    About AMA Deans’ Portal AMA Deans’ Portal is a facility for managing the enlistments of the students. It is designed to approve online the enlisted classes of the students. Every term, all Deans of AMACC with Allied Courses, ACLC, ABE, SASN and ASM branches shall entered their class schedules through the website. The location of the website is at http://fis.amaes.edu.ph. Take extra precaution in preparing your schedule of classes. You have to make the correct tagging of classes so that correct assessment of fees can be made by Accountants’ Portal. The student will go to the branch Dean and present his Pre-Enlistment Form (PEF). The Dean will indicate his approval on the student’s chosen classes by logging into the AMA Deans’ Portal. An online form is available in the Portal and it is in this form that he marks the classes that he approves. The Dean will also sign in the PEF of the student. Features:

    • you can create building and rooms’ data online • you can create schedule of classes online • you can approve the enlistments of the students online • you can monitor the demand of a certain class • you can monitor the number of pre-enlisted, enlisted and enrolled students in a certain

    class • you can check the listing of students with USN • you can view the schedules of your teaching staff • you can view the schedule of classes and grades of the students • you can view the listing of enrolled students • you can view the enlisted students but not yet paid

    Who can access the system? Access is restricted to authorized AMA personnel only. The Branch Dean can access AMA Deans’ Portal. He must have a valid ESSA (Employee Single Sign-on Account). ESSA can be secured from your local HR Department. What are needed to start using the system? Hardware: Pentium PC with Internet connection or connection to AMA WAN Software: MS Internet Explorer version 5.5 or higher Items Needed: To use this system, you will need 4 items:

    1. Universal Student Number or USN of the students 2. Listing of Buildings and Rooms 3. Schedule of Classes for the current term 4. Pre-Enlistment Form (PEF) of the student

    Logging Into the System 1. Enter http://fis.amaes.edu.ph or http://deans.amaes.edu.ph at the address bar and press

    key. The Login page will be displayed.

    2. Enter your Employee No. and Password (password in your ESSA account). 3. Then, click Login button or press key and the Announcement page will be

    displayed. 4. Click Continue button to go to main page.

    Logging Out from the System At the main page of the system, click Logout link and a confirmation window will be displayed asking you if you really want to logout from the system. Then, click OK button to logout and a message window will be displayed informing you that you successfully logout from the system. Click OK button to continue.

    Command Buttons Description

    Bldgs and Rooms Allow you to add buildings and rooms in your Campus.

    Teaching Staff Allow you to view your teaching staff/instructors.

    Sched of Classes Allow you to create schedule of classes.

    ClassSched Checker Allow you to check if the schedule of classes you encoded is correct.

    Students with USN Allow you to view the profile, schedule of classes and grades of the student with USN.

    Enlisted Students Allow you to approve the enlistments of the student. Allow you to reverse the approval of the enlistments.

    Enlistments

    Allow you to view the enlisted and enrolled students in a class schedule. Allow you to delete the enlistment of the student in a class schedule.

    Enlisted But UnPaid Allow you to display listing of enlisted students that are not yet paid.

    Enrolled Students

    Allow you to view the profile, schedule of classes and grades of enrolled students. Allow you to add and approve the additional class of the enrolled student.

    eLearning Validation Allow you to validate the eLearning subject(s) of the student.

    eLearning Evaluation

    Allow you to view the registered students in the eLearning subject. Allow you to evaluate the Courseware and Broadcast of the eLearning subject.

    Changing Default Year and Term Before you proceed to the main process of Deans’ Portal, make sure that your default year and term is correct. 1. To change your default year and term, click Change YEARTERM link in the main page and

    the Set Year and Term page will be displayed.

    2. Select your preferred year and term from the drop-down list. • The first 4-digits of YearTerm is for the Year and the 5th digit is for the Term. • Term values are: 1 is for 1st Sem/Tri, 2 is for 2nd Sem/Tri and 3 is for Summer/3rd Tri.

