the members of the Graduate House Staff to mapping out nearby grocery stores, this section of the handbook provides you with information that will likely come in handy during your stay at Graduate House.

The People at Grad House Who are all those smiling faces that you see in the Office everyday? What do these people do? The following section introduces you to some of the employees at Graduate House and gives a brief description of their responsibilities. The purpose of this information is to help you determine whom you should talk to if you have questions or concerns related to life at Graduate House.

Administration The Graduate House Administration works very hard to make your stay at Graduate House as pleasant as possible. Please treat them with consideration and respect.

Delores Lanni, Acting Assistant to the Dean, Administration & Operations (ADAO), is responsible for most aspects of the residence administration of Graduate House. As well, Delores is available to respond to questions and hopefully to resolve any resident’s concerns. Tara Bunting, our usual ADAO, is on leave from Graduate House until midway through the 2012-13 Academic Year.

Delores is ably assisted in the Graduate House Office by two Residence Assistants: Danny Brown and Cathie Dennis. They can usually be found at the front counter, ready to answer your questions.

Heading up our financial area is Trevor Barrie, our Financial Coordinator, who works in the office handling our accounts receivable/accounts payable and assisting with Graduate House’s budget.

Paul Glaser, our Facility Supervisor, is responsible for overseeing all matters relating to the maintenance of Graduate House including, but not limited to, responding to online maintenance requests, performing move-out inspections and damage assessments, and supervising our hard-working cleaning staff. The Facility Supervisor can be reached via the Online

Maintenance Request System. Just go to the Current Residents section of the Graduate House website.

Dean of Graduate House Jason MacIntyre is the Dean. Jason is responsible for overseeing all aspects of the operation of Graduate House. He is available to help residents solve problems that may arise out of their residence or academic experience and can address any questions or concerns about Graduate House, including its student services, its operations, its programming, its facilities, its staff, and financial issues such as its budget and fees.

My job involves working with the team of Residence Advisors and Programs Officer to help build a strong, inclusive and supportive community at Grad House. This is my 8th year at the University of Toronto, and I recently completed my Masters of Social Work. I have spent the majority of my time here living and working in residences across campus. I think living in residence offers a great chance to get involved and meet people outside of the classroom, especially on a campus as big as U of T! I hope you have a wonderful stay at Graduate House, and take advantage of the events, groups, coffee nights, speakers and parties put on throughout the year by your RA team and Graduate House Council! Your residence life team is here to answer any questions you may have, offer support if you have any problems or concerns, or just chat over coffee. Residence Advisors Residence Advisors are great resources for students living in residence. Their role is to offer academic and personal support to residents, assist with programming and special events, and help create a sense of community among residents.

I’m from St. John’s, Newfoundland but just spent the past two years teaching English as a second language in South Korea. I absolutely loved the time that I spent living in Seoul including having the opportunity to do lots of travelling in Asia, Africa and Europe! I have been living at Graduate House since July and really enjoy being in such a vibrant and multicultural environment!

I’m currently working on my Masters in Educational Administration at OISE. In my spare time, I love being outdoors and exploring all of the unique nooks and crannies that Toronto has to offer. I also enjoy spending time with friends and checking out the many festivals and events that make Toronto such a captivating city.

To unwind after a long day in lab I play Ultimate Frisbee, run and play any sport you can think of, so if you want to start a intramural team, I am in! I look forwarding to meeting many of you at floor events and group activities that the Graduate House plans though out the year so help take some of the stress off of graduate work. My name is Alicia Grubb and I will be the Residence Advisor for the fifth and sixth floors. I'm currently working on my PhD in Computer Science, although my thesis is more focused on the dynamics of social change and systems thinking. Prior to my PhD, I completed my MSc here at Toronto and my undergrad at Waterloo in Engineering. Going through Waterloo's co-op

program gave me invaluable experience living with others. Graduate House is my first experience as a Residence Advisor, but I hope to pull from my experiences with new student orientation and my course union. I love good food, from growing veggies to cooking wholesome meals and baking sweet treats. I also love the outdoors (swimming, biking, kayaking, climbing, and long-boarding). I encourage you to attend GH events this year and keep suggestions coming for new event ideas. I am very excited to work with you and the GH Residence Team this fall and in the coming seasons.

Residence Life Staff: Entry Assistants The Entry Assistant Program was set up to help residents who find themselves locked out of the building, their suite, or their bedroom, or who need their keys reprogrammed. Entry Assistants are very important members of the Residence Life Staff who are available after hours, from the time the GH Office closes until midnight (Monday to Friday) and 8:00am to midnight on weekends and statutory holidays.

You can reach an Entry Assistant by calling them at (416) 800-6068. An immediate response can’t be guaranteed; however, an Entry Assistant will respond to your request within 30 minutes. Note: although Entry Assistants are residents of Graduate House, you should never visit their suite for lockout assistance – please respect their (and their suitemates’) privacy and personal space by using the Entry Assistant contact phone number.

My name is Jeffrey Castrucci and I'm an engineering PhD student who is working on making solar panels out of new plastic-like materials. When I'm not spending long hours in the lab (where I'm exposed to artificial sunlight) you will probably find me reading science fiction or public policy books, playing board games, or

My name is Bogdan Simion, and I will be your friendly neighbourhood Network Assistant.

