Project area: __ Community/ X University/ __ Profession/ __ Chapter/ __Education/Liberal Culture College Engineering Social Prof. Dev.

Number of persons who participated in this project: Members: 4 Electees: __ Other: __

Hours spent on this project: Organizing: 2 Participating: 2I. General Description:

At the beginning of the semester, we sold wire strippers to the Logic Design and Microprocessors classes for $10 each as a fundraiser. The classes use wires to connect chips and controllers on breadboards, and it is recommended that each student buys a pair of wirestrippers. We conveniently sell wire strippers to students in the classroom for a cheaper price than they could buy at Home Depot. We coordinated with the lab manager and the professors to sell the wire strippers while the students’ lab kits were distributed.

II. Purpose & Relationship to Objectives of TBP:To raise funds for volunteering and social events and to raise TBP’s image on campus.

III. Organization & Administration (in conjunction with another group? X Yes ___ No):The lab manger and fellow Tau Bate, Mr. Perry bought the wire strippers for $5 each, and we reimbursed him at-cost for each wire stripper sold, keeping the additional $5 as profit. Members went to each class and sold wire strippers (cash only) and also distributed flyers about TBP and EF sessions to the students.

IV. Cost & Personal Requirements: No costs were incurred, but we did make a profit of $461.70.

V. Special Problems: Many students had only credit cards and we lost sales because we could only accept cash. For future semesters, we’ll need to use a phone-based credit card system.

VI. Overall Evaluation/Results (Be Specific):Success! We were able to provide students with a tool that they needed, thereby boosting TBP’s image and making us more familiar to engineering students who may one day be candidates. We were also made a nice profit that can be used to help us accomplish our goals throughout the year.

Number of persons who participated in this project: Members: 16 Electees: 19

Hours spent on this project: Organizing: 20 Participating: 4I. General Description:

A group picture was taken with the bent outside of Engineering East before the initiation Ceremony. Upon the conclusion of the ceremony, we conducted a general meeting and asked newly inducted members to commit to new responsibilities to make the next semester even better (a very efficient form of delegation). After the ceremony, we headed upstairs to the very fancy FAU Club (a restaurant that usually only serves faculty). Newly inducted members and their guests, some more senior members, alumni, and professors ate together to celebrate. Tau Beta Pi t-shirts were distributed. Additionally, the most shined mini-bent was chosen and the winning initiate received their induction fee back as a prize. We ended the dinner with the Tau Beta Pi yell.

II. Purpose & Relationship to Objectives of TBP:The initiation ceremony is a necessary and vital part of maintaining a Tau Beta Pi chapter. The dinner is designed to make newly inducted members feel honored to join Tau Beta Pi as they celebrate with the chapter and their guests.

III. Organization & Administration (in conjunction with another group? ___ Yes X No):The room for the ceremony in Engineering East and the Club Restaurant at Florida Atlantic University were reserved. The menu and price were negotiated with FAU’s Catering company, Chartwells. A week before the ceremony, officers and other members gathered to practice running the ceremony. Officers and other members gathered an hour before the ceremony to prepare and set-up.

IV. Cost & Personal Requirements: The total cost of the dinner was $1,465. We were able to recoup some of the cost by collecting $140 ($20 each) for each guest, and taking the remaining $45 from each initiate’s initiation fee (a total of $765). Final cost, which our chapter paid out of pocket was $560.

V. Special Problems: One student was unable to attend and will have to rescheduled for next time. Additionally, we should have tried to use FAU’s money for clubs for the ceremony.

VI. Overall Evaluation/Results (Be Specific):

Page 22: 2017-2018 Chapter Report - Tau Beta Pi · 2018-09-06 · 2017-2018 Chapter Report Florida Epsilon Chapter Florida Atlantic University 101I Engineering East ... Tau Talk & Resume Workshop

The ceremony ran smoothly and the dinner went well. Newly inducted members were excited and proud to join. We inducted 17 new members (15 undergraduate students and 2 graduate students). This is a much smaller class then in the past.

