Logging OnThe application is launched from inside the Oracle E-Business Suite. There is no installation required on the client PC. Log on to the Excel4appsWands as follows:

In a browser connect to your normal Oracle E-Business Suite URL.Enter your Oracle user name and password.From the list of responsibilities select the "Excel4apps Wands" item. Please note this is the default responsibility name but it may havebeen customized in your installation. Please check with your system administrator.The Excel4apps Wands home page should open and the application should attempt to launch in a popup window.If prompted, choose to always allow popups for this site.

If the page does not load automatically, click the "Launch Excel4apps Wands" link.

The application will start loading.

If Excel is not running you will see a prompt to launch Excel. Start Excel.

The Excel4apps menu should appear inside Excel. This will be in the form of a toolbar in Excel 2003 and new ribbon tabs in Excel 2007or higher.

Responsibility Selection

The application is launched from inside the Oracle E-Business Suite via a special Excel4apps responsibility that is created during the installation.However, when you launch the Excel4apps Wands the first time, you will be prompted to select the responsibilities that you wish to work with. Thelist presented will be the same responsibilities that you are able to access in Oracle. Please note that your System Administrator can restrictthis list by enabling the option on the . The selectionShow Excel4apps enabled Responsibilities Only System Administrator Configuration Optionswill be remembered and the next time you launch the Excel4apps Wands you will be connected to these responsibilities automatically. To selectdifferent responsibilities you can click on the "Change Responsibility" button.

The responsibilities dialog provides a number of ways to find the items you wish to use:

Type a portion of the responsibility name into the filter box at the top and the displayed items will be filtered to meet your search criteria.Apply a prebuilt filter using the filter button e.g. show only General Ledger responsibilities.Sort the list by clicking on the "Name" heading.Sort the list to show the selected items on top.Clear the selection using the "Clear" button.

When you select an item, all other responsibilities that are linked to the same set of books / ledger will become disabled. This is because you canonly access a specific set of books / ledger via one responsibility in a GL Wand session as the security settings are linked to the responsibility.

If you are licensed to use the GL Wand multiple sets of books (MSOB) feature you can select multiple responsibilities. Click an item to select itand click it again to unselect it. If you are licensed to use the MSOB feature you also have the option of logging on to all the available sets ofbooks. Your System Administrator must enable this option for your user under the . If this option isSystem Administrator User Permissionsenabled for your user you will have an extra item in the list of available responsibilities. This "All Sets of Books" option allows you to log on to allthe sets of books configured in the Oracle instance without needing to select multiple responsibilities.

 

 

License KeyThe first time you log on to an Oracle instance you will be prompted to request a license key or enter a key if you already have one.

Please note that when logging on with the "All Sets of Books" option, no security rules are enforced. For this reason you must enablethis option for those GL Wand users that are authorized to report across all the configured sets of books. By default this options isdisabled for all users.

From here you can:

Click to open a form on our website where you can submit a license key request. Please complete the required fields andRequest Keydo not modify any of the prepopulated information.If you already have a valid key, click and you will be taken to the  screen where you canEnter Key System Administrator Licence Keycapture the required information to activate your Excel4apps Wand installation.

Snapshot - Creates a static version of a report by replacing the Excel4apps functions with their calculated values.Upgrade Workbook  - Upgrades a workbook created with a previous version of our products.

Snapshot

The snapshot tool can be used to take a snapshot of your GL Wand report.  This tool will remove all the Excel4apps Wands functions from theworkbook and will replace them with the values that the function returned. The results are similar to using the Excel “paste values”functionality. However, this process will only replace Excel4apps functions.  All other Excel formulas will be left as they were.

Upgrade Workbook

Use this feature to upgrade a workbook created in a previous version of the product. This process will take you through an upgrade and willexplain what is being done to the workbook. The process relinks the Excel4apps Wands functions to Excel in a new way to supportthe architecture of version 5. We recommend that you keep a backup of the original workbook.

AdministratorThere is certain functionality in the Excel4apps Wands that can only be accessed by a System Administrator. If your user is flagged as a SystemAdministrator under the , you can access this functionality by navigating to .System Administrator User Permissions Excel4apps | AdministratorThe following System Administrator functionality is available:

Custom Drill Columns - Create your own custom drilldown columns, supplying the required SQL statement.System Administrator Options - Configure site and user options. 

Custom Drill Columns

The SQL for custom drilldown columns must be constructed in a very specific way in order to work correctly. Instructions and a videodemonstrating how to create custom drilldown columns will be added soon. In the meantime contact for assistance [email protected] feature.

Please note that if you choose to snapshot a protected worksheet, only the functions in the unlocked cells will be replaced with values.The locked cells cannot be modified by the snapshot process if the worksheet is protected.

System Administrator User Permissions

Assign the available licenses to Oracle users. Use the filter box to find a specific user. You can sort the table by any column for example click the heading and all the users that have the GL Wand product ticked will sort to the top.GL Wand

 

 

 

System Administrator User Options

Set the default user options. Additionally, prevent the user from changing the option locking the applicable items.

In previous versions of GL Wand, a profile option existed to allow product usage to be tracked. Now that the Excel4apps products areaccessed via an E-Business Suite responsibility, you can use Oracle's built in audit facility to track usage of the Excel4apps Wandsproducts.

Option Description

In-Memory Options Enable Enable or disable the in-memory database option.

Maximum Age Items from the In-Memory database that have not been accessed forthe specified number of days will be discarded. 

Responsibilities Show product relevant only Only show the responsibilities for the current product e.g. in GL Wandonly show General Ledger responsibilities.

Show disabled Include disabled segment values when discovering, expanding orexploding and in lists.

Show secured Include secured segment values when discovering, expanding orexploding and in lists.

Double click enabled When disabled, a double click in Excel will no longer open lists ofvalues and execute drilldowns.

Add a dummy line for unsupported drilldowns Adds a dummy line to a drilldown where the source line was notsupported.

Suppress zeros on drilldown Exclude items in the balance drilldown report if the opening balance,dr movement, cr movement and closing balance are all zero.

SMTP Host The SMTP host name; e.g. smtp.gmail.com.

SMTP Port The SMTP port; e.g. 465.

Log in using SSL Email server uses SSL encryption for logging on.

Email Client The email client that is installed on your computer. This is used to getthe list of email addresses in your address lists. Currently onlysupports Microsoft Outlook.

Default Address Book Choose which Address Book is used when opening an email addresslist.

Delete duplicates in the interface table Delete duplicates in the interface table during budget upload.

Submit Journal AutoPost Automatically submit the AutoPost program after uploading budgetjournals. 

Budget values entered as positive numbers All budget amounts will be entered into Excel as a positive number.See for an explanation of how this option affects theLoad Budgetway the budget amounts must be entered.

Create missing account combinations Account combinations that don't exist will be created assuming thatthe user has the required privileges in Oracle.

Submit Journal Import  Automatically submit the import program after uploading budgetjournals.

Refresh concurrent requests interval The refresh rate in seconds when monitoring concurrent requests. 

System Administrator Delimiter Options

Set the delimiters that should be used or accept the defaults. These settings should only be customized if the default values conflict withcharacters that are used in your E-Business Suite configuration. For example, if your segment values include numbers that contain the "-"character then change the default range character.

Changes to this option are only effective at the next logonor after changing responsibility.

With this setting enabled, double clicking in a cell that doesnot contain an Excel4apps drilldown function or list ofvalues will always result in the cell being put into edit mode.Excel's option to select the cells that are referenced by theactive cell will be disabled.

 

Delimiter Description

Read Timeout Time that the client waits for an answer from the server.

Do not tick this option unless the required configuration hasbeen created and you have flagged the applicableresponsibilities by setting the new profile option to . IfYesthis is not done, users will have no responsibilities to selectwhen they log on with the Excel4apps Wands.

Suppress Support Expiry Messages Until Suppress support expiry warnings until the date entered. The datemust be between todays date and 1 year in the future.

 

 

System Administrator Server Information

Shows a list of the server versions currently installed. Also allows a database trace to be activated for a specific user. This option should only beused when troubleshooting an issue with Excel4apps support.

