• April 4 - Final payments and recognition orders are due to council. Be sure to have transferred all cookies to the girls and entered their recognition orders in Smart Cookies. Remember to verify t-shirt, hoodie sizes and any optional recognitions with the girls before you reconcile their recognitions (T-shirt and hoodie sizes should be listed on parent permission slips).

May-June 2018

We’re launching our new app through Team App for the Cookie Sale to keep you up-to-date with sale news, dates, documents, and much more. It’s great for Troops, Service Units, and Parents/Guardians. To access our app, you will need to download Team App onto your smartphone by visiting www.teamapp.com/app or search for Team App in your phone’s app store.

Once downloaded, launch Team App, then:

1. Sign-up to Team App. You’ll be sent an email to confirm your registration.

2. Once your registration is confirmed, login to the app. You can then search for our “team”- GSSNE Cookie.

3. Click “Become a member of this team” and request access to the group(s) that apply to you. Some groups require approval to join. SERVICE UNIT PRODUCT SALES COORDINATOR

JOB DESCRIPTION

Accountability

Purpose

Qualifications • Must become a registered member of GSUSA and submit to a background check. • Personal integrity: The PSC must be dependable, honest, and have the ability and

willingness to train and guide Leaders and adults through all aspects of the sale. • Organized: This position requires organizational skills and an understanding of the

financial importance of product sales to support both Troop programs, and training throughout the council.

• Understands and advocates the Girl Scout Mission. Supports national council goals, the Girl Scout Leadership Experience, annual objectives, policies, standards and procedures.

• Understand, respect, promote and embrace differences and foster diversity. • Express ideas and facts clearly and accurately. Access to e-mail and the internet.

Responsibilities • Work with the Senior Director of Advancement and the Product Sales Specialist

to see that all product sales and educational goals are being met. • Attend all trainings for the position to ensure that overall goals can be

achieved. • Recruit and train Leaders/volunteers to act as the cookie chair. • Coordinate all logistics for her/his community. These include:

o Conducting trainings within the community. o Following up to see that all deadlines are being met. (Orders, payments, etc.) o Track and report on all aspects of the sale. Report any collection issues

as they arise. o Provide support and guidance to volunteers as needed.

• Complete and submit all necessary payments and data to the council to meet calendar deadlines provided by the Girl Scouts of Southeastern New England so that Troops/Girls can receive proper proceeds and other girl recognitions upon completion of the sale.

• Adaptability: Must be flexible and able to adapt to changes that may occur. Must work well with Leaders and other adult volunteers.

• The Service Unit Product Sales Coordinator is appointed by the Service Unit Manager and the Senior Director of Advancement, in consultation with the area Membership Specialist.

• He/she works directly with Troop Leaders and Troop Cookie Managers. • The Service Unit Product Sales Coordinator receives training from the council staff and

works closely with them throughout the cookie sale.

• The Product Sales Coordinator (PSC) is responsible for overseeing all aspects of the product sale within their area.

• This includes training Leaders and Troop Cookie Managers. This ensures that all girls within their community are given the training and tools necessary to reach their sales and educational goals.

Use this guide to prepare your service unit for the Girl Scout Cookie Sale.

• Put together a cookie support team! Follow all council guidelines and set up an online communication system for your team.

• Identify local delivery sites by working with your council. A good delivery site should be safe, convenient, dry, and easily accessible to delivery trucks.

• Conduct training for troop/cookie managers and leaders/advisors.

• Set the tone with your enthusiasm!

• Focus on the importance of goal setting.

• Be a mentor for first-timers.

• Distribute troop materials and explain how to use them.

• Encourage online documentation.

• Introduce ABC Baker online resources.

• Verify with council that ALL troop cookie managers and volunteers are registered with GSSNE.

• Make sure all troops have placed their initial order in Smart Cookies by the designated date.

• Supervise cookie distribution.

• Manage booth sales within your service unit.

• Monitor cupboards if you have them, and keep in touch with your troops so that surplus cookies can be redistributed quickly.

• Submit your Service Unit’s planned order by 10am on Mondays.

• Re-order more cookies as needed! Manage the inventory and work with other area volunteers to move product around to avoid leftover product at the end of the sale.

• Ensure that all the cookie money is collected.

• Prepare all necessary reports and paperwork for cookies and recognitions and turn in to the council by established deadlines.

• Remind leaders that they MUST transfer all cookies to the girls in Smart Cookies before they create their girl recognition orders by the due date!

