Labor Charge In the case on-site changes are requested additional labor fees may be assessed Any outside audio visual food and beverage or set up items that are not discussed or disclosed with Homewood Suites manager prior to arrival are prohibited from being used or on property Food and Beverage All Food and Beverage is preferred to be purchased through our approved vendors Prices are subject to change without notice but are guaranteed fourteen (14) days prior to the date of your function Outside Food and Beverage If client is permitted by Homewood Suites Nashville Vanderbilt Sales Manager to bring outside vendor food and beverage at the time of contract Homewood Suites Nashville Vanderbilt is not liable for any food borne illnesses or service issues that could occur All consumed food is at the own risk of attendees A $150 minimum outside food and beverage charge will be applied with 20 service charge and taxes Additional clean up fees or labor fees may be assessed at conclusion of event Banquet Event Orders Changes to the Banquet Event Order (BEO) or contract within seventy-two hours of the function are subject to an additional 30 service fee Signed Banquet Event Orders are required prior to the start of any function Guarantee of Attendance A guaranteed number of guests attending your function is due 72 hours prior to your function If the final number of attendees is not received 72 hours in advance the last Banquet Event Order or contract will be accepted as approved Deposit Space is not contractually obligated until a signed contract with a credit card and if applicable a non-refundable deposit If a contract and deposit are not received by the specified date space may be released without notification Cancellations In the event of a cancellation deposits will not be refunded Events cancelled within three (3) days of the event will be charged 100 of the estimated food and beverage using the guaranteed number of guests in addition to the cost of the room applicable taxes and service charges A sliding scale cancellation applies to cancellations outside of three (3) days Meeting Rooms Homewood Suites Nashville Vanderbilt reserves the right to reassign function space without written notice to the guests Additional charges may be applied to room andor set-up changes made within twenty-four (24) hours of the event Services A 20 service fee and applicable Tennessee State and local sales tax will be added to all prices Prices and items are subject to change Property Damages The guest will be responsible to reimburse Homewood Suites Nashville Vanderbilt for damage to premises by attendees andor other person associate therewith including outside contractors hired separately Property Loss Homewood Suites Nashville Vanderbilt shall not be responsible for items lost stolen damaged or left on the premises Guest shall not move any Homewood Suites Nashville Vanderbilt item from its current location or attach any items to any Homewood Suites Nashville Vanderbilt property (including furniture walls and windows) without prior approval from the Sales Representative