 

Excel4apps Responsibility Profile Option

When a user logs on to the Excel4apps Wands, they will be presented with the same responsibilities that they are able to access though theOracle. Should you wish to limit the responsibilities that can be accessed from the Excel4apps Wands proceed as follows:

Log on to Oracle using a responsibility that can create profile options e.g. Application Developer.Navigate to the menu item.ProfileCreate a new profile option as follows:

The About box shows product and E-Business Suite version information as well as details about Excel4apps licensing. A license key can berequested from here or a support case can be logged. The statistics worksheet can also be created if requested by Excel4apps support.

Exit

Exits the Excel4apps Wands. The toolbars inside Excel, and the browser window where the Excel4apps Wands application was running,should close.

GL Wand

The GL Wand product provides functionality to report on balances from the Oracle E-Business Suite and drill down to detail. An Excel cell can belinked to information from Oracle by using the available functions and can be refreshed on demand to retrieve the most recent information.Drilldowns can be executed to balance, journal and sub ledger level.

Book and Segment SelectorOnce you have logged on the Book and Segment dropdowns will be populated based on the selected responsibilities.

You must quit the application using this button so that the application settings can be saved. Do not close the browser page where theExcel4apps Wands is running.

Book (Set of Books / Ledger)

The book dropdown list can be used to select the set of books / ledger that you wish to work with. If you are licensed to use the Multiple Sets ofBooks feature, or are in trial, then this list will contain multiple values in the following situations:

If you selected multiple responsibilities during the logon process all the books linked to those responsibilities will be listed.If you selected the special “All Sets of Books” option, all the books configured in the Oracle instance will be listed.If you log on to an Oracle Release 12 instance and the data access set linked to the chosen responsibility contains more than one ledgeror ledger set, then each of these ledgers will be listed.

The number in brackets () indicates the book identifier. This number can be used in various GL Wand formulas and other functionality in order toobtain information from a specific book.

The item also shows the responsibility that is linked to the chosen book. This can be useful if ever there is doubt about which responsibilityresulted in a particular book being included in your GL Wand session.

Segment

This dropdown list will be populated with a list of the segments that are available in the currently selected book. The number in brackets indicatesthe segment number. The segment list also includes the special value which is used for discovering period names. In the example shownPeriodthe selected segment is and it is identified as segment 1. Certain GL Wand functions require the segment number as an inputCompanyparameter.

DiscoverThe discover tools allow you to extract segment information from Oracle and populate Excel cells with this information. You can use the discovertools to extract , , or . Select a cell and enter a valid starting segment value e.g. “1000” into the cell.

All segment values must be entered using the Excel text format.  Either format the cell using the text number format or enter the cellvalue using the apostrophe ‘ character which marks the contents of the cell as text e.g. if you want to enter the segment value 001 enterit as follows ‘001. If this is not done the leading zeros will be dropped and the discover functionality may not returned the expectedvalue.

Now click the “Discover Down” button. GL Wand finds the next valid account segment value after account “1000” and enters this value inthe cell below the one that you started in.

Discover Level

The discover level is used to restrict the values that are returned when you are  to parent values only, child valuesdiscovering segment valuesonly or both parent and child values. To set the discover level, navigate to . Tick the  or  items to limit theGL Wand | Discover Parent Childreturned values or tick both of them return all values irrespective of whether they are parents or children.

Discover Period Names

You can discover period names in much the same way that you can . Values can automatically fill the next Excel cell, ordiscover segment valuesrange of cells, in a desired direction like or to the , populating the periods from the calendar as it is configured in Oracle E-Businessdown rightSuite. 

 

Make sure that you enter the starting period name as text by first formatting the Excel cell as text or entering the period name prefixedby an apostrophe ‘ e.g. ‘Jan-03. If Excel interprets the value entered as an actual date e.g. 01/01/2003 then discover period names willnot work.

Discover Segment Properties

The  functionality allows a variety of information to be extracted about the selected segment values. The followingDiscover Segment Propertiesinformation will be populated in the cells to the right of the segment value:

Discover Child Ranges

The  functionality can be used to show the child values that are assigned to a particular parent. An Excel note is added toDiscover Child Rangesthe cell showing the ranges that have been assigned to the selected parent. This is useful for understanding and exploring your Chart ofAccounts.

Expand and Explode

Expand

Expanding a selection will insert rows below the selection and display the lowest level child values, the segment hierarchy (full hierarchy or justone level) or account combinations depending on which expand option you select. The available options are:

You can also highlight a number of columns and GL Wand will insert the child values and copy the contents of the highlighted cells against eachchild value that is inserted.

Expand Segment Value Hierarchy

Expand Hierarchy works in the same way as the  feature except that it will expand using the defined hierarchy. For thisExpand Segment Valuesoption to work your starting cell must contain a single parent value. The child values are expanded in the defined hierarchy and indented to showthe various levels in the hierarchy. You can expand the full hierarchy or just one level.

You also have the option of selecting multiple rows when performing an Expand. GL Wand will perform an expand on each selectedrow.

You can use the option to have each level of the hierarchy inserted into a separate column rather thanHierarchy Level Spans Columnsindenting the values in a single column. See the to change this setting.GL Wand User Options

Expand Hierarchy All

Select a cell that has a single parent value.Choose the relevant segment from the segment list e.g. “Account”.Click the expand button drop down, and click the Expand Hierarchy All option.The child values are retrieved from Oracle and are inserted below the selected cell in the defined hierarchy.

Expand Hierarchy 1 Level

The Expand Hierarchy 1 Level feature works in exactly the same way as the Expand Hierarchy All feature above, except that GL Wand will onlyextracts the values one level down the hierarchy.

Expand Account Combination

The feature allows you to extract a list of account combinations that roll up to a particular segment selection. InExpand Account Combination order to expand an account combination you would do the following:

Ensure that the correct set of books is selected in the drop down list on the GL Wand toolbar.Select the cell containing the account combination criteria e.g. “100.7000”Click the expand button.

GL Wand will now identify that the selected cell contains an account combination rather than a single segment value. You will now be presentedwith a window to identify which segments from your chart of accounts are represented in the account combination.

Select the correct segments and click . GL Wand will now extract all the child combinations that roll up to the criteria that you entered andExpandinsert them into the Excel sheet. The other options are as follows:

Fix – if you tick this option for a segment, GL Wand will “peg” that segment using the selected value (this option only makes sense for aparent segment value). You might for example want to expand all the account combinations used in a particular parent cost centre.Simply “Fix” the cost centre segment and GL Wand will return all the account combinations used within that parent cost centre.Exclude disabled account combination – tick this option to only return account combinations that are currently enabled and have not beenend dated.

The expand account combination feature can be used as a normal GL Wand “Expand” in order to extract the detail behind a total, but it is alsovery useful to extract existing account combinations from your Oracle system.

Explode Segment Values

The feature will duplicate the current Excel sheet for each of the child values of the selection.The selection might be a parent value,Explode range, wild card or a combination of these options.

The most logical use of this feature is to Explode a report to get the details of a parent segment.

Explode Account Combination works in exactly the same way as except that it will duplicate the current Excel sheetExpand Account Combinationfor each account combination returned.

List of Values

The list of values dialog can be displayed in a number of places in the application:

You click on the "Show List of Values" button when an Excel cell is selected which has been previously formatted as a special LOV cellusing the  functionality.List of Values - CreateYou click on the "Show List of Values" button when you are not in a special LOV cell. A list of values dialog will open showing the valuesfor the currently selected item in the   on the toolbar.Book and Segment SelectorA number of other dialogs will also use this list of values window as well.

You can use the list of values as follows:

Enter a value to search for in the filter panel. The list of values will be filtered to show only items that match the text you entered. The textentered will be compared to the value and description of the list. An item will be included in the results if either field contains the textentered in the filter panel.Click the “Add” button, double click an item in the list or press enter to add the current item to the selection list on the right. You can alsoclick and drag an item to add it to the selection list.You can add a range like “1000-2000” as follows:

Start by adding the “1000” value using one of the options explained above.Then find the “2000” value in the master list.Ensure that the “2000” value is highlighted in the master list and the “1000” value is highlighted in the selection list and click the“Add Range” button.You can also drag a value from the master list onto an existing value in the selection list to create a range.

