The Raiser’s Edge 7.8 includes the Microsoft

SQL Server Desktop Engine (MSDE). This version of SQL server works for databases smaller than 1.8GB. If your database exceeds this limit, you must purchase Microsoft SQL Server Standard/Enterprise Edition.

This chapter includes detailed instructions about updating your server to The Raiser’s Edge 7.8 from The Raiser’s Edge 7.5. If you are updating from The Raiser’s Edge 7.6 or higher, see “Updating from The Raiser’s Edge 7.6 or Higher” on page 45.

Working with Sample DataSample data is installed with The Raiser’s Edge. This allows you to practice with the new features before you implement them in your production database. We recommend you use this sample data as a training tool. It contains examples of the many features available in the program.

Attention Novell users converting to The

Raiser’s Edge 7.8, version 7.8 (SQL Server) does not support Novell databases. Before running the update, you must convert to Windows and install the Blackbaud Management Console on only your server.

Also, be aware, when you update The Raiser’s Edge 7.8 on the workstations, you can no longer access the sample data that previously existed on that workstation.

Steps to Updating The Raiser’s Edge on a ServerA network installation configures the software for multiple users working on multiple workstations. If your organisation uses a network system, you should follow these installation instructions.

If you are installing The Raiser’s Edge 7.8

to a new server, see “Updating from The Raiser’s Edge 7.5 or 7.6x on a New Server” on page 25.

• Read “Requirements for Installing The Raiser’s Edge 7.8 Update” on page 3.• Install the program update, using the installation CD. For detailed instructions,

see “Updating The Raiser’s Edge server” on page 5.• Check the Blackbaud Web site for any updates: www.blackbaud.co.uk. From

the menu bar, click Support, Downloads.• Migrate your ASA database or attach an existing SQL Server database. For

detailed instructions, see “Migrate Database Wizard” on page 11 or “Attach Database Wizard” on page 16.

• Update The Raiser’s Edge on your workstations. After your deployment kit updates, the workstation users receive a message the next time they try to open The Raiser’s Edge, informing them they have to update the software. For detailed instructions, see “Updating The Raiser’s Edge on Workstations” on page 21.

If you are updating to The Raiser’s Edge

Enterprise, you must unlock the enterprise features after you run the update. For more information see “Unlocking The Raiser’s Edge Enterprise” on page 86.

• We are constantly updating and improving our software. Therefore, after you run the update, it is important that you visit the Blackbaud Web page and download and install any available patches. Instructions are included on the Web page.

• Because you are updating from The Raiser’s Edge 7.5, the database migration process leaves your existing ASA database intact. After the migration is complete and you confirm your system is up and running correctly on SQL Server, you may want to delete the old ASA database files from the server (re_bio.db, re_gift.db, re_index.db, re_temp.db, re7.db, and re7.log), freeing up space on your hard drive. We strongly recommend you back up these files before deleting them.

Requirements for Installing The Raiser’s Edge 7.8 Update• You must have The Raiser’s Edge 7.5 or higher installed before you run this

update. Updating from The Raiser’s Edge 7.5 or higher to The Raiser’s Edge 7.8 requires two times the disk space of your current database.

If you are currently a Raiser’s Edge 7 user,

before updating to The Raiser’s Edge 7.8, you must have The Raiser’s Edge 7.5 or higher installed. You cannot update from The Raiser’s Edge 7.0, The Raiser’s Edge 7.01, The Raiser’s Edge 7.02, or The Raiser’s Edge 7.03.

• You do NOT have to uninstall previous versions of the program before installing version 7.8.

• You should make a complete backup of your Raiser’s Edge database before you update. Blackbaud strongly recommends you use a proper tape backup system. However, if you do not have such a system in place, you can run a backup using the existing Blackbaud Management Console. For detailed instructions, see “Backing Up a Network Database” on page 105.

• Make sure clients of The Raiser’s Edge are logged out of the system.• Shut down the database engine.• Unless you are accessing the software across a network, you need a CD-ROM

drive at the server. The update process copies all update files from the CD and integrates settings configured when the Blackbaud Management Console was originally set up to facilitate a deploy package. The deploy package is used to update workstations when users with Local Administrative rights and rights to the deploy package log into their workstation.

• Exit all Windows applications on the server where The Raiser’s Edge will be updated.

Blackbaud does not support the Microsoft

SQL Server Desktop Engine (MSDE) with Microsoft NT 4.0 Server. MSDE is only supported with Windows 2000 or Windows Server 2003. If you are running SQL Server Standard/Enterprise version, you can continue to use NT Server 4.0; however, this operating system will no longer be supported by Blackbaud after March 31, 2004.

• If you are using Microsoft SQL Server Standard/Enterprise Edition, Service Pack 3 or higher must be installed. This is a Microsoft patch required to keep your system current with Microsoft’s security recommendations. If you have not installed Service Pack 3 or higher, the latest version is Service Pack 3a, which you can download from Microsoft’s Web site: http://www.microsoft.com/sql/downloads/2000/sp3.asp.

• Every workstation running Microsoft Windows 2000 must have Service Pack 3 or higher installed; workstations running Microsoft XP must have Service Pack 1 or higher installed. If you have not installed the required service pack, you can download the latest version from Microsoft’s Web site: http://www.microsoft.com/windows/downloads/default.mspx.

• Close any virus scan programs on the server and on the workstations. These programs can sometimes mistakenly interpret the setup/update process of a new program as a contamination of existing files on the disk. Close the Microsoft Office toolbar, if present. It may interfere with the installation of some files.

If your organisation regularly has more than

10 users logged into The Raiser’s Edge at one time, you may experience performance problems using MSDE. You may want to purchase Microsoft SQL Server Standard/Enterprise Edition.

• For the deployment package to update The Raiser’s Edge on a workstation, a user must have local administrative rights to add software to that computer.