    3. Then, click Go button to change your default year and term.

    Buildings and Rooms

    Before you can add rooms’ information, you must add buildings’ information first. This will be used in room assignment of your class schedules. A. Adding Buildings 1. At AMA Deans’ Portal main page, click Buildings and Rooms button and Buildings and

    Rooms of My Branch will be opened.

    3. Then, fill up the fields provided with correct information. • Make sure that you follow the format indicated opposite the field or error will result on

    submission. 4. To save the information you have entered click Post button. Otherwise, click Cancel button. B. Adding Rooms Once you have encoded rooms’ information within a building, you cannot delete the record of that building.

    3. To save the information you have entered click Post button. Otherwise, click Cancel button.

    Schedule of Classes A. Creating a Class In creating schedules of classes, make sure that your current YEAR and TERM is correct. This means that the data you are about to see and enter will be tagged as data for the YEAR and TERM you have selected. The class schedules you will enter will be used in the online enlistments and assessment of the students. Be careful in preparing the schedule of classes every term. You have to make the correct tagging of classes so that correct assessment of fees can be made. 1. At AMA Deans’ Portal main page, click Sched of Classes button and the Schedule of

    Classes page will be opened. Show Description link shows the course description of each class schedule. • Show By ClassCategory link displays class schedules based on class category (COMPLAB Classes, HRMLAB Classes, Module Classes, etc.).

    ClassSched Checker link lists class schedules to check for the types of classes that your branch is offering.

    3. Enter the information in the fields provided. • You must not commit any error on the values that you will enter. These values are used

    in the assessment of fees. • Any incorrect value will result to incorrect assessment of fees. • For Healthcare class schedules with Laboratory, make sure to select correct laboratory

    type. - Medical Lab (Licensed Practical Nursing and Certified Nursing Aide - Science Lab (Bachelor of Science in Nursing)

    • Make sure to tag P.E and NSTP classes. (YES/NO) • For Healthcare class schedules with RLE (PCARE1, PCARE2, etc.), do not forget to enter

    the # of RLE hours. • Do not forget to tag “YES” the Caregiver and MT class schedules. Enter also the number

    of class hours. • You cannot edit the information if there is a student enlisted.

    4. After you entered the correct value, click Go to Step 2 button and the Create a Class – Step 2 of 3 Class Schedule Form page will be opened.

    5. Accomplish Create a Class – Step 2 of 3 Class Schedule Form based on the time schedule, room assignment and assigned instructor. • Incomplete data will not be accepted by the system. • Take note that 12Noon is 12:00PM while 12Midnight is 12:00AM. StartTime should not

    be before 7AM or beyond 9PM. • The class duration must not be more than 10 hours or that the StartTime must not be

    greater than the EndTime. • The Room and Instructor must be correct. • For Caregiver or Medical Transcriptions modules, you may encode dummy day and time

    schedule (if there is no fix schedule for the module) so that this class will be accepted by the system.

    6. After entering the schedule of the class, click Go to Step 3 button and the Create a Class – Step 3 of 3: Verify Data page will be opened.

    7. Click Finish button to save the class schedule entered. Otherwise, click Cancel button. To

    go back to the previous page, click Back button.

    B. Editing a Class Classes with students cannot be edited except for time schedules, room assignment, assigned instructor and number of slots fields (either pre-enlisted, enlisted or enrolled). 1. At AMA Deans’ Portal main page, click Sched of Classes button and the Schedule of

    Classes page will be opened. 2. Enter the Course Code of the subject you want to edit in the field provided.

    You can also write the few letters of the subject you want to edit. • • To display all class schedules, write “%” (without the quotation marks).

    4. Click EDIT or EDIT SLOTS/SCHED command link of the class schedule you want to edit and Edit Class – Step 1 of 2 page will be opened.