To remove an item from the selection list, ensure that it is highlighted and then click the “Remove” button or double click the item in theselection list and it will be removed.  You can also click and drag an item to remove it from the selection list.If you want to include certain values and exclude others you can use the “Add Exclude” option. This will add the highlighted value to theselection list prefixed by the reserved exclude character (default is “~”).

Once you have added all the required values to the selection list click “OK” and the following will happen:

If you started in a special LOV cell the results will be entered into the cell.If you did not start in a special LOV cell the results will be placed on the clipboard and you can paste them wherever you like.If you started on another dialog the results will be entered into the field where the list of values originated.

List of Values - Create

This feature can be used to quickly format a cell to be a special list of values cell. The cell is identified by a note containing the word “LOV”. Inorder to open the list of values, simply double click the cell or select the cell and click the Show List of Values button on the toolbar. This will openthe list of values for the specific data type that the list of values cell was created for. The checkbox allows you to link the list of values to a specificbook. This option is only applicable on certain list of values.

Insert GL Wand FunctionGL Wand includes many custom Excel functions that allow you toextract information from Oracle dynamically. You can enter a functioninto an Excel cell in a number of ways. 

Navigate to and click theGL Wand | Insert Functionapplicable function button or select one from the functionsdropdown menu.Type the function name into the cell manually prefixed by an =sign e.g. =GLW_Get_Balance.You can select the function from the list that Excel provideswhen you choose the Insert Function menu item.  The GLWand functions are listed under the GL Wand category.

We recommend using our function wizards to create and edit existingfunctions rather than the Excel function arguments window ( ). Ourfxwizards provide lists of values and the actual segment names for thefunction parameters while still allowing the parameters to be linked toExcel cells. See the  function for an example.Get Balance

Function return values

The GL Wand functions will return a variety of results depending on a

number of factors.  If all the information is entered correctly and thereare no data access restrictions, the result should be the General Ledgerbalance, segment value, segment description etc.  However thefollowing are also possible return values.

NoAccess – When you log on you will be prompted for yourapplications user name and password and will then need toselect a responsibility to log on to.  Any security rules that havebeen linked to the selected responsibility will be enforced on theGL Wand data.  If you attempt to access a balance on a generalledger account that you do not have access to, the function willreturn “NoAccess”. Please see the sectionAudit Get Balancefor information on how to identify the security rule that is beingcontravened. Also, a new feature in version 5 of GL Wandallows you to configure the application to return the balancesthat you do have access to, rather than the error message. Seethe option under Show Error on Account Access Violation Syste

for more detail.m Administrator Configuration OptionsError – If you enter invalid information in a parameter for a GLWand function the GL Wand error value will be returned.  Thismay happen when you, for example, enter an invalid budgetname or period name in the Get Balance function or when youenter an invalid segment number in the next segment valuefunction. This error value will also be returned when you are notlogged on. The details of the return value will indicate where theproblem exists e.g. Error (Logon), Error (Balance Type), Error(Translated Flag), Error (Actual Flag), Error (Period) etc.Pending – This value will be returned during the calculationprocess. Whenever a cell requires calculation and the processhas not been completed yet, the cell will contain the value Pend

Returns the account type for the chosen segment value. This function is only applicable for the natural account segment and will return the valueAsset, Liability etc.

Book Optionally enter a set of books / ledger id to bind the formula to aspecific set of books / ledger. If this parameter is omitted, the set ofbooks currently selected in the Set of Books dropdown list will beused.

Independent Value For dependent segments, enter the independent value that thesegment value relates to.

Daily Rate

Returns the daily currency conversion rate for the selected currencies, date and conversion type.

Parameter Description

From Currency The currency to convert from.

To Currency The currency to convert to.

Conversion Type The currency conversion type.

Currency Date The date to convert the currencies.

Enabled Flag

Returns the enabled flag for the chosen segment value.

Parameter Description

Segment Value The segment value.

Segment The segment number.

Functional Currency

Returns the functional currency for the selected set of books / ledger.

Parameter Description

Get Balance

The Get Balance function is probably the most important function in GLWand. It returns a General Ledger balance individually or summedbased on the parameters that you enter. Clicking the Get Balancefunction on the GL Wand toolbar will open the Get Balance Wizard.

The following options are available in the Function Wizard:

Select a value from the drop down list. These lists arepopulated with the available values for each parameter or withthe configuration data read directly from Oracle.

Click the  button to link the parameter to an Excel cell.With an Excel range reference in a parameter, use the F4 keyto toggle the absolute and relative addressing as you would inExcel.

Use the  button to enter account combination criteria.

Use the  button to enter descriptive flexfield criteria.

Parameter Description

Period Name The period name as configured in Oracle.  This parameter must beentered in exactly the same format as the period names in Oracle. For example if your period names are configured as follows “Jan-07”in Oracle and you enter “Jan-2007” or “January-07” or “jan-07” for thisparameter, GL Wand will not return any data, and will instead returnan Error (Period) message.

When used in conjunction with the special Balance Type (CustoCTDm to Date) you can specify a custom period selection. For example“Feb-07-Aug-07” will add all the movement for the entered periodrange. You may enter multiple lists or ranges of periods and can usewild cards as well e.g. “Jan-0%” or “%-07”.

When used in conjunction with the special Balance Types “JED”,“JEDU” or “JEDP” (Journal Effective Date) the period parameterbecomes a date parameter e.g. “01/01/2007-05/01/2007,10/01/2007”.The format that your date is in is important. The “-“ character is usedin GL Wand to denote a range of values and therefore it cannot beused as a date delimiter e.g. 01-01-2007 would not be valid. So takecare if your Windows regional setting uses the “-“ as a date delimiter.For JED type calculations we recommend that you use the “/” as adate delimiter and that you always format the date as text in Excelotherwise Excel will convert the date based on your regional setting.

Balance Type YTD, QTD, PTD, PJTD, CTD, FYS, FYE, JED, JEDP or JEDU all inupper case.

YTD – Summarizes the full years balanceQTD – Summarizes the balance for the quarterPTD – Includes just the current period’s movementPJTD – Project to dateCTD – Summarizes the custom period criteria enteredFYS - Financial year start, valid with actual balances only.FYE - Financial year endJED – Summarizes the journal movements for the entered datesfor both posted and unposted journals.JEDP - Summarizes the journal movements for the entereddates for posted journals onlyJEDU - Summarizes the journal movements for the entereddates for unposted journals only

Currency The currency code as configured in Oracle all in upper case e.g.“USD”.

Translated Flag Enter E, T or C.  Use E to retrieve the entered amount and T for thetranslated amount. Use C to report on the converted amount i.e. thefunctional currency equivalent of a foreign currency amount.

Only E is valid if requesting a balance for the functional currency ofthe current Set of Books. 

You must ensure that you have run the currency translationprocess in Oracle for the selected currency and period beforereporting on translated balances. If you enter T to request thetranslated balance and there is no current translated balanceavailable in the system a zero is returned.

Oracle Release 12 provides a new feature to allow reporting on thevalues entered in the functional currency only i.e. excludes anyforeign currency transactions converted to the functional currency.Therefore, in Release 12, if you use the E (entered) flag inconjunction with the functional currency, any converted amounts willbe excluded. To report on the total balance (including values enteredin functional currency and values converted to the functionalcurrency) use the new option. This option is only available if youTotallog on to a release 12 Oracle instance.

Actual Flag A – Actual, B – Budget, E – Encumbrance.

Budget If you entered B above, this field will become available and you willneed to enter a budget name.

Encumbrance If you entered E above, this field will become available and you willneed to enter an encumbrance name.

Segment1 through Segment20 Enter the segment value here.  You must enter it as a text valueincluding any leading zeros e.g. enter segment value “10” as “0010” ifthis segment is configured as four characters with leading zeros inOracle. You may enter your segment values in a variety of flexibleways including parents, child values, ranges, wildcards, excludesetc. To include all values simply enter “%”.

