Lean Six Sigma Principles

• The Goal

– Delivery quality products

– First time

– Every time

Lean Six Sigma Principles

• Quality

The ability of your products or services to conform to your customer’s needs and wants

© 2016 Core Performance Concepts Inc.

• People making errors and not having a way to point out the error to the user

• Mostly human error - execution of process

• I believe you can have GOOD QUALITY PROJECT but produce a BAD QUALITY DELIVERABLE.

Reasons for Quality Issues

© 2016 Core Performance Concepts Inc.

Tension between formal, documented requirements document and customer's desires or preferences... the results are often that the change control process is made so painful that the customer accepts sub-optimal, albeit conforming, deliverables; or the PM risks project failure trying to meet creeping requirements.

Lean Six Sigma Principles

• Lean

– Waste

• Six Sigma

– Defects

Goals of a Lean Enterprise

1. Improve Quality

2. Eliminate Waste

3. Reduce Lead Time

4. Reduce Total Costs

• Situations in hospitals where wrong patient is registered/checked into hospital

• Lots of issues/problems coming into the helpdesk after we went live. The software was missing many required capabilities after we deployed and went live

Scenarios

Pareto

Passing the buck – it has to be attended to again. Besides quality, it removes predictability from project progress. It complicates things due to these unplanned activities.

Scenarios

• Cost of interruptions

• Urgent vs Important

Time Study

Most want a "target" to shoot at. They know what they "don't" want, but not always precisely what they do want.

S.M.A.R.T. Requirement Acceptance Criteria Done? Y/N

Reduce number of phone calls made to customers by 50%. 80% of all submissions require phone calls by compliance reviewers due to omissions on paperwork.

Training mailroom staff to review and identify top5 typical omissions on incoming paperwork and contact customer prior to handing paperwork off to compliance reviewers. Mailroom staff salary rate is $10/hour while Compliance reviewers salary rate is $70/hour.Goal is to reduce compliance reviewer phone calls to 30% of all submissions or less.

If customer provides email contact, mailroom can email customer with omissions and stop processing until paperwork is updated. 75% of all paperwork includes email contact information.

How does Lean work in conjunction with Agile? With Agile, requirements evolve throughout the project, so understanding requirements at the onset might be a challenge.

Goals of a Lean Enterprise

• 7 Types of Waste– Over Production

– Waiting

– Transport

– Extra Processing

– Inventory

– Motion

– Defects

© 2016 Core Performance Concepts Inc.

• Can you please give an example of motion waste?

– Being asked to travel to a customer site for a one hour meeting. Wasted time and money!

– Moving your stuff to a storage facility and THEN moving from storage to new home

• Waste occurs due to a lack of strategy development prior to project inception

Strategies

• Define your key metrics

• Quantify current environment

• Focus on waste that affects key metrics

• Don’t do more than you can support

• Do you recommend PMP's becoming Black Belts in Six Sigma?

• Why has SIX SIGMA been so popular the last 20 years?
