What is Kermesse?

• Kermesse or kermis, is a Dutch language term

derived from ‘kerk” (=church) and ‘mis” (=mass)

that became borrowed in English and French.

• Originally denotes the mass said on the anniversary

of the foundation of a church (or parish) in honour of

the patron.

• Such celebrations were regularly held in the Low

Countries and also in northern France, and

accompanied by feasting, dancing and sports of all

kinds.

What is Kermesse?

For Pope John XXIII Parish:

• A Major Annual Fund-Raising Event

– to support the Pope John XXIII community and its many

charitable projects and outreach programmes both in Geneva

and abroad.

Core Working Team

Key Responsibilities

Kermess Overall CoordinatorKey Responsibilities� Provides overall leadership in the Kermesse Planning &

formulation of Kermesse goals, strategies, norms &

standards.

� Ensures Kermesse goals & objectives are met.

� Establishes and mobilizes the Core Working Team, &

provide guidance where needed.

� Owns and oversees the Kermesse Overall Planning

Process & Contingency Plans.

� Monitors Core Team progress & delivery against key

milestones

� Builds a healthy climate of team work & collaboration in a

multicultural environment

� Owns Kermesse publicity: creates excitement and regular

updates on Kermesse progress/needs to the rest of the

Core Team Members and parish community.

Dry Goods Stalls Coordinator

Key Responsibilities� Overall in-charge of mobilizing & coordinating all the participating dry goods

stalls (approx. 7-10 stalls –e.g., Books, Bric-a-Brac, Boutique, Clothing, Jewelry,

Religious Articles, Footware).

� Recruits & confirms all participating Dry Good Stall Owners, and enroll them in

as member of the Dry Gods Stalls Committee.

� “Owns” the Storage Cabin, and ensures the security of all dry good donations.

� Provides briefing to all Dry Good Stalls Owners on Kermesse goals &

expectations, and key Planning Process Timelines.

� Follow-up Dry Goods Stalls Owners on any key deliverables expected from

them as indicated with the Planning Process Timelines.

� Build rapport and regular contact/meetings with all Dry Goods Stalls owners to

energize them, identify any needs/ opportunities & stall requirements, and

resolve issues.

� Represents all Dry Goods Stalls owners during Kermesse Core Team Meetings,

and provide timely regular updates to the Overall Kermesse coordinator on

progress.

Food & Drink Stalls Coordinator

Key Responsibilities� Overall in-charge of mobilizing & coordinating all the participating Food

& Drink Stalls (approx. 15-18 stalls –e.g., Bar, BBQ, Irish Coffee,

Coffee & Tea, Cakes, Hamburger/Hot-Dog, Chinese, Eritrian, Filipino

Cuisine, Ghanaian, Kenyan, Nigerian, Sri Lankan, Ugandan, etc)

� Recruits & confirms all participating Food & Drink Stall Owners, and

enroll them in as member of the Food & Drink Stalls Committee.

� Provides briefing to all Food & Drink Stall Owners on Kermesse goals &

expectations, and key Planning Process Timelines.

� Owns the shopping list, purchase & dissemination of Food & Drink

supplies for use by all the Food & Drink Stalls.

� Follow-up Food & Drink Stall Owners on any key deliverables expected

from them as indicated with the Planning Process Timelines.

� Build rapport and regular contact/meetings with Food & Drink Stall

owners to energize them, identify any needs/ opportunities & stall

requirements, and resolve issues.

� Represents all Food & Drink Stalls owners during Kermesse Core

Team Meetings, and provide timely regular updates to the Overall

Kermesse coordinator on progress.

Games / Kids’ Corner

Key Responsibilities� Overall in-charge of mobilizing & coordinating all the participating

Games/Kids’ Corner Stalls (approx. 18 games/stalls).

� Recruits & confirms participants and volunteers, and enroll them in

as member of the Games/ Kids’ Corner Committee.

� Provides briefing to the Games/Kids/ Corner Committee on

Kermesse goals & expectations, and key Planning Process

Timelines.

� Owns the purchase of kids prizes for use by the games.

� Follow-up participants & volunteers on any key deliverables

expected from them as indicated with the Planning Process

Timelines.

� Build rapport and regular contact/meetings with participants to

energize them, identify any needs/ opportunities & stall

requirements, and resolve issues.

� Represents all Games/Kids Corner owners during Kermesse Core

Team Meetings, and provide timely regular updates to the Overall

Kermesse coordinator on progress.

Overall Auction Coordinators

Key Responsibilities� Overall in-charge of mobilizing & coordinating with the parishioners

& parish groups for their Ministry Baskets & auctionable donations

to the Kermesse Silent & Open Auctions.

� Oversees sorting & starting bids of all ministry baskets &

auctionable donations, and identify any needs/ opportunities & stall

requirements for the auction day(s).