• Due to the integration between The Raiser’s Edge and Microsoft Outlook, if your workstations are using Outlook, they must exit and log out of Outlook before updating The Raiser’s Edge on their computers. If they fail to exit and log out of Outlook, the update may not install properly.

• Attention Novell users converting to The Raiser’s Edge 7.8, version 7.8 (SQL Server) does not support Novell databases. Before running the update, you must convert to Windows and install the Blackbaud Management Console on only your server.

Page 9: 7.8 Update Guide - Blackbaud

CH A PT E R 14

• Attention Read-Only Database Assistance users, to insure you have access to the most up-to-date user’s guide, you must unlock Read-Only Database Assistance from The Raiser’s Edge shell.

• After you complete the upgrade, perform backups and maintenance items outlined in the Database Administration Guide.

SQL Server 2005 Requirements• SQL Server 2005 administrators using Windows Only Authentication must

apply the “View Server State” permission to each Microsoft Windows user or user group that accesses The Raiser's Edge 7.8.

• You must install SQL Server 2005 client tools on the machine running the Blackbaud Management Console.

Required NTFS RightsThe Raiser’s Edge 7.8 includes Microsoft

Internet Explorer 6. It installs automatically when you update The Raiser’s Edge.

To use The Raiser’s Edge on a workstation, users need NTFS rights to the following directories, including subdirectories:

The directories listed are system defaults

only. Your directory locations and names may be different if they were changed from the original default settings.

• Click the Advanced button on the NTFS Properties tab and mark the Reset permissions on all child objects and enable propagation of inheritable permissions checkbox. This step propagates the permissions to all files and folders within the parent folder.

• For information regarding how to edit NTFS permissions, reference Knowledgebase Solution BB3124.

• If these rights prove to be insufficient, we recommend using FileMon to determine where additional rights are needed. FileMon is a third-party utility and is a useful tool for troubleshooting permission issues. For more information about FileMon, reference Knowledgebase Solution BB50451.

Updating The Raiser’s EdgeDomain controllers and small business servers

are not supported.

The following procedure explains how to update the network version of The Raiser’s Edge 7.5.

Updating The Raiser’s Edge server

If you are installing The Raiser’s Edge 7.8

to a new server, see “Updating from The Raiser’s Edge 7.5 or 7.6x on a New Server” on page 25

The Raiser’s Edge 7.8 includes the Microsoft SQL Server Desktop Engine (MSDE). This version of SQL server works for databases smaller than 1.8GB. The installation process confirms your database size before the software installation begins. If your database exceeds this limit, the installation process terminates. You must purchase and install Microsoft SQL Server Standard/Enterprise Edition before continuing with the installation process.

1. Insert the update CD in your CD-ROM drive. A screen appears displaying installation options.ORIf you downloaded the update instead of receiving a CD-ROM, extract the update files to a directory on your server. Once extracted, browse the contents, and double-click the setup.exe file (skip to step 3).

2. Click Install The Raiser’s Edge Network Version. The InstallShield Wizard screen appears.

If the install options screen fails to appear,

you can access the setup.exe on your CD-ROM drive using Explorer.

3. Select Update/Repair The Raiser’s Edge 7.

The program may ask you to install your

Microsoft Office discs to complete the update.

5. You must restart your computer before opening the new Blackbaud Management Console. Click Finish. You may receive a message, warning you the ASA database is still running.

If you use the MSDE installed with The

Raiser’s Edge in a network situation (up to 10 client machines connected to a MSDE database on the server) and you change your default MSDE port setting, the change is lost after you run The Raiser’s Edge update. Before you start working in the updated program, you must return to the SQL Server Network Utility and change the port back to what it was before the update. Only in rare situations would you change the default MSDE port setting.

Click Yes to shut it down. A second message may appear.

Click End Now.

If you are installing The Raiser’s Edge 7.8

to a new server, see “Updating from The Raiser’s Edge 7.5 or 7.6x on a New Server” on page 25

After you restart your computer, you must migrate your ASA database into Microsoft SQL Server Desktop Engine. The following procedure takes you step-by-step through this process.

Also, Blackbaud NetCommunity users, after upgrading your version of The Raiser’s Edge, you must reassign the Raiser’s Edge Web Service file and folder permissions you established before installing Blackbaud NetCommunity. For more information, see the Pre-Installation Tasks section of the Blackbaud NetCommunity Installation and Upgrade Guide.

Migrating/Attaching an ASA database into SQL Server

The Raiser’s Edge 7.8 includes the Microsoft SQL Server Desktop Engine (MSDE). You must migrate your existing ASA database into MSDE before you can start working with the program.

If you are updating from The Raiser’s

Edge 7.5, and when you installed The Raiser’s Edge 7.5 you selected to Automatically Start the database when the system starts, the ASA database restarts when you restart your computer at the end of the 7.8 update procedure. You must shut the ASA database down before migrating your ASA database into SQL Server. If the ASA database is running on your server when you start to migrate your database, an error message appears, and you cannot continue. To shut down the service, go to Service Manager. For detailed instructions about shutting the ASA database service down, see the first bullet under “Post Update Checklist” on page 86.

1. After you restart your computer, the new Blackbaud Management shortcut appears on your desktop. Double-click the shortcut.

2. One of two Getting Started screens appears:

Page 14: 7.8 Update Guide - Blackbaud

If you have an existing Microsoft SQL Server

database, you can also attach the database to the Blackbaud Management Console for use with The Raiser’s Edge 7.8. For instruction about attaching a database, see “Attach Database Wizard” on page 16.

