JOINING INSTRUCTIONS FOR ADMISSION TO SAINIK SCHOOL GHORAKHAL FOR THESESSION 2018-19

Dear Sir,

1. Your son/ward Master_____________________________Roll No._____________________________ has been selected for admission to Class VI/ IX in this school.

2. Admission will be subject to his confirming to the age limit given below and being considered medically fit by the School Medical Officer at the time of his admission.

Age limit for Class VI : The boy’s date of birth should be between 02 Jul 2007 to 01 Jul 2008 (both days inclusive).

Age limit for Class IX : The boy’s date of birth should be between 02 Jul 2004 to 01 Jul 2005 (both days inclusive).

3. Your son/ward should report to the school under your own arrangements at 0800 hrs on ____Apr 2018. The school is situated at a distance of 04 Kms from Bhowali, Distt. Nainital. Bhowali is about 45 Kms from Haldwani and about 40 Kms from Kathgodam Railway Station and it is situated on the main highway to Almora/Ranikhet from Haldwani.

4. The eligibility of your son/ward for grant of scholarship will be considered on production of the following documents :-

(a) A domicile certificate duly countersigned by the District Magistrate/ADM as per Appendix ‘A’ to this school letter. The domicile certificate must be submitted by all parents except Nepali Citizens serving in Armed Forces in India. However, Nepali Citizens serving in Armed Forces are required to submit a residential certificate from OC Unit as per service documents.

(b) A statement of combined monthly income from all sources countersigned by the District Magistrate/Additional District Magistrate as per Appendix ‘B’ to this school letter. Income statement is required from Government employee also.

(c) The above mentioned amount will have to be deposited with the school Accounts Office at the time of admission by Crossed Bank Draft drawn in favour of the Principal, Sainik School Ghorakhal payable at State Bank of India Bhowali Branch (Code No 1352). CHEQUE/CASH WILL NOT BE ACCEPTED. At the time of admission, please bring Rs 5,000.00 in cash to meet incidental expenses on books and stationery and for opening of the Bank Account of your ward.

(d) The school dues as mentioned above in para 5 from (i) to (vii) & 5(b) (i) to (vi) are to be paid at the time of admission. The scholarship as admissible will be credited to individual’s account subsequently as and when received from the State Government/Ministry of Defence.

(e) The Ministry of Defence awards limited number of scholarships to the children of serving personnel/ex-servicemen. In case the Defence Scholarship is not awarded by the Ministry of Defence for any reason, the full amount of fees of their son/ward will have to be paid by parent/guardian.

(f) For grant of Ministry of Defence scholarship, the serving defence personnel/ex-servicemen are required to submit the following documents :-

Serving Defence Service Personnel :-(i) Service certificate in duplicate issued by the Commanding Officer of the Unit.(ii) Date of birth certificate of the boy from Record Office as well as from Unit.(iii) A Birth certificate from Military Hospital or Registrar of Birth & Death of Municipality

Board Office.

Ex-Servicemen(i) Two Xerox copies of certificate from District Sainik Welfare Officer regarding your

eligibility as an Ex-serviceman duly attested by Gazetted Officer.

(ii) Two Xerox copies of the Discharge Certificate duly attested by Gazetted Officer.(iii) Date of birth of the boy from Record Office.(iv) A Birth certificate from Military Hospital or Registrar of Birth & Death of Municipality

Board office.

6. List of articles of clothing to be brought by each student is placed at Appendix ‘C’. Each boy must be in possession of two steel boxes/trunks of black colour with his name written on it in white paint.

Note :- Clothing items worth about Rs 1,500.00, out of the list as per Appendix ‘C’ will be issued by the school. Excess amount of clothing issued by the school will have to be paid for by the parents.

7. Forms of Agreement and Bonds are placed at Appendix ‘D’, ‘E’ and ‘F’. These are compulsorily to be filled by all candidates. These must be signed on a Non-Judicial Stamp Paper of Rs 20.00 each. Please note that these must be presented duly completed in all respects at the time of admission. The admission is liable to be cancelled, if these are found NOT to be in order. Each page of the Agreement/Bond must be signed by the parent and the signature at the last page must be attested by a Gazetted Officer.

8. You are requested not to give/send any eatable/cash/valuables and clothing to the child which is not listed at Appendix ‘C’ during his stay at the school.9. It may be noted for future that any money intended either for the school or for the student must be remitted in the name of the Principal by Bank Draft only. However, if a boy needs additional money from home for some genuine need, he can request his parents/guardians for the same and it can be deposited in his personal Bank Account. Withdrawal from his account is permitted only after the countersignature by his House Master. Hence, you are requested to open an account of your son on the day of admission with State Bank of India’s. Bank (Extension Counter) established in the school campus and maintain a cash balance of minimum Rs 500/- to meet unforeseen requirements of your ward.

