1.0 President’s Report Alhamdulillah, the Malaysian Society for Engineering & Technology (MySET) is in its 13th year of operation this year after many years of hard work with more than 10,000 members and 3 full time executive staff members. The MySET Council and other members have worked tirelessly during the last year to build up the organization, from strengthening its management and financial position to diversifying its activities through the various interest groups, as well as taking up some initiatives to further develop MySET into a professional body. MySET continue to work closely with other engineering bodies in the country. Assisting BEM in conducting its Professional Assessment Examination (PAE) for engineers, as well as assisting MBOT in conducting Professional Competency Assessment (PCA) for technologist and certified technician. MySET continues to work closely with the Federation of Engineering Institutions of Islamic Countries (FEIIC) to organize activities at the international and national levels. MySET chairs the Engineering Qualification, Accreditation and Professional System (EQAPS) project. The latest addition is the FEIIC Engineers Register which was launched successfully in November 2019 at Makkah, Kingdom of Saudi Arabia, in conjunction with the FEIIC International Conference on Engineering Education and Research 2019 (FICEER2019). MySET registered Malaysian Research and Education Foundation (MyREF) continues to be the humanitarian arm of MySET specifically in research and education. In the area of knowledge dissemination, we continue to publish our MySET e-magazine known as ET Magazine to share knowledge and experience with MySET members. The FEIIC-International Journal of Engineering & Technology (FIJET) with FEIIC continues to be published regularly. MySET Facebook appears to attract a number of new registrants daily. And our Portal is regularly updated with news and information for members.

2.0 Notice of 13th Annual General Meeting Date: 19th July 2020 To all members of the Malaysian Society for Engineering & Technology (MySET), In accordance with Clause 8 (3) of the Malaysian Society for Engineering & Technology Rules, notice is hereby given that the 13th Annual General Meeting of the Malaysian Society for Engineering & Technology will be held at Bangi Resort Hotel, Bandar Baru Bangi, Selangor on Saturday 15th August 2020. All MySET members are welcomed for registration starting from 9.00 am. 3.0 Minutes of 12th Annual General Meeting

MINUTES OF 12th MALAYSIAN SOCIETY FOR ENGINEERING & TECHNOLOGY ANNUAL GENERAL MEETING, HELD ON 6th APRIL 2019, 11.04 AM AT DAHLIA ROOM,

BANGI RESORT HOTEL, BANDAR BARU BANGI

12.1 Welcoming Address by President • The President of MySET, Professor Ir. Megat Johari Megat Mohd Noor welcomed all members

to the 12th AGM, and the following are excerpts of the welcoming speech. 1) The President encouraged members to upgrade to Fellow Members provided that

members are life member or at least five years contributed to MySET. 2) All members were invited to participate in the two signature activities by MySET; FEIIC-

International Conference on Engineering Education and Research 2019 in Makkah and World Research and Innovation Convention on Engineering and Technology 2020 in Malaysia.

3) MySET planned to organise a social and cultural trip to Balkan in 2020. 4) MySET were given the task to conduct the professional assessment for technologist and

technician by the Malaysia Board of Technologists.

12.2 Confirmation of 11th AGM Minutes The minutes of the 11th AGM was confirmed, as proposed by Ts. Ridzuan Md Sham (00972) and seconded by Sharifah Allyana Syed Mohamed Rahim (00117).

12.3 Annual Report for Session 2018-2019 Assoc. Prof. Ts. Dr. Tinia Idaty Mohd. Ghazi, MySET Secretary General presented the Annual Report for 2018-2019 sessions, as documented in the Annual Report 2018 that had been circulated to members. 4.0 – Organizational Structure

The organizational structure was as documented in the Annual Report 2018. 5.0 – Council Members 2018-2021

A total of 19 elected council members for Session 2018-2021. 6.0 – Council Meeting The Council had convened five meetings for Session 2018-2019. 7.0 – Membership

The MySET membership has increased from 10,683 in March 2018 to 10,937 as at 1st April 2019. There are 20 fellow members, 1566 ordinary members, 59 associate members and, 9292 student members.

8.0 – Reports and Activities of Standing Committees

There are six (6) standing committees, eight (8) interest groups and three (3) groups. The reports were documented in the Annual Report 2018. Among the activities conducted

were: • World Research and Innovation Convention on Engineering and Technology 2018. • Series of industry talk and awards. • MySET Technical visit to Pangkalan Tentera Laut Diraja Malaysia, Teluk Sepanggar,

Kota Kinabalu, Sabah. • Signed up MoU with the Iraqi Engineers Union, Malaysia Board of Technologist as

Technical Expert Panel and SustNET (Sustainable Business Network Association of Malaysia).