As your Network Assistant, I am in charge of network related issues, monitoring security and bandwidth usage, as well as helping out with your network connection. I will offer you guidance in getting your

I am from Romania and came to Canada for my graduate studies. My background is in Computer Engineering and Computer Science. Aside from research and teaching, my interests include playing soccer, listening to good music, watching movies and other fun activities. Feel free to drop me an email if you are interested in joining the GH intramurals soccer team by the way.

I initially became involved with the Grad House Council and I still enjoy taking part in organizing fun activities and events for residents. The Council organizes elections every year and we kindly welcome new members to join in.

The Graduate House Council The Graduate House Council (GHC) is a student body consisting of nine elected residents of Graduate House. It exists to represent the interests of all residents and to help make Grad House a fun and social community by organizing and sponsoring social, cultural, and sporting events. Information regarding these activities is advertised through email and on bulletin boards within the building as well as on the GH News, so keep an eye out for them! The main GHC bulletin board is located across from the elevator on the ground floor. Our suggestion box is nearby; don't hesitate to use it. (You can also email the GHC at [email protected])

Social Activities

Sports Teams The Graduate House Council has also posted successful intramural teams, including soccer, softball, volleyball, basketball, and inner-tube water polo. There are a variety of teams according to competitive level of play, and they are organized in men's, women's, and co-ed leagues. In addition to the intramural teams, the Council has organized various "pick-up" sports, such as volleyball and ultimate frisbee.

Advocacy

The GHC also works to advocate and protect the interests of residents and to provide support for all academic lifestyles. In the past, these endeavours have included: Bulletin boards for internal communication and posting

Locked Out? You didn't think our only solution to the problem of getting locked out was the "one-shot" card, did you?

During Office Hours: If you are locked out of your suite and/or bedroom on a weekday during office hours, see the Graduate House Office staff for assistance.

Your One-Shot Card: Remember—you can use your one-shot card to get into your bedroom (which is why you should keep your one-shot card outside of your bedroom!). Don’t forget to get your one-shot card reprogrammed by the Graduate House Office staff as soon as possible after use.

Weeknights and weekends until midnight: If you are locked out of your suite and/or bedroom when the Graduate House Office is closed, you can contact the Entry Assistant up until midnight at 416-800-6068 for assistance. Please be patient! Entry Assistants respond to calls within 30 minutes. Note: although Entry Assistants are residents of Graduate House, you should never visit their suite if locked out – please respect their (and their suitemates’) privacy and personal space by using the Entry Assistant contact phone number.

After midnight: If you are locked out of the building, your suite, or your bedroom between midnight (12:00am) and 8:00am, call the Campus Police non-emergency line at 416-978-2323. Please know, however, that Campus Police can take up to two hours to respond to your call depending upon how busy they are. Also, please note that Campus Police cannot reprogram demagnetized security cards or reissue lost security cards; they can only let you into your suite or your bedroom. If you need your card reprogrammed or replaced, you’ll need to visit the Graduate House Office during regular business hours.

Staying Safe & Secure Here are a few easy ways to make Graduate House a safe place to live: Be mindful of strangers who attempt to “tailgate” (i.e.

follow you into the building when you enter), and do not allow strangers to enter when you are exiting the building (if in doubt, ask to see their keycard)

Report any intruders or unescorted guests to any Graduate House staff member or Campus Police at (416) 978-2222.

Do not lend out your security card to ANYONE, regardless of your relation to this person.

Do not prop open doors for deliveries or friends.

Fire Prevention & Safety Each suite is equipped with a smoke detector. These smoke detectors are local to the suite only. They will not set off the building-wide fire alarm. As you will quickly realize, these smoke detectors are highly sensitive and can be set off quite easily. Do not disconnect or tamper with the alarm no matter how annoying it is — it could save your life and the lives of others.

If the smoke detector in your suite is activated by excess smoke caused from a known, controllable source like some burned food, keep your suite door closed to prevent setting off the building-wide fire alarm.

Make sure that the fan above the stove (as well as in the bathroom) is on and that the nearest windows are open in order to improve air circulation. Always use the fan above the stove whenever you cook, whether you are using the stovetop, oven or the microwave oven.

In addition to a local smoke detector, an alarm bell is located in your suite which is connected to the building-wide fire alarm system. When it sounds, you must exit the building immediately using the stairs (the elevators automatically shut down and return to ground level when the alarm is activated).

If you encounter a fire anywhere in Graduate House, go to the nearest fire alarm (red, wall-mounted station) and pull on the lever. This will activate the Residence Alarm System and dispatch the Toronto Fire Department.

If you know the cause of the alarm or fire, please immediately inform the University of Toronto Police at (416) 978-2222.

Recycling Rooms Please follow the instructions posted in the Recycling Rooms as to how to properly separate your recyclable items. Remember to wash the containers and cans that you wish to recycle and break down (i.e., flatten) your cardboard boxes. Battery recycling is located in the 9th Floor Garbage Room; plastic bags can be recycled in the courtyard-level recycling room.

Garbage Rooms The garbage rooms can get pretty stinky if people don't exercise basic common courtesy related to the disposal of their garbage. In order to do so, please make sure that all garbage bags that you throw out are tied securely. Do not leave bags of garbage lying on the floor of the garbage rooms—use the garbage chute! Disposal of garbage that does not fit down the chute is your responsibility. You may not use the garbage containers located outside the building on the East side. It is your responsibility to make alternate plans.

