Forms and Data Collection

Sensitive data should not be collected through a standard online form

Data collected through a standard online form is stored in the DMZ which is the least secure segment of our network

WebTrends

WebTrends is still running

Remaining (i.e. non-requested) profiles are being analyzed We are only gathering the last six (6) months of

data for these profiles If you are interested in gaining access to view

these profiles, submit a Work Request

Privacy Policy

We have drafted a new version of the Privacy Policy

The CIO must approve the Policy, then it must be approved by the Governor’s Office

We do not believe this will happen until the new administration takes over

Privacy Policy – Interim Solution

We are looking into adding an Amendment to the existing Privacy Policy Amendment 1 would specifically address the

use of persistent cookies

We have set up meetings to discuss the viability, legality, and strategy of adding this Amendment

When the new administration is in place, we will resume pushing through the new Privacy Policy

Google Analytics

We will begin implementing Google Analytics on all DSF sites as soon as the policy is amended We will add the proper JavaScript code to the

template of each site

We will provide the correct JavaScript code and instructions for implementation for non-DSF sites Agency Webmasters will have to install the

code on ALL pages that need to be tracked Submit a Work Request for if you are interested

To view your reports for Google Analytics, each Agency will need a Google account If your Agency already has one, we can use that If not, one will have to be created

A valid email address is required

Google Analytics only goes from point-in-time forward We cannot go back (or re-do) past data

Be Prepared! Google Analytics will have different numbers than WebTrends

We will offer some training in Google Analytics after the beginning of the year

Historical data will continue to be retained in WebTrends

We recommend you use Google Analytics data for your reports when possible. It is more accurate.

“Digital signage” refers to a file on a State or State-sponsored web page or application in a location or manner reserved, designated and/or appropriate only for the State’s current Governor or Lt. Governor.

In-Scope Digital SignageExamples of digital signage include:

Executive Image Files (official photos) (i.e. jpeg, GIF) Audio, Video, or other multi-media files featuring a

message from the Governor

• Online greetings, letters or auto-replies (text or video).Digital signage may be located in a number of areas sponsored

by the State, such as: Online applications (agency or vendor maintained) Official agency websites (ct.gov, state.ct.us, other ) Official agency social media sites Program-specific or interagency websites (ct.gov,

state.ct.us, other) Special purpose sites associated with an agency

program or public awareness campaign, including related social media sites.

Digital Signage

(1) Identify and document the location and type of digital signage that identifies the current Governor and Lt. Governor in a location or manner reserved, designated and/or appropriate only for the State’s current Governor or Lt. Governor

(2) Determine actions necessary to accommodate the changeover in administration

Such actions will generally fall into one of three categories: Suspend (remove, until replacement is available/authorized) Replace (with new, or interim image, if available/authorized) Remove (remove, do not replace)

(3) Secure and document approval from the agency head or other appropriate agencyofficials for course of action, and the timing of such action

(4) Assign responsibility for executing changes to the appropriate party(5) Confirm and document changes as they occur

Social Media Policy

The Social Media Policy has been approved and is available on DOIT’s website at http://www.ct.gov/doit/cwp/view.asp?a=1245&q=467964

A small workgroup has been meeting to develop the guidelines to go along with the policy

We will be creating a list of legitimate State of Connecticut Facebook and Twitter sites and posting it on CT.gov We will be sending out a request to register any

social media sites you currently have We also need to know the contact information

for the administrator of each Social Media site

Enterprise Architecture Standards

The State of Connecticut Enterprise Architecture (CTEA) is a comprehensive blueprint used to manage and align the State's Information Technology (IT) assets, operations, and projects with its operational characteristics

The Enterprise Architecture Standards Process (EASP) involves 9 Technology Architecture Domain Teams who research and evaluate technology products while considering Total Cost of Ownership (TCO) and limitation of options and skill set requirements to establish a consistent set of technical and product standards for use by all state agencies in the enterprise.  The process also involves input from technology support groups who provide detailed specifications for specific domain categories.
