International Destination Sort

By undertaking detailed sortation and bagging, you can significantly reduce the costs of your international mailing.

Royal Mail’s International Destination Sortservice offers three services – Priority,Standard and Economy – each with different levels of speed and price (see page 4).

There is also an M-bag option for eachservice, a cost-effective way of sending printed matter items to a single address.

What you can send

International Destination Sort

Royal Mail’s International Destination Sortservice can be used to send any type ofmail. The price depends upon the weight,destination, and in some cases, format, ie Letter (P), Flat (G) or Packet (E).

Please see page 20 for format definitions.

The service can be used to send anypersonalised mail (eg letters, statements,invoices, contracts), non-personalised mail (eg direct mail, magazines, books,catalogues) or goods (items with somecommercial value – eg compact discs, video tapes and general goods).

M-bags

The M-bag service can only be used to send printed matter (eg newspapers,periodicals, books, etc) to the same address.

The service cannot be used to send anypersonalised mail (ie where the contentof each item is different, such as letters,statements, invoices or contracts).

Prohibited items

There are certain prohibited items whichyou must not send. What is prohibited or restricted varies from country tocountry, and can sometimes includeapparently ordinary items. If you areunsure about any item, please contactyour local Royal Mail Sales Centre on08457 950 950.

Dangerous items and substances

You must not send dangerous items and substances using any of Royal Mail’sinternational services.

Major classes of dangerous substancesinclude explosive fireworks, gases,flammable liquids, toxic substances,corrosive chemicals etc. Classifications of dangerous items and substances may change. Please check with yourlocal Royal Mail Sales Centre on 08457 950 950.

Bulk postings

In order to help us plan ahead, for any one off bulk postings (defined as morethan 500 bags to multiple destinations or 50 bags to one destination) pleasenotify us at least 48 hours ahead via your Account Manager.

Check the size and weight of your items

Items for International Destination Sortmust be within certain size and weightlimits. Items that exceed these limits may be sent by Parcelforce Worldwide.

Size

Items packed flatMinimum size: 140 x 90mm.

Maximum size: Length, width orheight ≤ 600mm. Length + width + height ≤ 900mm.

Items rolled upMinimum size: Length + (diameter x2) ≥ 170mm, (with the greatest singledimension ≥ 100mm.)

Maximum size: Length + (diameter x2) ≤ 1040mm, (with the greatest singledimension ≤ 900mm.)

ExceptionsYou can only exceed these limits when yousend a number of printed matter items tothe same postal address. In such cases youshould use the M-bag service (see page 4).Items can be any size as long as they fit inthe right bag (see page 11) and do notprevent it from being sealed.

Weight

To use the International DestinationSort service, you need to be sendinga minimum of 3kg of mail to a destination. If you have less than3kg of mail to a destination, it canbe sent by the Bundle Rate service(see page 9).

The maximum weight for an individualitem is 2kg. However, you can send books and pamphlets, ie any papers‘bound’ together, up to 5kg. Items between 2 and 5kg in weight whichcontain books or pamphlets must bemarked Printed Papers in the top left hand corner on the front of thepacket. You should not include personalcorrespondence with these items.

Exceptions • Ireland – only books above 2kg.

(except M Bags) • Canada – no items above 2kg.

(except M Bags) M-bags – no restrictions, provided content, bag, labels and ties do notexceed a combined weight of 11kg. They must also fit in the right bag (see page 11) and must not preventit from being sealed.

Please note

Items (with the exception of M-bags)need to be sorted by format whenmailing to Western Europe (see page 11).

Check you have enoughbags and labels

You should check that you have enoughbags, bag ties/seals, labels, docket booksand customs forms in stock before youprepare your mailing. (Bags and labels are explained on pages 11-13.)

This is particularly important if you plan to mail to unusual destinations, or destinations you have not mailed to before.

Please allow 72 hours for delivery of stock.

Rework

If mail is not presented correctly reworkcharges may apply.

Pre-book collection

To book a collection please call your local Royal Mail Sales Centre on 08457 950 950.