Clothing Donation Located in the 1st floor recycling room is a clothing donation bin sponsored by the Ontario Cerebral Palsy Foundation. They welcome all donations of your gently used, clean clothes and shoes. Please consider donating items rather than throwing them away!

Courtyard Common Room The common areas throughout Graduate House are open to all residents as places where they can meet, relax, and take full advantage of residence life.

Common room space cannot be booked by residents and cannot be used for holding private parties/meetings. Also, please note that these are unlicensed areas and therefore consumption of alcohol in these spaces is prohibited.

The main common room is located on the Courtyard level and is where most Graduate House Council events as well as Coffee Nights are held. It offers a small kitchenette with microwave; a trio of vending machines; several game tables including pool, ping-pong, foosball, and air hockey; and a large sitting area with many couches and chairs.

Some board games are kept in the cupboards of the laundry room for use by all residents. Please return the games—and all their pieces—to the cupboards once you are done.

Laundry Room The laundry room is located on the Courtyard level. It has one entrance from the hallway by the elevator and one from the main common room. As outlined on page 5 of this handbook, you’ll need your Coinamatic “SmartCard” to operate the machines (you can load money on to your SmartCard at the loading station in the laundry room).

Using your Laundry SmartCard Once you’ve loaded money onto your SmartCard, you can use it to operate the washers and dryers in the laundry room. Each time you use one of the laundry machines, money is automatically deducted from your SmartCard.

Laundry Room Etiquette As a courtesy to other residents, we ask that you collect your laundry from the machines as soon as it’s done washing or drying. This ensures all residents have convenient access to laundry machines, and reduces the chances of your laundry being moved by another resident who needs to use the machine (especially at times when the laundry room is busy). If you leave your laundry in the machine for more than a few minutes after it’s finished, you should expect that another resident may move it if they need a machine and all other machines are in use.

Abandoned Laundry Any clothes left in the laundry room will be cleared away and stored for one week. If left unclaimed, they will be donated to charity.

If Laundry Machines Malfunction… Since Graduate House does not own or maintain the laundry machines, you should contact our laundry provider (Coinamatic) if something goes wrong (e.g. the loading centre does not accept your money, the washing machine stops mid-cycle, etc). The phone number for Coinamatic is printed on the back of your laundry card.

“Wash Alert” System The Graduate House laundry room also offers a laundry alert system enabling residents to go online to check the availability of washers/dryers, and be emailed when their laundry is done. For more information about this feature visit the Current Residents page on the Graduate House website and click on “Wash Alert”.

Courtyard The outdoor courtyard with reflecting pool is available for the private enjoyment of all Graduate House residents. The courtyard is also WiFi enabled if you want to sit outside and do some work or surf the web.

Please follow these few simple Courtyard rules: There is no smoking in the Courtyard. Alcohol is prohibited Keep noise to a minimum after 11 pm. No rollerblading or skateboarding Please use the garbage bins provided. Don’t throw anything into the pool.

Floor Common Areas A series of smaller common spaces are scattered throughout the building and offer quiet areas to enjoy.

You’ll find these common spaces to your right and left as you step off of the elevator on the second, fourth, sixth, and seventh floors. For those who aren’t afraid of heights, check out the view from the glass walkway at the southwest corner of the seventh floor!

Courtyard Furniture & BBQ Graduate House provides patio furniture for use in the Courtyard during the summer months. Graduate House also has a BBQ that residents can use. The BBQ can be found in the courtyard, close to the doors.

Feel free to prepare your grillin’ feast – just remember to clean up the BBQ and turn off the propane (all the knobs on the barbecue, AND the valve on the tank underneath) once you are through. If you notice that the propane tanks are running low you can either let the front office know when it is open, or you fill out an online maintenance request that will be dealt with as soon as possible the next business day.

Please note that the BBQ does break down on occasion due to overuse or improper use. We do our best to ensure its repair as quickly as possible but we are not able to provide a replacement BBQ in those instances when it is out of commission.

Courtyard TV Room

The main TV room is accessible through the glass door off the main common room on the Courtyard level. It boasts a large-screen LCD TV with HD TV and surround sound, as well as a DVD player and comfortable seating. Remember to respect other residents by cleaning up, turning off the equipment when leaving the room, and trying to reach a compromise when everyone doesn’t agree on what to watch.

Please follow carefully the instructions if you are attempting to connect a game system or other auxiliary device to the TV equipment in the TV Room.

Music Room The Music Room is located on the Courtyard level, in the southwest corner of the main common room. It houses a piano so please feel free to tickle the ivories. Haven’t practiced in a while? No need to worry—noise from the Music Room is dampened by fibreglass acoustical panels along the walls.

You will notice that the door to the Music Room is kept locked. To arrange for permanent access, just stop by the GH Office and have your keycard reprogrammed.

2nd Floor TV Area In addition to the main TV Room on the Courtyard Level, there is also a second TV area located on the 2nd floor to the right of the elevators.

5th Floor Computer Terminals There are two open-access computer terminals available in the 5th Floor Common Area by the elevators. Available 24 hours a day, these terminals provide residents with the ability to surf the web and access our online services.