 The segment value parameters can be entered as:

a single value representing a child or parent account e.g. “1500”might represent a parent account.a range of values e.g. entering “1500-1600” in one of thesegment parameters will sum all the segment values between1500 and 1600 for that segment.a list of segment values e.g. entering “1500,1510,1590” in one ofthe segment parameters will sum the specific segment valuesentered. If any of the segment values are parents GL Wand willsum the hierarchy for that parent.wild card entries e.g. 1%00 will sum 1100, 1200, 1300, 1400 etc.or entering the value 1% will sum all values that start with 1.values to be included and then specific exclusions e.g.“1000-2000,~1500” will sum the values between 1000 and 2000but will skip 1500.a combination of any of the above e.g."1000-2000,2371,2375,2560-2580,3000,~3200,4000,~4161-4169". In this way you can build up your own calculation definition inthe segment parameter.

Book  This parameter cannot be modified as the segments are driven basedon the current book. The book defaults to the item selected in thedropdown list on the toolbar, or to the value in the function whenediting an editing Get Balance. 

Include the Book Id Choose to include the book id in the formula inserted in to Excel.

Journal Source Limit the results to a specific journal source.

Journal Category Limit the results to a specific journal category.

Movement Show only the debit or credit amounts. Leave this field blank to showboth.

Multiply Use this parameter to switch the sign of the balance by multiplying by-1. Also useful to show the number in a factor e.g. thousands bymultiplying by 0.001.

When creating Get Balance formulas always use “%” todenote all values as this allows more efficient SQL to begenerated. Do not use a range like “000-ZZZ” as they willrequire unnecessary processing.

There is a limit of 255 characters that can be entered for asegment parameter. This limit is a constraint of thearchitecture of Excel 2003 but the limit should not beapplicable in Excel 2007 and higher. We are working withMicrosoft to get this issue resolved. In the mean time, if youneed criteria longer than this limit, we recommend using aparent value configured in Oracle.

Using this parameter, rather than equivalent Excelfunctionality, ensures that when the Get Balance function isreturning a message, this message will be displayed in thecell. For example, if you capture your Get Balance functionas =GLW_Get_Balance(...) * -1 and the Get Balance resultis due to an invalid period being entered, theError (Period)cell will display #VALUE. If you use this parameter tomultiple the balance by -1, the cell will return the Error

message.(Period)

Decimal Places   Round the balance to the specified number of decimal places. Usefulto use in conjunction with the Multiply parameter to show the numberin a factor e.g. thousands by multiplying by 0.001 and then round tozero decimals. Descriptive Flexfield Criteria

In order to extract balances using the descriptive flexfields stored on the segment values you need to use special syntax in the Get Balancefunction. The syntax works as follows:

{1:ABC}

You wrap the descriptive flexfield using curly brackets.The first character after the open bracket identifies which descriptive flexfield attribute is being referred to.You then separate the descriptive flexfield attribute from the actual value using a ":".You then specify the criteria for this attribute.

An example Get Balance function would look as follows:

=Get_Balance("Jan-02","PTD","USD","E","A","","01","{1:ABC}","1000","0000","000")

This example will return all the values where attribute 1 of the segment descriptive flexfield on segment 2 is equal to the value "ABC". It ispossible to specify criteria for multiple descriptive flexfields as follows:

=Get_Balance("Jan-02","PTD","USD","E","A","","01","{1:ABC},{2:XX}","1000","0000","000")

Simply wrap each descriptive flexfield value in its own {} and identify the attribute number. The descriptive flexfield criteria can include single valueor a list or range of values. The delimiter characters used with descriptive flexfield ranges and lists can be configured independently from thenormal delimiters for segment values. This ensures that you can choose a character that does not conflict with the data in your descriptiveflexfields. See the  . =Get_Balance("Jan-02","PTD","USD","E","A","","01","{1:100|200}","1000","0000","000")

This example will return all the values where attribute 1 of the segment descriptive flexfield on segment 2 is between 100 and 200. Date valuesare also supported in this criteria and GL Wand will correctly derive the “between” criteria for a date.

The wizard has functionality to assist with building the DFF criteria in the correct syntax. Click the button for the applicable segmentGet Balanceand the DFF criteria wizard will be displayed.

Segment Combination Criteria

You have the ability to specify segment combinations using special Get Balance syntax. This means that you can create complex criteria for yourGet Balance formula e.g. (segment 2 = 100 and segment 3 = 1000) or (segment 2 = 200 and segment 3 = 2000). With these criteria GL Wand willnot return all the possible combinations (intersections of the specified values) but rather only the combinations you specify.

In order to specify account combinations in a Get Balance function, you must tell GL Wand which segments you are combining. You do this byentering a special value into the segment e.g. if you want to combine criteria for segment 2 and segment 3 you would enter the following in theparameter for segment 2 “USE_SEG3”. This tells GL Wand that that it must find the criteria for segment 2 inside the segment 3 parameter. In thesegment 3 parameter you now enter the criteria for both segment 2 and segment 3, separated by the special delimiter character e.g. “100.1000”.This tells GL Wand that you are looking for accounts where segment 2 is 100 and segment 3 is 1000. An example could look like this:

=Get_Balance("Jan-02","PTD","USD","E","A","", "01","USE_SEG3","100.1000,200.2000","0000","000")

It is possible to combine multiple segments as follows:

=Get_Balance("Jan-02","PTD","USD","E","A","", "01","USE_SEG5","USE_SEG5","USE_SEG5","100.1000.0000.000")

You simply point each applicable segment to the parameter where the segment combination will be captured using the special “USE_SEGX”syntax. Then inside the target parameter you combine the fully qualified account combination for the applicable segments delimited with a "."character.

When you specify your account combination you have full flexibility to use ranges, lists, wild cards, parents and exclude criteria. For example thiscriteria will fetch all the values where segment 2 is between 100 and 200 and segment 3 is between 1000 and 2000. And in addition to that it willinclude the values where segment 2 is 250 (a parent) and segment 3 starts with 33 but will exclude the specific value where segment 2 is 250 andsegment 3 is 3320.

=Get_Balance("Jan-02","PTD","USD","E","A","","01","USE_SEG3","100.1000-200.2000,250.33%,~250.3320","0000","000")

You also have the flexibility to group different parts of the account combination together. For example this criteria combines the values forsegment 1 and 3 together and combines segment 2 and 4 together.

=Get_Balance("Jan-02","PTD","USD","E","A","", "USE_SEG3","USE_SEG4","01.1000,02.1150","100.0000,200.1050","000")

These new Get Balance syntax options provide you with tremendous flexibility when building your GL Wand reports. The wizard hasGet Balancefunctionality to assist with building the segment combination criteria in the correct syntax. Click the button for the applicable segment and thesegment combination criteria wizard will be displayed.

  

Historical Rate

Returns the historical currency conversion rate for the selected parameters.

Parameter Description

To Currency The currency to convert to.

Period Name The period name as configured in Oracle.  This parameter must beentered in exactly the same format as the period names in Oracle. For example if your period names are configured as follows “Jan-07”in Oracle and you enter “Jan-2007” or “January-07” or “jan-07” for thisparameter, GL Wand will not return any data, and will instead returnan Error (Period) message.

Segments Enter the segment value here.  You must enter it as a text valueincluding any leading zeros e.g. enter segment value “10” as “0010” ifthis segment is configured as four characters with leading zeros inOracle. A Historical Rate is for a specific account combination, so avalue must be entered on all segments, otherwise anError(SegmentX) message will be returned, with X identifying whichsegment is invalid.

Book Optionally enter a set of books / ledger id to bind the formula to aspecific set of books / ledger. If this parameter is omitted, the set ofbooks currently selected in the Set of Books dropdown list will beused.

Example: =GLW_Historical_Rate("GBP","Jan-02","01","000","1210","000")

Next Segment Value

Returns the next segment value.

Parameter Description

Last Value The starting segment value.

Segment The segment number.