� Oversees the auction set-up & process during Kermesse days.

This includes the set-up and monitoring of the biddings (for both

silent and open auctions) and the awarding to auction winners, and

payment handling.

� Recruits & confirms volunteers who will help with the donation

solicitation, wrapping, and set-up and monitoring during Kermesse

dates. These volunteers will be enrolled as members of the

Auction Team.

� Follow-up parish groups & potential donors on their ministry basket

& auctionable donations, and build rapport and regular

contact/meetings with volunteers to energize them.

Lottery Coordinator

Key Responsibilities� Overall in-charge in organizing the Lottery event for the Kermesse.

� Mobilizes the solicitation of Lottery prizes, and oversees Lottery Ticket Sales.

� Recruits & confirms team members who will help with the Lottery Prize

solicitations, Ticket Sales and other Lottery admin requirements (e.g.,

registration, ticket printing, etc).

� Provides briefing to the Lottery Team Members on Kermesse goals &

expectations, and key Planning Process Timelines.

� Owns the Lottery Activity Calendar and the accounting of Lottery Sales

proceeds.

� Follow-up benefactors and potential donors to accumulate exciting lottery

prizes.

� Builds rapport and regular contact/meetings with Lottery Team Members.

� Energizes parishioners on the Lottery Activity.

� Represents Lottery during Kermesse Core Team Meetings, and provide

timely regular updates to the Overall Kermesse coordinator on progress.

Logistics Coordinator

Key Responsibilities� Overall in-charge of mobilizing strong volunteers (preferrably all

male) for all the tents/chairs/benches set-up, and preparations of

the parish grounds for the FFF Event and Kermesse layouts

(including Rain Contingency set-up).

� Recruits & confirms volunteers (who will help in the different phases

of logistic preparations), and enroll them in as member of the

Logistics Committee.

� Provides briefing to volunteers on Kermesse goals & expectations,

and key Planning Process Timelines. Make the necessary follow-

up in line with Process timeline

� Oversees all stall requirements (e.g. benches/tables/tents) and all

equipments needed on the parish grounds during FFF Event and

Kermesse.

� Build rapport and regular contact/meetings with volunteers to

energize them

� Represents Logistics during Kermesse Core Team Meetings, and

provide timely regular updates to the Overall Kermesse coordinator

on progress.

Youth Corner Coordinators

Key Responsibilities� Overall in-charge of mobilizing & coordinating all the participating

youth parish groups in the Youth Corner (approx. 3-5 stalls – e.g.,

Toys Sale, DVD/CD Music Stand, and Souvenir/Memorabilia

Stand).

� Recruits & confirms all participants, and enroll them in as member

of the Youths’ Corner Committee.

� Provides briefing to all participants on Kermesse goals &

expectations, and key Planning Process Timelines.

� Follow-up participants on any key deliverables expected from them

as indicated with the Planning Process Timelines.

� Build rapport and regular contact/meetings with participants to

energize them, identify any needs/ opportunities & stall

requirements, and resolve issues.

� Represents all Youth Corner owners during Kermesse Core Team

Meetings, and provide timely regular updates to the Overall

Kermesse coordinator on progress.

Friday Family Feast Coordinators (formerly called “BBQ Friday Night”)

� Overall in-charge of the planning and organization of the Friday

Family Feast (FFF) Event which happens on the eve of Kermesse,

ie. June 1 evening.

� Recruits & confirms participants to the FFF Planned Activities,

including the entertainment programme.

� Collaborates closely with the Kermesse Core Team on the logistical

set-up and participation of the various committees based on the

FFF planned activities.

� Provides briefing to FFF Team members & volunteers on Kermesse

goals & expectations, and key Planning Process Timelines around

the FFF Event.

� Communicates and ensures the participation of the different parish

groups (incl. extended groups) to the FFF Planned Activities.

� Creates excitement around the FFF Event among parishioners.

� Represents the FFF Team during Kermesse Core Team Meetings,

and provide timely regular updates to the Overall Kermesse

coordinator on progress.

Secretariat / Coupon Sales � Works closely with the Kermesse Core Working Team, and

provide parish administrative/office support on Kermesse

preparations (e.g., Kermesse permits, bookings of Storage

Cabin/Skip/etc, parish room reservations for Kermesse

meetings/requirements, etc).

� Ensures the publication of all Kermesse announcements in the

Parish Bulletin.

� In-charge of the Kermesse money voucher/coupon sales,

promotions and disbursements.

� Supervises and monitors the collections of funds raised by the

different stalls during FFF Event and Kermesse Days.

� Collaborates with the Treasurer in the financial accounting and

auditing of Kermesse proceeds.

� Ensures all materials and documents used during the Kermesse

Events are put on file and stored properly for future

use/reference.
