ABOUT PrinterFace
PrinterFace is MLP’s print ordering and print management system. The software is designed
to connect students, staff and external customers to the print room, allowing for a print on
demand (POD) capability.
The web-based system allows users to easily create a print job via a highly visible user
interface. Printing can be in black and white or colour with folding and binding options.
Students can select orders from a catalogue based on their studies or place single print
orders
Users can submit print requests by either uploading files or supplying a hardcopy document.
The hardcopy document can be delivered to the print room or we offer an on campus
collection service.
The system is designed to store print ready files for future reprints. You can request changes
to the original file when requesting reprints by uploading a complete new file, or just advise
of amendments.

Main Menu Options
This section allows the user to submit a print request
and customise the print requirements through three
detailed stages.
This is a stream lined workflow for the faculties’ staff to
order the printing of course notes by completing the
appropriate specifications.
This section relates to the printing of brochures and
flyers, these items can be printed in various sizes,
stocks and folds.
This section is stream lined for poster or wide format
printing.

This section outlines print jobs that require action from
the user before proceeding to the final production stage,
eg accepting a proof.
This page allows the user to see the production status of
any print jobs that have been submitted to the print
room. You can also view past orders.
The user can view print jobs that have been submitted in
the past. Reorders can be ordered from here.
This section provides a list of jobs that are ordered
regularly by the user with minimal alterations.
The users contact details and delivery instructions are
stored in this section. Users can edit these details at any
time.

GENERAL PRINT WORKFLOW
STEP 1: General Order Options
Contact details will populated from the One ID from the log in. Changes to these
details can be made by selecting from the University database. Non University
members cannot be named as all jobs are to be registered against University
members for job tracking and re-ordering etc.
Select relevant options from the dropdown menus and select the appropriate charge
codes or payment method. Multiple charge codes can be used to split the charge

Complete the form fields, ensuring all ‘orange’ highlighted boxes are filled in.
Select ‘Next: Upload Documents’ to proceed to next step.

STEP 2: Choose the documents to upload for the print job
If uploading a soft copy -
By uploading multiple files into the one ‘Item’, these files will be printed and compiled
into the one document. Print quantities for each document must be the same.
Each ‘Item’ uploaded will be printed as separate documents and you will be required
to customise the print options for each ‘Item’.
Select ‘Next: Customise’ to proceed to the next step.

If providing a hard copy -
You will need to provide the title of the document and the number of pages.
Select ‘Next: Customise’ to proceed to the next step.
STEP 3: Customise your print and finishing options
Multiple print ‘Items’ will be listed in the panel on the left hand side of the screen.
Select each ‘Item’ to customise the print file.
Each of the icons on the above screen will provide you with different print and
finishing options for your document/s.

THE TOP ROW ALLOWS FOR CUSTOMISATION PER ’ITEM”
1. BINDING
Select an option from the following:
Bind your document
Print as a booklet
Shrink wrap into bundles – select number of copies per bundle per item.
2. PRINTING SPECS
This section allows you to customise your print job and view the final layout of the document.
The system will automatically determine the number of pages contained in the file. The user
has the capability to view each individual page by double clicking on the page number.
The final printed document size will default to black and white A4 however the user can
select from the following sizes –
If the ‘Custom’ option is selected you will need to provide the width and height.

Note that the default is to black and white print
The user is able to select every page in the entire document by clicking ‘ALL’
or customise each individual page by clicking ‘NONE’.
The entire document or each individual page can be enhanced by selecting options from the
following icons:

3. FINISH & FOLD
Select an option from the following:
Fold your document? (not available when more than 1 sheet)
Laminate Pages? (Choose either Gloss or Matt from dropdown menu)
Protect your document with a ring binder?
Fold and insert mail merged jobs into envelopes and mail? (only available when mail merging)
4. COVERS
Select an option from the following and complete the fields in dropdown menus:
Add a clear plastic front?
Include front cover?
Add a clear plastic back?
Include back cover?

5. CHOOSE FILE
This page lists the files that you have uploaded already and will also allow you to add
any additional soft copy files, or delete a file by clicking on the ‘x’.
If you select ‘hardcopy originals’ you will be asked to provide the name of the
hardcopy original and the number of pages in the document.

