This course explains how to access the appropriate Vehicle page from the Claim Tree and then view the details

about the vehicle within the following tabs:

• Vehicle Details - provides the ability to access, view and update information about a specific vehicle

involved on a claim

• Vehicle Damages - provides information about the damages to a vehicle, the location of the vehicle and

enables access to any repair appointment or estimates related to a vehicle

Vehicle Information Section

Vehicle Tabs Overview

The Vehicle Number field displays a

number that refers to the vehicle number in

the claim record. Vehicle number 01

generally refers to the vehicle described on

the policy and *1 refers to a Different

Vehicle Involved:

• Newly Acquired

• Non Owned

• Temporary Substitute Vehicle

Vehicle numbers 02 and up refer to

claimant vehicles. There is a limit of 20

vehicles per claim.

Note: For *1 vehicles, a Vehicle Type field

displays indicating the type of vehicle

involved.

If the Autopay checkbox is checked, the

vehicle damages are eligible for Autopay.

The Lease/Lienholder field displays the first

policy lease/lienholder.

The Other Insurance field displays the

names of other insurance companies

associated with the vehicle.

• Year

• Make

• Model

The Associations to this Vehicle section

provides the end user with a listing of all

individuals associated to the vehicle. For

01 vehicles, these associations are created

from the policy that covers the vehicle or

by being an occupant of the vehicle at the

time of the loss.

Note: When a *1 vehicle is added to a

claim, the associations from the 01 vehicle

are automatically applied, but do not

display on the Vehicle *1 page.

Each association is listed in the following

format: Name (Type - Role).

Associations to the vehicle are completed

on the Participant page.

To review the information regarding the

damage to the vehicle, click the Vehicle

Damages tab.

The Vehicle Damages tab enables the end

user to view and update damage

information and vehicle location

information, and to manage the repair

process for each vehicle.

The Vehicle Damages tab consists of three

sections:

• Damage Information

• Vehicle Location

• Remarks

The Occupant Type field indicates the

occupancy status of the vehicle and can be

one of the following:

• None

• Parked and Occupied

• Parked and Unoccupied

• Unknown Driver

The Drivable field indicates whether or not the

vehicle is drivable.

The Involved in Loss checkbox is checked

when the vehicle is involved in the loss. This

checkbox connects with reporting so it is

important for it to be checked whenever the 01

vehicle is involved in the loss.

Note: The Involved in Loss checkbox only

displays for the 01 vehicle.

Damage Information Section

The Principal Damage field lists the main

damages to the vehicle.

The Prior Damage field is a Yes/No field used

to indicate if there is prior damage to the

vehicle.

The Prior Damage Description field describes

prior damage(s) to the vehicle in detail.

The Potential Total Loss field indicates whether

or not the vehicle is a potential total loss. This

field defaults to No.

The Theft Type Indicator field indicates

whether a theft is a Partial Theft or a Total

Theft.

The Vehicle Location section indicates

where the vehicle is located and the phone

number of the location.

Note: All fields in this section must be

complete prior to sending an estimate

assignment whether the vehicle is drivable

or non-drivable.

The Remarks section contains remarks

about the vehicle location.

The Repair Process buttons are:

• Manage Appt. – allows the end

user to access the Appointment Log

application to create, re-schedule or

cancel a Drive-In appointment for

the selected vehicle

• CRASH Inquiry - allows the end

user to submit vehicle information to

the Claims/Research Auto Support

Hotline (CRASH) unit for concerns

with potential recovery situations.

This button is only available for the

01 vehicle

Repair Process Buttons

Additional Repair Process buttons are:

• Assign Estimate - allows the end user

to create an estimate assignment

request for repair facilities and staff

estimators

• View Estimate - allows the end user to

see a list of estimates that are

available for this vehicle and indicates

if estimate information is available via

the checkbox

• View All Estimates - allows the end

user to view all estimates associated to

the claim and indicates if estimate

information is available via the

checkbox

Additional Repair Process buttons are:

• NMVTIS Reporting - allows the end user

to submit a federal mandated report to the

National Motor Vehicle Title Information

System (NMVTIS) when specific

requirements are met and indicates if a

report has been sent via the checkbox

• EVRT (Early Vehicle Routing Tool) -

displays the EVRT application in a new

window. This application assists the end

user in determining if the vehicle should

be moved. The Create File Note page also

displays in a new window for the end user

to document information obtained from

EVRT

• Vehicle Theft Recovery - displays with

vehicle information and recovery

information including Recovery Agency

location, Condition of Recovered Property

and Recovery Classification. The end

user can view or manage theft recovery

information for a vehicle stolen and

recovered.

