GENERAL RULES and CONDITIONS

CHANGES MAY OCCUR EACH YEAR

This competition is held under the auspices of the Burdekin Festival of Arts Inc. (herein referred to as Festival or competition) and is open to Amateurs only. An amateur shall be defined as a person whose principal source of income is not derived from the exercise of his or her talents in the particular class or classes which he or she has entered. All competitors compete at their own risk. Failure to comply with the following rules and conditions will involve disqualification and withholding of prizes. The

decision of the management committee of the Burdekin Festival of Arts in all questions or disputes arising out of, or

not provided for, by these rules and regulations will be final. All entries are received according to this condition and

in the spirit of friendly competition upon which the Festival is based; no dispute shall become the subject of any

appeal at law. All competitors compete at their own risk

1 AGE LIMITS: The Festival is open to all competitors from age 5 to those in Year 9 at secondary school. “Year 9”

means school year 9. Competitors in all sections must not be over the age stated in each section on or before the 31

July 2015. In the case of Duets and Duos, one of the competitors may be under the age limit but may only enter for

one Section. No entrant may perform in any section under a name other than his or her own as specified in the

initial entry.

2 TIME LIMITS: Time limits will be strictly adhered to. Competitors exceeding time limits will receive an adjudication

and mark, but will not be placed. Timing commences at the start of the performance and finishes at the completion

of performance.

3 OWN CHOICE – PLEASE READ CAREFULLY A clear copy of music, lyrics or drama must be provided with the entry

for the use of the adjudicator. This copy is to be:

1. free of any annotations

2. completed Own Choice Submission Form attached to the front of own choice copies. (Forms are to

the back of this Entry Book)

3. completed Copyright forms attached to the front of own choice music. (see General Rule 15)

4. staple sheets together. (Do not use paper clips)

Competitors failing to comply will be allowed to perform but will not receive a mark. Music and scripts are to be

handed to the Secretary by Friday 19 June or, if mailed, postmarked on or before Friday 19 June 2015. Competitors

are not to hand copies directly to the adjudicator's desk. Copies will be destroyed by the committee following the

Festival in compliance with copyright rules.

All selections performed are to be chosen with a view to the age of the competitors and with the realisation that

there will be children in the audience. Offensive words, lyrics, costumes or stage behaviour will lead to

disqualification.

4 BACK STAGE AREA: The only people allowed Back Stage during the Festival will be competitors and persons

authorised by the Burdekin Festival Committee. Closed in shoes must be worn by all persons working backstage,

with the exception of competitors. Only Teachers with students in a section will be allowed backstage. Strict

penalties will be incurred if instructions set out by Theatre Staff are not followed.

5 PROPS: Props are limited to those that can be placed on and removed from the stage within 1 minute. Only

Festival officials and Theatre staff will be able to place props on and remove from the stage. During the item props

are to be manipulated only by the competitor. Respect for the stage must be shown. No substance (for example

glass, china, powder, paint, oil, confetti, feathers, sand, water, cream, hay) is to be spilt or spread on stage. No

lighted candles, sparklers, lighted cigarettes or any naked flames are permitted. Penalties will be incurred. Blackouts

and special lighting effects will not be allowed. Props must be delivered to the loading dock before the session

begins. Props must be removed through the loading dock immediately after the session.

6 GROUPS: The names and birth dates, or school year where applicable, of members of all groups MUST be in the

hands of the Secretary seven (7) days before the commencement of the Festival. (Birth certificates to be submitted

upon request).

7 DIVISION OF SECTIONS: Age groupings will be determined by the festival committee after close of entries. The Festival committee will make its best efforts to adhere to the class level groupings set out in this Preliminary Programme, however, the committee reserves the right to split or combine sections if they deem it necessary. 8 ORDER OF COMPETITORS: Positions allocated in programme will be strictly adhered to except in very extenuating

circumstances. Competitors’ appearance on stage will be in reverse order to receipt of entries.