Getting Started screen 1: The Getting Started screen displaying three options may appear.

a. The following conditions determine whether you get this Getting Started screen:You must have a valid deploy kit from The Raiser’s Edge 7.5. You must have an existing Raiser’s Edge 7.5 ASA database. It cannot be sample data, and you must be able to log into this database from The Raiser’s Edge 7.5. Logging into the database from The Raiser’s Edge ensures that the registry keys exist and this database can be found during the default update. There cannot be an existing Microsoft SQL Server database named RE7.mdf in any of the Raiser’s Edge 7.5 database locations. For all databases that exist in Raiser’s Edge 7.5, none of them can be more than 1.8GB in size. There must be enough free disk space where the Raiser’s Edge 7.5 or higher database is located in order to convert it. Updating from The Raiser’s Edge 7.5 or higher to The Raiser’s Edge 7.8 requires two times the disk space of your current database.

b. The option you select on this Getting Started screen depends on what you want to accomplish:Select Automatic Database Migration to keep the database settings from your previous installation of The Raiser’s Edge. Click Begin to start the process. The program then migrates your Sybase ASA database for use with Microsoft SQL Server. This is the recommended option for most Raiser’s Edge systems.

Page 15: 7.8 Update Guide - Blackbaud

CH A PT E R 110

If you want to use a server other than the MSDE installed with The Raiser’s Edge, or you just want to manually migrate the database, click Custom Database Migration, and click Begin. The Database Migration Wizard appears. Go to “Migrate Database Wizard” on page 11 for detailed instructions about this wizard. If you have an existing Raiser’s Edge SQL Server database you want to connect to the management console for use in The Raiser’s Edge 7.8, select Attach a Database. The Attach Database Wizard appears. Go to “Attaching a database” on page 16 for detailed instructions about this wizard.

Even if you are running a full version of SQL

Server 2000 Standard or Enterprise, you must attach databases to The Raiser’s Edge using the Blackbaud Management Console. If you do not use the management console, you cannot access the databases from The Raiser’s Edge.

Getting Started screen 2: The Getting Started screen displaying two options may appear.

You receive this screen if your system does not satisfy each of the conditions included in the previous bulleted list.

If you are a Sybase ASA database user and you bought a new server before updating to Microsoft SQL version of The Raiser’s Edge 7.8, you need to follow the instructions included in this chapter. Before you install the update software, you must copy your ASA database files to the new server. You do not, however, need a previous version of The Raiser’s Edge installed. This chapter includes detailed instructions about installing The Raiser’s Edge 7.8 update on your new server.

Working with Sample DataSample data is installed with The Raiser’s Edge. This allows you to practice with the new features before you implement them in your production database. We recommend you use this sample data as a training tool. It contains examples of the many features available in the program.

Attention Novell users converting to The

Raiser’s Edge 7.8 (SQL Server) does not support Novell databases. Before running the update, you must convert to Windows and install the Blackbaud Management Console on only your server.

In The Raiser’s Edge 7.8, sample data is shared across all workstations. Changes are seen by all users. Also, be aware, when you update The Raiser’s Edge 7.8 on the workstations, you can no longer access the sample data that previously existed on that workstation.

Steps to Updating The Raiser’s Edge on a ServerA network installation configures the software for multiple users working on multiple workstations. If your organisation uses a network system, you should follow these installation instructions.• Read “Requirements for Installing The Raiser’s Edge 7.8 Update” on page 27.• Copy your ASA database files onto your new server. For detailed instructions,

see “Copying ASA Database Files to New Server” on page 28.• Install the program update, using the installation CD. For detailed instructions,

see “Installing The Raiser’s Edge 7.8 on a New Server” on page 29.• Migrate your ASA database. For detailed instructions, see “Migrating an ASA

Database on a New Server” on page 35.• Update The Raiser’s Edge on your workstations. For detailed instructions, see

“Updating Workstations from a New Server” on page 41.• We are constantly updating and improving our software. Therefore, after

you run the update, it is important that you visit the Blackbaud Web page and download and install any available patches.

Requirements for Installing The Raiser’s Edge 7.8 Update

Blackbaud does not support the Microsoft

SQL Server Desktop Engine (MSDE) with Microsoft NT 4.0 Server. MSDE is only supported with Windows 2000 or Windows Server 2003. If you are running SQL Server Standard/Enterprise version, you can continue to use NT Server 4.0; however, this operating system will no longer be supported by Blackbaud after March 31, 2004.

• You should make a complete backup of your Raiser’s Edge database before you update. Blackbaud strongly recommends you use a proper tape backup system. However, if you do not have such a system in place and you still have access to your previous version of The Raiser’s Edge 7.x, you can run a backup using the existing Blackbaud Management Console. For detailed instructions, see “Backing Up a Network Database” on page 105.

• Shut down your database server.• You need a CD-ROM drive or Web site download at the server. The update

process copies all update files from the CD and integrates settings configured when the Blackbaud Management Console was originally set up to facilitate a deploy package. The deploy package is used to update workstations when users with Local Administrative rights and rights to the deploy package log into their workstation.

• Exit all Windows applications on the server where The Raiser’s Edge will be updated.

• Due to the integration between The Raiser’s Edge 7 and Microsoft Outlook, if your workstations are using Outlook, they must exit and log out of Outlook before updating The Raiser’s Edge on their computers. If they fail to exit and log out of Outlook, the update may not install properly.

Page 33: 7.8 Update Guide - Blackbaud

SQL Server 2005 Requirements• SQL Server 2005 administrators using Windows Only Authentication must

apply the “View Server State” permission to each Microsoft Windows user or user group that accesses The Raiser's Edge 7.8.

• You must install SQL Server 2005 client tools on the machine running the Blackbaud Management Console.

Required NTFS RightsTo use The Raiser’s Edge on a workstation, users need NTFS rights to the following directories, including subdirectories:

The directories listed are system defaults

only. Your directory locations and names may be different if they were changed from the original default settings.

• If running Windows 2000, when adding these NTFS folder permissions, click the Advanced button on the NTFS Properties tab and mark the Reset permissions on all child objects and enable propagation of inheritable permissions checkbox. This step will propagate the permissions to all files and folders within the parent folder.