If you know in advance when you would like your mail to be collected, you may book ahead. Please give atleast two days’ notice.

Choose…which service to use

The three services

At an early stage you should choose which International Destination Sort serviceto send your mail by. These services offerdifferent levels of speed and cost.

The service you choose also dictates how you should sort and bag your mail(see following sections).

Priority

The quickest. Uses airmail and the most efficient distribution methods.

Standard

Available to Rest of World destinations only, the Standard service combines valuefor money with speed. Destinations towhich the Standard service is available canbe found on the back of the InternationalDestination Sort Rate Card.

Economy

The cheapest service to Europe and Rest of World destinations. Uses surfacemail methods, such as train and boat.

Delivery aims and costs for the threeservice speeds are shown on theInternational Destination Sort Rate Card.

Sending several printedmatter items to oneaddress: M-bags

If you are sending a number of printedmatter items (eg newspapers, periodicals,books, etc) to the same address you cansave money by using an M-bag.

This means putting the items together inthe bag and attaching an M-bag addresslabel to the bag (see page 13).

Addressing each item inside a bag is not compulsory if items are bundled or wrapped together. We recommendthat you do address each bundle in case of accidental opening or damage to your bag.

The bag is not opened until it reaches its destination, reducing sorting andhandling costs, which are passed on to you in the form of lower prices.

M-bags can be used for any of the three service speeds, but only forsending printed matter.

M-bags cannot be used for any form of personalised correspondence(eg letters, statements, invoices etc) or for mail containing any enclosures of commercial value.

There is no minimim weight forM-bags, but the maximum weightmust not exceed 11kg.

Information point

With the exception of Canada, you can now send non-personalisedmagnetic media items (CDs,videotapes etc) via the M-bag service.

Destination address

Please address mail as clearly as possible.Appendix A on pages 18–19 shows sample addresses for most Europeancountries, and many other destinations.

There are a few basic rules to follow tohelp us get your mail to its destinationsafely:• All items should have a valid country

on the last line of the address. This should be in English and not abbreviated(although USA is acceptable).Theremust be nothing else on the lastline of the address apart from thecountry name.

• The town and country should be incapital letters Many countries operate a postcode system. A valid postcodemust be included in the address forthese countries.

• There should be a 'clear zone' of 5 mmaround the address,with no otherinformation contained within the clearzone. If a window envelope is used, theaddress must be 5mm clear all roundfrom the edge of the window.

Return address

If you would like your undeliverable items returned, please put your UKreturn address on each item. We willreturn any undeliverables free of charge.A return address in the receiving country isnot permitted according to UPU regulations.

Help point

Printed PostageImpression (PPI)

Every item must have a PPI in the top right hand corner, for which you will require a licence number.

The design you choose mustbe one of those available onwww.royalmail.com

It must include POSTAGE PAID, your licence number and GB.

Do you need an airmail indicator?

If you are sending an item through the Priority service it should have either:• an airmail indicator printed on it, or• an airmail sticker attached.

This should be positioned as close as possible to the top left hand corneron the front of the item.

A failure to apply an airmail indicatorto your Priority mail may result in yourmail being delayed.

You must not use an airmail indicatorwhen sending Standard or Economy mail.

Do you need a customs form?

You don't need to complete a customsdeclaration form if you're sending letters or documents alone or packets containinggoods to most European Union (EU)destinations.

You do need to complete a customsdeclaration form if you're sending goods to destinations outside the EU and tocertain EU destinations.There are also some destinations where customsdocumentation is required or advisable for printed papers. See our website fordetails of destinations requiring customs documentation.

Which form to use

If you do need a customs declaration form,you should use form CN22 for goods up to£270 in value. Complete all the sectionsand sign and date the form. The sendersname and address must be written orprinted on the item in the top left corner ofthe front of the package. The CN22 can bepre-printed on the item in black and white.

'If you're sending goods valued at morethan £270, you should use form CN23 and attach the form to the package usingthe plastic envelope SP 126.