• Bimonthly publication of the Engineering & Technology (ET) e-Magazine. • Professional Assessment Examination • Professional Competency Assessment

9.0 – Financial Statement

The Financial Statement for the year ending 31st December 2018 was audited by Dr. Hisham Hamid and Ts. Ridzuan Md Sham.

The 2018 Annual Report and Financial Statement were then accepted as proposed by Husna bt Mat Salleh (00058) and seconded by Dr. Tholudin Mat Lazim (00293).

12.4 Amendments to Constitution The AGM agreed that the following clause in the Rules (Constitutions) should be amended. The amendment clause should read as: 5. Membership

5.1 Ordinary Members

5.1.1 Membership shall be opened to individual or person with basic tertiary qualification recognised by Malaysian Government and or have passed the professional examination and or has acquired the necessary professional experience for professional practice in engineering and technology. There shall be seven categories of member: Honorary Fellow Honorary Member Fellow Professional Member Member Associate Member Student Member

5.1.2 Every application for membership shall be proposed and seconded by two existing members and shall be forwarded to the Secretary General who shall at the first

convenient opportunity, submit it to the Council for approval. The Council may at its discretion reject any application without assigning any reason thereof.

5.1.3 Every applicant whose application has been approved as aforesaid shall, upon payment of the prescribed entrance fee and first annual subscription, be admitted as a member of the Society and shall be entitled to all the privileges of membership.

5.1.4 A university or university-college student shall not be eligible for membership without the prior approval of the Vice-chancellor or representative of the university concerned.

5.1.5 Student members shall enjoy the rights and privileges of Ordinary Member but have no voting rights

5.1.6 Ordinary membership apart from students is categorised as below and members shall be entitled to the exclusive use of post-nominal after their names of the following abbreviated forms:-

a. Fellows – F.M.S.E.T. b. Members – M.M.S.E.T.

5.1.7 Fellows and Members with a recognised Engineering or Engineering Technology

qualification at a bachelor level by the Malaysian Government shall be entitled to use the title Eng. in front of their names.

5.1.8 Fellows and Members with a recognised Engineering or Technology qualification at a diploma or certificate level by the Malaysian Government shall be entitled to use the title TEng. in front of their names.

5.1.9 Professional Members are those members who had successfully passed the MySET Professional Review or members who had obtained their professional qualifications with regulatory/ competent authorities/ professional registration bodies, and listed on respective MySET rolls. Professional Members are classified as follows with the appropriate post nominals:-

a. Professional Engineers - P.Eng. (only upon qualified as Professional Engineers by the Board of Engineers Malaysia)

b. Professional Engineering Technologist - P.Eng. Tech. (or equivalent) c. Professional Technician - Tech. P (or equivalent) d. Professional Technologists - P.Tech. (only upon qualified as Professional

Technologists by the Malaysia Board of Technologists)

12.5 Presidential Address

Prof. Ir. Megat Johari Megat Mohd Noor mentioned that MySET will continue to organise seminars and conferences to generate more income for MySET and hoped members who may have ideas especially in the area of experties to conduct a training or workshop and to work closely with MySET.

The President also hoped that the contribution from MySET members would bring up the younger generation in terms of sustainability of what the previous council has done for the nation, religion and for the best of mankind and to collaborate with more professional societies. The president also mentioned that the amount that has been collected for building fund has reached 70k. Any activities conducted under MySET, 10% of the profit will go to the building fund. Any members who were interested to be part of advance technology interest group could delivered what is expected from the industrial revolution, especially from academia and industry which may help to come out with curriculum that would have IR4.0 label. The President thanked council members for the last year contribution towards the improvement of MySET especially in come out with activities for MySET. The President also thanked the members for making the AGM run smoothly and end the session.

8.0 Reports and Activities of Standing Committees The Council has formed six (6) Standing Committees, eight (8) Interest Groups and three (3)

Groups, and each standing committee or group adheres to its term of reference and objective as follows:

1. Standing Committee on Corporate Affairs

• Plan and manage MySET public relations • Promote international networking • Provide public relation services to members

2. Standing Committee on Activities & Welfare

8. Malaysia Green Technology and Renewable Energy Interest Group (MyGREEN)

• To be a review platform of current practice and effort on the aspects of green technology and renewable energy in Malaysia.

• To help identify potential project development from a scientific aspect. • To provide output to the government by preparing white papers and reports

from time-to-time on relevant issues.

9. Malaysia Technologists Interest Group (MyTechig) • To network together people having the same interest in advancing the role of

technologist in Malaysia. • To offer a medium for exchange of knowledge, ideas and information on

technology and technologists in the country. • To contribute towards certification of professional technologists. • To organise conferences, seminars and workshops on technology related

matters. • To be a referral centre for role of technology advancement in the region.

10. Malaysia Technician Interest Group (MyTig)

• To understand the dynamic technological changes and advances and the need to meet the changes.

• To have an exposure on the latest training technology to train effective technicians.