9 PROGRAMMING: The Committee endeavours not to programme solo and group items of the same age group at

the same time. However, because of the number of competitors, this is not always possible. The Committee is

unable to make special arrangements for competitors to compete at a time other than that shown in the official

programme. While desiring to adhere to the programme as printed, the Committee reserves the right to amend it

should it be considered advisable.

10 ADJUDICATOR DECISIONS: The Adjudicator’s decision is final. The Adjudicators have the power to withhold or

divide prizes according to merit. A detailed adjudication will be provided, to be obtained at the completion of the

section. In the event of any breach of the rules, it shall be at the discretion of the management committee as to

whether any disqualification or withholding of prizes is enforced, unless a formal complaint is received.

11 TUITION from ADJUDICATOR: Competitors MUST NOT have any tuition whatever from the Adjudicator or the

Adjudicator's School from the time of announcement of the Adjudicators.

12 PERFORMANCE If a competitor leaves the stage without completing the performance, they may return and

repeat item. Competitor will receive an adjudication, but must not receive a mark – no mark, no place.

13 PROTESTS: All protests or disputed matters will only be permitted if made in writing and handed to the executive

member on duty within half an hour of the cause arising, accompanied by a fee of $30.00. In all cases the fee will

be forfeited if the protest or dispute is considered frivolous. The decision of the Management Committee

concerning protests will be final.

14 TEACHERS & PARENTS: No teacher, parent, or person over the set age limit, will be allowed on the stage during

the rendition of any item, unless as an accompanist or conductor. Closed in shoes must be worn by all persons

working backstage.

15 COPYRIGHT: The Festival Committee holds an APRA licence for performing recorded music. It is the responsibility

of the competitor to abide by the APRA/AMCOS Guide to Festivals (2012). Copyright forms are available in this Entry

Booklet, the Festival website and from www.apra.com.au

16 ENGRAVING: The Committee will not be responsible for the engraving of trophies won.

17 VENUE RULES: Prams, school bags and large musical instruments are not allowed into the auditorium – leave in

the Green Room. Mobile phones and hand held games must be switched off – light from screen is a distraction to

the adjudicator. Recording Devices of any kind are strictly prohibited as per privacy and copyright laws. (Audio,

Video, Photographic)

18 DRESS CODE: The Burdekin Festival supports a Dress Code for all performers throughout the Festival. Age

appropriate dress is encouraged and all parents and teachers are urged to observe this standard of dress. Good

casual is suitable for day competition. Midriffs are not to be shown except where appropriate as a costume. No

thongs.

19 VENUE ETIQUETTE: Respect must be shown for the venue and competitors. NO loud yelling from the auditorium

or the backstage area.

1 OWN CHOICE Sheet music or lyrics with copyright forms attached must be submitted by Friday 19 June 2015 or

postmarked by the same day.

2 CHOIRS Where solo parts are specified in choral sections, the parts so marked are to be sung collectively by the

whole of the voices in the respective section of the choir. Any choir, group or ensemble entered as a school choir,

group or ensemble shall consist solely of bona-fide current students of the school named. No member of one choir

or group will be permitted to perform with another choir, group or ensemble in the same section.

3 ACCOMPANIMENT A piano will be provided for accompanying. Competitors are responsible for obtaining their

own accompanists. One piano is available. A CD player is available backstage. Where CD is used, only a backing

track without vocals will be allowed. Only 1 track per CD. No USB drives or MP3 players. CDRW Disks will NOT

operate on the equipment at the Burdekin Theatre.

4 PERFORMANCE Vocal solos, vocal duets must be sung in English. The same item must not be performed more than once by the same competitor in the same festival. Choirs and groups will appear in reverse order of receipt of entry. Choir risers to be available and are placed in a static position, unless specifically requested with the entry. Preference for risers must be given to the marshal prior to the start of the section. All entrances from the auditorium except Vocal Solo from Musical Theatre.

2 ENSEMBLES AND BANDS No member of one ensemble will be permitted to perform with another band, group or

ensemble in the same section. Any band, group or ensemble entered as a school band, group or ensemble shall

consist solely of current bona-fide students of the school named.