M-bags and customs forms

If you are sending a number of printedmatter items to the same address using an M-bag, you only need to complete one custom form per bag.

For items with a combined value of up to and including £270, complete the CN22on the back of the M-bag label OE 1050C.

For items with a value over £270, follow the instructions as above.

Who pays customs duty?

Customs charges are the responsibilityof the customer.

Sort your mail

Using the Sorting Lists

Once you have decided which service you want to send your mail by, you should sort all items by destination.

To do this please refer to the International Destination Sort Sorting Lists(supplied separately) and available on theRoyal Mail website at www.royalmail.comAn example page is shown opposite. TheSorting Lists also tell you which labels areneeded for your mail.

The lists are divided into Priority,Standard and Economy sections, and then into regional zones (eg WesternEurope, Africa & Asia). Countries are listed alphabetically within each zone.

Destination label

Once you have found the country you are mailing to, read across to find thedestination label. Some countries, but notall, have several destination label optionsbased on postcode or town/city forexample. These denote the groups intowhich you should sort and bag yourmail, as well as which destination label needs to be attached to the bag. Please make sure you identify the correct destination label.

Bundle Rate mail

If you’re sending smaller amounts of mail ie less than 3kg per bag – we offera Bundle Rate service. You have a choice of three service speeds – Priority, Standard (some destinations outsideEurope) and Economy services. Please see the International Destination Sort RateCard for more details.

Please ensure that Bundle Rate mail istreated as per instructions on page 11.

Format Sort

Format Sort means grouping youritems by size and weight, as well as by destination. We can supply you with a template to help you do this.

You will need to Format Sort your mail to all Western European destinations.

There are detailed instructions on Format Sort in Appendix B on page 20.

International Mailsort Database

Companies carrying out mailings usingRoyal Mail’s International Destination Sortor International Zone and Format Sortservices can now ensure the accuracy oftheir mail sortation using the InternationalMailsort database. Use of the database isnot a requirement to access these servicesbut customers may find InternationalMailsort useful to increase the efficiency of mailing preparation.

Bag your mail

All bags (eg Priority, Standard, Economyor Bundle Rate mail) must be securedusing a tamper proof bag tie (IDC01). To obtain these please contact yourlocal Royal Mail Sales Centre on 08457 950 950.

Face and tie

To help prevent your mail from being damaged or delayed during transit, you should face and tie items:• gather items of similar size

and weight• arrange them so that the addresses

all face you and are the same way up• cross strap with an elastic band,

string or similar material • don’t tie a selection any thicker than

can be easily picked up with one hand• use black “tamper proof” ties.

Which bags to use

Once sorted, all mail (except Bundle Ratemail) to each destination needs to go in aseparate bag.

For each Western European destination aseparate bag must be used for each format.

It is important you use the correct bag for the service you are using:

Priority

Use a blue airmail bag, marked MB 4GB.(See 1 opposite.) Priority Bundle Rate Mailshould go in a grey bag marked MB8.

Priority M-bag

Use a blue airmail bag, marked MB 4GB.(See 1 opposite.)

Standard

Use a grey surface bag, marked MB8. (See 2 opposite.) This includes StandardBundle Rate Mail.

Standard M-bag

Use a white ‘one-trip’ bag, marked MBX. (See 3 opposite.)

Economy

Use a grey surface bag, marked MB8. (See 2 opposite.) This includes EconomyBundle Rate Mail.

Economy M-bag

Use a white ‘one-trip’ bag, marked MBX. (See 3 opposite.)

How much (and how little) can go in a bag

You can put as many items in a bag as will fit, as long as the bag, labels,ties and its content:• weighs at least 3kg• weighs no more than 11kg inclusive

of bag and labels• can still be securely sealed.

If you are using the M-bag service to send printed matter there is no minimumweight, but the maximum is still 11kg for the bag, labels, ties and content. (Note there is a flat rate charge per bag,plus a per kilo charge for M-bags up to5kg, thereafter charges are per kilo.)