Copying ASA Database Files to New ServerAlthough you do not need to have The Raiser’s Edge 7.5 installed on the new server before updating, you do have to copy the ASA database files from the old server to the new server.

Copying ASA database files to a new server

When copying the ASA database files

from the existing ASA server to the new server the copied files MUST be in the same directory structure and path. For example, if the files came from \apps\fundraising\re7 on server A then you need to have \apps\fundraising\re7 as the ASA source on Server B.

1. Using Microsoft Explorer, locate your ASA database files. The database files consist of five *.db files and one *.log file: re_bio.db, re_gift.db, re_index.db, re_temp.db, re7.db, and re7.log.

You must copy all six files. Also, the ASA database engine must be shut down before you move the data.

2. Take the copy of your database files and add them to your new server. You can use the Edit, Copy and Edit, Paste menu options in Explore to add the database files to the new server.

3. Once you have the ASA database files copied to the new server, you are ready to install The Raiser’s Edge 7.8.

Installing The Raiser’s Edge 7.8 on a New Server

Domain controllers are not supported.

Because this is a new server, the following procedure assumes no previous version of The Raiser’s Edge is installed on the server. You must, however, have copied your ASA database files to the server (see “Copying ASA database files to a new server” on page 29).

workstations manually, using the software CDs. You must use the deployment kit.

After you install The Raiser’s Edge 7.8 on your server and migrate your ASA database, you must install the software on all workstations. To do this, workstations must have access to the software deployment kit created during installation. Using this kit, each workstation can install the software. The following procedure must be completed on every workstation.

Updating Workstations from a new server

If you are using your own instance of SQL

Server and running it in the Windows-only authentication mode, you must add to the SQL Server network users accessing The Raiser’s Edge. You must grant the users public role access to the Raiser’s Edge database.

1. Close all applications, virus scanning software, and the Microsoft Office shortcut toolbar.Due to the integration between The Raiser’s Edge 7 and Microsoft Outlook, if your workstations are using Outlook, they must exit and log out of Outlook before updating The Raiser’s Edge on their computers. If they fail to exit and log out of Outlook, the update does not install properly.

2. Disable any screen savers.3. From your Windows Start menu, select Run.

4. Click Browse. The Browse screen appears.

In some cases, the program may ask you

to restart your computer after the installation is complete.

When the install completes, a finish screen appears.

12. Click Finish.

users, to insure you have access to the most up-to-date user’s guide, you must unlock Read-Only Database Assistance from The Raiser’s Edge shell.

This chapter includes detailed instructions about updating your server or standalone computer system from The Raiser’s Edge 7.6, 7.61, or 7.7 to The Raiser’s Edge 7.8.

Updating from The Raiser’s Edge 7.6 or Higher on a Standalone MachineA standalone machine, or single workstation, is set up for one user and data is accessed from only one workstation. If your organisation plans to use a standalone system, you should follow these update instructions.

Requirements for Installing The Raiser’s Edge 7.8 Update

The Raiser’s Edge 7.8 includes Microsoft

Internet Explorer 6. It installs automatically when you update The Raiser’s Edge.

• You should make a complete backup of your Raiser’s Edge database before you update. Blackbaud strongly recommends you use a proper tape backup system. However, if you do not have such a system in place, you can run backup using the existing Blackbaud Management Console. The Raiser’s Edge database consists of six files: RE7.mdf, RE7_bio.mdf, RE7_gift.mdf, RE7_index.mdf, RE7_log.ldf, and RE7_temp.mdf. When running a backup, make sure all six are included. For detailed instructions, see “Backing Up a Network Database” on page 105.

• Exit all Windows applications.• Shut down the database engine.• Close any virus scan programs. These programs can sometimes mistakenly

interpret the setup/update process of a new program as a contamination of existing files on the disk.

• Close the Microsoft Office toolbar, if present. It may interfere with the installation of some files.

• Due to the integration between The Raiser’s Edge 7 and Microsoft Outlook, if your workstations are using Outlook, they must exit and log out of Outlook before updating The Raiser’s Edge on their computers. If they fail to exit and log out of Outlook, the update may not install properly.

Required NTFS RightsTo use The Raiser’s Edge on a workstation, users need NTFS rights to the following directories, including subdirectories:

If you are currently a Raiser’s Edge 7 user,

before updating to The Raiser’s Edge 7.8, you must have The Raiser’s Edge 7.5 installed. You cannot update from The Raiser’s Edge 7.0, The Raiser’s Edge 7.01, The Raiser’s Edge 7.02, or The Raiser’s Edge 7.03.

• Exit all Windows applications.• Shut down database engine.• Close any virus scan programs. These programs can sometimes mistakenly

interpret the setup/update process of a new program as a contamination of existing files on the disk.

• Due to the integration between The Raiser’s Edge 7 and Microsoft Outlook, if your workstations are using Outlook, they must exit and log out of Outlook before updating The Raiser’s Edge on their computers. If they fail to exit and log out of Outlook, the update may not install properly.

• Attention Novell users converting to The Raiser’s Edge 7.8, version 7.8 (SQL Server) does not support Novell databases. Before running the update, you must convert to Windows and install the Blackbaud Management Console on only your server.

• Attention Read-Only Database Assistance users, to insure you have access to the most up-to-date user’s guide, you must unlock Read-Only Database Assistance from The Raiser’s Edge shell.

Required NTFS RightsTo use The Raiser’s Edge on a workstation, users need NTFS rights to the following directories, including subdirectories:

The directories listed are system defaults

only. Your directory locations and names may be different if they were changed from the original default settings during the update/installation.

Updating The Raiser’s Edge on a standalone computer

The Raiser’s Edge 7.8 includes the Microsoft SQL Server Desktop Engine (MSDE). This version of SQL Server works for databases smaller than 1.8GB. The installation process confirms your database size before the software installation begins. If your database exceeds this limit, the installation process terminates. You must purchase and install Microsoft SQL Server Standard/Enterprise Edition before continuing with the installation process.

