Welcome Welcome to the WSPS e-learning courses. As the Facilitator of this Web based service, you can:

- Set up access for individual Learners to the course(s) in the learning site, - Produce a variety of reports to monitor Learner activity, and - Take the purchased course(s) yourself at no additional charge.

Note: The multiple Learner licenses are active for one year (365 days) from the date of purchase. After this time, access is no longer available to the e-Learning account. Please keep your Customer ID and Facilitator Password confidential and in a safe place.

Signing In To sign in as the Facilitator of the e-learning site:

1. Open your Web browser. 2. Type http://vubiz.com/WSPS/ as the URL and hit the Enter key. This will call up the

WSPS login homepage. 3. Turn off any pop-up blockers that may be active in your browser. 4. As soon as more than one course was purchased, a Multi-User License and Facilitator

account was automatically set up for you and an email should have been generated with your login information (the Customer ID and Facilitator password). Type in the Customer ID and Facilitator Password that were issued to you as part of your purchase transaction in the Multi-User License Login boxes

5. Click “GO”.

After signing in, a new screen will appear. At the top of this screen, you will see 4 tabs (labelled a-d): Info Page (default page), My Content, Administration and Sign Off.

a. Info Page Tab

The Info Page contains general information and tips on using the service.

b. My Content Tab

You will see a description of the purchased e-Course, as well as a listing of the various modules in the course, by clicking on the “My Content” tab.

Click on a blue program title to expand the program. To access a module, click on the black module title. As the Facilitator for the e-Learning account, you have complimentary access to all purchased e-course(s) from this page.

By clicking on the “Administration” tab, you can access Facilitator Services on the Learning Management System. Facilitator Services are often referred to as Administrator Services; these are the various features and reports used to manage and monitor the Learners in your Multiple-Learner license account.

Click on this tab to log out of the WSPS e-learning platform.

Administrative Functions

To access the functionality that you will need as an administrator of your program, you will need to access the Administration Tab from the homepage. It will open, by default, to the Info Page below.

Click on the third tab called “Administration”.

The various features and reports available in this area are:

• Learner Profile (My Profile) • Add a Learner • Learner Report • Learner Report Card • Activity Report • Assessment Report

As an administrator, one of your first assignments will be to add learners to the system. If there are a large number of learners that will need to be uploaded, this can be accomplished by using the “Bulk Upload”. Bulk Uploads cannot be done with the Administrator role; WSPS can facilitate this for your organization, but once the initial upload has been completed, you may need to add individual learners to the system.

Add a Learner

Note: The Facilitator is provided with access to the purchased course(s) at no additional charge. For example, if 10 course seats have been purchased, then an 11th complimentary seat is provided for the Facilitator. Just click the My Content tab to take the course(s).

Before a Learner can begin taking a course, the Facilitator must set up a Learner profile (see below) and assign one or more course seats to the profile. Each course title corresponds to a program number, such as P1661EN, so the system identifies a course seat as a program. In the screen shot below, the Programs field indicates that no programs (course seats) have been assigned to the Learner profile.

Add a Learner/Adding a seat to an existing Learner Profile

To set up a Learner and assign a course seat (program):

1. Enter a UNIQUE password.

2. Enter the First Name and Last Name of the Learner.

3. Enter the Learner's email address. Note: This field must be filled in and must contain a valid email address.

4. Click the Yes radio button to allow access to the system (Default). Note: If a Learner has left the organization and needs to be denied access, click on the No radio button to deactivate the password.

5. Assign one or more course seats (programs) to the Learner by clicking on a course title to highlight it. You can assign 2 or more course seats to a Learner by holding down the ‘Ctrl’ key while simultaneously clicking on the course titles to be assigned.

Notes:

• Assigning a course seat (program) to a Learner profile reduces the available number of course seats by one.

• Once a course seat (program) is assigned to a Learner profile, it cannot be unassigned and it is removed from the list of courses that can be assigned to that Learner.

• Once all seats that you have purchased for a course title have been assigned, the course title itself disappears altogether from the list of available programs.

6. Confirm that all information you have entered is correct and then press Update to complete the process and attach the assigned course(s) to the Learner profile. Note: Once you have assigned all course seats purchased, the “Update” function will be removed and you will no longer be able to update any information in a Learner or Facilitator profile.

When a Learner has been successfully assigned a course seat (program), the Programs: field in their profile will look like the one below.

If a course seat has not been assigned properly, the Learner will see the message “There are no programs available” on their My Content page.

Note: For control purposes you cannot delete a Learner from the database, only make them inactive.

Adding a seat to an existing Learner profile

To update an existing Learner profile to assign a new e-course, please follow the steps below.

1. Click the Administration Tab

2. Click Learner Report

3. Enter information to search for the Learner

4. Click Continue

5. In the resulting report, click on the Password for the appropriate Learner

6. Near the bottom of the profile, you will see the available seats for the purchased e-courses that have not already been assigned to the Learner.

7. Click on the e-course that is to be assigned

8. Click Update

Following the above steps will add the e-course to the Learner’s profile.

After each Learner has been set up, you will be brought to the Learner Report screen (see below) that lists the Facilitator and the Learners.

From this screen, click the “Add a Learner” link to add the next Learner. This is to be done for as many course seats as have been purchased.

By clicking "Restart Learner Report", you can:

- Confirm that all Learners are created properly

- Create reports based on the parameters you set – see “Learner Report” below.

Note: For control purposes you cannot delete a Learner from the database, only make them inactive.