    For class schedule without student, click EDIT command link. • For class schedule with student(s), click EDIT SLOTS/SCHED command link. • - All the information you have entered will be locked. You can only edit number of

    slots, time schedule, room assignment and assigned instructor.

    5. After entering the changes, click Go to Step 2 button and the Edit Class – Step 2 of 2:

    previous page, click Back button.

    C. Deleting a Class You can only delete a class schedule if there are no pre-enlisted, enlisted and enrolled students. 1. At AMA Deans’ Portal main page, click Sched of Classes button and the Schedule of

    Classes page will be opened. 2. Enter the Course Code of the subject you want to delete in the field provided.

    You can also write the few letters of the subject you want to delete. • • To display all class schedules, write “%” (without the quotation marks).

    4. Click DELETE command link of the class schedule you want to delete and a confirmation window will be displayed.

    5. Then, click OK button to confirm the deletion of the class schedule. Otherwise, click Cancel button.

    Checking Class Schedules You can check if the schedules of classes you have encoded are correct. For purposes of ensuring that the data used for assessments are complete and accurate, this page will display the important values in a given class. At AMA Deans Portal main page, click ClassSched Checker button and the Class Schedule Checker page will be opened. To sort the listing of class schedules, select the field that you want to sort from the drop-down list available. Then, click Sort button.

    Approving Pre-enlistments of Student To complete the enlistments, you must approve the classes pre-enlisted by the student using Students’ Portal. The student will present to you his Pre-Enlisted Form (PEF) as your guide in approving the pre-enlistments of the student. Once approved, a slot in the class is given to the student temporarily. The student must go to the Accountant for the assessment of fees. Once assessed, the enlistment records of the student are locked. Within 12 hours, the student must go to the Cashier for payment. Once paid, the slots are officially given to the student. If the student fails to pay within 12 hours, you have the option to reverse your approval so that the slots allocated to the unpaid student are returned back to the pool. See Pages 26 – 27 Reversing Approvals for Unpaid Student 1. At AMA Deans’ Portal main page, click Enlisted Students button and the List of

    Enlisted Students page will be opened. • All students with Last Name starts with letter “Z” will be listed on the screen. • Show PreEnlisted Students Only link displays only pre-enlisted students. • With List of Enlisted Students page, you can monitor the number of pre-enlisted,

    enlisted (approved by the Dean) and enrolled classes of a certain student.

    2. Locate the student that you want to approve the enlistments.

    You can use the Search button by entering the USN or Lastname of the student in USN/Lastname field.

    • Or you may click on the directional links (First Page, Next Page, Previous Page, Last Page) to browse through the list. You can also write the first few letters of the last name of the student. •

    To display all students, write “%” (without the quotation marks). 3. Click Enlistments button of the student you have selected and the Class Enlistments

    page will be opened. With Class Enlistments page, you can monitor the number of demand, enlisted and enrolled students in a certain class.

    4. To approve the classes chosen by the student, click Approve button of each class schedule. Before approving the class schedule of the student, make sure there is an available slot. •

    • If the demand is higher than the maximum slot, you can change the maximum number of slot or open another section.

    5. Then, sign the Pre-Enlisted Form of the student. 6. To close the current page and go back to the previous page click Close.

    Enlisting a Student In AMA Deans’ Portal, you can also enlist the schedule of classes of your students. You can do this if the enrollment of the student is done manually. 1. At AMA Deans’ Portal main page, click Enlisted Students button and the List of

    Enlisted Students page will be opened. • All students with Last Name starts with letter “Z” will be listed on the screen. • Show PreEnlisted Students Only link displays only pre-enlisted students. • With List of Enlisted Students page, you can monitor the number of pre-enlisted,

    enlisted (approved by the Dean) and enrolled classes of a certain student.

    4. Click Add Class button and the Add Class page will be opened displaying the classes that

    can be selected. The classes are displayed in alphabetical order. Click the desired link to display the list of classes with Course Code starting with the letter you have selected.