Smart Cookies is the online management system for the Girl Scout Cookie program that allows cookie volunteers to manage:

• Volunteer Contacts, Girl Roster, Girl Cookie Recognition Orders, and Payments

• Troop and girl cookie orders • Booth Locator • Calendar, Messages, Reports

Step-by-Step instructions are available at www.gssne.org.

As Cookie Product Sales Coordinator, it is your responsibility to make sure all troops in your service unit are properly entered in Smart Cookies and troop cookie manager data is correct. Once all troop information is correctly entered, on or about January 5th council will import all registered girls into their troop in Smart Cookies.

Any girl who is no longer active in a troop must be removed in the GSSNE registration database before January 19, 2018.

The membership coordinator must contact GSSNE no later than January 19th. Troop membership rosters can be found on the Leader’s “My GS” located on our website, www.gssne.org. They may also be obtained from your Service Unit Membership Coordinator or from your Membership Specialist.

Getting Help The ABC Smart Cookies Help Center is designed to guide you through the basics and help you overcome any special challenges that may come your way. In the Help Center, you are connected to a world of resources specifically designed to help you have a great cookie season. Clicking on the Help Center tab will give you access to Smart Cookies Basics, manuals, and guidance on managing your cookie sale.

How to Log In Service Unit Product Sales Coordinators will be uploaded into ABC Smart Cookies by council. Once loaded, an automated email will be sent out for ABC Smart Cookies accounts to be created.

• Once the email is received, click on the link to get started.

• Complete your Volunteer Profile. • Once successfully registered, an

automated email will be sent with your login credentials and confirmation.

After you have completed your Service Unit Product Sale Coordinator Cookie training you should assemble your Volunteer Cookie Team.

The Volunteer Cookie Team*

A successful Girl Scout Cookie Program depends on dedicated volunteers like you! Understanding everyone’s role on the team will ensure a smooth and successful season! The team consists of:

• The Service Unit Cookie Sale Coordinator who trains and oversees all area volunteers

• The Booth Coordinator (this is not mandatory, but they make the booth sale process much easier)

• Troop Leaders • Troop Cookie Chair • Parents and other family members who support the troops and assist

throughout the sale

*All volunteers involved in the cookie sale must be registered adults who have gone through the volunteer screening process including Background Check and registered with GSSNE/GSUSA.

Train your Troop Cookie Managers

Next you should plan and execute your Service Unit Leader Troop Cookie Manager training. Training for leaders should be completed in early December so that troop cookie managers may then hold their training for their troop and their parents. Each Service Unit may elect to participate in Direct Sales or Order Taking. As a community you need to decide which works best for you! Cookies are not returnable at the end of the sale and each girl/troop is financially responsible for all of the product that they order. Both cupboards and troops are encouraged to actively trade and transfer cookies during the sale.

Troops who wish to hold Booth Sales outside of their Service Unit MUST get permission from the PSC in that community prior to conducting a booth sale. This is a courtesy to both the neighboring community and to the businesses that support us.

Here is what Troops can earn:

Troops who sell an average of 1-99 packages per girl will receive .46 per package of cookies sold. Troops who sell an average of 100-159 packages per girl will receive .50 per package of cookies sold. Troops who sell an average of 160-199 packages per girl will receive .60 per package of cookies sold. Troops who sell an average of 200 packages or more per girl will receive .70 per package of cookies sold.

Cadette/Senior/Ambassador Girl Scout Troop Proceeds Option Cadette/Senior/Ambassador Girl Scout troops may select to receive additional proceeds by opting out of the main (final) girl recognition program.

Older Girl Troops who opt out of receiving recognitions will receive the following:

* Per girl average is based on registered girls

The Troop Leader must submit a signed older girl permission slip with their final payment to the council for every girl in that troop in order to receive additional proceeds and it must be a decision made by the entire troop. Troops who choose this option give up the ability to receive Girl Rewards and to use cookie camp credits. Multilevel troops only qualify for the Older Girl Proceeds if the entire troop are Cadettes or older. A separate proceeds check will be mailed to the leader at the completion of the sale. These forms can be found on the GSSNE website. Why Participate in the Cookie Sale Program? The Girl Scout Product Sale Program gives girls the opportunity to earn money for activities and to support their council and community. All proceeds stay within the local council. Proceeds that troops can earn by selling Girl Scout Cookies are based on the per girl average of packages sold by registered girls within a troop.

Proceeds cannot be paid to individual girls. Older Girl Proceeds are based on the number of girls who participate in the sale. The deadline for transferring girls who are no longer attending troop meetings is January 19th, 2018. Leaders must communicate this to your area membership coordinator so that they can remove them from the troop by this deadline.