3 DEFINITION OF PERCUSSION ENSEMBLES Percussion ensemble – a combination of tuned and un-tuned

percussion instruments. Members of a group may perform once in each ensemble section.

4 DEFINITIONS OF BANDS

Concert Band – a balanced ensemble of woodwind, brass and percussion instruments usually a large group.

Stage Band – a small group of saxophones, trumpets, trombones and a rhythm section. The rhythm section

may include any keyboard, an electric or an acoustic guitar, an electric or an acoustic bass and a drum kit. A

vocalist may be included in the groups.

5 PERCUSSION INSTRUMENTS FOR BANDS AND ORCHESTRAS To avoid backstage congestion, and limit set-up time

for bands, the following percussion instruments will be available at the theatre. All groups are requested not to bring

these instruments to the Burdekin Theatre.

Competitors are reminded that performance requires appropriate dress. Please confer with your teacher. (Refer

competitors and with the realisation that there will be children in the audience.

4 PROMPTING With the exception of group drama, there will be no prompting except from adjudicator. Penalties

will incur at the discretion of the adjudicator.

5 MICROPHONE No microphone will be allowed in the speech & drama sections to amplify vocal tone.

6 CONDUCTING Conducting is restricted to choral speaking sections.

7 PROPS No costume, dramatization or props will be allowed in any Recitation Section. Blackouts and special

lighting effects will not be allowed. Please refer to General Rules Number 5

8 VENUE ETIQUETTE NO loud yelling or calling out from the auditorium or back stage area.

1. This competition is held under the auspices of the Burdekin Festival of Arts Inc. (herein referred to as Festival or competition) and is open to Amateurs only. 2. All competitors compete at their own risk. All care but no responsibility will be taken with exhibits.

3. Failure to comply with the following rules and conditions will involve disqualification and withholding of

prizes. The decision of the committee of the Burdekin Festival in all questions or disputes arising out of, or not provided for, by the rules and conditions will be final. All entries are received according to this condition and in the spirit of a friendly competition upon which the festival is based; no dispute shall become the subject of any appeal at law. It is most important that Competitors, Teachers, Parents & Guardians read all rules and conditions carefully.

4. ENTRIES: Art, Literature and Photography entries are to be submitted online via Fiesta or delivered to the

Burdekin Festival office which will be established in July. All Art, Literature and Photography pieces are to be submitted for judging by 5pm Friday 24 July 2015. Entries will not be accepted if they do not contain the following:

a. Where entered by a parent, a separate entry for each child entering in art, literature or photography sections.

b. Separate Entries are available At www.burdekinFestival.org.au c. Full Name and Address, and Year Level at School must be included with Entry.

d. Schools may enter using a bulk entry.

5. ADJUDICATORS: The Adjudicators have the power to withhold or divide prizes according to merit. In the event of any breach of the rules and conditions, it shall be at the discretion of the management committee as to whether any disqualification or withholding of prizes is enforced, unless a formal complaint is received. Competitors MUST NOT have had any feedback whatsoever from the Adjudicator from the time of announcement of the Adjudicators. Any approach before or during competition, to an Adjudicator by an Entrant, Parent, Teacher or Friend of an Entrant during the Festival is prohibited. Disqualification of competitor may be enforced. This rule does not apply to the Festival committee.

6. AGE LIMITS: The Festival is open to all competitors age 14 years and under or in Year 9 in secondary school.

Competitors in all sections must compete according to the grade level they are in at school on 1 August 2015. Proof of school year level may be required in the case of a dispute. Prizes will be withheld until such proof is forthcoming. No competitors may perform in any section under a name other than his or her name stated on the entry form.

7. DIVISION OF SECTIONS: Age groupings will be determined by the festival committee after close of entries.

The Festival committee will make its best efforts to adhere to the class level groupings set out in this Preliminary Programme, however, the committee reserves the right to split or combine sections if they deem it necessary.

