1. PREPARE FOR YOUR ROLE AS A COORdinAtORBe well informed. Know the facts!

Make your pledge first. It will be much easier to ask others for a generous gift if you have already made your own contribution.

Get to know your co-workers’ concerns so that you can tailor your approach to the individuals you are soliciting.

Be prepared to tell them why you support the campaign.

2. MEEt WitH ALL POtEntiAL dOnORSSet up a time to have a group meeting with your co-workers as soon as possible. A personal meeting is the best way to make the ask.

Use group meetings for presentations and kickoff events.

Follow-up with one-on-one visits to collect the pledges and address any additional questions.

Be familiar with the most frequently asked questions and be prepared to provide answers.

3. ASK FOR tHE PLEdGEPresent each potential donor with a pledge form.

Ask for pledge.

Encourage payroll deduction.

Highlight any recognition items that are available.

Ask past contributors to consider increasing their level of support.

Explain how to complete pledge form accurately.

4. REtRiEVE ALL PLEdGE FORMS And SAY “tHAnK YOU!”Ensure that all past contributors have turned in their pledge forms.

Check each pledge form for accuracy and verify any unclear information with the contributor.

Determine who is eligible for incentive items and distribute those items as soon as possible.

Thank everyone you solicit whether they contribute or not.

5. REPORt tO ECCSPromptly return all pledge forms and your final report to your lead campaign coordinator.

Quick tips tMAKE yoUr PlEDGE FIrST … If your co-workers know that you believe in and support your charitable giving campaign, they’ll be more likely to make a pledge. Be prepared to share your story about why you support the campaign, or how a charity has benefited you or someone you know.

Know THE FACTS … Review the materials and websites thoroughly. This will help you feel more comfortable when you tell the story. Make personal contact.People give to people. It’s important that every campaign volunteer reaches out to their assigned employees one-on-one.

BE PoSITIvE … Explain the benefits of giving to a charity. Stress the importance of each person’s contribution to our community and how every gift makes a difference!

ASK Co-worKErS THAT yoU Know FIrST … Approaching people you know will help you refine your presentation skills. The positive responses you get will boost your confidence.

MAKE IT A Two-wAy STrEET … The ask should be a dialogue, not a monologue. Be prepared for questions and comments. If you don’t know the answer to a question, that’s okay! Explain that you’ll get back to the person posing the question after you’ve had a chance to get information. Also, be sure to listen with care and sensitivity to any concerns that come your way.

wHAT’S yoUr THInG … Part of your dialogue should include asking the potential donor what their interests are. Connect the dots between the donor’s interests and the work of the campaign.

SAy THAnK-yoU … Whether your co-workers indicate that they will make a gift or not, thank them for their consideration. You can never say thank you enough!

Coordinator’s checklistYOUR CAMPAiGn FROM StARt tO FiniSH …

Attend internal coordinator trainings.

Obtain materials from your lead campaign coordinator.

Be familiar with campaign forms – especially how to fill out a pledge form correctly.

Ensure 100 percent contact by developing a contact list of all employees.

Attend kickoff rally and encourage all individuals on your contact list to attend.

Immediately after the rally, contact the people on your list and begin your solicitation.

Distribute and collect pledge forms. Don’t forget to check for complete information

and accurate calculation!

Assist donors in becoming familiar with the resource guide.

Return pledge forms to your lead campaign coordinator. Incomplete or inaccurate

forms will be returned for correction.