What are Summer Camp Cookie Credits? All registered girls earn $.20 per package that may be applied to the cost of attending GSSNE Summer Camp. Credits may be pooled by sisters in the same family. This cookie sale, Summer Camp Cookie Credits will not be allowed to be transferred outside of families. This change is allowing us to offer more proceeds per package to all troops, which will equate to an increase of over $5,000 more in cookie proceeds distributed to troops without raising the per package cost of cookies.

What is Cookie Dough? Cookie Dough is a monetary credit that is an option for girls to select in lieu of recognitions at certain sales levels. These credits can be used in our council shop, applied to GSSNE Summer Camp, or towards a girl membership for the 2019 troop year. Cookie Dough expires on 9/30/18 and is nontransferable.

Individually Registered Girls (IRG) & the Girl Scout Cookie Sale!

As a PSC, it will be your job to manage any individually registered girls in your Service Unit who want to participate in the Cookie Sale Program. IRGs are recorded in Smart Cookies under your Service Unit’s 5000 number troop, for example 5001 or 5029. Please contact the Product Sale department at 401-331-4500 for more information concerning your role with IRGs selling cookies.

IRGs do not earn troop proceeds, they receive Cookie Dough!

Cookie Dough will be awarded to any IRG who sells 100+ packages of cookies or more. Cookie Dough may be redeemed at the council Office Shop in Warwick and/or at any of our GSSNE Summer Camp trading posts. Again this year Cookie Dough can also be used towards the girl’s membership

re-registration or may be applied towards specific GSSNE run programs that take place on GSSNE properties. Contact council for an up-to-date listing of which programs the Cookie Dough may be applied to.

IRG Cookie Dough MAY NOT be applied to GSSNE summer camp fees.

Please note: Cookie Dough cannot be transferred to another Girl Scout nor used after September 30, 2018. This expiration date may not be extended, so please plan accordingly. Cookie Dough cannot be replaced or refunded.

Girl rewards and the IRG! Individually Registered Girl Scouts will earn the same cookie sale program girl recognitions as a troop girl.

Girls are allowed to participate in GSUSA approved on-line marketing for Girl Scout product activities. Girls must complete a signed permission slip and the Internet Safety Pledge and other

safety guidelines as found on www.girlscouts.org and www.abcsmartcookies.com.

Partial Payment Deadlines • Troops must make a minimum payment of 30% of their initial order to council by

February 5th before receiving additional product or placing a re-order. As PSC it is your responsibility to make sure ALL troops adhere to this rule. If troops need more cookies, they should have money from the cookies they’ve sold!

• Partial payments must be processed at a minimum of every two weeks throughout the sale. This is important to minimize the risk of the theft or loss of monies.

• Partial payment forms and payment or deposit slips must be received at council within 3 days of your receiving payment. This paperwork must be received by the council in order for us to process re-orders.

Once your troops have completed their training and placed their initial order in Smart Cookies, please complete the following steps:

Review all troop orders in Smart Cookies. Review booth sale requests, assign booths that are community booth locations. Submit all confirmed booths to council via spreadsheet. Prepare Service Unit Cupboard Order and enter into Smart Cookies. Order a small supply for reorders. Choose a cookie delivery station for your service area. (See delivery station hints on next

page) Ask troops to review their girl rosters in Smart Cookies. Any necessary transfers must be

made by 1/19/18. Girls MAY NOT be moved after 1/19/18. Refer to the Cookie Sale Calendar and adhere to all deadlines.

The day of your delivery be prepared for the following:

Receive your community cookie delivery on your assigned delivery date. Display signage in a visible location at the delivery site for your delivery agent and volunteers.

Ask the driver to sort the product cases by variety.

Inspect the product for visible damage. If your delivery takes place at the Arpin facility, you may replace damages at that time. If your delivery takes place at another location, please note the damages on the delivery ticket and keep the damages. You may exchange any damaged product at the council office.

Verify that your order matches the quantities on your delivery ticket and only sign for the product that you receive.

Distribute product to your Troop Cookie Managers at their pre-assigned time slots. Have them verify and sign for their orders.

Notify GSSNE when the agent has completed your delivery.

Final Deadlines

• Final payments are due no later than April 4th. Be sure to include collection report(s) if a troop has an outstanding balance or a collection issue.

• Girl recognition orders must be entered on Smart Cookies by April 4th.

Choosing a Cookie Delivery Station

Hints and Suggestions Choose a delivery station that can accommodate your Service Unit’s cookie delivery, making note that your initial delivery is usually the largest.