5th floor computer terminals

9th Floor Reading Room Along with housing the Graduate House Council office, the 9th Floor Reading Room is a great place to study or peruse one of the many publications to which GH subscribes.

In addition to our periodicals, there are bookshelves where many residents over the years have donated books (and other items!); please feel free to borrow items from these bookshelves, or donate a book or two of your own.

Sports Equipment Sign Out

The Graduate House Council has a limited amount of sports equipment available for residents to sign out to use. Items include squash, badminton, and tennis rackets; soccer, volley, and footballs; and baseballs and gloves.

Just stop by the Graduate House Office during regular business hours to sign out a key to their storage cupboards located in the Graduate House Laundry Room.

PlayStation® 2 and Nintendo Wii® Sign Outs

The Graduate House PlayStation® 2 and the Graduate House Nintendo Wii® are available from the Graduate House Office during regular business hours for borrowing by any U of T student Graduate House resident. There is no charge for borrowing either unit, but the borrower is responsible for the safe return of all equipment and games; damaged or missing items will be billed to the borrower’s ROSI account.

Guest Rooms Two rooms are available for guests of Graduate House residents. Each room is equipped with its own full ensuite bathroom, a small refrigerator, a television with cable, and a telephone with free local calls. Sheets and towels are also provided.

Guest rooms are affordably priced with student budgets in mind, and offer a convenient, cost-conscious alternative to nearby hotel accommodations. To check rates and availability, visit the Graduate House website at www.ghcommunity.info

All inquiries and reservation requests must be made in writing via e-mail to [email protected] You must notify the office 24 hours in advance in order to cancel a booking, otherwise you will be held financially responsible for your reservation. Reservations for more than 7 days are 50% non-refundable upon confirmation of the reservation.

You can either submit your payment in the form of a certified cheque or money order directly to the Graduate House Office or request to have this charge posted to your ROSI account. Credit cards (VISA and MasterCard) and Interac cards are also accepted.

Maintaining Your Room & Suite The Online Maintenance Request is the "catch-all" form for most problems you may encounter with the physical property and furnishings offered to you at Graduate House.

Some examples of issues for which you would fill in an Online Maintenance Request include: A burnt-out light bulb A leaky faucet A malfunctioning lock A wobbly floor lamp or kitchen table A clogged toilet

Problems with your kitchen appliances

The Online Maintenance Request system is available 24 hours a day on the Graduate House website. Visit the Current Residents page and click on Maintenance.

Be sure to be very explicit in explaining the deficiency. Not only should you specify the problem, please also state its exact location.

In the event of a maintenance emergency, e.g. flood, lock failure, etc. do not use the online system. Instead, you should notify either the Graduate House Office, or the Residence Advisor on-call in order to ensure a quick response (and minimize resulting damage).

Helpful Tips for Cleaning & Maintenance To prevent clogs, dispose of food waste and

excess hair in the garbage and not down any drain. Do not put anything other than toilet paper in the toilets since they clog easily. Dispose of feminine hygiene products, Q-tips, dental floss, food, and paper towels in the garbage.

Graduate House provides each suite with basic cleaning equipment. The mops are expensive and difficult to fix. Soak your mop in soapy water for a few minutes before using it so that the mop head softens up—otherwise it may break or crack. If you require a new mop head, please fill out an Online Maintenance Request. The replacement charge for a damaged mop is $24, which is split equally among all residents of a suite.

Vacuum cleaner bags can be obtained free of charge from the Office; simply fill out an Online Maintenance Request. Check your vacuum bag periodically since the vacuum works more efficiently if you change the bag before it gets full. Also, remember that your vacuum is not a “wet vac” and can only be used for dry dirt and dust.

Report any use of fire extinguishers to the Graduate House Office via an Online Maintenance Request. If you are missing a fire extinguisher in the kitchen area of your suite, please let us know.

Tampering with the fire extinguishers is prohibited. Such tampering may set off the fire alarm and will result in charges that will be

placed on your student account (ROSI). Only use a fire extinguisher in the event of a fire.

If your floor lamps or kitchen table are wobbly, do not tighten them yourself. Fill out an Online Maintenance Request instead.

If any of your overhead lights need replacing, just fill out an Online Maintenance Request.

A thermostat on the wall inside the living room area controls the temperature in your suite. Simply adjust the thermostat to a temperature agreeable to everyone in the suite (understanding that this may require some negotiation, and may form part of your Suitemate Agreement). Do not set the thermostat to extreme temperatures as this will not make your suite cooler or warmer any more quickly. If there are problems with temperature control, please fill out an Online Maintenance Request.

Residents are responsible for providing their own shower curtains. You will be able to pick-up a shower curtain at many shops close to campus.

After taking a shower, always make sure that you mop up any water that may accumulate in the corners on the floor. Residents will be held responsible for the cost of repairing water damage on the bathroom walls that will result if you are not careful. Make sure that you install a long enough shower curtain, keep it closed when you are showering, and dry the floor after you have finished!

87 Avenue Rd (north of Avenue and Bloor) This is definitely the perfect fit for the Yorkville crowd. Here you will find everything from your basic grocery needs to those not-so basic items like goat cheese ice cream and jicama.