I enjoyed ICE (inter chapter exchange) with other Tau Bates, serving on the petitions committee; attending educational sessions and the career fair; and the Throughout convention, I met and learned from other Tau Bates, attended sessions to improve my leadership & life skills, and voting in the business meetings with other Tau Bates to establish policy. We also went to the Ann Arbor University of Michigan campus for a tour, model induction, and more meetings.

II. Purpose & Relationship to Objectives of TBP:To conduct the business of Tau Beta Pi on behalf of my chapter.

III. Organization & Administration (in conjunction with another group? X Yes __ No):Headquarters and the convention planners kindly organized most of the details, with Ms. Sherry King booking my flight and with the schedule and housing being planned for me. I simply followed email instructions and showed up.

IV. Cost & Personal Requirements: No costs were incurred by the chapter.

V. Special Problems: I left for Dearborn a little too early on Wednesday, arriving before the shuttles started. I would recommend not arriving in Dearborn until after lunch to ensure that you’re not the only one there.

VI. Overall Evaluation/Results (Be Specific):Success! On behalf of the chapter, I was able to help conduct and decide chapter business. As part of the petitions committee, we helped a new group become a full-fledged chapter. I was able to learn and be inspired by other chapter during informational sessions and ICE. Most importantly, I was able to make connections with other chapters, particularly in my own district/state where chapters were facing similar difficulties.

We sold wirestrippers and toolboxes to the Logic Design, Microprocessors, and Engineering Design classes at the beginning of the school semester as a fundraiser for $10 each. We sell the wirestrippers at the same time as the lab manager distributes the lab kits to the students.

II. Purpose & Relationship to Objectives of TBP:To raise funds to accomplish TBP goals, and to boost TBP’s image on campus.

III. Organization & Administration (in conjunction with another group? X Yes __ No):We worked with the lab manager, Mr. Perry, to purchase the toolkits and wire strippers. Two members at a time attended each class. We accepted cash and also set up a Paypal account and used the PayPal Here app to accept credit as well (for an additional fee of $0.35).

IV. Cost & Personal Requirements: The Lab manager bought both the wire strippers for $5, we reimbursed him for each wire stripper sold and kept the remaining $10. We bought the toolkits directly at $3 each, spending a total of $360. Final sales, we made $459.00 CASH + $261.87 CREDIT, for a net profit of $360.87. There are a number of remaining toolkits, which can be sold for further profit in future semesters.

V. Special Problems: It was difficult to keep track of sales at the time. I recommend buying a lockbox in the future.

VI. Overall Evaluation/Results (Be Specific):Success! We made money and also had the opportunity to present in the classroom and get our name out there to potential future Tau Bates.

I. General Description:We initiated a whopping 32 initiates into Tau Beta Pi! First, members checked in and turned in their mini-bents for judging. Then, we had a group picture by the bent. We then held our ceremony in the Engineering East building, while Tau Bate & Lab Instructor Mr. Perry took guests on a tour of the engineering labs with the assistance of members Jaime Ibarra and John Gomez. After the ceremony concluded, we released the professors and held all new members for a final meeting to assign/volunteer for tasks next semester. Finally, guests and members (old and newly inducted alike) gathered at the Club for a fancy catered meal.

II. Purpose & Relationship to Objectives of TBP:To induct new members and to make them feel welcome and honored.

III. Organization & Administration (in conjunction with another group? ___ Yes X No):Vice President did most of the planning, reserving the room, negotiating with the Chartwells catering company and with COSO (the university program which can be petitioned to pay for club activities). Many members gathered before the ceremony to practice, and prepare.

IV. Cost & Personal Requirements: This semester, we petitioned COSO to pay for a portion of the dinner and had to pay only $603.38 for the dinner (a marked improvement from last semester). We also saved on catering costs by buying our own cake directly, a mere $20 from Costco.