• The truck that delivers your orders can vary from a standard box truck to a 60 foot long, 14 foot high tractor trailer. The site you pick must be accessible to large vehicles. The site cannot require the driver to back down driveways and needs to be ice and snow free on the day of your delivery.

• Be sure that the location is free of low branches and/or utility wires, and the street, driveway and/or sidewalk can handle the weight of a heavy truck. Choose a location that allows the driver to deliver the cookies by the pallet, not by the hand truck.

• A pallet of 100 cases of cookies takes up a space 3 feet wide, 3 feet long and 5 ½ feet tall. A standard car garage will hold about 1000 cases. Cookies may be damaged if they are stacked more than 8 cases high.

• Product safety is important! Make sure your location can safely keep and/or store your Service Unit’s cookies. Consider questions such as is the floor strong enough to handle the weight of the cookies? Are there leaks in the roof or windows that may drip on the cookies? Are there any signs of bugs or other critters who might like to make home in the cookie packages? If you answered YES to any of these questions, find another location!

• Whether your delivery station is just for the day, or for the storage of your Service Unit’s cupboard, the delivery station should be indoors, out of the unpredictable New England weather and safe for you, your cookie team volunteers, the Girl Scouts and the delivery agents.

The delivery agents and drivers will make every effort to accommodate your delivery requests. However, if they feel that the location or weather are too dangerous to deliver at your selected location, an alternate may have to be selected or your order may be picked up at the West Warwick warehouse. If you are expecting a large cookie order, community buildings such as fire stations, or places of worship make better delivery stations than personal residences. Our agent, Paul Arpin-Liberty Moving & Storage is an excellent choice for a delivery station. The product will be set-up for each Service Unit, with loading docks that make the Troop pick-up process fast, easy and convenient.

The Guidelines for picking up or ordering cookies:

Cookies and Cars:

When Troop managers and parents are picking up cookies, remind them to empty their car of excess items, such as car seats, strollers, beach chairs, etc. Here is a guide to how many cookies will fit in an empty vehicle:

1. All orders, whether they are being picked up at the council office or at Paul Arpin must be

submitted as a Planned Order in Smart Cookies no later than 10 am on Mondays.

All re-orders must be entered into Smart Cookies for each Troop and for each individual girl.

2. There is a 150 CASE minimum for any cookies that are being delivered to a particular

site. Initial deliveries will run from January 19th to January 28th. After initial delivery, product will be delivered on Wednesdays and Fridays only. Orders may be picked up at the Arpin Warehouse, Tuesday-Friday from 9am to 4pm. There are no pickups or deliveries on Mondays!

3. Remember to plan ahead to ensure that there is adequate product available.

4. There will be limited back-up inventory available at the warehouse. Troops need to plan ahead so that we can ensure that we have adequate product on hand to fill all orders.

5. Late in the sale, product should come from other Service Units or the council office FIRST! We do not want to take additional product out of Paul Arpin’s facility at the end of the sale unless it is absolutely necessary. Our goal is to have every cupboard bare!

Every Service Unit and every troop is responsible for managing their inventories.

Once cookies leave the warehouse they are not returnable or exchangeable.

1. As Product Sales Coordinator, you should set up a payment schedule at the beginning of the sale and distribute these dates to all Troop Leaders and Cookie Managers at training. Once money has been collected, you must deposit the payments into any branch of Citizens Bank or bring the payments to council within 3 business days of when you collected the payments.

Council will supply you with deposit slips that can be used to make deposits.

Copies of the deposit slips, along with the appropriate payment form should be brought/sent to the council within 3 days of deposit so that Troops can be credited for their payments

OR

2. Any Partial or Final Payments that have not been direct deposited by the designated deadlines must be brought to the council office between the hours of 8:30am and 5:00pm the following day! You can also instruct your Troop cookie managers to bring any outstanding payments to the council office.

These forms to be completed and handed in to council with Payment Receipts:

Delinquent Parent/Guardian Accounts

If a leader, parent or guardian does not make payment for their cookies, notify the Product Sales Specialist and submit the completed Troop Collection Report. The Troop Collection Report form should be sent with the signed annual permission slip and signed Booklet Receipts on or before April 4, 2018 to the attention of Ginger Lallo. However as soon as you are aware that there is a payment issue, please let council know. We can help you and the troop cookie manager in handling the situation. NEVER use troop proceeds to cover a delinquent payment. Note: Any family who is delinquent on payment will be contacted by council for payment and/or sent to a collection agency to attempt recovery. At that time, and until the payments are made in full, both the Girl Scout and her family members will not be allowed to participate in additional Girl Scouting activities, which include but are not limited to troop activities, summer camp, re-registration and receiving financial aid. Refund Policy for Troop Overpayments If a troop’s balance shows an overpayment of $10 or more, the troop will receive a reimbursement check. Credit balances less than $10 are not refunded.

