INDUSTRIAL TRAINING REPORT AT PEJABAT PENDIDIKAN DAERAH BALING

ABSTRACT
The report describes my experiences and findings during 20 weeks’ period of internship period at Pejabat Pendidikan
Daerah Baling Sik. This report consists of description of my responsibilities in the organization which is in develop
e-Gerak PPDBS. I will also discuss about the challenges that I have encountered and ways to overcome those
challenges. Furthermore, I will also talk about new knowledge and skills that I have acquired throughout the training.
1. INTRODUCTION
Pejabat Pendidikan Daerah (PPD) Baling Sik is an educational office in the public agency under Malaysia Education
Ministry. PPD Baling Sik located in Baling and Sik district which starting operating at Sekolah Kebangsaan (SK)
Baling.
The first ‘Pegawai Pendidikan Daerah’ is Tn. Hj. Yahya bin Awang. In 1989, the operation of PPD Baling Sik have
moved to Sekolah Menengah Kebangsaan (SMK) Baling and divided into 3 sector which is school management sector,
academic management sector and humanitarian development sector. However, on 10 October 2010, PPD Baling Sik
again have moved to new building at Batu 42 which is next to SMK Agama Baling. The current ‘Pegawai Pendidikan
Daerah’ is Mr. Amirulddin Bin Abd Hamid.
PPD as the education sector main role is to improve education performance in Baling Sik district which divided into
four zone (Baling, Kuala Pegang, Kuala Ketil and Sik). PPD have to manage education purpose for 85 primary schools
and 25 secondary school in Baling and Sik district. PPD Baling Sik have six divided scope structure include of School
Management, Academic Management, Quality Management, Information Management(ICT) and others.

During 20 weeks of training, I was assigned to the ICT Unit headed by Mr. Mohd Nazri. The ICT unit consists of 2
employees and me as practical student. The duties and responsibilities are to provide ICT equipment in PPD. This unit
also protecting the data from all student, teacher and school data statistics and the data of officers at PPDBS. My main
role is to help and support the unit as a programmer and also as a computer technician.
Throughout the training, I was given the trust to develop an e-Gerak PPDBS system. I have developed the system in
android platform and also web based. The technology used to build this system includes Java, HTML, PHP and
MySQL. The system is designed to record and monitor the activity of officers and staff at PPDBS. In addition, it
facilitates the process of recording staff activities to better manage staff activities and become easier.
2. PROJECT DETAIL
The e-Gerak PPDBS is a system that system enables staff to record in-service training they have joined such as
workshops, discussions, meetings, briefings, courses and others. This system also helps the management in checking
the activity of a staff member.
This system displays detailed staff activity records such as the name of activity, type, date, time, organizer and place.
This system facilitates the management of staff activities and is very useful to the administration to present staff
activity records on a weekly basis.
This system is an online system that will be used by all PPDBS staff to fill, manage their activity information. Each
individual is allowed to fill their information individually. If an activity involves a large number of staff members, the
information is required to be filled by the administration.
This e-Gerak PPDBS system has 7 basic modules, which is “Tambah Aktiviti”, “Kemaskini Aktiviti”, “Papar Rekod”,
“Kemaskini Profile”, “Kemaskini Profile”, “Tambah Pengguna”, “Kemaskini Pengguna” dan “Papar Rekod Aktiviti
Staf/Pegawai”. Below are the descriptions of modules.
Module Description
“Tambah Aktiviti” module The module enable user to create new activity
that they will attend formal activities.
“Kemaskini Aktiviti” module The module enable user to update their activity.
“Papar Rekod” module
The module allows the user to view their all the
formal activities that users have entered.
The activities display will be filtered by
month/week
“Kemaskini Profile” module The module enable user to update their
password and detail.