If the install options screen fails to appear,

you can access the setup.exe on your CD-ROM drive using Explorer.

1. Insert the update CD in your CD-ROM drive. A screen appears displaying installation options.ORIf you downloaded the update instead of receiving a CD-ROM, extract the update files to a directory on your server. Once extracted, browse the contents, and double-click the setup.exe file (skip to step 3).

2. Click Install The Raiser’s Edge Standalone Version. The InstallShield Wizard installs. A progress bar appears, tracking the installation process.

After you restart your computer, you must migrate your ASA database to work with Microsoft SQL Server Desktop Engine. You can do this using the Blackbaud Management Console now available on your desktop. For information about working with the Blackbaud Management Console, see the Database Administration Guide. The following section shows you how to migrate your ASA database for use in The Raiser’s Edge 7.8.

Migrating an ASA DatabaseMigrating your database from The Raiser’s Edge 7.5 to The Raiser’s Edge 7.8

To shut down the service go to Service Manager.

1. After you restart your computer, the new Blackbaud Management Console shortcut appears on your desktop. However, if you also use Blackbaud’s accounting software, The Financial Edge, or education software, The Education Edge, you do not see a new management console short cut; the same management console is used for all programs. Double-click the shortcut.

If you are updating from The Raiser’s Edge 7.5, and when you installed The Raiser’s Edge 7.5 you selected to Automatically Start the database when the system starts, the ASA database starts when you restart your computer at the end of the 7.8 update procedure. You must shut the ASA database down before migrating your ASA database into SQL Server. If the ASA database is running on your server when you start to migrate your database, an error message appears, and you cannot continue.

To shut down the service go to the service manager.

Select “Blackbaud Database Service7”, right-click, and select Properties.

The Blackbaud Database Service7 Properties screen appears.

Click Stop and confirm the Service status field displays “Stopped”.You may also want to disable the service to keep it from restarting again. The service is not needed for The Raiser’s Edge 7.8. To permanently disable the service, in the Startup type field, select “Disabled”. Click OK to close the screen and save your changes. If you are updating from The Raiser’s Edge 7.5, the database migration process leaves your existing ASA database intact.

Issues Updating Your ServerWhen you install The Raiser’ Edge 7.8 on an existing Raiser’ Edge 7.5 server machine, the setup program connects to the server and checks the size of each Raiser’s Edge database in your server. This check may result in any of the following situations.

Migration Freezes When Running Dual ProcessorIf you run your ASA database migration on dual processor Athlon machines, the migration process may freeze. The resolution is to disable one of the processors during the migration and then enable it again after the migration is complete. If you want to use only one processor of a multi-processor machine, use the numproc boot.ini switch.

a. Start a command session (Start, Run, cmd.exe). b. Go to the root of the C drive. c. Use the following command to modify the boot.ini file so it is not

a system file, not hidden, and not read-only: C:\> attrib boot.ini -r -s -h.

d. Open the file in Notepad: C:\> notepad boot.ini.e. Locate the entry that starts the operating system and add

/numproc=1 to the end. For example, the entry may look something like this: multi(0)disk(0)rdisk(0)partition(1)\WINNT=”Microsoft Windows 2000 Professional” /fastdetect /numproc=1.

f. Save the change, and exit Notepad. g. Use the following command to reset the boot.ini attributes: C:\>

attrib boot.ini +r +s +h.

h. restart the computer. The operating system detects and uses the first processor.

The Raiser’s Edge 7.8 Enterprise includes a number of new features. We improved Gift Aid, made NetSolutions changes, and added a Do Not Contact column in Records, and more. This chapter includes an overview of all new features added to the program.

Address Validation and MailsortAddress Validation has been renamed AddressAccelerator. For more information about AddressAccelerator, press F1 from any screen in AddressAccelerator to access the help file.Mailsort has been renamed PostalSaver. For more information, see the Mail Guide.

Gift AidThe primary goal of the Gift Aid changes for The Raiser’s Edge 7.8 is to make the recording, updating, and reporting of tax claim status easier and more accurate for your gifts. When you convert from an earlier version of The Raiser’s Edge to The Raiser’s Edge 7.8, you may have gifts in your database that were designated as ineligible for tax claim under the old Gift Aid design. To use Gift Aid effectively, follow several important steps before and after converting. These conversion steps are outlined in “Using Gift Aid When Converting From Earlier Versions of The Raiser’s Edge to The Raiser’s Edge 7.8” on page 100.Several areas of The Raiser’s Edge are affected by Gift Aid. The following sections detail changes made to these areas.

Page 100: 7.8 Update Guide - Blackbaud

NE W FE A T U R E S 95

Constituent RecordsYou can now add multiple tax declarations for an individual constituent record. On the Bio 1 tab, you still enter declaration information from the Declaration Information button. When you click Declaration Information, the new Declarations Information screen appears. On this screen, you can now add multiple tax declarations for the constituent, open a tax declaration for editing or viewing, and delete a tax declaration. For more information about adding tax declarations to an individual constituent record, see the Constituent Records chapter of the Constituent Data Entry Guide or the Gift Aid section in the Regular Supporters Implementation Guide.

ConfigurationOn the Business Rules page of Configuration, you can now set up rules to determine the criteria and attributes that can automatically disqualify gifts for Gift Aid. For each rule you set up, you can allow exceptions. Your Gift Aid disqualification rules work in conjunction with the settings on the Tax tab of your gift records. For more information, see the Configuration & Security Guide or the Gift Aid section of the Regular Supporters Implementation Guide.

AdministrationThe first time you define Gift Aid

disqualification rules, it is imperative you run the update immediately in Configuration. Otherwise, your existing gifts do not receive a Gift Aid qualification status. Consequently, The Raiser’s Edge cannot accurately determine the tax claim eligibility for your gifts.