Level Enter a P to return the next parent value, enter a C to return the nextchild value or leave the parameter blank to return the next segmentvalue irrespective of whether it is a parent or child.

Book Optionally enter a set of books / ledger id to bind the formula to aspecific set of books / ledger. If this parameter is omitted, the set ofbooks currently selected in the Set of Books dropdown list will beused.

Example: =GLW_Next_Segment_Value("1500",4,"P",1)

Parent Flag

Returns the parent flag for the chosen segment value.  Y means that the segment value is a parent.

Period Offset

Returns the period name that is the specified number of periods into the past or the future.

Parameter Description

Offset Enter an offset to return the period name which is n periods before orafter the entered criteria e.g. enter 3 to return 3 periods into the futureor -1 to return the previous period.

Return Range Set this value to true to return the result as a range e.g. enteringperiod Mar-07 with an offset of -2 and the Return Range parameterset true will return “Jan-07-Mar-07”. This can be used in conjunctionwith the CTD (Custom to Date) balance type in the Get Balancefunction to create rolling period reporting.

Attribute Number Identify which attribute you want to report on. The segment valuesdescriptive flexfield has 50 possible attribute values. The applicableattributes will depend on your configuration and whether thisDescriptive Flexfield is used by your organization.

Segment Level

Returns the segment level for the chosen segment value. The level can be configured in Oracle and usually represents a level in the hierarchy.

CalculatingThe calculation buttons allow you to control exactly what cells are refreshed. They are used in conjunction with the calculation option (on/off). Youcan stop a calculation at any time except while the calculations are being accumulated from Excel.

Calculate Range, Sheet, Workbook or All

To calculate a range of cells simply:

Highlight the range.Or select multiple ranges using the ctrl button (as normal in Excel).Or select a range and then select multiple Excel worksheets to calculate the same range on each sheet.Click the "Calculate Range" button.

To calculate a sheet simply:

Select the applicable sheet.Or select multiple sheets to calculate each of the selected sheets.Click the "Calculate Sheet" button.

Please note, do not use the calculate range option to recalculate the entire sheet i.e. by selecting all the cells on the sheet. This willtake unnecessarily long. Rather use the calculate sheet option.

If you click while on a cell which is the input value for a GL Wand function, those functions will also calculate.calculate range

Calculation on or off

You can use the calculation toggle button to control when requests for calculations are sent to the server. If you toggle GL Wand calculation "Off",calculation requests are not sent to the server which means you:

Can manipulate a worksheet.Change cell values.Enter new functions.And perform any other task that would normally cause Excel to recalculate.And the applicable functions will only return the "Pending" status and will not actually calculate a result.

This is useful during report development. To calculate the results simply click one of the calculation buttons.

If you leave the GL Wand calculation option "On", the applicable functions will be recalculated whenever Excel initiates a calculation process e.g.

When changing the contents of the cell.Or changing one of the function's input values.

Calculation progress and stopping a calculation

When you perform a recalculation a window will appear to show the progress of the calculation and to allow to you stop the calculation. Once allthe calculations have accumulated, you are able to continue working in Excel while the results are queried from the Oracle server. You can alsoclick the button to show the minimal calculation window which will consume less space on the screen.minimize

Showing the last calculated value

Normally when you open a GL Wand workbook, the values will calculate and will either show or will begin querying the results from thePendingOracle server. A new option in GL Wand 5 allows you to see the last calculated value that was saved with the workbook without needing to wait

Please note that this calculation option has nothing to do with Excel’s automatic and manual calculation. This calculation option controlsonly the calculation of the applicable GL Wand functions. All other calculations are controlled as normal by the Excel automatic andmanual calculation option.

With this option enabled, GL Wand keeps track of frequently usedGL Wand User Optionsbalances and returns them directly to Excel if they are still current. This results in fewer queries being sent to the Oracle database for balancesthat have not changed and much faster performance getting these balances into Excel. Some important points about the in-memory database:

The balances are stored in memory on the client PC. The PC should therefore have adequate memory available. There is a setting whichyour system administrator can control that determines how much PC memory is made available to GL Wand. If you start seeing awarning in GL Wand that memory is running low, contact your system administrator to have this setting modified.Should you need to clear the in-memory database, this can be done under the .GL Wand User OptionsThe in-memory database is saved to a file on the local PC when you close GL Wand and loaded again the next time you launch.There is a further setting under the which allows you to control the maximum time in days that a balance shouldGL Wand User Optionsbe retained in the in-memory database if it is not accessed. This setting can also assist to manage the amount of memory used.

Execute Drilldown

Drilldown allows you to extract additional detail about a specific "Get Balance" function.

Select a cell that contains a valid Get Balance function.Click on the drilldown button.A drilldown sheet is created either in the current workbook or in a new one depending on your selected .GL Wand User OptionsIf applicable the criteria sheet will be populated with the criteria from the Get Balance function (See the Create Drill Criteria Sheet sectionfor more details and options on the drilldown criteria sheet).The drill down to balance detail will be executed showing all the detailed accounts that make up the total in the Get Balance function.

You now have a variety of options which can be performed from the drill down workbook.

Modify the parameters on the criteria sheet and perform a new drill to balance. Drop down lists are provided for most of the parameters.If you have performed a balance drilldown you can select the "Balance" sheet, select one or more rows with accounts and then click thedrilldown button to drill to journal details.Select the "Journal" sheet, select one or more rows with journal lines in the "Drill to Full Journal" column and then click the drilldownbutton to drill down to the full journal. The full journal with all the contra entries for the selected journal lines will be displayed.Select the “Journal” or “Journal-Full” sheet, select one or more rows with journal lines and then click the drilldown button to drill to thesub-ledger detailsDrill down to Global Consolidation System transactions.

When drilling down you have the following options:

Double click any cell on the row that you wish to drill down on. This will execute the default drilldown for that row.Select any cell in the row that you want to drill down on and click the drilldown button on the toolbar. This will execute the defaultdrilldown for that row.Highlight a range of rows and click the drilldown button on the toolbar to drill down on multiple lines at once.Highlight non-contiguous rows using the "Ctrl" button and click the drilldown button on the toolbar to drill down on multiple lines which arenot adjacent to each other.Some drilldown reports have multiple possible drilldown paths e.g. the Journal drilldown can drill to the full journal or to sub-ledger. For areport like this:

To execute the alternative drilldown path you must select the column which links to that particular drilldown e.g. on the Journaldrilldown the drill to full journal is the alternative drilldown path and there is a column which you must select in order to executethis drilldown.If you select any other column then the default drilldown will be executed e.g. on the Journal drilldown the drill to sub-ledger isthe default drilldown path.

A couple of important things to note about drill downs:

When you drill down to journal details the "Balance Type" parameter controls how much detail is returned. If this parameter is "PTD" onlythe current period’s journals are returned. If this parameter is "YTD" then all the journals for the year are returned and likewise "QTD" willshow the journal for the quarter.It is possible to drilldown through multiple drill levels at once e.g. from a Get Balance formula directly to the sub ledger information. See D

An Excel bug is currently affecting the functionality. If a workbook is saved as an .xlsx file, the values revert to zero when certain actionsare performed inside the workbook, e.g. deleting a column. The current workaround is to save the file as an .xls (Excel 2003) file. Thisbug also affects the GL Wand Drill Only product in the same way. We are working with Microsoft to find a solution for this.

Drill Criteria Sheet

A drill down can be performed by selecting a cell containing a Get Balance formula and clicking the drill down button on the toolbar. However, youmay wish to bypass the requirement for a Get Balance formula and simply extract data based on parameters that you set. The Drill Down CriteriaSheet functionality allows you to very quickly extract the detailed general ledger balances and journals that meet certain criteria. This is usefulwhen large numbers of individual GL balances are required as the values are returned faster than by using many individual “Get Balance”formulae.

To create a drill criteria sheet navigate to . This will create a new drilldown workbook with a criteriaGL Wand | Execute Drilldown | Drill Criteriaform on the first sheet.

Enter the parameters for the data that you wish to extract on the criteria sheet of this new workbook. The criteria are exactly the same as theparameters of the Get Balance function and operate in the same manner.