    5. Click Select button to enlist the class to the class enlistments of the student. 6. After selecting all the classes of the student, click Approve button of each class schedule so

    that enlistment can be completed. 7. After the approval, click Close button to close the current page and go back to the previous

    page.

    Deleting Enlisted Student in a Class Schedule You can only delete pre-enlisted and enlisted student in a class. If the student is enrolled, ask the student to go to the Registrar to drop the class. 1. At AMA Deans’ Portal main page, click Enlistments button and the Enlistments page

    will be opened. With Enlistments page, you can monitor the number of pre-enlisted, enlisted, assessed and enrolled students in a certain class.

    • Show Description link displays the course description of the class schedules. Hide Description link hides the course description of the class schedules. •

    You can click the link of the first letter of the course code to display all the subjects start with the letter you clicked.

    • Or write the first few letters of the course code in the field provided. 3. Then, click Search button to list on the screen the class schedule.

    4. Click Students button of the class schedule to display enlisted and enrolled students. The Enlistment List will be opened.

    You can also enlist student in this page. To do this, click Enlist Student button. Enter the USN or Last name of the student and click Search button. Then, click Select button to enlist the student.

    With Enlistment List page, you can display the profile of the student by clicking the Profile button opposite the name of the student. You can also display the enlistments of a certain student by clicking the Enlistments button opposite the name of the student.

    5. Click Delete button of the student you want to delete from the class and a confirmation

    window will be displayed.

    6. Click OK button to delete the student from the class. Otherwise, click Cancel button. 7. Click Back button to go back to the previous page.

    Reversing Approvals for Unpaid Student You can reverse the approval of classes of an unpaid student using AMA Deans’ Portal. 1. At AMA Deans’ Portal main page, click Enlisted but Unpaid button and the PreEnlisted

    and Enlisted Students But Not Paid page will be opened. With PreEnlisted and Enlisted Students But Not Paid page, you can view the profile of the unpaid student by clicking the Profile button opposite the name of the student.

    You can also view the enlistments of an unpaid student by clicking the Enlistments button opposite the name of the student. It shows also the number of pre-enlisted and approved classes of a certain student.

    2. Locate the student that you want to reverse the approval of the classes he enlisted.

    You can use the Search button by entering the USN or Lastname of the student in USN/Lastname field.

    • Or you may click on the directional links (First Page, Next Page, Previous Page, Last Page) to browse through the list.

    3. Then, click Enlistments button opposite the name of the student and the Class Enlistments of the Student page will be opened.

    4. Click Reverse button to reverse the approval of the enlisted subject and the Delete button

    of the subject will be enabled.

    Adding Class of Enrolled Student For adding and dropping, the enrolled student should go to the Registrar first to drop the subject before going to the Dean to add new subject. 1. At AMA Deans’ Portal main page, click Enrolled Students button and the Students

    Enrolled this YearTerm page will be opened. With Students Enrolled this YearTerm page, you can view the profile of the enrolled student by clicking the Details button opposite the name of the student.

    • You can also view the schedule of classes and grades of the enrolled student by clicking the Sched button opposite the name of the student.

    Classes page will be opened. In Adding and Dropping of Classes page, the class that officially dropped by the student is marks with OD as his grade.

    4. Click AddClass button and the Add Class page will be opened displaying the classes that

    can be selected. The classes are displayed in alphabetical order. Click the desired link to display the list of classes.

    5. Click Select button to enlist the new class to the Pre-Enlisted Addendum Classes of the student.

    6. Click Approve button to approve the new class added to the enlistments of the student.

    Once approved, ask the student to go to Accounting to assess his pre-enlisted addendum class.