There are two icons on the Vehicle page that

allow the end user to update the vehicle type

on the claim or to add additional vehicles to

the claim. These icons are:

• Add Different Vehicle - allows the end

user to update Vehicle 01 to the

different vehicle type that was involved

in the loss

Note: For *1 vehicles, a Vehicle

Type field displays indicating the

type of vehicle involved.

calculate the valuation of a total loss vehicle,

click the TLST icon.

When the TLST button has been selected, the

Total Loss Details page displays. To put into

edit mode, click the Edit button at the bottom

of the page.

Verify the correct Titling State/Province

information displays.

Select the appropriate vehicle type from the

Vehicle Salvage Type dropdown menu.

Check the NMVTIS Qualification checkbox if

a vehicle qualifies. The NMVTIS Qualification

checkbox is only enabled when a vehicle is

NMVTIS Eligible. If the vehicle is not qualified

the NMVTIS Qualification checkbox is hidden.

Scroll down to continue filling out the Total

Loss Details page.

The vehicle Valuation amount will be

populated from the Vehicle Evaluation that is

received into the file. The vehicle Damage

Estimate will be populated with the gross

estimate on the estimate.

Click the Save & Exit button to navigate away

from the Total Loss Details page if the vehicle

is repairable. Click the Save & Continue

button to complete the Total Loss Settlement

figures.

Note: The Total Loss Details page is editable

if additional information is received.

The Total Loss Settlement Tool page displays.

The tool contains two tabs:

• Valuation

• Add/Deduct From Valuation

The Valuation tab displays the Tax, Fees,

Misc. and Lien/Leaseholder information. The

taxes will be auto-populated when the Vehicle

Evaluation is received. The fees will be

automated in select jurisdictions, with

additional jurisdictions being automated when

available. The end user will have the

capability to manually update these fields as

well.

Complete all relevant and required fields and

navigate to the Add/Deduct from Valuation tab

to complete the Total Loss Settlement Tool.

information displays. This tab allows the end

user to type the Amount and Description for

When all fields are updated, click the Save

Note: There is no limit to the Add/Deduct

edit mode. Complete required fields and click

Loss Settlement Tool, the Total Loss

Summary page displays.

The end user can select whether the vehicle

is Owner Retained or Not by selecting the

appropriate radio button.

Information in the top section is calculated

from the data the end user entered in the

TLST.

Scroll down to continue reviewing the Total

Loss Summary page.

Loss Settlement Tool click the Delete button.

A prompt displays confirming if the end user

wishes to delete the TLST record. Click Yes

Settlement Tool and navigate the end user

back to the Vehicle page.

• Cannot be before the Date of Loss

• Cannot be in the future

To submit a NMVTIS report, click the

NMVTIS Reporting button.

The NMVTIS Reporting page displays with

the following fields:

• VIN

• The titled owner when the vehicle is

designated a total loss

• The titled owner at the time the

report is filed

• The date of the first total loss

payment or the date when the

vehicle was designated a total loss if

no payment was made

Note: The VIN field is non-editable on the

NMVTIS Reporting page. VIN number

updates can only be completed on the

Vehicle Details page.

Update the appropriate information and

click the Send button.

appears, “R1574: NMVTIS Report Sent.”

date that the NMVTIS report was sent on.

The ISO Received field displays the date

that the NMVTIS information was received.

If the report was not received then this field

is left blank.

valid vehicle location exists).

Vehicle Moved: System updates this field to Yes when

the salvage assignment is successful.

Salvage Status: System updates this field with the

vendor’s unique stock number.

Stock Number: System updates this field with the

vendor’s unique stock number.

Assign Date: System updates this field to the current

date when the assignment is successful

State Farm Release Date: Update with the date the

vehicle was released by the customer to be picked up (if

no selection is made this field will default to the current

date).

• Charges ($): Input any charges incurred prior to the

vendor acquiring the vehicle.

• Teardown ($): This field will be completed by the

estimator if teardown is approved.

• Keys with Vehicle: Update this field to indicate if

the keys are with the vehicle.

• Keys: Update this field with a reason the keys are

not with the vehicle. Required if the Keys With

Vehicle is No

• Vendor Instructions: Add any instructions for the

vendor.

• Comments: Add any applicable comments.

Once all applicable fields have been updated, click the

Assign to Vendor button to create a new salvage

assignment to the vendor selected in the Salvage Vendor

drop-down field.

A prompt will display to verify the sending of the

assignment. Click Yes to verify.

Note: The vendor’s response will include the stock

number and salvage yard assigned to the vehicle. This

information will auto-populate in ECS.

Only when the user is not able to successfully complete

the assignment using the Assign to Vendor button in

ECS should they revert to the manual assignment

workflow.

Note: Manual Assignments should be rare and users

should do so at the direction of management.

The user would create a new assignment on the salvage

vendors website, click the Manual Assignment button,

then the Stock Number, Vehicle Moved and Assign Date

fields will be editable so the user can record this

information.

Once finished recording the above information the user

would click Save