• To understand the accreditation for world class technicians. • To bridge the gap between industry needs and the curriculum for technical

training.

11. Malaysia Forensic Engineering Interest Group (MyFEig) • To be the professional platform where all engineers and technologists can

meet and network to discuss about forensic engineering programmes in the country.

• To establish network of forensic engineering clusters in terms of users, owners, policy makers, educationists and researchers to help advance the field in Malaysia.

• To conduct regular conferences, seminars, workshops, training programmes and competitions to help develop the technology and application in the country.

• To conduct forensic audit on engineering failures and maintenance of structure and infrastructure programmes that will be recognized by the

industry and government sectors to help build competencies in the field, both nationally and globally, for Malaysia.

• To be referral centre for forensic engineering in the region.

12. Malaysia Affordable Housing Interest Group (MyAHig) • To establish a network of professionals in affordable housing, especially from

amongst housing developers, contractors, educationists in higher education and researchers to help advance in field in Malaysia.

• To provide a platform for exchange of knowledge, ideas and information on sustainable affordable housing development is the country.

• To organise conferences. Seminars, workshop and congresses on housing issues so that it can be an essential medium of information-sharing to all, including members of the public and policy maker.

• To be a referral centre for affordable housing development in the region.

13. Malaysia Ergonomic Interest Group (MyEig) • Discuss about ergonomic programs in the country • Create awareness on the importance of ergonomics in industries,

organizations and society • Develop the technology and application of ergonomics in country • Liaise with other national and international ergonomics/human factors

societies 14. Malaysia Radar and Navigation Interest Group (MyRAN)

• To be the professional platform where all engineers, engineering technologists and technologists can meet and network to discuss about the Radar & Navigations / Avionics programs in the country.

• To provide output to the govenrment by preparing white papers and reports from time to time on Radar & Navigations / Avionics issues.

• To conduct conferences, seminars, workshops, training programs and competitions for knowledge dissemination and to help develop the technology and its application.

15. Malaysia Biofibre, Biopolymer & Biocomposite Technology Interest Group (MyBIOCOM) • To discuss about biofiber, biopolymer and biocomposite technology consist of

its derivatives and products development. • To be the platform for advancement and competency of biofiber, biopolymer

and biocomposite technologist professionalism to meet the demand of 21st century.

• To be the professional platform where all technologists, engineers and engineering technologists can meet and network to discuss about biofiber, biopolymer and biocomposite technology.

• To provide input to the government through discussion on policiesm standard guidelines and roadmap from time-to-time on biofiber, biopolymer and biocomposite technology issues.

• To conduct conferences, seminars, workshops, training programs, and competitions for knowledge dissemination and to help develop the technology and its application.

16. Young Professionals

• Attract Young Professionals to join MySET • Organize special activities for Young Professionals • Network with Young Professionals in FEIIC member countries

17. Study on Engineering & Technology Education

• To study and analyze the existing engineering curricular in the world (east, west) in producing an “ideal’ engineer and technologists

• To seek opinions from engineering and technology education main stakeholders

• To seek opinions from educational perspectives • To study the characteristics of engineering lecturers (murabbi) • To study the current engineering lecturer training syllabus • To study the current engineering curriculum especially from developing

countries (east and west) • To design engineering and technology curriculum (objectives, content,

pedagogical approach, assessment procedures) for the future • To establishment engineering education financial support through waqaf and

endowment. 18. MySET Relief Group

• To ensure that best practice is followed in terms of charity practices. • To ensure that the appropriate policies and procedures are in place to advise

on income and expenditure and that this is reviewed at regular intervals. • To develop and review the Committee Charitable Funds Strategy and terms of

reference on an annual basis and agree changes where appropriate. • To develop and review the Scheme of charitable funds on a regular basis and

recommend changes where appropriate. • To review and approve fundraising policies ensuring that statutory

requirements are complied with. • On an annual basis, to review and approve income and expenditure plans

ensuring that they complement the strategy. • To ensure an effective mechanism exists whereby purchase needs are

identified and satisfied (within resource constraints) through an equitable bidding process. (All purchases by MyRE will be recorded in a separate register.)

• To ensure that all monies paid into MyRE charitable funds meet the criteria for charitable status, when applicable after gaining approval from related authority.

• To review the number of funds on an annual basis and undertake a programme of rationalisation, where appropriate.

• To approve any request to set up new funds and cost centres. • To decide the bases of apportionment for income and administration costs,

respectively.

The standing committee is responsible for the continuous professional development of members and society at large through conferences, training and seminars. The committee also coordinates with Standing Committees on Administration & Finance and Young Professional Group in organizing the various activities.