After you set up or change your Gift Aid disqualification rules in Configuration, you can run the new Update Gift Aid Status feature immediately to update both the Gift Aid qualification status and tax claim eligibility of all new or previously unclaimed gifts, using gift dates you define. For information about accessing the Update Gift Aid Status screen from Configuration, see the Business Rules section in the Configuration chapter of the Configuration & Security Guide or the Gift Aid section of the Regular Supporters Implementation Guide. When you do not need to add new Gift Aid disqualification rules or change existing rules in Configuration, you can use the new Update Gift Aid Status link in Administration to quickly update all new or previously unclaimed gifts, using gift dates you define. You can update both the Gift Aid qualification status and tax claim eligibility of all unclaimed gifts or only the tax claim eligibility. The same Update Gift Aid status screen that appears when you update in Configuration appears in Administration. The difference between the two screens is the information you can update.

Using the Update Gift Aid Status link, you

can bring the Gift Aid Qualification status and tax claim eligibility status of all existing gifts up-to-date without waiting until you run the next Generate R68 (New Gift Aid) Report.

For information about using the Update Gift Aid Status link in Administration, see the Configuration & Security Guide or the Gift Aid section of the Regular Supporters Implementation Guide.

Gift Record - Tax TabOn the Tax tab of your one-off cash gifts, recurring gifts, pledges, and cash payments for recurring gifts and pledges, you can now select the method by which the Gift Aid qualification status should be assigned to the gift. From your setting, the program determines and displays the Gift Aid qualification status for the gift (Qualified for Gift Aid or Not Qualified for Gift Aid); determines the tax claim

eligibility status for the gift; and depending on whether or not the gift is tax claim eligible, displays a tax claim amount or potential tax claim amount. For more information about the Tax tab of the gift record, see the Tax tab section in the Gift Record Basics chapter of the Gift Records Guide or the Gift Aid section in the Regular Supporters Implementation Guide.

For a gift to now be classified as tax claim eligible in The Raiser’s Edge, a gift must be qualified for Gift Aid and a Gift Aid declaration must be recorded on the Bio 1 tab of the donor’s constituent record, applicable for the date of the gift. Also, this Gift Aid declaration must have a pays tax status of Yes. When the declaration has an indicator of Oral, the confirmation sent date must be less than or equal to the system date.

MailIn Mail, two new fields appear on the Fields to Include tab of the Donor Acknowledgement Letters screen that can be useful when acknowledging donors and letting them know how much more their gift would be worth if they gave you a Gift Aid declaration.

• Potential tax claim amount - This is the tax amount you could reclaim from HM Revenue & Customs if a declaration was on file for the constituent valid for the date of the gift and the gift was qualified for Gift Aid.

• Potential gross amount - This is the total gift amount plus the tax amount you could reclaim from HM Revenue & Customs if a declaration was on file for the constituent valid for the date of the gift and the gift was qualified for Gift Aid.

QueryGift information fields in Query help you determine whether gifts are qualified for Gift Aid. For more information about Query, see the Query & Export Guide.

• Gift Aid Qualification Method - This is the method by which the Gift Aid Qualification status is assigned to the gift record, as set on the Tax tab.

• Gift Aid Qualification Status - This is the Gift Aid Qualification status (Qualified for Gift Aid or Not Qualified for Gift Aid) assigned to the gift record, determined by the Gift Aid Qualification Method set on the Tax tab.

Constituent/Individual information fields in Query help you better analyse the Gift Aid declarations on file for your constituents’ donations. These fields appear in a new Declarations node.

• Declaration Made - This is the date the declaration was made to your organisation. The Made field appears in the Declaration frame on the Tax Declaration Information screen.

• Declaration Start Date - This is the date the declaration begins and becomes active. The Starts field appears in the Declaration frame on the Tax Declaration Information screen.

• Declaration End Date - This is the date the declaration ends and becomes inactive. The Ends field appears in the Declaration frame on the Tax Declaration Information screen. A declaration may not always have an end date.

• Declaration Indicator - This tells you how the declaration was made - Oral, Written, or Internet. The Indicator field appears in the Declaration frame on the Tax Declaration Information screen.

• Confirmation Sent - This is the date you sent the confirmation letter to the constituent. The Sent field appears in the Confirmation frame on the Tax Declaration Information screen.

• Confirmation Returned - This is the date you received the letter back from the constituent, with all declaration details confirmed. The Returned field appears in the Confirmation frame on the Tax Declaration Information screen and is used only when a tax declaration is given orally by the constituent to your organisation.

• Constituent Pays Tax - This reflects whether the constituent pays tax - Yes, No, or Unknown. The Pays Tax field appears in the Status frame on the Tax Declaration Information screen.

• Tax Payer Status - This is the constituent’s current employment status - Employed, Pensioner, Student, Unwaged. The Status field appears in the Status frame on the Tax Declaration Information screen.

• Tax Declaration Comments - These are the notes you record about the tax declaration in the Comments box on the Tax Declaration Information screen.

Reports• You can now update tax claim eligibility when you run the Generate R68 (New

Gift Aid) Report. Before you generate this report, you can select to update eligibility of all unclaimed gifts. The program looks at all Gift Aid qualified gifts that have not yet been claimed and determines whether a valid declaration appears on the Bio 1 tab of each constituent for the applicable gift date. The tax claim eligibility of all applicable gifts is updated and saved, based on the results of the tax declaration check. This helps you reclaim tax for those gifts for which valid declarations were received after the gift was originally saved. For information about Gift Aid reports, see the Reports Guide and the Sample Reports Guide.

• You can also update eligibility when you run the Tax Claim Breakdown Report. For a gift to be included in this report, the gift must be qualified for Gift Aid. Before you run this report, you can select to update eligibility of all unclaimed gifts. Gifts that are tax claim eligible will show tax claim amounts. Gifts that are qualified but not tax claim eligible will show potential tax claim amounts.