It is important to adhere to all Payment Deadlines. Troops who do not meet these deadlines will not be able to schedule any additional pick-ups/deliveries for product. Any delays in receiving this paperwork will also result in delays in processing Troop Proceeds, Girl Recognition Orders, and Summer Camp Credits! You will receive deposit slips, account stamps, and extra payment forms, should Troop Leaders ask you for them. Any questions regarding direct deposit procedures should be made to GSSNE Bookkeeping.

Bank often and early! FINAL DEPOSIT DEADLINE: APRIL 4, 2018. DEPOSIT ALL THE COOKIE MONEY THAT HAS BEEN COLLECTED WITHIN 3 DAYS OF RECEIVING IT. If you do not receive all the cookie money due to you by then, complete an RI-3 (the Collection Report Form).

• Fill out the special preprinted 3-part deposit slip. Do not use blank deposit slips found at the bank. BE SURE SERVICE UNIT AND TROOP(S) NUMBER ARE RECORDED ON EVERY DEPOSIT SLIP. You may choose to do one Troop per deposit slip or combine Troops as long as the deposit totals match the payment forms.

• Deposit cash and checks. o Before depositing checks, be sure the Troop Number is written on the front of

the check (lower left corner). Stamp “For Deposit Only” on the back of the check. List each check separately by writing the amount of the check.

o Sort dollar bills by denomination and band together with bills facing the same direction. Roll coins. You can pick up coin wrappers from any bank or get them from the GSSNE council office.

• CHECK FOR ACCURACY!

• Tear off yellow copy of deposit slip and save. o Give white and pink deposit slips to the teller with all monies. She/he will return

pink copy and white bank receipt back to you. o Attach both pink deposit slip and white bank receipts with adding machine tape

to Troop’s forms.

• SEND THESE TO GSSNE IMMEDIATELY. Attach the yellow deposit slip to your copy. This ensures that Troop Proceeds, Girl Recognitions, and Camp Credits are processed in a timely manner.

• Log all payments into each troops Smart Cookies account AFTER payments have been made at the bank.

Cookie Sale Facts!

All girls who participate in the Girl Scout Cookie Program are eligible to earn the annual Cookie Activity Pin. The pin recognizes the 5 skills learned and practiced during the sale, and a different colored pin can be earned each year. How fun! Did you know booth sales are MORE than a great way to connect new consumers with their favorite treat?! They also save time for both you and the girls by selling cookies and collecting money all at the same time. They provide opportunities for impulse buys and allow Girl Scouts to see firsthand how to operate their own mini business. Be sure to follow all council booth guidelines when booking your sale!

Troops may use and accept credit cards as payment from customers for their cookie payments. This is OPTIONAL, decided by each individual troop. Each interested troop is responsible for obtaining a credit card reader and for bank fees associated with the use of a credit card reader AND MAY NOT CHARGE A SERVICE FEE TO THE CUSTOMER.

GSSNE’s cookie package price has not increased in SEVEN years! The standard 8 varieties of cookies still sell for $4.00 per package and the Gluten Free Trios sell for $5.00. Troops are not permitted to set prices higher or lower for any reason.

All Girl Scouts registered for the current Membership Year (October 1, 2017 - September 30, 2018) within Girl Scouts of

Southeastern New England can sell cookies, whether they are in a troop or an individual Girl Scout. All girls must have a signed Family Adult Permission Form on file with the Troop or Service Unit. GSSNE works with ABC Bakers for our annual cookie sale. ABC has an incredible website with a wealth of cookie sale related resources including: clip art, stationary, booth sale ideas, online success tools, cookie recipes, and MUCH MORE! There are 12 packages to a case! Council will distribute cookies to Service Units in full cases ONLY. Troops facilitate package to package transfers between themselves and with the support of the Service Unit PSC. Troop profit levels are based on the Troop Per Girl Average of registered girls within the troop. Once cookies are taken from the warehouse, they may not be returned or exchanged. Troops are responsible for ALL of the cookies that they order.

On Sunday, January 7th, 2018 GSSNE and the Providence Bruins will be hosting a Cookie Rally at the Dunkin Donuts Center in Providence, RI. Girl Scouts and their family members are invited to participate in this fun and exciting program for 2 hours followed by a

Providence Bruins hockey game. Girl Scouts will have hands on learning experiences focused around the 5 Essential Skills they learn while participating in the Product Sale Programs.