    7. To close the current page and go back to the previous page click Close button.

    Changing Class Section At AMA Deans’ Portal, you can change the section of a class enlisted by the enrolled student. To do this, follow the steps below: 1. At AMA Deans’ Portal main page, click Enrolled Students button and the Students

    screen. With Students Enrolled this YearTerm page, you can view the profile of the enrolled student by clicking the Details button opposite the name of the student.

    You can also view the schedule of classes and grades of the enrolled student by clicking the Sched button opposite the name of the student. You can add a class by clicking AddClass button. See Pages 28 – 30 Adding Class of Enrolled Student.

    Viewing Teaching Staff Schedules The list was generated direct from AMA HR Information System (HRIS). If there is any error or omission, please contact your local HR Supervisor or you may email the HR Department at [email protected]. If you wish to get more detailed reports regarding your branch’s manpower, please coordinate with your assigned HR Personnel. They can show you all reports using their appropriate access in the HR Online – the official HR Supervisor Portal of AMA. 1. At AMA Deans’ Portal main page, click Teaching Staff button and the Branch Teaching

    Sched button • Allow you to view the class schedule of the enrolled student. You can also view the grades of the student after the instructors entered the grades in Grades’ Portal at the end of the term. Show Description link displays the listing of class schedules with course description. Hide Description link hides the course description of the class schedules. Show Schedule Grid link shows the grid of student’s class schedules.

    Displaying Students in a Class Schedule At AMA Deans’ Portal main page, you can display the enlisted and enrolled students in a certain class. To do this, follow the procedures below: 1. At AMA Deans’ Portal main page, click Enlistments button and the Enlistments page

    will be opened. Shows the number of pre-enlisted, enlisted (approved by the Dean), assessed (by Accounting) and enrolled students of a certain class.

    • Show Description link views the listing of class schedules with course description. Hide Description link hides the course description of the class schedules’ listing. •

    You can click the link of the first letter of the course code to display all the subjects start with the letter you clicked.

    • Or write the first few letters of the course code in the field provided. 3. Then, click Search button to list on the screen the class schedule.

Enter the USN or Last name of the student and click Search button. Then, click Select button. You can view the profile of the student by clicking the Profile button. You can also view the enlistments of the student by clicking the Enlistments button. Click ViewList button to display the listing of pre-enlisted students.

    Displaying Enrolled Student Enlisted students are posted in the Official Class list of enrolled students once they pay the required fees at the Cashier Office. Make sure that the accountant post the payments of the student based on the Official Receipt. At AMA Deans’ Portal main page, click Enrolled Students button and the Students Enrolled this YearTerm page will be opened. All students with Last Name starts with letter “Z” will be listed automatically on the screen. To locate an enrolled student, use the Search button by entering the USN or Last name of the student in USN/Lastname field. Or you may click the directional links (First Page, Next Page, Previous Page, Last Page) to browse through the list.

    In Students Enrolled this YearTerm page, you can add a class to a certain student by clicking the AddClass button. See Pages 28 – 30 Adding Class of Enrolled Student.

    ELearning Validation At AMA Deans’ Portal, you can validate the eLearning subject(s) registered by the student in http://registers.amaes.edu.ph. After you validated the eLearning subject(s), Head Office will activate the validated subject. 1. At AMA Deans’ Portal main page, click eLearning Validation button and the Validation

    of eLearning Subjects page will be opened.

    2. Enter the USN of the student in the field provided. 3. Then, click Find button and the listing of registered subject(s) will be displayed.

    4. To validate the registered subject(s) of the student, click on the VALIDATE link and a

    confirmation window will be displayed.

    5. Click OK button to validate the subject. Otherwise, click Cancel button. Head Office (HO) will activate the validated subject. •

    • If you need the deactivation of the subject at HO, please email Mr. Norman Alano of the Academic Affairs Department at [email protected] and write the USN of the student and the course code of the subject(s) for deactivation.

    6. To cancel the validation made in the subject, click on the CANCEL link. You can only cancel the validation of the subject if the subject is not yet validated at Head Office.