Batch and Blackbaud NetCommunityWhen you use Blackbaud NetCommunity 3.0 with The Raiser's Edge 7.8, the Tax Claim Eligible field still appears in a gift batch but is not a required field and is not used to determine the qualification status for a gift. Instead, the new Gift aid qualification method field is required in a gift batch. You must select an option from the drop down menu that appears for the Gift aid qualification method field. You can select to apply gift aid rules upon saving the gift, or set the gift as qualified or not qualified. Using the Defaults tab, you can select a default option for this field to appear for each gift you enter in the gift batch. For more information, see the Batch Guide.

Using Gift Aid When Converting From Earlier Versions of The Raiser’s Edge to The Raiser’s Edge 7.8When you convert from an earlier version of The Raiser’s Edge to The Raiser’s Edge 7.8, you may have gifts in your database that were designated as ineligible for tax claim under the old Gift Aid design. In your previous version, you may have manually unchecked the Tax claim eligible checkbox on the Tax tab of certain gift records even though the constituents had a valid declaration on the Bio 1 tab of their constituent record. This was the only method for avoiding a tax claim on unqualified gifts until now.

The first time you define Gift Aid

disqualification rules, it is imperative you run the update immediately in Configuration. Otherwise, your existing gifts do not receive a Gift Aid qualification status. Consequently, The Raiser’s Edge cannot accurately determine the tax claim eligibility for your gifts.

After you install The Raiser’s Edge 7.8, you must set up your Gift Aid disqualification rules in Configuration and then run the Update Gift Aid Status feature immediately from Configuration to update the Gift Aid qualification status and tax claim eligibility of all unclaimed gifts using your new rules. All gifts that are not disqualified for Gift Aid appear with a Gift Aid Qualification Status of Qualified for Gift Aid on the Tax tab. Qualified gifts, for which the constituent has a valid declaration recorded on the Bio 1 tab of the constituent record, become tax claim eligible. There may still be gifts in your database that must remain ineligible for tax claim even though they do not violate the new Gift Aid disqualification rules. You must identify these gifts before migrating your database. By doing so, you keep these ineligible gifts from converting to tax claim eligible gifts when, after migrating, you set up your Gift Aid disqualification rules and run the Update Gift Aid Status feature.Follow these steps to help keep your ineligible gifts from converting to tax claim eligible gifts.

In your current version of The Raiser’s Edge,

before you migrate, run an R68 (New Gift Aid Report) to process claims on all eligible gifts. This will eliminate them from the group of gifts you must update after migrating. Using a smaller number of gifts will shorten processing time when you define your Gift Aid disqualification rules and update the Gift Aid qualification status and tax claim eligibility of all your new or unclaimed gifts.

Before migrating your database to The Raiser’s Edge 7.8, you should complete the following steps:

Run a Gift query to find the gifts that meet the following criteria:• Gift Date greater than or equal to 6 April 2000• Tax Claim Number is blank• Tax Claim Eligible? equals No• Declaration Start Date not blank and Pays Tax equals Yes.Identify all gifts from the query results that must remain ineligible for tax claim. Without doing this, the program cannot know which gifts should remain ineligible. On each of the identified gift records, add a new gift attribute, such as Not Tax Claim Eligible. If this attribute should be applied to all gift records in the query, you can use Globally Change Records and the same Gift query to add this new gift attribute to each. You do not need to add this attribute to gifts that the new Gift Aid disqualification rules will disqualify after migration. For more information about adding an attribute, see the Constituent Data Entry Guide.

After converting to The Raiser’s Edge 7.8, you must complete the following steps:

Page 106: 7.8 Update Guide - Blackbaud

NE W FE A T U R E S 101

On the Business Rules page of Configuration, on the Gift Aid Disqualification Rules screen, set up this same Gift attribute (Not Tax Claim Eligible) to automatically disqualify these gifts for Gift Aid. Make sure to uncheck the Allow Exceptions checkbox beside this attribute.Set up any other Gift Aid disqualification rules you need.Once you set up this and other Gift Aid disqualification rules, click OK. A message appears, warning you that disqualification rules have changed and asking if you want to update the Gift Aid qualification status of unclaimed gifts using these rules. Click Yes. The Update Gift Aid Status screen appears so you can perform the update. From this screen, using all gift dates after 06/04/2000, both the Gift Aid qualification status and tax claim eligibility of all unclaimed gifts are updated according to your Gift Aid disqualification rules and whether or not a valid tax declaration exists on the Bio 1 tab of each donor’s constituent record, applicable for the date of each gift. All gifts to which you added the Not Tax Claim Eligible attribute before migrating will be disqualified, even if they do not meet the criteria established in your other Gift Aid disqualification rules. For information about setting up Gift Aid disqualification rules and running the Update Gift Aid Status feature, see the Configuration & Security Guide or the Gift Aid section of the Regular Supporters Implementation Guide. For information about how Gift Aid disqualification rules work with your settings on the Tax tab of your gift records, see the Tax tab section in the Gift Record Basics chapter of the Gift Records Guide or the Gift Aid section in the Regular Supporters Implementation Guide.

Constituent RecordsA new DNC column has been added to the Phones/Email/Links grid on all records where this grid appears. DNC stands for “Do Not Contact.” When you click in this column beside a phone number or email address, a visual warning appears in the column. This warning tells you the constituent does not want to receive phone calls at the number or messages at the email address. For more information, see the Constituent Data Entry Guide.

QueryYou can use the new Preferred Do Not Contact? and Do Not Contact? fields in Query to exclude phone numbers and email addresses from queries, including generated mailing lists and phonathon forms. These fields are located in the Addresses node for a query under Preferred Address and All Addresses. For more information about creating a query, see the Query & Export Guide.