3. Enter information to search for the Learner

Learner Profile

The Learner Profile is where information on you, the Facilitator, can be viewed and edited—the password, first and last name, email address, status of the Facilitator (active or inactive), the memo field, and which courses have been assigned to the facilitator. The learner profile displays the details of Learners registered within this account by Last Name. Searching using any Find values below will produce a partial report displaying learners that match the selections: using Finding values that start with values like Hen will return Henry, Hendrickson, etc. while using find value that contain values like Hen will return Henry, O'Henry, etc.

Note: Facilitators automatically have access to all purchased e-courses, so it is not required that you assign a seat to facilitator profiles.

Once you’ve clicked on Learner Report (from the screen above), a new Learner can be added.

The image that follows is an example of how you can add a learner to an existing account.

Learner Report

The report gives detailed information on activity (time spent and assessment scores) in programs that Learners have accessed in a specified time period. If the Learner has not accessed any modules in the program during the time period, the particular program will not appear on the details for that Learner.

The 1st screen below is where you choose the parameters for the Learner Report Card. Click Next after choosing your parameters.

The Learner Report lists everyone who is set up in your learning site. Simply click on the Learner Report link from the Administration tab to see the following options in running the Leaner Report.

To produce the Learner Report, choose from one or all of the following options:

Include – Determine whether you wish to include Facilitators and Managers or Learners only.

Include Inactive Learners -- Determine whether you wish to include inactive Learners or just active Learners.

Finding values that by – This enables you to list only learners whose Password, First Name, Last Name or Email Address either start with or contain specific values.

Format – choose to view the report Online or in MS Excel format.

Click "Continue".

Learner Report Card

The report gives detailed information on activity (time spent and assessment scores) in programs that Learners have accessed in a specified time period. If the Learner has not accessed any modules in the program during the time period, the particular program will not appear on the details for that Learner.

The 1st screen below is where you choose the parameters for the Learner Report Card. Click Next after choosing your parameters.

From the second screen (shown below), a list of Learner names will appear. The names represent anyone who has accessed any programs during the time period. Click Details beside a Learner name to get a personal, detailed Learner Report Card on that Learner (in the time period for which the report was run).

Activity Report

This report shows details of all time spent and assessment scores for your Learners and is organized by Module Number, not program title. The Activity Report search below is where you choose the parameters for the Activity Report. Click Open Report after choosing your parameters.

You can search for all learners who have completed learning during a specific time period or search for a specific learner, by using the “Find Learners” section on the second half of the Activity Report screen.

The report can be run in an online report, in an excel spreadsheet, or in a pdf document. Below is an example of an online report.

Assessment Report

Many WSPS e-learning courses include a final exam. Each Learner is given a maximum of 3 attempts to complete and pass this exam (in most cases 80% or better is considered a passing grade). Through the Assessment Report, you can track the scores received by your Learners for the final exam.

Click the Assessment Report link to produce specific reports that can be viewed online or saved as an MS Excel Spreadsheet. The reports will display the Learners who have taken an examination that is available at the end of the Course.

When creating an assessment report, you can choose from the following options:

All attempts – Use this option to see the number of times a Learner attempted to answer the exam. Please note that multiple attempts at answering the quizzes will not be reflected in this report, only the attempts to answer the exam.

Highest grade achieved – This option produces a report on the highest grade scored by the Learners and the last time they answered either the quiz or the exam.

Note: The date listed may not correspond to the date that the learner got the highest grade. For example, a learner may have answered the self-assessment on Tuesday and received a score of 85%. If they tried to improve their grade on Wednesday, but only got an 80% score, the report will show the highest grade (85%) and the last date the exam was taken (Wednesday). Note: This does NOT apply to Exams. Once a passing grade is achieved in an examination, it cannot be retaken. If a passing grade is not achieved, the learner is allowed 2 more attempts to pass the exam (a total of 3 attempts are allowed) after which the exam cannot be retaken if it is not passed.

Taken during the last -- To specify the time frame when the exam may have be answered – anywhere from one day to 365 days.

Showing scores that are – To specify which Learners have obtained specific scores for the exams.

Finding learners that start with or contain – Choose which Learners to view based on the information entered in the Password, First Name, Last Name and/or Email Address boxes. Leave them blank to view ALL Learners.

Format -- Choose Online Report or the MS Excel Spreadsheet to specify how the report is to be generated. The requested information will be displayed using the options you specified, as well as the Password, Learner information, Date, Assessment and Score.

The Activity Report search below is where you choose the parameters for the Activity Report. Click Open Report after choosing your parameters.

You can search for all learners who have completed an assessment during a specific time period or search for a specific learner, by using the “Find Learners” section on the second half of the Assessment Report screen.

The report can be run in an online report, in an excel spreadsheet, or in a pdf document. An example of the online version of the Assessment report is below.

Signing Off

To log out of the current session, click the Sign Off tab at the top of the screen. You may start a new session at any time by following the instructions given in the "Signing In" section of this document.

Learner Access Instructions

Below are instructions on accessing the e-learning courses. Please provide these instructions by email to the individual Learners so they can begin accessing the courses.

Note: Learners should be given the same Customer ID (IAPAxxxx) as used by the Facilitator. Only the passwords will be unique.

Login Instructions

To log into the e-learning course, please follow these steps:

• Open your Web browser.

• Type http://vubiz.com/wsps/ as the URL and hit the Enter key. This will call up the WSPS login homepage.

• Note: Learners who have been assigned a French course AND who would also like to use the French platform should click Français at the top of the Login page.

• Turn off any pop-up blockers that may be active in your browser.

• Type in the Customer ID and Unique Password that were issued to you in the Multi-User License Login boxes.

• Click “Go”.

• Click on the My Content tab and click on the title of the program/module you wish to access.

• To log out of the current session, click the Sign Off tab at the top of the screen. You may start a new session at any time by following the instructions above.
