Presentation & Activity Submission Guidelines

SIM-one is now accepting presentation and activity submissions for the 2015 SIM Expo—Canada’s largest

gathering of healthcare simulationists! This year’s SIM Expo takes place on December 14 & 15, 2015 in Toronto.

We are accepting a wide variety of presentations and activities, including—but not limited to—posters, video

screenings, booths, “Simulation in Action” (interactive simulation demonstrations/activities), workshops

and virtual showcases.

The purpose of the presentations and activities is to provide a glimpse into the ever-widening use

of simulation for health professional education and training, and showcase emerging research

and innovations. We encourage all presenters to be creative.

The theme of the 2015 SIM Expo is “Simulation & Integration”. Integration, in the context of simulation,

can reflect a variety of efforts, from designing and developing curricula in which simulation is thoughtfully

integrated with other experiences, to integrating multiple disciplines into an interprofessional simulation,

to integrating simulation into patient safety and quality improvement activities. This can impact a wide

range of groups and aspects of learning, including students, trainees, team building, continuing education,

maintenance of certification, and incorporation of patient safety and interprofessional education.

All submissions must be submitted online to Nicole Fung at [email protected]. Please make sure to include “2015 SIM Expo Presentation Submission” in the subject line.

If a presentation is accepted, certain spaces and resources will be provided. If a resource is not listed

on pages 3 and 4 of this document, please understand it is the presenter’s responsibility to provide it.

There is limited space for all presentations. In certain situations, the Planning Committee may ask

submitters to consider presenting in a different format depending on time and space requirements.

Booth Guidelines

Booths will be in various areas of the venue, depending on theme, subject and other factors. Booth presentations should endeavour to have some interactive components. Abstracts should describe what will be presented and interactively demonstrated at the booth. Handouts and materials for distribution are encouraged. Please consider the theme of the SIM Expo and be creative!

Please note that a presenter will need to be at the booth during the Open Exposition/Networking times. Space is extremely limited.

Note: Booths do not get poster boards.

Video Screening Guidelines

Videos will be screened in a specially designated viewing area. Presenters will be provided with a 3’ round table to set up their own laptops or other equipment they need. We recommend that videos be no longer than 5 minutes (or choose a 5-minute segment to screen).

At least one presenter must be present for the Poster & Video Crawl on Day 2 of the SIM Expo.

Poster Presentation Guidelines

The Poster & Video Crawl is one of the top-rated activities at the Expo, and allows a group of delegates to spend time with each poster/video presenter for a deeper conversation about their work. Abstracts for research projects should include a background, research question/hypothesis, methods, results and conclusion. Abstracts that describe innovative uses of simulation should include a background/rationale, objective, description of the innovation, and impact.

Posters will be displayed amidst the SIM Expo space. Dimensions for the poster cannot exceed 8 feet in width x 4 feet in height—the size of the provided poster board. Unfortunately we are unable to accept electronic posters (posters presented on a LCD screen).

At least one presenter must be present for the Poster & Video Crawl on Day 2 of the SIM Expo.

Breakout Workshop Guidelines

This year, we are varying the lengths of the workshops to allow for more flexibility. Available workshop lengths are: 90 minutes; 45 minutes; and 30 minutes. Submissions requesting 90 minutes should be highly interactive, include immersive experiences, and highly topical to the SIM-one community. Submissions outlining/reporting on a completed simulation or project (e.g. discussing a curriculum, or a new simulation event, etc.) may be better suited for the 30- or 45-minutes spots, where similar themed topics can be grouped. Workshops must have at least 25% or more interactive components. Abstracts must list the workshop’s learning objectives and activities that will be included. Handouts and materials for distribution are encouraged (it is the presenters responsibility to provide these).

Virtual Showcase

The virtual showcase is an opportunity to demonstrate virtual patients, serious games, virtual worlds, and other computer-based simulations. Presenters must bring one or more computers to allow conference attendees to see—or preferably to try out—the simulation. Abstracts should include the rational/impetus for the simulator, the learning objectives it is designed to address, a description of the simulation, and a summary of any usage/evaluation. SIM-one will provide tables and electrical connections. Presenters must bring computer(s), screens (optional), extension cords, and any other necessary equipment.

Perhaps there are other ways you wish to showcase work in the field of simulation that does not fit neatly into any of the above categories (e.g. wandering EMS simulations, mobile SIM). If so, please contact us to discuss your ideas.

Note: SIM-one is able to provide the resources listed under “Simulation in Action” above. Any additional equipment is the responsibility of the presenter.

Simulation in Action (SiA) Guidelines

During this event, all conference participants will rotate among a number of 15-minute simulation stations. This is an opportunity to demonstrate the creativity and innovation of Ontario’s simulationists, and allows other participants to experience how these simulations actually unfold. The SiA series is about showing, not telling.

As a presenter, you must clearly describe what equipment you will be bringing, spatial requirements, the number of people involved, how the demonstration will work, and what conference delegates will experience. We welcome a diverse array of potential presentations, ranging from manikin-based scenarios, standardized patient scenarios, moulage, team crises, hybrids or any other form of simulation. The timeframe must be respected to allow the flow of delegates among the stations. The presenters are asked to make their simulation activity interactive and engaging. The presentation should be a taster for participants interested in following up with the presenter(s) after the event.

If the presenter does not have the required resources for the presentation, SIM-one may be able to help match up resources from other conference attendees and exhibitors. Please let us know if this is the case and we will try to help. SIM-one cannot provide anything beyond: n Electric outlet n Table/chairs n Internet access n A/V projectors/screens*