V. Special Problems: We forgot to assign an official photographer, and as a result, have few pictures of the dinner. Additionally, we forgot to negotiate with Chartwells for fancier cutlery and dishes, and as a result had only plastic plates and silverware. We also forgot to invite the alumni chapter.

VI. Overall Evaluation/Results (Be Specific):This semester initiation ran so smoothly! We were organized and prepared, gathering earlier in the day to prepare then last semester. We ran a more organized between the ceremony and dinner, further improving results. Furthermore, everyone loved the Costco cake – an economical and tasty choice. More importantly, assigning members to give a tour to guests was a great success. More professors attended than last semester, helping to make the students feel more honored. The guests were happy to entertain, and it raised the image of the College of Engineering.

In future semesters we will: 1) invite the alumni chapter 6 weeks in advance; 2) negotiate for plastic plates and silverware; 3) assign an official photographer; 4) buy a Costco cake; 5) invite more Tau Bate Professors (this time with handwritten notes delivered to their office) and 5) petition COSO for more funds.

Some of our members attended the 2018 District 5 Conference at the University of Miami. On Saturday, we participated in a chapter showcase, listened to presentations from the District Directors on chapter operations and to the executive council update, enjoyed Tau Talks and a panel discussion from local Alumni, and went for a tour of the beautiful University of Miami campus. On Sunday, we did an interchapter exchange and had a BBQ.

II. Purpose & Relationship to Objectives of TBP:To 1) facilitate discussion and an exchange of best practices between chapters, and 2) facilitate the building of connections and friendships amongst TBP students.

III. Organization & Administration (in conjunction with another group? X Yes ___ No):The district directors told us when and where to go. Since Miami is close, only one of our members stayed at the offered hotel overnight. On Saturday, Chris drove up separate, while Faisal, Kris, Kate, and Janet met at engineering east and drove together. On Sunday, everyone else needed to work, so Kris and Janet drove up and back by themselves.

IV. Cost & Personal Requirements: No costs were incurred by the chapter, and we were reimbursed for the cost of gas for one car driving to Miami and back. We split the reimbursement proportionally amongst the three drivers.

V. Special Problems: We had more members register than attend. Better advertising within the chapter could help us bring more attendees (or at least help us bring the members who said they would attend in the first place).

VI. Overall Evaluation/Results (Be Specific):Success! We were able to learn a lot from the other chapters, especially Florida Alpha. Interchapter exchange was a lot of fun and very enlightening. We enjoyed meeting other Tau Bates, eating great BBQ, and generally having fun celebrating Tau Beta Pi. From talking with other chapters, we were able to come up with a number of changes and plans to make for next year. We also discussed with the Florida Beta chapter about potentially doing a group beach cleanup/BBQ next year (since they live so close in Miami).

The president went to the Fundamentals of Engineering classes and briefly explained about what Tau Beta Pi is and also advertised for our upcoming Engineering Futures Sessions and Engineering BBQ, distributing flyers/pamphlets for both.

II. Purpose & Relationship to Objectives of TBP:Many students are unfamiliar with Tau Beta Pi and so ignore our invitations when they receive them. Presenting to students at the beginning of their engineering classes in their freshmen/sophomore year will hopefully make them remember and want to join Tau Beta Pi in the future.

III. Organization & Administration (in conjunction with another group? X Yes ___ No):We asked Dr. DeGroff for permission to present in her class and she very kindly helped us to find the best time.

IV. Cost & Personal Requirements: No costs were incurred, but we did use a lot of flyers.

V. Special Problems: Would have looked better if we had more than one Tau Bate presenting.

VI. Overall Evaluation/Results (Be Specific):Success! We were able to expose students to Tau Beta Pi and many of them did attend our Engineering BBQ a few weeks later.

Tau Beta Pi invited members, electees, and the entire College of Engineering to join us for an Engineering BBQ at nearby Spanish River Park. The event was open to FAU students and we were joined by students of other majors who seemed curious about engineering. People enjoyed playing volleyball and chess and socializing. We ate burgers/hot dogs, chips, and toasted marshmallows.