• Loblaw’s $$$ Dupont and Christie or St. Clair subway station Loblaw’s offers more selection than Metro and the prices are a bit better.

• Metro $$$ A five-minute walk from Graduate House. Open 7 days a week, 24 hours. What could be more convenient?

• Grocery Gateway $$ www.grocerygateway.com Sorry Metro but grocery shopping online… now that’s convenient!!

• No Frills $ Dufferin Mall (at Dufferin subway station) This place takes the cake for cheap prices and great selection!

Markets • Kensington Market $

Baldwin Street (south of College and west of Spadina) A wonderful multicultural collection of vendors and stores selling fresh produce, meats, seafood, cheeses, breads, and spices in addition to used clothing, furniture, jewellery, and other doodads.

• St. Lawrence Market $$ 92 Front Street (a few blocks east of Union subway station) Like Kensington Market, this is a great place to find an array of fresh foods. However it is not as cheap so be prepared to splurge a little!

• Chinatown $ Just walk due south down Spadina to Dundas Street and you will find yourself in the heart of Chinatown, the home of wonderful Asian foods along with fresh produce at really really cheap prices. This place makes eating five fruits and vegetables a day affordable!! Be sure to check out some of the great restaurants along the way!

Household Supplies & Kitchen Stuff • Honest Ed's

At the southwest corner of Bloor and Bathurst, about a 15 minute walk from Graduate House. Probably one of the closest and most reasonable places where you can find basic household and kitchen supplies. Just look for the building covered in lights!

• Wal-Mart The closest Wal-Mart is located at Dufferin Mall (Dufferin subway station; 900 Dufferin Street).

• Kitchen Stuff Plus 703 Yonge Street (3 blocks south of Bloor) If you are looking for a place to get wonderful kitchen and bathroom supplies at amazing prices then head to Kitchen Stuff Plus.

Pharmacies • Shopper's Drug Mart

This all-purpose pharmacy is located right across the street from the Dominion supermarket at Bloor and Spadina and is open until midnight, 7 days a week.

Liquor Stores • The two closest locations of LCBOs are on the

basement level of the Manulife Centre at 55 Bloor Street West (Yonge and Bloor) and 335 Spadina Avenue (Spadina and Baldwin) near Kensington Market.

Beer Stores • The closest Beer Store is just north of Graduate House

Moving Out These move-out instructions are intended to make the process of moving out fair and transparent. You are expected to leave your room and suite in a clean condition, ready for the next person to move in! Although normal wear and tear is expected, you must nonetheless leave your suite fully cleaned and tidy.

Step 1: Giving Notice

As per your Occupancy Agreement, you are required to give a minimum of one full month’s written notice of your intention to leave Graduate House. Please note: You can select a move-out date that falls any time during the month. For example, if you’re planning on moving out of Graduate House on the 18th of August, then you should notify the Graduate House Office on or before the 18th of July. To do so, please complete the Official Notice Form, which can be picked up at the Graduate House Office or downloaded from the GH News by clicking on the “Downloads” button on the top menu bar.

Unfortunately, Canada Post will not forward mail from any student residence under any circumstances. For this reason, we cannot forward your mail to your new address. However, Graduate House can put your mail in another resident’s mailbox or hold it for you to pick up for a maximum of three months. Please fill out a Hold Mail Request Form when you move out.

Step 2: Booking Optional Pre-Move-Out Inspection In addition to submitting an Official Notice Form, you may wish to schedule a Pre-move-out Inspection. The Pre-Move-Out Inspection is entirely voluntary. Its purpose is to identify any obvious damages as well as to advise the resident about how to avoid extra cleaning charges, etc. Booking a pre-move-out inspection is easily done by logging into the Online Maintenance System (see page 24) and just selecting “Move-Out Inspection” from the menu on the left. The system will walk you through the rest. Once you have scheduled an inspection, you will be sent a confirmation e-mail with the date/time and helpful information as to how to prepare. If you and your suitemates are moving out around the same time, we would appreciate it if you could co-ordinate your schedules. Time-slots fill up quickly so book early! This optional inspection occurs during regular business hours and if the resident attends.

Step 3: Getting Ready for Move-Out Inspection

Please be aware that once you have moved out, Graduate House will discard any and all articles remaining in your room, bathroom, kitchen, storage closet, and/or other areas of your suite. We strongly suggest that you perform your own thorough room and suite inspection to look for forgotten articles. You will be charged a minimum flat rate of $25 per filled garbage bag for the removal of any items that you leave behind (e.g. coat hangers, thesis drafts, dirty socks, stale potato chips, etc) plus extra time required to clean your room.

Your Room

Once you have packed all your belongings, vacuum your bedroom carpet.

Clean your desk and bookshelf with a damp cloth to remove dirt and dust (do not use an abrasive cleaner like Comet; a bit of all-purpose cleaner diluted in water will do the trick).

Do not attempt to dust the blinds in your room or living room; we will take care of that.

Please ensure that your white mattress cover is clean when you leave Graduate House. Washing it yourself in the laundry room will cost you $3, getting it dry cleaned will cost approximately $7 (the closest dry cleaner by the way is located at Bloor and Spadina) whereas Graduate House charges $24 if your cover is stained or discoloured. Before you scream, just think about how you would feel if you had moved into a room with a soiled mattress cover!