You can enter values manually by typing them in to the field, or select them from a list of values. To use the list of values simply double click thecell where you want the parameter cell or select the applicable cell and click the list of values button on the GL Wand toolbar. The list of valuesform will open (see the sections for more details).Segment List of Value

Enter a periodChoose the balance type. Please note that selecting “YTD” will extract all the journal lines for the year when executing a journal drill downand similarly “QTD” will extract the journals for the quarter.Enter the required currency codePick “E” entered or “T” translated balances (Or Total if using Oracle R12)Pick “A” actual, “B” budgets or “E” encumbrance for the primary balance type. If you select “B” or “E” then you must populate the Bud/EncName parameter with the budget version name or encumbrance type. Enter a journal source, category or movement type to limit the results to only those criteria.

Double click Execute Drilldown, or use the balance drill down button on the GL Wand toolbar to execute the drill down.

Drill Using a Saved Template

When you execute a drilldown, the current default template will be used. This will be the seeded template unless you have created your own (Edit) and saved one as the new default ( ).Template Layout Save Template Layout

To drilldown using one of your saved templates select the button under the advanced drilldown menu. You will be prompted to select the savedtemplate that you wish to use and the drilldown will execute.

 

 

Drill to Journal or Sub Ledger

It is possible to drill from a Get Balance formula directly to the journal or sub-ledger information. Similarly you can drill from a balance drilldownreport directly to the sub ledger information. If you select these options, GL Wand will execute the interim drill steps automatically. Be carefulwhen performing a drill down directly to the journal or sub ledger detail level as these drill down operations may return many records.

Analyze Balances

This special drilldown extracts detailed GL balance records and presents them in a pre-formatted Excel pivot table. This report is useful forcomparing time periods with each other, comparing actual, budget and encumbrance data, comparing currencies and generally for performing anyanalysis of the underlying general ledger balance records. Examples of how to use this functionality effectively will be added here soon.

Edit Template Layout

Create your own custom drilldown layouts.

You can do the following:

Set sort and subtotal options.Remove columns.Move columns.Add columns from the available columns panel. This panel can be filtered by category and by searching for a specific name by typing inthe filter panel.

In addition to these customizations you can also do the following on the Excel sheet directly:

Insert Excel calculated columns.Customize your formatting including number formats, colors, fonts etc.Add other Excel objects above or below the drilldown report e.g. totals, other Excel functions, charts, pivot tables etc.

Save Template Layout

The format of the currency and translated flag fields currently limits the effectiveness of performing a comparison between differenttranslated, entered and converted currencies. This will be addressed in a future release.

Save your custom drilldown layout for future reuse and optionally make it the new default.

Manage Templates

This form is used to maintain all the drilldown layouts you have created. Navigate to .GL Wand | Customize Drilldown | Manage TemplatesInitially the templates will be display. Select the drilldown report that you wish to manage templates for.Analyse Balances

The report wizard is useful for building your very first example report from which to learn GL Wand principles. The report wizard will create a

Hide Zeros

Hide Zeros is used to hide rows on a report that only contain zero values. This is very useful for formatting a report which includes many rowswhere, for example, a number of accounts are not used in a particular cost centre or have no balances in a certain period. At the click of a buttonyou can hide all the rows that contain only zeros.

Select a range on the report.Navigate to .GL Wand | Tools | Other | Hide ZerosGL Wand will now process the selected range, and hide any rows that only have zero values in them.

Unhide Zeros

Click this button to automatically undo the last Hide Zeros operation.

 

Import FSG

The FSG conversion utility can be used to import an FSG report definition from Oracle. You can then format the data and link it to Get Balanceand other GL Wand formulas to complete the report. To import an FSG navigate to . You will beGL Wand | Tools | Other | Import FSGpresented with a list of FSG reports available to the responsibility you have signed in with. Select the item you wish to import and click Create

Review Row definitions and consolidate segment low high ranges into input parameters for the Get Balance function.Review Column definitions and consolidate segment low high ranges into input parameters for the Get Balance function.Modify the sample Get Balance function to reference valid parameters. Merge Low High Segment Ranges

The account assignment information is presented as Low High ranges of segment values as per the definition in the FSG report. In order to usethis information in a segment parameter of the Get Balance function one often needs to merge the values into a single cell of ranges and lists ofsegment values. You can use the Merge Low High Segment Ranges button to automate this process.

Select a range of Low High segment ranges that need to be mergedClick the Merge Low High Segment Ranges buttonThe selection is merged into a single cell of ranges and lists of segment values.

Configuration Sheet

When you click the "Configuration Sheet" button, GL Wand inserts a new worksheet into the current workbook that contains a variety ofinformation about the configuration of your Set of Books / Ledger.  The Configuration Sheet includes:

Chart of accounts layout showing each segment’s details.Example period names.Valid balance types.Available currency codes.Valid actual flags.Budget names and encumbrance types.Definition of the segment values descriptive flexfield as configured in your system.

The information on the Configuration Sheet can be useful when constructing GL Wand functions. The period names will show you how theaccounting period has been configured in Oracle e.g. the period names may be in the format:

Apr-03.Or they might be April-03.

This is very important, because when you populate the Period parameter of the "Get Balance" function you must enter it in:

The correct format.The correct case.

Otherwise GL Wand will not find the data you have requested. The function will return the period name in the correct format and canPeriod Namebe used as an input into the Get Balance function. The budget and encumbrance names are also very useful, as these must also be entered inthe correct case and with the correct spelling in order to successfully extract a budget or encumbrance balance.

GL Wand User Options

Configure your user preferences.

 

Option Description

Show disabled Include disabled segment values when discovering, expanding orexploding and in lists.

Treat end dated segments as disabled If a segment value has a "From" or "To" date specified which fallsoutside the current date then treat it the same as a disabled segmentvalue.

In-Memory Options Enable Enable or disable the in memory database option.

Maximum Age Items from the In-Memory database that have not been accessed forthe specified number of days will be discarded. 

In-Memory Clear Clear the In-Memory database. You must unlock the option byclicking the lock first.

Show last calculated value Show the last calculated value, if available, when the calculationmode is set to off. See for more detail on this option.Calculating

GL Wand Drill OnlyThe GL Wand Drill Only product comprises a sub set of the full GL Wand product's functionality. Please see the relevant section of the GL Wanduser guide for help with using the GL Wand Drill Only product functionality.

Reports Distribution ManagerThe Reports Distribution Manager allows you to replicate and distribute copies of a GL Wand report in batches. The process will open the GLWand report, update the values, and take a snapshot of the report.

Optionally you can also email and print the report.

For example, you might have a standard Cost Centre report that you wish to replicate for a range of Cost Centres. With Reports DistributionManager, you can configure a report set definition, and then execute that definition. The production of the reports will be automated for you.

The first step in the process is to create a source GL Wand report. You can use one that already exists. Ensure that you link the parameters thatyou want to change (Cost Centres in the above example) in the source report to the Get Balance formulas.

The next step is to .create an RDM template

Create Template

To create an RDM template navigate to . You will be presented with a form to help create the template.RDM | Define | Create Template

Changes to this option are only effective at the next logonor after changing responsibility.

With this setting enabled, double clicking in a cell that doesnot contain an Excel4apps drilldown function or list ofvalues will always result in the cell being put into edit mode.Excel's option to select the cells that are referenced by theactive cell will be disabled.

Changes to this option only become effective the next timeyou modify the calculation option, log on or changeresponsibilities.

Below is a simple example.

If you are going to use the Hide Zeroes functionality, it is recommended that you select the range here, as this needs to be in the exactformat required.

Modifying the Criteria

To make changes to the report, you can update the fields as follows:

You can modify the source report in E4. This can be done by editing the cell, but we recommend that you rather double click the cell andselect the report from the normal file open dialogue box. If you edit the cell directly you must ensure that you capture the path and filename correctly.Optionally modify the output folder and grouping file name. You can double click the output folder cell to select the folder from a dialoguebox.Optionally edit the hide zeros range. Please note the format must match the standard Excel range format. You can hide zeros on multipleranges by comma separating a list of ranges in the hide zeros cell e.g. =’Profit and loss’!$C$17:$H$45,’Profit and loss’!$C$60:$H$100.With this syntax you can also set a hide zeros range on multiple worksheets in the workbook.You can edit the cell links in row 7. Please ensure that you enter valid cell references that target the correct input parameters in thesource GL Wand report.Edit the parameters by capturing from and to values and toggling the Y / N flags for the various options.Enter email addresses in the To, CC and BCC fields.