Bundle Rate mail

Remember that small amounts of mail,(either to one destination, or as an excessleft over after sorting) that do not meetthe minimum bag weight of 3kg, can stillbe sent through the Priority, Standard(some destinations outside Europe) orEconomy services, using the Bundle Rate.

Please note that there are special labellingprocedures for Bundle Rate mail (see page 13).

Help point

It is important you tie bags properly by gathering in the neck and tightlywinding a tie around it. Please do notthread ties through the handles at the topof the bag. To comply with internationalaviation regulations, ensure that you usea black tamper proof bag tie (IDC01)when tying your bags.

How to use Post Grip Bag ties

1. After twisting the topof the mail bag toform a tight neck,wrap the bag tiearound the neck ofthe bag, ensuring that the teeth areinward facing.

2. Insert the tail throughthe lower of the twoslots, ensuring that itpasses all the way through thechamber and outthe other side.

3. Pull the tail throughuntil the teeth engageinside the chamber,forming a closedseal, then continue topull through untiltightened around theneck of the bag.

4. To avoid eye injury,feed any excess tailback through the slotabove the chamber,and pull through theother side.

Label the mail and bags

Destination labels

Please look in the International DestinationSort Sorting Lists for details of whichdestination label to attach to each mail bag.

It’s essential you use the correctdestination label – they vary per services:• Marked PRIORITY – barcoded and white

in colour (see 1). For Western Europeandestinations, please tick the appropriateformat box on Format Sort labels.

• Marked STANDARD – white in colour (see 2 opposite).

• Marked ECONOMY – white in colour (see 3 opposite). For Western European destinations,please tick the appropriate formatbox on Format Sort labels.

If you are sending an M-bag tick the boxfor M-bag.

Format Mail

Mail being sent to Western Europe mustbe presented by format. The formatshould be indicated on the bag label byticking the appropriate format box:

• P for letters• G for flats• E for packets.

(For exact measurements see, Appendix B on page 20)

Help point

It is very important that you use the right labels and bags ties (IDC01). Any bags with missing, damaged orincorrect labels could delay your mail. To order labels and ties please contactyour local Royal Mail Sales Centre on 08457 950 950.

Other labels

Bundle Rate mail

You should face and tie any mail you are sending by Bundle Rate (see page 9).Write the destination on a CN25 (Priority) or CN26 (Standard or Economy)label (see 4 and 5 opposite). Then attachthe label securely and visibly to the bundlebefore it goes in the bag.

Attach the Bundle Identifier label (see 6opposite) to the bag, marking on the labelwhether your mail is Priority, Standard or Economy.

M-bags

M-bags need an extra label – OE1050C(see 7 opposite) – which should beattached to the bag first. On this you must write the exact postal address of the recipient. It is mandatory to include thesender’s details on the customs form CN22.

Addressing each item inside a bag is not compulsory if items are bundled or wrapped together. We recommendthat you do address each bundle in case of accidental opening or damage to your bag.

The back of the label has a customs form on it (for completion instructionsplease see page 7).

All bags (eg Priority, Standard, Economy or Bundle Rate Mail) mustbe secured using a tamper proof bag tie (IDC01). To obtain these pleasecontact your local Royal Mail SalesCentre on 08457 950 950.

Help point

You can put items for more than onedestination in a Bundle bag, providedeach bundle within the bag is clearlylabelled with its destination. Pleasenote, you cannot mix Priority, Standard and Economy Bundles within the same bag.

Do the paperwork

Fill in the posting docket

Once you have sorted, bagged and labelled your mail, you’ll need to complete a posting docket.

Full completion instructions for the CA83 are included in the docket book.

Who gets which copy?Each docket has four copies. You should give the top two copies to the Royal Mail representative who collects your mail. You should keep the bottom two copies for your records.

Please make sure you put the cardbetween the docket sets so you do not spoil later dockets.

If you make a mistakePlease write ‘Void’ or ‘Spoiled’ clearly on any spoiled docket, and start afresh on the next docket in the book.