The design and production of the ET Magazine has been done in-house since the July-August 2017, issue 41. It is published as an electronic magazine and uploaded to MySET’s website (under the Resources tab). We will continue to produce ET Magazine in this manner until a better alternative is found. Until 17 July 2020, the council had approved a total of 18 fellow members, 1,644 ordinary members, 61 associate members, and 9,353 student members. Total membership to date is 11,076. 8.3.2 Activities In order to assist the Board of Engineers Malaysia (BEM), MySET has been approved by BEM to conduct Professional Assessment Examination (PAE), in an effort to increase the number of professionally qualified engineers in the country. Until 29 June 2020, we have received 61 batches, totaling 372 candidates until now.

8.4.1 Meetings

The Standing Committee had convened four meetings for the session 2019-2020. The meetings were held on 9th May 2019, 16th July 2019, 26th September 2019, 9th January 2020, 11th March 2020 and 15th July 2020.

8.4.2 Administration

The Annual Report for the year 2018/2019 sessions was submitted to The Registry of Societies Malaysia using the e-Roses System and the amendment to constitution in clause 5 (5.1.9) was successfully approved.

8.4.3 Membership The Standing Committee agreed to continue the free MySET jacket for Life Member application and free customized lapel pin for new Fellow Member, new Life Member and new MySET member.

8.4.4 Activities

8.5.1 Meeting The Malaysia Affordable Housing Interest Group (MyAHig) is chaired by Feroz Hanif Mohamed Ahmad. MyAHig have set up a meeting with Pejabat Menteri Besar Selangor to know how MySET can involve in Rumah Selangorku. In future, MyAHig decide to have a meeting with YB from Ministry of Housing and Local Government and MB Selangor to discuss about national housing policy 8.5.2 Activities Malaysian Board of Technologist together with MySET (MyAHig) as supporting organizer have successfully organize a conference on Smart Technology for Smart City Summit 2019 on 27 November 2019 at Concorde Hotel, the conference was attended by previous Deputy Prime Minister as a VVIP.

8.6.1 Activities In order to attract student to join MySET. The Group on Young Professional agreed to promote MySET Student Membership at all institution of higher Learning. The Group also agreed to open Registration booth at all activity that we organize and target at least 30 MySET student members at each Institution of Higher Learning. In addition, group members agreed to launch MySET student member. Other than that, During MCO the group members create webinar series collaboration with Universiti Putra Malaysia. 9.1.1 Report on the Financial Statements We have audited the financial statements of MALAYSIAN SOCIETY FOR ENGINEERING & TECHNOLOGY (MySET), which comprise the statement of financial position as at 31st December 2019, and the statement of comprehensive income for the financial year ended, as set out on pages 27 to 32. 9.1.2 Auditors’ Responsibility Our responsibility is to express an opinion on these financial statements based on our audit. We conducted our audit in accordance with approved standards on auditing in Malaysia. Those standards require that we comply with ethical requirements and plan and perform the audit to obtain reasonable assurance whether the financial statements are free from material misstatement. We believe that, the audit evidence we have obtained is sufficient and appropriate to provide a basis for our audit opinion. 9.1.3 Opinion In our opinion, the financial statements have been properly drawn up in accordance with the rules and regulation of the Society and applicable approved accounting standards so as to give a true and fair view of the financial positions of the Society as at 31st December 2019 and of its financial performance for the financial period then ended. 9.1.4 Report on Other Legal and Regulatory Requirements In accordance with the requirements of the Society, we also report that in our opinion the accounting and other records to be kept by the management have been properly kept in accordance with the rules and regulation of the Society.

1. BASIS OF PREPARATION OF FINANCIAL STATEMENTS The principal activity of Society is to advance and promote the science and

profession of engineering and technology.

2. BASIS OF PREPARATION OF FINANCIAL STATEMENTS The financial statements of the Society have been prepared under the historical

cost convention and comply with applicable approved accounting standards in Malaysia.

3. SIGNIFICANT ACCOUNTING POLICIES 3.1 Computer and Peripherals / Portal and depreciation Computer and peripherals / portal; and Furniture and Fixtures are stated at cost less

accumulated depreciation and any impairment losses. Depreciation of computer and peripherals / portal; and Furniture and Fixtures is calculated on the straight line method to write off the cost of the assets over their estimated useful lives at the annual rates of : Computer and Peripherals / Portal 20 % Furniture & Fixtures 20 %

3.2 Receivables Receivables are stated at cost less provision for doubtful debts. All known bad debts

are written off and specific provisions for doubtful debts are made based on estimates of possible losses which may arise from non-collection of certain individual receivable accounts at the end of the financial years.

3.3 Payables Payables are stated at cost which is the fair value of the consideration to be paid

in the future. Provisions are made when the Company has a legal or constructive obligation as a result of past events, when it is probable that an outflow of resources will be recognised to settle obligation.

3.4 Cash and cash equivalents Cash equivalents are short term, highly liquid investments with maturities of three

months or less from the date of acquisition and are readily convertible to cash with insignificant risk of changes in value.