Optionally set an output folder and grouping file name for the row.Populate additional lines by either capturing the detail from scratch or simply use normal Excel copy and paste to create a new line andthen change only those fields that are different.Insert additional rows if the default number is not enough.

Once you have completed populating the report set definition it can be saved as a normal Excel spreadsheet.

This is a normal Excel workbook. However the structure must not be changed. The only changes that you may make to this workbookare to insert more lines and to populate the white fields. Any other changes will most likely corrupt the definition and ReportsDistribution Manager will give an error when you try to execute the definition.

If you use Microsoft Outlook, you can double click in the fields, and a list of email addresses will be shown. These can becontrolled in your options.

If you type in email addresses, please separate them with either a comma or a semi-colon.

Execute Reports Distribution ManagerWhen you are ready to execute the RDM definition, close all other Excel workbooks. Then do one of the following:

To execute only a few rows of the report set definition, first highlight the applicable rows (or a cell in each row) and then click the execute

rows button 

To execute one or more RDM definition sheets, first select the applicable sheets and then click the execute sheet button 

To execute all the definition sheets in the current workbook click the execute all button 

The Reports Distribution Manager will the definition and if all checks are passed you will be notified of the number of reports and files tovalidate be created.

Reports Distribution Manager Validation

The Reports Distribution Manager first validates all the definition rows that will be executed. If any errors are found the process will be stoppedand the errors will be marked in red.

An Excel note will be added to each cell to provide more information about the error.

If all rows to be executed pass validation you will receive a message indicating how many reports will be created:

At this stage you can cancel the process or you can click “Yes” to continue to .generate the reports

Report Generation

Once is complete, and assuming all items pass, the Reports Distribution Manger will open the GL Wand report and loop through all thevalidation selected definition rows and create a report for the criteria on that row. The applicable output formats will be created and if requested the reportwill be printed.

The output report name and folder location will depend on the options that you have specified on the definition. The output folder location will bedetermined as follows:

If an output folder is specified on the row, the report will be saved in that folder.Else if you specify an output folder on the header level that folder will be used.Else the report will be saved in the folder where the source GL Wand report is located.

The file name will be determined as follows:

If a grouping file name is specified on the row then all output from that row will be grouped into the specified file name.Else if you specify a grouping file name on the header level then all output will be grouped into that specified file name.Else the file name will be generated using the source GL Wand report name suffixed with a concatenation of the segment or periodvalues used in the generation of that report e.g. “Profit and Loss – Jan-07 – 100” might be the profit and loss output report for January

2007 and department 100.

It is obviously possible for many of the generated reports to use the same folder and file name. In this case GL Wand will append all the reportoutput into a single Excel workbook.

If you requested the reports to be emailed, then this will happen in the background with no further intervention required by you.

Once the process is completed each executed row will be marked in green if it was successfully processed, yellow if no output was generated orin red if an error occurred. Any unsuccessful rows will include a note in column B to provide any available information about what caused theproblem.

It is possible to include multiple report set definitions in a single workbook. To do this, simply open an existing Reports Distribution Managerworkbook and click the Create button under the Reports Distribution Manager menu. A new sheet will now be added to the existing workbookinstead of a new workbook being created. You can also use normal Excel functionality to copy a sheet from one Reports Distribution Managerworkbook to another.

RDM User Options

Configure your user preferences.

Option Description

SMTP Host The SMTP host name; e.g. smtp.gmail.com.

SMTP Port The SMTP port; e.g. 465.

During the validation process GL Wand will check if any of the output files to be used already exist. If they do exist you will receive awarning. If you choose to continue the Reports Distribution Manager output will be appended to the existing files.

If you wish to save reports to PDF, you must have Microsoft Office 2007 with SP2 or later installed.

SMTP User Name User name to log on to the SMTP server.

SMTP User Password Password to log on to the SMTP server.

Log in using SSL Email server uses SSL encryption for logging on.

Email Address Email address.

Email Client The email client that is installed on your computer. This is used to getthe list of email addresses in your address lists. Currently onlysupports Microsoft Outlook.

Default Address Book Choose which Address Book is used when opening an email addresslist.

Budget WandBudget Wand allows Excel to be used as the front end to the Oracle General Ledger Budgeting functionality.

Budget models are Excel workbooks that typically contain a mixture of Actual and Budgets values, formulae and formatting as well as cells forentering new budget values. Actual and Budget values are reported using GL Wand's Get Balance functions and entry cells are linked by theLoad Budget function. Budget Wand, together with Excel, enables flexible user defined layouts containing any combination of Actual, Budget,Periods and Books as required. Budget collection templates are built around the Load Budget Function, which allows one to link budget entry cellsto a particular budget and account. Once values have been entered they can be submitted for Validation and Upload.

 Two options are available for uploading budgets. The first option, Budget Amount, allows users to replace any existing budget amount with thespecified input value in the Load Budget function. The second option, Budget Journals, allows users to incrementally increase or decrease theirexisting budget amounts in Oracle. For more information regarding these options please see the section. Load Budget

Book SelectorOnce you have logged on the Book and Load Option dropdowns will be populated.

Book (Set of Books / Ledger)

The book dropdown list can be used to select the set of books / ledger that you wish to work with. If you log on to a book this dropdown list willcontain a single value only. However, if you are licensed to use the Multiple Sets of Books feature or are in trial, then this list will contain multiplevalues in the following situations:

If you selected multiple responsibilities during the log on process all the books linked to those responsibilities will be listed.If you selected the special “All Sets of Books” option, all the books configured in the Oracle instance will be listed.If you log on to an Oracle Release 12 instance and the data access set linked to the chosen responsibility contains more than one ledgeror ledger set, then each of these ledgers will be listed.

The number in brackets () indicates the book identifier. This number can be used in Budget Wands Load Budget formula.

The remaining text on each item represents the responsibility that is linked to the chosen book. This can be useful if ever there is doubt aboutwhat responsibility was selected which resulted in a particular book being included in your Budget Wand session.

Insert Budget Wand FunctionYou can create a function from scratch or functions into a Load Budget. Load Budget Convert Get Balance

Convert Get Balance

This utility will convert a Get Balance function to a Load Budget function. Specify the cell reference of the Get Balance Formula you wish toconvert, the cell where the new budget input value will be entered as well as the cell referencing the Budget Organisation. Alternatively, select theBudget Organisation from the list of values provide.

 

Parameter Description

Get Balance Function Reference a cell containing a valid Get Balance function.

Input Value Enter a numeric value. This is the budget amount that will be loaded.

Budget Organization Enter or select a budget organisation name.

Load Budget

The Load Budget function is used to load a budget amount based on the parameters that you enter. Clicking the Load Budget function on theBudget Wand toolbar will open the Load Budget Wizard.

If the Get Balance formula contained "%" for any of the segment values, then the newly created Load Budget function will return Error(Segment). You are required to specify a specific segment value for Load Budget functions.

   

Parameter Description

Input Value The budget amount to be loaded.

Budget Organisation Enter or select a valid Budget Organisation.

Period Name The period name as configured in Oracle.  This parameter must beentered in exactly the same format as the period names in Oracle. For example if your period names are configured as follows “Jan-07”in Oracle and you enter “Jan-2007” or “January-07” or “jan-07” for thisparameter, GL Wand will not return any data, and will instead returnan Error (Period) message.

You may only specify a single Period Name.

Currency The currency code as configured in Oracle all in upper case e.g.“USD”.

Budget Name Enter or select a valid Budget Name.

Segment1 through Segment20 Enter the segment value here.  You must enter it as a text valueincluding any leading zeros e.g. enter segment value “10” as “0010” ifthis segment is configured as four characters with leading zeros inOracle.