Credit Card EncryptionThe Raiser's Edge encrypts credit card numbers entered in your database. If someone attempts to access your database through the “back end”, the credit card data will appear illegible. Data displayed in the “front end”, or user interface, depends on the security settings you establish for credit card numbers and the user's security rights. For more information about setting security in The Raiser's Edge, see the Security chapter in the Configuration and Security Guide.

NetSolutionsWe added a number of NetSolutions changes to The Raiser's Edge 7.8. For more information, see the NetSolutions Guide.• In NetMembers, you can now choose to remove the I wish to waive all

benefits checkbox on your membership page.• In Configure & Customise, we created an Organisation Information tab. The

new tab houses your Web page title, mission statement, page header, and email information, previously accessed from the Account Information tab.

• Tax declaration information now downloads with other constituent information.• With the new checkbox added to the Advanced Options screen in Configure &

Customise, you can prevent credit card information from downloading with other online constituent information.

• If your organisation accepts recurring credit card gifts, do not check the Download credit card information from the server checkbox. If you do, credit card numbers for recurring gifts are not downloaded. As a result, recurring gift payments are not generated and paid.

ImportTo accommodate the improved gift aid functionality in The Raiser's Edge, we made the following changes to Import:• The Constituent Import type can now import multiple declarations for a

constituent. • We added the Constituent Declaration import type to the Constituent import

tables.• We added the Tax Declarations category to the Constituent Import type. For more information and a list of the new import fields, see the Import Table chapter in the Import Guide.

Oracle users, see the Oracle Installation and Database Administrator’s Guide for backup information.

Before you update to The Raiser’s Edge 7.8, we strongly recommend you back up your database using a proper tape backup system. If you do not have such a system in place, the Backup Database link available through the Blackbaud Management Console allows you to run a full or compressed backup of your database while users continue working in the program. The full backup saves a complete copy of your database in a directory you specify. The compressed backup option copies your data files, then compresses the copies into a single WinZip file and deletes the copies. However, if your database contains a single file larger than 4GB, you cannot run the compressed backup.

Backing Up Database from The Raiser’s Edge 7.5Although this utility offers a convenient way to back up your database while allowing your users to continue working in the system, this should not replace a proper tape backup of your data.

Before installing this update, read the Import Notes Before Updating section below. To run the update, use, “Updating RE:Anywhere for Remote Access” on page 135.

Additional Security Settings for Oracle DatabasesIn addition to the security settings for the directories in the previous section, with Oracle databases, you must establish additional security settings to enable functions such as report previewing and printing, and viewing query results.

Specifying additional security settings for Oracle databases

1. Stop and start the Oracle MTS Recovery service. For more information about this service, see the Oracle documentation at <www.oracle.com>.

2. Reset your installation of Internet Information Server (IIS).

You can reset IIS 5.0 from the command line using the “iisreset” command. For information about resetting IIS, see your IIS documentation.

3. Using Windows Explorer, locate your Ora92 directory.4. Right-click on the Ora92 directory and select Properties. The Properties

screen appears.5. Select the Security tab. 6. In the Name box, select the BBReweb7Group. In the Allow column,

mark the Full Control checkbox.7. Click OK to save your changes.

Important Notes Before Updating• If you are running SQL Server using Windows Authentication only,

RE:Anywhere for Remote Access (formerly know as The Raiser's Edge for the Web) users can connect to the database only if the Web server is running under an NT account that has been granted access to the Raiser's Edge database. To set up RE:Anywhere for Remote Access to run under an NT account that has database permissions, perform the following steps.• In Internet Information Server (IIS), access Properties for the default Web

site (or the site you are using).• Select the Directory Security tab. Under Anonymous Access and

Authentication Control, select Edit.• Change the Username and Password to an account that has permissions to

the Raiser's Edge database.• Save the information and stop and restart IIS. • You should now be able to log into RE:Anywhere for Remote Access .

• Check the latest hardware requirements on our Web site at www.blackbaud.com.

• If you use Microsoft Office XP, in order to use the RE:Anywhere communication tools, you must have Service Pack 3 or higher installed.

• Before you update RE:Anywhere for Remote Access, update the The Raiser’s Edge 7 workstation components on the Web server by logging into the database through The Raiser’s Edge 7 client (accessible from the The Raiser’s Edge 7 shortcut on the desktop of the Web server).

• Ensure all users of RE:Anywhere for Remote Access are logged out of the system.

• You need a CD-ROM drive you can access from your Web server.• Exit all Windows applications on the server where RE:Anywhere for Remote

Access will be updated.• Stop your Web server and ftp service before beginning the upgrade. If you do

not stop these services, the setup program asks you to do so during the upgrade.• Close any virus scan programs on the server. These programs can mistakenly

interpret the setup/update process of a new program as a contamination of existing files on the disk.

• Most versions of RE:Anywhere for Remote Access 7 can be updated using the procedure in this document. However, certain early versions of the RE:Anywhere for Remote Access require a more detailed procedure, which includes several additional screens. When you begin the upgrade, if a screen appears welcoming you to the InstallShield Wizard, you must perform the more detailed upgrade procedure. See the RE:Anywhere for Remote Access Installation Guide for more information about this procedure.

Updating RE:Anywhere for Remote Access

Use the following procedure to update RE:Anywhere for Remote Access. This procedure updates the Web Server.1. From your Web server, insert the Blackbaud CD into your CD-ROM

drive.

Browser Settings for Creating Letters and E-mail from Constituent RecordsTo create letters and e-mails directly from constituent records in RE:Anywhere, you need to specify several settings in Internet Explorer on client workstations. These settings do not need to be established on the server (unless you also plan to use the server as a client). Additionally, if you have Office XP, you must install service pack 3 or later.• You must first include the RE:Anywhere server in an Internet Explorer Security

Zone for which you feel safe manipulating the settings. For information about Security Zones and how to configure them, see the Internet Explorer help file.

• Then you must specify several settings for the Security Zone in which you included the RE:Anywhere server. From the Internet Explorer Tools menu, select Internet Options. Select the Security tab.