8. ENGRAVING: The Committee will not be responsible for the engraving of trophies won.

9. REPORTS: A written adjudication on all exhibits, including non-place-getters, will be available at the

completion of the Section. No adjudication slips will be held by the Committee after the Close of the Festival. 10. PROTESTS: The Adjudicator’s decision is to be final except in cases of dispute regarding AGE or INCORRECT

ENTRY, when the decision of the Protest Committee shall be final. Where the age of a competitor is the subject of protest, a birth certificate may be required. All protests or disputed matters will only be permitted if made in writing and handed to the executive member on duty within half an hour of the cause arising, accompanied by a fee of $30.00. In all cases the fee will be forfeited if the protest or dispute is considered frivolous.

VENUE ETIQUETTE: A high standard of decorum is expected from all participants and spectators. Unpleasant or offensive behaviour may result in those responsible being asked to leave and offending entrants may be disqualified. These rules also apply to misuse of the Venue and Festival’s facilities. The committee reserves the right to take any/all action to facilitate the satisfactory conduct of the Festival. The Festival is conducted under the relevant Queensland Government Workplace Health and Safety Regulations and expects all competitors, volunteers, patrons, teachers and visitors to respect these guidelines and will not be held liable for any such person who does not.

WRITING DIVISION

1. Entries must be received by 5pm on Friday 26 June 2015. All literary works must be in the hands of the

secretary by 5pm on Friday 24 July, 2015. 1 entry per competitor per section is allowed.

2. Please mark manuscript clearly in the top right corner of each page with section name and competitor's number. Competitor’s name and the school must not be visible. A template as shown below using the school coloured paper is then glued to the back of the completed piece of work. All submissions must be the original work of the competitor named on the entry. The work may have been submitted as part of a school assignment. The Declaration form found at the back of this Preliminary Programme, must be attached to each piece of writing.

3. All writing pieces must be legible and submitted on A4 paper, clearly titled, written or printed on one side

only, with a margin of 5 cm. Please note word limits. A word count must be written at the end of each piece of work. Submissions exceeding these word limits will receive an adjudication but will not receive a mark. All submissions must not have been entered in any previous Festival. All work needs to be final submission standard.

4. A selection of manuscripts will be displayed at the Burdekin Theatre. All literary works may be collected from

the Burdekin Theatre after presentation of the Literary and Arts Awards. The committee accepts no responsibility for entries not collected by this time but will endeavour to return uncollected entries to schools in the weeks after the Festival concludes. Any work not claimed by 4 September 2015 will be destroyed.

VISUAL ARTS DIVISION

Art & Photography

One entry per competitor per section is allowed.

All submissions must be the original work of the competitor. The work may have been submitted as part of a school

assignment. The Declaration form must be attached to the back of each literary work.

TITLES TO BE CLEARLY MARKED ON WORK WHEN SUBMITTED - not necessarily on Entry Form.

A small tag marked with the section number and competitor's number must be glued on the back of each art work.

Competitor’s names must not be visible.

Entries must be received by 5pm on Friday 19 June 2015. All visual arts works must be in the hands of the secretary

by 3.00pm on Sunday 26 July, 2015. All care but no responsibility will be taken with exhibits.

A selection of visual art work will be displayed at the Burdekin Theatre. Art work and Photographs may be collected

from the Burdekin Theatre after presentation of the Literary and Arts Awards. Any artwork or photo not claimed by

29 August 2015 will be destroyed.

NO FRAMED WORK PERMITTED.

PHOTOGRAPHY DIVISION Please mark photos clearly on the back with the section number and competitor’s number. Competitor’s names must not be visible. See General Conditions for sample tag. All submissions must be the original work of the competitor. The work may have been submitted as part of a school assignment. The Declaration Form must be provided with each photography entry. The onus is on the entrant to package photos adequately for mailing and no responsibility will be accepted for loss or damage. All prints must be mounted. This means the photos should be glued to a backing paper, larger to create a bordered effect (eg 8"x10" or smaller photo on A4 paper).