If you select ‘Copy on file at printery’ you will be asked to provide the title of the
course material, the number of pages, when it was last printed and document any
required text changes.
Tick this box if you need to merge data from an Excel or CSV file into your document.
This will request that you browse and upload your data spreadsheet.

6. STAPLING
Staple your document? Select stapling position.
7. HOLE PUNCHING
Hole punch your document? Select from drop-down menu.
THE SECOND ROW OF ICONS IS JOB/ORDER SPECIFIC (IE FOR THE TOTAL JOB)
1. ACCOUNT DETAILS
The mandatory fields on this page should automatically populate with your contact
number, email address and controlled entity. Ensure that all of your account details
are correct and select a payment method before proceeding.

2. DELIVERY
Select number of delivery recipients (from 1 -4) in dropdown box.
Select your delivery method from dropdown box – campus delivery, courier,
pickup from print room or other. If you select ‘other’ you will need to include
additional delivery instructions.
Enter date print job required.
3. JOB DETAILS
The first two fields will automatically populate with the number of print ‘Copies’ and
the ‘Job Title’ that you first entered at the beginning of this process.
You can select to receive a ‘hard copy proof’ to check before the job is printed.
This section also allows you to select to receive a print ‘quote’ before proceeding
with your order
Type in additional ‘special instructions’ or any further details that the print room
should be aware of.

4. JOB COLLATION
If you select ‘Collate multiple documents’ this means that you will receive the items
you have ordered in sets. If you are ordering 3 items, then you will receive bundles
of 3—one of each book. If you don’t select ‘Collate multiple documents’ then you
will receive each item as a separate pile, as if you had ordered them individually.

STEP 2: Select File Source
Select print option: Upload a file, supply hardcopy or photocopy a file at the printery.
Add a file: Browse and Upload document
Hardcopy originals: Type in ‘Name’ to identify the original document and the ‘number of
pages’ in the original.
Copy on file at printer: You will be asked to provide the ‘title’ of the course material, the
‘number of pages’, when it was ‘last printed’ and document any required ‘text changes’.
Select ‘Next: Job Details’ to proceed to next step.
STEP 3: Job Details
This section allows you to customise your print job and view the final layout of the document.
The system will automatically determine the number of pages contained in the file. The user
has the capability to view each individual page by double clicking on the page number.

STEP 4: Proofing
You will need to review the entire document before you can submit the file for printing.
Click on the PDF link to view and approve the document.
Once you have checked the document thoroughly, you can either approve the file or
advise if there is a problem. If this is the case, you will need to provide a detailed
description explaining the issue/s.
You can select to be emailed a final proof before production or select to receive a
hard copy in the mail. You will need to complete the appropriate delivery details if this
option is selected.
Select ‘Finish: Send to Print Room’ to complete your request.

BROCHURE AND FLYERS WORKFLOW is a steam lined workflow to suite most brochures and flyers jobs
STEP 1: Job Details
NOTE If more than one page is submitted this workflow automatically will default to double
side print, if single sided print is required use the General Job workflow – there is no single
side option available.
Select relevant options from the dropdown menus and select the appropriate payment
method.
Complete the form fields, ensuring all ‘orange’ highlighted boxes are filled in.
Select ‘Next: Product Details’ to proceed to next step.

STEP 2: Product Details
Content to print /photocopy -
You can either browse and ‘add’ a file or select ‘hardcopy’. You will need to provide
the name of the original document and the number of pages.
Page Count – enter ‘number of pages’ in file.
You will need to select from the following options to customise your print job.

CUSTOMER, JOB OWNER RELATED ICONS
My To-do List
My Orders
The ‘My To-do List’ outlines any jobs that require action before the print job can
proceed. For example, we may require approval of a quote or proof, or require
additional information on the requirements before we can commence printing.
The ‘My Orders’ section allows users to view the status of print jobs that have
been submitted to the print room, ie the production progress per job can assess
from this icon.

My History
My Favourites
In the ‘My History’ section users can view a list of jobs that have been submitted
in the past. Historical jobs can be re-ordered from here.
‘My Favourites’ provides a list of jobs that the user regularly re-orders and with
minimal alterations. The user can save these documents into this list to easily
access when ordering future print jobs and reordering

My Details
In the ‘My Details’ screen the user can input information relating to their contact
details and delivery instructions that haven’t already been automatically populated
by the system.
