What is the Role of the Club Secretary?

An elected club officer whose role, as the key communication point of the club, is very important to the present and future success of a club.

Role of the Secretary?

• Minutes:– Record every meeting (Club & Board)– Legal & Public Documents– Include those present, who made motions,

pass/fail

Correspondence (Communication)

It is important that correspondence responses are prompt and appropriate.

– The club secretary is the officer in charge of responding to all requests and inquiries

– Thank You/condolences/invitations/

Attendance

• Record who is present at each meeting

Attendance awards

Need to be accurate

Miscellaneous duties• Support Club President as requested

• Help develop agenda if asked

• Maintain historical records of club

• Notify members of meetings and announcements

• Work with webmaster to keep website up to date

Reports

• WMMR – Internet based membership list– Activity Reports – What the club does

• PU-101 – New officers – Report by May 15

-Copies to LCI, State Office, DG & DGE• 990N – Filed with the IRS by Nov 15

• Can only be filed Electronically

What is the WMMR and how does the club secretary use it?

• The Web Monthly Membership Reporting (WMMR) system is an online system helping to make membership updating easy and convenient.

How do I Logon

• Each user must first register a user name and password to access the WMMR. Once you have completed the registration process, you will be able to enter your user name and password on the Logon page to access both systems.

How do I register for a password?

• First time users will click

• Provide your LCI member number (Look on your Lions Magazine) and other information to authenticate who you are.