The Suite

Vacuum the floors, then mop with warm water mixed with all-purpose cleaner. Follow the label instructions to determine the ratio of cleaning product to water for best results.

Clean the bathrooms, paying special attention to the toilet and the toilet base. Please do not use an abrasive cleaner (e.g. Comet) on the bathtub; this could damage the no-slip strips. To get the tiles looking their best, a bathroom cleanser designed to remove built-up calcium deposits, and with mold/mildew inhibiting-properties, is ideal.

Please also clean the kitchen counters, stovetop, inside the [self-cleaning] oven, inside of the microwave, and refrigerator. Scrub and rinse the kitchen sink, and remove any obvious debris from the drain-catch. Wipe the cupboards, inside and out. Avoid using abrasive cleaners; an all-purpose liquid cleanser (diluted in warm/hot water) will work nicely.

Step 4: The Pre-Move-Out Inspection

The Pre-Move-Out Inspection is entirely voluntary. Its purpose is to identify any obvious damages as well as to give the resident a heads-up as to how to best prepare for move out and avoid extra cleaning charges, etc. It is necessary for you to be present for this inspection. If you are unable to be present, it will not happen.

The inspecting Graduate House Representative will attempt to answer any questions that you may have. However, please be advised that we do not give estimates as to the possible cost of repairs—instead we leave that up to the experts who actually do the work.

Once the inspection is over, you will be asked to sign the Pre-Move-Out Inspection Form. Please note that by signing this form you are not accepting responsibility for any damages; you are merely acknowledging that the Graduate House representative pointed them out to you. A copy of this form is available upon request.

The Pre-Move-Out Inspection is not the final word on damages. Residents can still be held responsible for any damage caused after the inspection was conducted, as well as for damage that was not visible during the inspection, or that was deliberately disguised or hidden.

Step 5: Damages & Deficiencies

The cost of all damages and/or deficiencies will be posted to your ROSI account. If the damage is in the common areas of your suite, the cost will be shared among the suitemates (unless one person comes forward and assumes full responsibility for the damage). You should check your ROSI account on-line in the months following your move.

Please be advised that any damage charges will not be placed on your ROSI account until we receive an invoice for any work done. Sometimes this can result in a delay of up to six months if the contractors/sub-trades are not prompt in their billings.

Damage charges for Non U of T students will be deducted from their damage deposit.

Step 6: Leaving Graduate House

To facilitate your move-out, the Graduate House Office can provide you with a trolley/moving cart during regular office hours. You will be required to leave either a credit card or other piece of identification with the office in order to borrow one of these carts. We do ask that you return the carts promptly once you are done since other residents may also need them.

If you are leaving Graduate House during office hours, simply hand in all of your keys (e.g. security card, “one-shot” card, laundry card, and mailbox key) by 3:00 p.m. to a member of the office staff. To make life easier for everyone, we ask that you put your collection of keys in a sealed envelope clearly indicating your suite and room number on it. Also, this is the time to give the Graduate House your new contact information, if you haven’t already done so.

Unfortunately, Graduate House is unable to refund any extra money left on your laundry card so try to use up your balance. (May we suggest washing your mattress cover?)

If you are leaving outside of office hours, including during the weekend, please put your keys/cards in an envelope with your name and your room number written on it and drop them through the mail slot in the Graduate House Office door. Please make sure that you close your bedroom door behind you when you leave.

If you return any keys after 3:00 p.m. on your vacating date, you will automatically be charged for non-returned keys as outlined in your signed copy of your Graduate House Occupancy Agreement. Keys/cards/plastic holders, etc. can not be mailed in/returned at a later date for a refund.

Step 7: Damage Assessment

After your room and suite are inspected and your keys have been collected, the Facility Supervisor will assess whether any charges should be placed on your Student Account. Any charges are recorded on the Damage Assessment Form.

Before assigning responsibility for damages, Graduate House will pay very close attention to the results of previous move-out inspections, as well as the resident’s own Schedule A.

As Graduate House receives no monies or subsidies (either direct or indirect) from the University of Toronto and 100% of its operating costs are paid for by residents’ occupancy fees, we have a dual obligation both to keep occupancy fee increases as low as possible, and to ensure that the actions of the individual or the few are not paid for by the many.

Residents are held responsible for any damage charges that result from their own actions (and those of their guests), or the actions of their suite (if it is not possible to establish individual responsibility) as provided for in the Occupancy Agreement.

Graduate House is happy to provide a complete breakdown of any damage charges assessed and, wherever possible, any/all supporting invoices.

Admissions If you have received either a one-year offer directly from Graduate House or a recruitment spot from the School of Graduate Studies (SGS) or from your second-entry professional faculty, or if your three-year offer is ending, you are eligible to re-apply for residency in Graduate House for the next academic year.

Applications for the 2013-14 academic year open in Fall 2012 and will be available on our website at www.ghcommunity.info

All residents with a one-year offer at Graduate House must reapply to return for subsequent years. The deadline for applications is May 31st each year. No late applications will be accepted under any circumstances.

Offers are given on a first-come, first-serve basis with preference given to applicants who are current residents who wish to stay in Graduate House for the 2013-14 academic year and who maintain continuous residency (i.e. live in Graduate House without interruption, including during the summer, and do not give notice to move out).