“Tambah Pengguna” module The module enables admin system to create
new user system.
“Kemaskini Pengguna” module
The module allows admin to update user detail
and password.
“Papar Rekod Aktiviti Staf/Pegawai” module The module allows the district officer to review
staff activity record.
3. PROPOSED SOLUTION
The method of developing this system is using “System Development Life Cycle”, or also known as SDLC. This
system is develop using prototype model, it involves some phases such as, Analysis, Design, Implementation, Testing,
and Maintenance.
Analysis
o First of all, I have to study the advantages and disadvantages of traditional processes as well as the
flow of employee activity. In this phase, I also have to identified the essential requirements that need
to be in this system so that the issues that arise can be overcome, such as the function of adding
activities, updating activities, deleting activities and displaying activity records. After that, I found
that the server blocked any devices that connecting from the outside of network due to limitation
access for security. So that means only devices within the PPD area that have got an access to
connect the internet connection from PPD’s Wi-Fi to access this system.
Design
o In this phase, I have designed the use case and the system interface.
Implementation
o Android Studio and Adobe Dreamweaver are type of software that involved in developing of the
system. Next, programming language that I have use in developing process such as PHP, MySQL,
and also Bootstrap as a framework.
Testing
o In this phase, I have trained the user to use this system properly so as to ensure that every single
function created can work properly. In addition, this phase is to ensure that this system has been
developed meet the consumer’s needs.
Maintenance
o After the testing phase of the system was done, I found an error on the module “Papar Rekod” when
there was no display of the activity records displayed and after identifying the cause of the error, it
took a few hours to resolve the error completely.

4. LESSON LEARNED AND CONCLUSION
a. Improvement of the Project
Through the development of the PPDBS e-Gerak system, improvements were made significantly by
converting manual systems to computerized systems. Previously, the process of completing activity
information took a long time.
The PPDBS e-Gerak system can facilitate the process of managing staff activity information rather
than the previous method where staff activity management is done manually. The process to entering
and managing activity information is very efficiency.
b. Which part of the project can be extended
The PPDBS e-Gerak system can be improved by upgrading applications that support iOS. This is
because the application developed does not support iOS. Therefore, it will provide convenience to
users using iOS operating system to use PPDBS e-Gerak system.
c. New Skills Acquired
The PPDBS e-Gerak system has given me the opportunity to expand my information technology
knowledge. Throughout the development of this system, I managed to improve my programming
language in PHP, JAVA, and MySQL. In additionally, I can use the Android Studio and Adobe
Dreamweaver software more efficiently and effectively. Next, through the development of this
system also, I can implement bootstrap framework into the PPDBS e-Gerak system.
d. Experience gained
While at Industrial Training Place, I can also discipline myself in fulfilling the work set from 8am
to 5pm. I can also feel the real work environment and this can be a useful experience when I get into
the working environment later. I am also trained to work together in our work with other practical
learners such as getting their insights, asking for something incomprehensible and doing work in
groups.
e. Benefits to the Organization
The benefits of developing this system to the organization is they are able to manage activity
information more systematically as well as to save time managing activity information.
f. Constraint
the constraint I need to get through is the weak signal of Wi-Fi access in my workspace. it hinders
the process of developing a system to be set up within the prescribed period. So I had to work in
another room with more stable Wi-Fi access to ensure smooth running of the system. In addition,
the lack of skills related to Java programming language limits the process of developing this mobile
app. In addition, it is difficult to get references as a factor that makes this application difficult. Next,
it's hard for me to get in touch with my supervisor to update the system as he regularly out of the
area.

g. Conclusion
A Throughout Industrial Training at PPD Baling Sik, I have gained many experiences, knowledge
and exposure from my supervisor. All the rewards gained have made me aware of increasing self-
esteem to face a growing challenge now. Practical is complementary to the knowledge or theories
learned during lectures. Throughout I am undergoing industrial training, there are many changes
from the learning environment, the environment and the association of fellow colleagues. They teach
me work ethics and how to be good at work. So I can conclude here that the industrial training
program benefits many students and has a positive impact on the students.

supportiveness that makes me feel like I am surrounded by my own family. I would like to thank Pn. Rodziah Latih

o PPD Baling Sik need to monitor the attendance and discipline of students in ensuring the students
get education and have a good attitude practicing. It to build the excellence generation for develop
country by having good skill, education, knowledge and good attitude.
o Besides that, PPD Baling Sik also have to manage any vacancies of teachers in schools to avoid less
of teachers to teach in schools. The process of the vacancies will be reported to “Jabatan Pendidikan
Negeri Kedah” in determining the qualified teachers for the positions.
o PPD need to improve the performance of the education by provide quality teachers and leadership
through train teachers to have skills, educated, professional in giving learning to students. PPD will
update time to time to determine the best learning process for teachers to students. Therefore, from
the quality teachers and leadership will born excellence students in schools.
