A complete application includes (where applicable):–ORS checklist and supporting documentation –Request for a Letter of Support form–Applications forms–Attachments –CVs and other supporting documentation–A complete budget –The number of application copies required by the funder plus one copy for ORS’ files

Proposal Writing and Assembly

How Can We Help?– Copy editing and formatting

•Number your pages (according to funder guidelines)•Create a Table of Contents if permitted•Standardize:

– spelling – formatting (paragraph breaks, headers, headings and sub-headings, the use of bullets)– font sizes– referencing (style and format)– margins

– Creating tables, graphics, charts, etc. – Reviewing materials for general adherence to funder guidelines– Preparing York internal documents

Budget

– Administrative costs (daily rate = salary + benefits / 260) – Student support – Travel and accommodation costs– Seminar, workshop, and conference costs– Professional and/or technical services– Audio visual, tele- and video-conferencing costs– Equipment costs (computers and other non-disposable

equipment)– Honoraria and/or other fees– Supplies– Other– York Overhead*

* If your funder accepts overhead as an eligible expense, it is essential that you include it in your application budget. ORS is available to help you determine the appropriate amount and to negotiate with your funder if necessary so that you are not placed in an adversarial relationship with them.

York University Support

Funders often require (and/or it is beneficial to your application to show), contributions from York University in-kind or in cash. Examples of this include, but are not limited to: course release, student support, administrative support, technical services, KM activities, and office/lab space.

All contributions to an application must be documented and approved by a signing authority of the unit making the contribution. Please be sure to attach those contribution emails to the ORS checklist.

VPRI’s senior research officer is available to coordinate packages of York support for large-scale, interdisciplinary projects provided we are approached at least six weeks before the application deadline.

Contributions from Outside the University

• Partnering organizations, either from the community or other universities, are often in a position to make contributions to a project.

• It is important to secure those contributions where possible and to document them in your applications.

• Showing a wide range of support for your initiative can be very beneficial during the evaluation process.

Submitting Your Application

Application Review Services– Research Officers– ORS two-week deadline– ORS signature policy

All required copies of your application, including a copy for ORS and an ORS checklist, need to come to the Office of Research Services. ORS will provide required signatures and/or submit the application on behalf of the applicant(s).