SCHEDULE B

Graduate House Procedures for Sub-licensing Bedrooms

1. Any regular Resident of Graduate House may sub-license her/his right to use and occupy

her/his Room and to use the common facilities of her/his Suite and the common facilities of Graduate House (collectively, the “Room and Rights”) in accordance with the terms of this Schedule B, but not otherwise. This privilege is not available to summer Residents or to sub-licensees.

2. An eligible Resident may sub-license her/his Room and Rights once only during the Occupancy Period covered by the attached Occupancy Agreement (the “Agreement”). The sub-license period shall be not less than two months and not more than six months; it shall begin no earlier than three months after the start of the Occupancy Period, and end no later than the Resident’s Vacating Date as described in clause 1 of the Agreement.

3. An eligible Resident who wishes to sub-license her/his Room and Rights is responsible for finding a suitable and eligible candidate as sub-licensee. All other occupants of the Suite in which the Resident’s Room is located must have approved the proposed candidate for sub-licensing and have signified their approval in writing on a form to be provided by and registered with the Graduate House office.

4. Any proposed candidate for sub-licensing must also meet the eligibility requirements for Residents at Graduate House, as prescribed from time to time, and in particular, must be a student enrolled in full-time studies in the School of Graduate Studies of the University of Toronto or in one of the six professional faculties thereof, viz. Law, Dentistry, Pharmacy, Medicine, Nursing, OISE. The name and student number of the proposed candidate shall be provided to the Graduate House office for verification. The Resident must obtain written approval from the Dean of Graduate House office before initiating any sub-licensing arrangement.

5. The relationship between the University and the Resident will remain in effect during the sub-license period and in addition to the foregoing requirements, it will also remain the responsibility of the Resident (sub-licensor) to: (a) continue to pay the monthly Occupancy Fee during the whole of the sub-license

period, which fee will continue to be charged to her/his ROSI account; and (b) pay any and all additional fees, interest, charges and other amounts that may be or

become due under the Agreement, including, without limitation, the costs of replacing any security card or mailbox key and any and all damage and charges payable under clause 13 of the Agreement that may arise during the sub-license period and for which the Resident would have been responsible if in occupation of the Room and Suite, notwithstanding that any such damages or charges may result from the acts, omissions or neglect of the sub-licensee or her/his guests or invitees, all of which amounts will be charged to the ROSI account of the Resident.

6. The Resident is at liberty to collect the fees, charges and other amounts referred to in paragraph 5 above from the sub-licensee but shall not increase or inflate any of such fees or charges and in particular, shall not charge the sub-licensee an Occupancy Fee greater than the Occupancy Fee stipulated in the Occupancy Agreement.

7. The Resident shall be responsible for providing the sub-licensee with her/his security card, one-shot card, mailbox key and laundry card, and the University will not issue duplicates of any of these cards or keys to the sub-licensee or for the purposes of sub-licensing.

8. The Resident shall not permit the proposed sub-licensee to occupy the Room or Suite until (a) approval by both the suitemates and the University pursuant to paragraphs 3 and 4 above; (b) the sub-licensee has signed a sub-license agreement which incorporates by reference all the applicable terms and conditions of the Agreement and the Schedules thereto and whereby the sub-licensee agrees to be bound thereby and by all applicable policies of the University and the Rules and Regulations of Graduate House, all as amended from time to time. In particular, the sub-license will be subject to the early termination and room/suite substitution provisions of clauses 14, 15 and 20 of the Agreement.

SCHEDULE C

Graduate House Procedures for Pre-Notification and Post-Notification of Suite/Room Entry

A minimum of 24 hours notice will be given for suite and bedroom access, with the exception of emergency situations or responses to resident-initiated maintenance requisitions. Residents should expect that Graduate House representatives will enter their suite to clean once a bedroom becomes vacant or is scheduled to be occupied by a new resident. Advance notification of cleaning will not be given.

Except for emergencies, suites and bedrooms will only be entered between 10:00 a.m. and 6:00 p.m. on workdays. Loud knocks, followed by a wait, will precede entrance. A verbal announcement will be made prior to actually entering the suite.

A notice will be left at all times if either the suite or a bedroom was entered.

Logs documenting the identity of all authorized personnel, along with the location in which they worked, the date, and the nature of their work will be kept.

Schedule D – Network Agreement

As a student at the University of Toronto, your network connection is provided for you in support of your academic objectives and requirements. As such, there are certain Rules and Regulations that you need to be aware of when using the Graduate House Network (and by inference, the University of Toronto computer/data network). Following are the Terms and Conditions that you must be aware of and agree to (by signing it) before being allowed to use the Graduate House Network.

FIRST, you must read and agree to the Appropriate Use of Information Technology policy for the University of Toronto. This policy governs the use of all Information Technology resources in the University of Toronto and applies to all Faculty, Staff and Students. You may ask for a copy of the Appropriate Use of Information Technology at the Information Commons located on the 1st Floor of the Robarts Library, or view it online at http://www.utoronto.ca/security/appuse.htm.