You may only specify a single segment value. Load Budget can notcater for multiple segment values or the use of the all values indicator(%).

Include the book Id Choose to include the book id in the formula inserted in to Excel.

Debits and Credits

Values in the Input Value parameter in the load budget function should be entered in the same sign as values returned by Get Balances. Forexample credit values for revenue accounts are returned as negatives and would therefore need to be entered as negatives and similarly debitvalues for expenses would need to be entered as positives. Please see the  sections should you wish to disable thisBudget Wand User Optionsfunctionality.

Validate and Load Budget Wand will automatically continue to load all valid Load Budgetformulas should they successfully pass the validation process.

Loading Budgets

The load budget buttons allow you to control exactly what cells are loaded.

To load a range of cells simply:

The process will start with a validation step.

If any errors are encountered, the process will stop and allow you the option to continue or cancel.

When using the Load Input Values option, please bear in mind that this will process all Load Budget functions linked to the specifiedinput value cells.

If you click , the process will create any required account combinations and submit the OracleContinue Program - Maintain Budget Organizationrequest. Once this concurrent request completes, Budget Wand will continue to process the valid Load Budget functions.

The newly created account code combinations will then pass through the validation process.

The relevant Oracle import programs will be automatically kicked off.

AutoPost Budget Wand Journals

Budget Wand has the ability to submit the Oracle concurrent program "Program - Automatic Posting" after importing any budget journals that mayhave been created. This will post all relevant journals so that budget journal uploads will be reflected in GL Wand immediately. 

By default Budget Wand will not AutoPost journals. Two steps are required in order to configure this option.

1) Create the Autpost Criteria Set in Oracle as defined below.

The number of records in Oracles budget interface table (GL_BUDGET_INTERFACE) is displayed here. This is to assist users in determining ifany records are stuck or have not processed correctly. This is not applicable when loading Budget Journals.

You can view the output and log files of a request. The request must have a phase state of "Completed".

Messages

The Load Budget function can return a number of different results. They could be a validation that fails or a processing error that occurs. Thereare two main types of validation. Client Validation and Server Validation.

Client Validation takes place automatically or as soon as a parameter in the Load Budget function has changed.

Budget Report Wizard

The report wizard is useful for building your very first example template from which to learn Budget Wand principles.

The report wizard will create a template report using your set of books configuration. The report has a standard layout and allows you to specifythe following criteria

The Period to be used for the Budget Template.One segment to be used as the “Page” item. The relevant segment value to be used for the "Page" item.One segment to be used as the "Row" item.The Budget Name.The Budget Organisation.

Select the template you want to create.

Now that you have generated the report you can extend it to incorporate other values by inserting more rows and copying and pasting the genericGet Balance and Load Budget formulas. You now have the freedom and power of Excel to extend it and modify it as needed.

Budget Wand User Options

Configure your user preferences.

 

Option Description

Delete duplicates in interface table When Budget Wand loads records into the interface table and findsthat a matching record already exists, it will delete that duplicaterecord found and insert the new record. If this option is turned off thenduplicates will be reported on with the load budget cell effected.Please see the section for how duplicates are reported onMessages in the Excel spreadsheet.

This option only applies to loading normal budgets. It has no effect onbudget journals.

Create missing account combinations Enabled/disable the ability of Budget Wand to automatically createnew account code combinations in Oracle.

Budget values entered as positive numbers If this option is enabled then Revenue, Owners Equity and Liabilityaccounts will be loaded as positive values. If it is disabled then theseamounts will be loaded as negative values.

Create Reports Wand Upload Template

This options creates a blank template to upload, delete, modify, enable or disable Reports Wand report definitions.

This option allows a user to download a single Reports Wand report defined in Oracle. It can be updated, deleted, enabled or disabled, and alsoused as a template to create a new report.

Wizard

Create ReportTo create a Reports Wand report, click the Create button on the Report section of the tool bar.

This will bring up a list of reports available to the currently selected responsibility.

Select the required report, and click create.

This will create the report layout in Excel.

Drill DownClick the Drill Down button to drill down on a Reports Wand function.

If the cell contains a Reports Wand function, the drill down will begin.

If the cell does not contain a Reports Wand function, nothing will happen.

Execute SheetTo execute the current Reports Wand report with the saved parameter(s) if there are any, click the Execute Sheet button.

This will populate the report with data. Data will be replaced or appended depending on the report parameters.

Insert an Advanced Function

On the Insert Function menu, click the Advanced button:

A list of the reports available to the responsibility are shown:

If there is another formula in the cell, or some other text, a warning will be displayed. This is to notify the user that the current cell contents will beoverwritten.

Select the desired report, and click Next:

A screen will be shown with a number of options:

 

The information is divided in to three sections.

Function Returns

The function return defines what will be displayed in the cell.

If you want to return a numeric value, such as a sum or count of a field, select the Numeric radio button. This value will be displayed in the cellonce the function has resolved.If you just want to display some text that will describe the drilldown, select the Text radio button. The Text value (see below) will be displayed inthe cell once the function has resolved.

Drill Behaviour

This section controls what happens when the user double click on the cell containing the Advance Function.

Report Title - this will be the title that is shown on the report if the user drills from the advanced function. This defaults to the report title that wasentered when the report was created, but can be changed to anything.

Report To - if this is blank, the report will drill to a new workbook. If there is a matching drilldown template on the worksheet this field point to, thenthe output will be placed in that sheet.

Output Mode - This will almost always be Replace. Replace removes the values from the last run, and replaces them with the results from thenext run. Append will keep the results from the previous run, and append the results from this run.

Function Result

The fields available in this section will depend on whether this is a Numeric or Text function, as defined in the Function Returns section above.

Result Field - this is the field that will be summed, counted, etc. The options available will depend on the field type, i.e. Date, Number, String, etc.

Result Operator - the operator to apply to the Result Field. The options are Sum, Average, Count, Maximum and Minimum. Sum and Average areonly available for Number fields.

Text - the text to display in the cell.

Once the values have been entered, click the Next button.

Parameters

The Parameters section may or may not be shown in this screen. What is shown will be determined by what parameters have been defined whenthe report was created.

Filters

A user can enter up to ten filters. These will be applied in addition to the parameters defined above.

Filters can be applied to any field, not just those displayed on the report.

Advanced Criteria

The Advanced Criteria section has three options.

Advanced - this allows the Filters created above to joined together in complex ways. If two filters are entered, and this field is left blank, then thetwo filters will be joined together with an AND in the SQL. For example, assume Filter 1 is "Creation Date Greater Than 01-Jan-2000", and Filter 2 is "Creation Date Less Than 31-Dec-2000". If theadvanced value is blank, the SQL will be "Creation Date Greater Than 01-Jan-2000 AND Create Date Less Than 31-Dec-2000".

To change this criteria, enter a value in to the Advanced field with format 1 AND (2 OR 3). The numbers represent the Filter, and the rest of thefield must be valid SQL syntax. Currently we only support AND, OR and brackets.Using the example above, if we enter 1 OR 2 in the advanced field, the SQL will become "Creation Date Greater Than 01-Jan-2000 OR CreateDate Less Than 31-Dec-2000".

Limit - This numeric value limits the number of rows returned.

Order By - This field will override the default order by clause used when the report was defined.

Once all the information has been filled in, click finish to create the function.

Modify an Advanced Function

To modify an existing function, select the cell which contains the function. Then, on the Insert Function menu, click the Advanced button:

This will open a screen with the current values of the function pre-populated.

You can then edit these values, or click next to alter the report parameters and filters.

Again, any previous values will be pre-populated here. Alter any values as required, and then click finish to update the formula in the cell.

Modify ParametersTo edit the parameters of a Reports Wand report, click the Modify Parameters button on the toolbar.

This will open up a screen showing the parameters applicable to the report, as well as the other options available.

Open Existing Report

If you have saved a Reports Wand report you wish to open, click the Open button on the Report section of the toolbar.

This will bring up a standard Windows file open dialog, allowing you to open an Excel file as normal. Navigate to your saved report, and open it.