II. Purpose & Relationship to Objectives of TBP:1) To provide opportunities for students to interact and socialize outside of the normal classroom, growing their network for today and the future; and 2) To boost Tau Beta Pi’s Image and name as an organization that works to make opportunities for everyone.

III. Organization & Administration (in conjunction with another group? X Yes ___ No):Member Chris Romaine negotiated with COSO on our behalf to purchase food and supplies. COSO placed an order for pickup with Walmart on the morning of the BBQ, which the President and Vice President picked up. Although we did most of the planning, our IEEE chapter brought some soda and their president did some of the BBQ-ing. An email about the event was sent out to the College of Engineering. Recording Secretary Kate designed the flyers, which were then distributed relentlessly to people walking around in the halls and sitting in the study area of Engineering East.

IV. Cost & Personal Requirements: We didn’t spend a dime: COSO paid for it all.

V. Special Problems: 1) We forgot to use a sign-in sheet or track attendance. For future events, I recommend

making a fun, themed guest book or poster that people to motivate people to sign in for fun rather than as a task.

2) Six hours is way too long. For future events, I recommend no more than three and a half hours and starting no earlier than 11:45 AM.

3) We didn’t order supplies for smores. Two girls (non-Tau Bates) went out and bought marshmallows and sticks for everyone – which were a huge hit. I recommend adding smore makings (graham crackers, marshmallows, chocolate, and sticks) to the list.

4) We ordered weird soda flavors. Just get Coke, Diet Coke, and Sprite – keep it simple.

VI. Overall Evaluation/Results (Be Specific):

Hours spent on this project: Organizing: 2 Participating: 1I. General Description:

The president and the chapter advisor led two group of electees to polish the bents in front of Engineering West and Engineering East, respectively. Each group polished the bents for an hour while chatting.

II. Purpose & Relationship to Objectives of TBP:1) To give electees the opportunity to talk with the president and chapter advisor of the club

and ask questions; 2) To give electees the opportunity to know each other better; and 3) To establish a sense of pride in Tau Beta Pi by making our symbol on campus clean and beautiful.

III. Organization & Administration (in conjunction with another group? ___ Yes X No):The president went to the store and brought brasso, and coordinated with the chapter advisor to establish the time and date. An email was sent to all electees and all members to invite them to the Bent Polishing Party.

IV. Cost & Personal Requirements: We spent $10 on Brasso.

V. Special Problems: Although we invited them, no members attended the event. In future semesters, we will encourage members to join electees more, perhaps by bribing them with candy.

VI. Overall Evaluation/Results (Be Specific):Success! Electees and the president and chapter advisor got the opportunity to get to know each other better. By the end of the bent polishing party, everyone shared a sense of pride and camaraderie into making the bent beautiful again.

I. General Description:On Pi Day, two members tabled in front of the College of Engineering study area to sell Pi Day 5K T-shirts and advertise for the 5K. The Day after Pi Day, Tau Bates and other engineers from the college of engineering ran a 5K the day after Pu day around FAU’s racetrack. The event promoted health and fitness. Also had a live DJ and photographer. Each participant received water bottles and racer numbered headbands.

II. Purpose & Relationship to Objectives of TBP:To create a sense of community between members of the College of Engineering, and to promote TBP’s image in the College of Engineering.

III. Organization & Administration (in conjunction with another group? ___ Yes X No):The event was organized by the social chair, who reached out to the DJ

IV. Cost & Personal Requirements: Headbands cost $25. Both the DJ fee and the waterbottles were funded by the university.

V. Special Problems: We had originally intended to hold the 5K on Pi day, but Wednesday are track days at the university and it had to be rescheduled. Minimal advertising meant very few people attended the 5K. The headbands were neither practical nor popular.

VI. Overall Evaluation/Results (Be Specific):Those who attended had a ton of fun and were able to expand their social circles! Unfortunately, due to poor planning and execution, few people attended. From this, we learn to plan farther in advance, to spend less money, and to give greater oversight to those planning events.