SECOND, you must be aware of the fact that the network connection that you are furnished with is intended to be used for academic objectives and requirements only. As such, the bandwidth (amount of data traveling into and out of your computer) that is used by each resident is under a usage restriction of no more than 8,000,000,000 bytes [approximately 8.0 Gb (gigabytes)] per week (Monday to Sunday). Internal University of Toronto data transfers are exempt of this restriction. The restriction only applies to data being sent out of or received from outside of the University (Internet sites outside of the University of Toronto). The restriction of 8.0 Gb of data per week applies to a cumulative total of all data coming from or going to the Internet (external to University of Toronto) to/from your computer unless there is specific academic justification. If you desire higher amounts of bandwidth for personal usage, you may contract high-speed Internet services from third-party sources (e.g. Rogers @Home [http://rogers.home.com], or Bell Sympatico Megabit/HSE [http://hse.sympatico.ca/]). The Computer and Networking Services division has put up a web page with individual and Residence-specific bandwidth counters where you can check how much bandwidth you have used in the last 24 hour period at http://www.noc.utoronto.ca/net-ops/accounting/accounting-host.htm and by clicking on the link View Statistics for this Host.

THIRD, You may not manually assign an IP address to your computer. An IP (Internet Protocol) number is a unique number that specifies an “address” that your computer can be reached at (i.e. Just as your home has an address on a street, your computer needs an address on the network). The Graduate House Residence runs on a network that automatically assigns IP numbers to your computer. Manually setting this address yourself is strictly prohibited. Furthermore, due to IP space limitations, each resident is allowed to register only one device to the Graduate House Network (only one MAC address registration per resident).

FOURTH, You may not run DNS, DHCP/BOOTP servers, SMTP/POP/IMAP servers, or Remote Access Servers. Attempts at running any of the above noted servers from your computer (whether it be academically justified or not) without prior authorization is strictly prohibited. Be aware that accidental or unknowing installation or running of these servers is NOT excused – your actions will be penalized regardless of intent.

FIFTH, All University of Toronto students must have a valid UTOR id and .utoronto.ca email. Due to various problems with residents using external email services (such as Hotmail, Yahoo, etc), you must provide a valid @utoronto.ca Email account to be able to use the Graduate House Network. The utoronto.ca Email account is a free service that is offered by the University of Toronto for all of its students, faculty, and staff and it can be used in perpetuity. For instructions on creating your Email account, please go to the Information Commons on the 1st floor of Robarts Library or view the utoronto Email page at http://www.mail.utoronto.ca. For all support/queries about utoronto Email, please visit or contact the Information Commons at http://www.utoronto.ca/ic/ or at their support number: (416) 978-HELP (4357). Non-U of T Summer Occupants will receive an exception from this rule, as they cannot be provided with an @utoronto.ca address.

SIXTH, In order to reduce the amount of spam through its network the University of Toronto restricts all outgoing mail (SMTP, tcp port 25) generating at residences to permit sending only through the University’s own UTORmail SMTP servers. To access the information for the SMTP server you should use, login to your UTORid account at https://www.utorid.utoronto.ca/ and navigate to the management website. Residents that are not part of the University of Toronto community should use as their SMTP server as smtp-res.ns.utoronto.ca

SEVENTH, Any private wireless access point (WAP) connected to the network of the residence must be configures to the specifications and standards provided by the University of Toronto Computing and Network Services (UTCNS). IN THE EVENT OF A NETWORK VIOLATION

All of these guidelines are in effect at all times in Graduate House. However, exceptions or accommodations may be made if there is significant academic justification on your part. Persons found in violation of any Policy or Guideline outlined above may have their network connections suspended pending an investigation.

Bandwidth Overuse -- Bandwidth overuse related violations will be dealt with in the following manner:

**PLEASE NOTE THAT WHILE GRADUATE HOUSE AGREES TO PROVIDE RESIDENTS WITH A WARNING OF ANY OFFENCE PRIOR TO IMPOSING SANCTIONS, IT DOES NOT GUARANTEE A MINIMUM WARNING PERIOD. AT ALL TIMES THE ONUS IS ON THE RESIDENT TO ENSURE COMPLIANCE WITH THE BANDWIDTH LIMITS.**

1) First Offence – A written warning will be sent to the resident’s email address.

2) Second Offence – A written warning will be sent both to the resident’s email and postal address, and the network access of the offender will be suspended for 24 hours.

3) Third Offence – A written warning will be sent both to the resident’s email and postal address, and the network access of the resident will be suspended for one week.

4) Fourth Offence – A written warning will be sent both to the resident’s email and postal address, and the network access of the resident will be suspended for the remainder of the term.

If your network connection is suspended, you may access your email account and the Internet from any of the free University of Toronto campus computing facilities (Robarts Library, etc). Anyone attempting to circumvent the bandwidth restrictions through technical means will face permanent denial of network access and possible sanctions.

Be aware that the University of Toronto has the right to monitor your usage and/or access to the Network in cases where inappropriate or illegal activities are suspected.

IMPORTANT WARNING:

In the past, a number of Graduate House residents have faced sanctions for copyright violations reported to the University of Toronto Computing Network Services. Please be advised that the distribution of unauthorized copyrighted material is a serious breach of the "Appropriate Use of Information Technology" Policy for the University of Toronto by which each resident agrees to abide. In addition to the immediate termination of network access for the remainder of the academic year, possible consequences may include termination of residence at Graduate House and/or charges under the Code of Student Conduct and/or the Code of Behaviour for Academic Matters.
