Academic Information eCore’s model of incorporating best practices in all aspects of online course creation and implementation has been a driving force in the enrollment growth of eCore for several years.

Incorporating the pillars of quality courses, strong student support, and qualified faculty, eCore has been on an upward trajectory of growth. Students are finding that not all online courses are created equally. When making decisions, they are becoming increasingly aware not only of price considerations, but also the relevance of quality, transferability, and reputation. eCore, working with USG institutions across Georgia, is filling all of these student needs.

The first table is the eCore Grades by Term for FY 2013, for Percent Successful Completion (Grade A-B-C) and Percent Course Completion (No Withdrawals). There is also a table identifying the Short Session course rates for FY 2013, which was the first time short session courses were offered in eCore. The third (large) table reports eCore Grades by Course and Affiliate for FY 2013. The eCore affiliates have also provided comparative campus course grade distributions in order to make an assessment between eCore and Campus courses.

Total Percent Success (A-B-C) by Fiscal Year begins in Summer 2006 (FY 2007) and ends in Spring 2013 (FY 2013). The trend is increasing for Summer, from below 60% to mid-70%, slightly increasing for Fall, from 50% to 60%, and slightly increasing for Spring (from low 50% range to just over 60%). Success rates are affected in part by new student population when new institutions become eCore affiliates or by highly motivated transient students taking only summer classes.

Student Engagement and Success The eCore program has a clearly defined process for supporting and assisting students toward full engagement and success in the eCore coursework. This includes providing students with access to academic resources and access to online tutoring options. Additionally, the eCore at-risk process has become one of the hallmarks of the program that gives professors an opportunity to report a student at-risk on a weekly basis, allows the eCore student success team to reach out and contact the student to provide resource solutions, and helps to close the loop back to the professor on the follow-up process. If a student does choose to withdraw from an eCore course, a withdrawal survey is requested to gather data on the student’s eCore learning experience.

Smarthinking Online Tutoring The Smarthinking online tutoring service is available to all eCore students for the duration of the term. This service is available to students on a 24x7 basis. The Smarthinking tutors typically have nine or more years of teaching or tutoring experience, and about 90% of the tutors have advanced degrees. Smarthinking adheres to the Socratic tutoring method.

y The Smarthinking online tutoring service is designed for students who are taking core academic courses.

y Online learning assistance is available from tutors in mathematics, statistics, Spanish, chemistry, physics, and writing for all subjects.

y Since FY 2010, eCore has tracked the Smarthinking usage each semester. For FY 2013 there were 1580 tutoring sessions made by eCore students via Smarthinking.com with 1046 hours of total usage.

y This is a 46% decrease in the number of sessions from FY 2012, and 11% decrease in the total hours of usage; however, the students are spending more time in each tutoring session. The hours spent per session increased from 0.60 hours per session in FY 2012 to 0.66 hours per session in FY 2013. Forty-five percent of usage time is spent in math, 35% usage time is spent in writing, and 19.62% usage time is spent in science.

eCore Embedded TutorseCore began adapting a model of embedded tutoring in Fall 2012 with the introduction of embedded math tutors. The embedded tutor provides an additional tutoring option for eCore students. They can utilize both embedded and Smarthinking Online tutoring options. The main difference between Smarthinking and the embedded tutor model is that the embedded tutor has the eCore textbook materials and is following along in the class. The embedded tutors are available in all math courses via the Discussion Board topic “TUTOR TALK.” While the TUTOR TALK Discussion Board topic is the preferred method, as the tutoring information is shared with all students in that course, a student can opt to reach an embedded tutor via email; but the response also includes the professor for transparency. Embedded tutors can produce small video sessions and post these inside the classroom. These can be used to address a topic with additional break-down or to address a review session for an upcoming midterm or final exam. A video session is shared across sections of the course. The embedded tutors are available in the pre-startup activities with the eCore Connection sample course, and the tutors typically provide support in this area for the math equation editor and graphing calculator usage.

In Spring 2013, eCore embedded a Chemistry assistant available to all Chemistry courses as an additional tutoring option for the eCore student. The Chemistry assistant is available for tutoring questions and lab assistance as needed in the Chemistry classes, and the model is derived from the embedded Math tutors. eCore will continue to utilize the embedded tutoring options set in place in Math and Chemistry, with planned expansions into Physics and Spanish support for FY 2014.

Preemptive and Startup ActivitiesThe eCore program identifies preemptive and startup activities that assist in a successful start of term for eCore students. Thus, students registered into a high number of eCore courses are contacted before the term begins to welcome them to the program, to verify registration, to assist with login to the eCore platform, and to provide success tips. Additionally, eCore has a day three startup process and will call any student not yet logged into the eCore class to facilitate the login and participation process. This process is continued until the login deadline, which was day nine for FY 2013.

Saving Our Students (SOS)The eCore At-Risk process has been in place since Fall 2009. The purpose of the at-risk process is to facilitate student intervention, or engagement, before a student can no longer complete the course successfully. This at-risk process allows professors to report any student in need of assistance. A professor can submit an at-risk report on a weekly basis, and the at-risk reports may be generated for a student with issues in the classroom such as weak/low login and participation activity or a missed assignment. Professors may also be concerned for students with certain medical conditions or a personal obligation, as these issues are often challenges to successful course completion. The eCore student success team will contact the student in need outside the electronic classroom and provide additional external resources and support to the student. The eCore student success team follows empathetic and interactive advising principles, as well as reflective listening techniques. The communication is supportive and always on-message to advance the student towards course success. Students are counseled in corrective measures and provided options for resources available to them to get back on track. Students are encouraged to contact their professors and to work out a new strategy. Students can be periodically contacted in a follow-up as well. A professor can report a student one time or multiple times in a course. Also, the student may be reported at-risk for more than one course. Each individual reporting is considered an at-risk incident. It is important to note that professors can report a student weekly across the whole term. They are also encouraged to report students in the second half to support successful completion.

Student Withdrawal SurveyA student who chooses to withdraw from an eCore course must submit a Withdrawal Survey request. This web form captures student feedback for withdrawing reason and measures for factors and experiences in the eCore course. Students’ reasons for withdrawal from an eCore course typically can be categorized as personal, institutional, circumstantial, or other; and typically the withdrawing reasons are attributed to personal-based issues. The eCore Student Success Team can impact institutional and some circumstantial issues, and the eCore at-risk intervention process assists in providing additional support to students experiencing personal challenges to course completion. The Withdrawal Survey factors and experiences are helpful in identifying additional areas and information that may impede a student’s successful course completion. For FY 2013, there were 1,243 withdrawal surveys submitted. The findings are provided below.