Give the spoiled dockets to the Royal Mail representative, togetherwith the correct dockets. Dockets arenumbered in sequence. Please do notthrow any spoiled dockets away. This ensures accurate invoicing.

Please ensure that the poster and sender details are included on the Posting Docket.

E*Pro

You can submit dockets online throughE*Pro, Royal Mail’s online docketsubmission facility.

Simply log on to the websitewww.epro.royalmail.com and access your account through a secure passwordand PIN number.

Features:

• A user friendly interface allowingcustomers to fill out docketinformation on the services they have.The system supports its own pricingengine which enables easy calculationof postage for dockets or estimates.

• A web-based platform which onlyrequires an internet-ready PCwith Internet Explorer 5 software or better to access. Anyone in the client organisation who has the access codes can look intothe system at any time e.g. finance or marketing departments.

• The ability to store posting informationand generate reports.

• If the customer is on direct debit theycan look up what they will be billed.

Benefits:

• Removes the need to order, store or manually complete paper dockets.

• Holds an accessible archive of docketdata (2 years), which can be presentedin pre-programmed reports ordownloaded into other systems.

• Gives the ability for anyone in a clientorganisation with access rights to viewand verify on-line all mailing activityundertaken on their behalf by thirdparties (e.g. mailing houses).

• Provides direct debit statements online for those who pay by this method (this could be an added incentive for customers to move to this form of payment).

• The system supports its own pricingengine which enables easy calculation of postage for dockets or estimates.

Work out the costs using the Rate Card

When filling in the docket you will need to calculate the cost of your mailing.To do this please use the InternationalDestination Sort Rate Card.

Appendix BDestination Sort (format sort)

Sorting by format

What is sorting by format?

Sorting by format means grouping youritems by size, thickness and weight. There are three groups:• Letters (called P)• Flats (called G)• Packets (called E).

The letters P, G and E refer to sizes (Petit, Grand and Encombrant) recognised by the Universal Postal Union.

When to sort by format

You only need to sort by format whensending mail to Western Europe.

How to sort by format

Use the Format Sort template. This gives sizes, thickness slots and weighttargets for you to compare your mail items against. These are also shown in the table above. Sort your items into three groups – Letters (P), Flats (G) and Packets (E).

How to use this template

The dimensions for Letters (P) are shown in the table above. Measure youritem, check it in the slot for thickness, and weigh it. If it is within all three limits, group it with other Letters (P).

If it exceeds any one of these limits, tryit against the size, slot and weight limits for Flats (G), shown in the table above. If it is within all three limits, group itwith other Flats (G).

If it exceeds any one of these limits, group it with other Packets (E). Themaximum size and weight for Packets to format sort countries are those forall International Destination Sort mailshown on page 3.

For each Western European destination,place your format sorted items intoseparate bags – ie one bag for all Letters(P), one for all Flats (G) and one forall Packets (E).

Tick the destination label

The destination labels for format sortedmail are slightly different from normaldestination labels. On both the Priority and Economy labels there are tick boxesfor you to indicate whether the bagcontains Letters (P), Flats (G) orPackets (E). Please tick the relevant box.

Filling in the docket

When you fill in the docket you mustindicate which format the mail is by writingthe code in the Type column (ie P, G or E) on the CA83 docket. Use a separate line for each format, even if the bags are going to the samecountry. Please refer to the example docketCA83 (see page 16).

Airsure – It’s fast, safe and simple.

With our express service Airsure, yourletters, small packets and printed papersleave the UK on the first available flight,receive priority handling abroad and are electronically tracked. This means you can check the progress of youritem on-line, including confirmation ofdelivery. You can confirm delivery on our website at www.royalmail.com orby calling 0845 609 2609.

Airsure

Airsure items receive priority handlingboth in the UK and abroad, but RoyalMail cannot guarantee delivery timesbecause delivery standards vary fromcountry to country. Airsure items receive electronic confirmation of delivery at their destination but they are not signed for on delivery.

Maximum weight is 2kg.