10. In addition to the documents mentioned at paragraphs 4 and 7 above, the following documents must be produced at the time of admission of your son/ward, failing which the admission will not be granted :-

(a) FOR BOYS WHO HAVE ATTENDED A RECOGNISED SCHOOL :- School Leaving Certificate duly countersigned by the District Education Officer/Basic Shiksha Adhikari,. A birth certificate from the Registrar of Birth and Death of Municipal Board office. Annual Progress Card from the school, in which boy is presently studying must be produced at the time of admission.

(b) FOR BOYS WHO HAVE NOT ATTENDED ANY RECOGNISED SCHOOL :- A birth certificate from the Registrar of Birth and Death of Municipal Board/Legal authority duly attested by a competent authority.

(c) FOR WARDS OF DEFENCE PERSONNEL ONLY : - It may be noted that the date of birth recorded in the Kinder Roll of the serving/retired/deceased personnel will only be considered authentic. In the case of children born after an individual’s released/retirement from service, the provision of para 10 (a) & (b) will apply. They should also produce a photo copy of their Discharge Certificate at the time of admission along with original Discharge Certificate.

(d) RECOGNISED SCHOOL LEAVING CERTIFICATE FOR CLASS IX BOYS :- Recognised School Leaving Certificate of the boys from previous school must be produced at the time of admission duly countersigned by the District Education Officer/Deputy Director of Education. Annual Progress Card of the class in which boy is presently studying must be produced at the time of admission.(e) Photo copy of Adhar Card :- Photo copy Adhar Card to be produced by the candidate at the time of admission.(f) Photograph of candidate with parents and sibling :- Two copies of photographs ( size 6’x15cm) of candidate with parents and sibling only (not any other relatives like uncle, aunt, grand father, grand mother etc)

11. Health Certificate as per specimen placed at Appendix ‘G’ alongwith the Certificate of TT, TAB inoculation and Hepatitis ‘B’ Injections are to be produced at the time of admission.

12. Agreement as per specimen at Appendix ‘H’ is for putting up the scholarship claim by the school to concerned scholarship granting authority. This agreement should be attested by a Magistrate or a First Class Gazetted Officer for all categories of candidates.

13. Your address for correspondence in duplicate on the form given at Appendix ‘J’ is to be submitted at the time of admission.

14. In case you belong to Scheduled Caste/Scheduled Tribe, the necessary certificate as per Appendix ‘K’ is to be submitted duly countersigned by the District Magistrate/Additional District Magistrate.

15. An Affidavit on Stamp Paper of Rs 10/- only as per specimen at Appendix ‘L’ is for Ragging signed by the parent/guardian. This agreement should be signed by an Oath Commissioner for all categories, is submitted at the time of admission.

16. Attach a copy of Appendix ‘M’ UNDERTAKING BY THE CADET, which will be signed by all the cadet, is to be submitted at the time of admission.

19. If at any stage, even after admission, any information given by you is found to be false, the admission of your son/ward will be cancelled and damages as applicable will be recovered from you.20. Please bring 16 (sixteen) recent Passport size coloured photographs of your son/ward which will be required at the time of admission.

21. Kindly bring 2 (two) copies of Family Photographs (post card size) of your ward with both the parents/guardians, local guardians if any, duly attested in order to authenticate the identity of the person authorized to visit the child/ward.

22. Also bring ADMIT CARD issued by this school at the time of written examination.

AGREEMENT FORM TO BE EXECUTED BY PARENTS/GUARDIANS OF FULL FEE PAYING STUDENTS AT SAINIK SCHOOL GHORAKHAL, NAINITAL

The agreement is made this _______ day of _______ (month of) two thousand eighteen between __________________ of ____________________ (hereinafter called the Guarantor which expression shall unless excluded by the context or the meaning there of be deemed to include his heirs by the executors, administrators and legal representatives) of the one part and the Board of Governors Sainik School Society (hereinafter) called the 'Governors' which expression shall unless excluded by the context or the meaning thereof be deemed to include the Principal of Sainik School Ghorakhal, Distt. That in consideration of the student being admitted by the Governors to the Sainik School for the purpose of aforesaid education at the request of the guarantor, convenient with Governors that student will attend the Sainik School regularly and will observe and comply with all the rules and regulations thereof for the prescribed period and that he, the guarantor, shall pay to Governors regularly and promptly and whenever called upon to do so all the fee prescribed for education in the Sainik School.

That the Governors will not be liable for any damages/charge on account of injuries which may be sustained by the student any time during his stay in the school while taking part in sports or other extra curricular activities of the school or on account of any other reason directly or indirectly related to his stay as a student in the school. All expenses that may be incurred in the treatment of such injuries will be borne by the parent/guardian as provided in the rules of the said school.

For the time being in force or having been declared successful at the said selection does not proceed to one of the said institutions to which he may be directed to proceed for being trained for entry in to the Regular Armed Forces or having joined the said institutions, fails to complete the training there at for the entry into the Regular Armed Forces after completing the training at the said institution, then and if any such case the guarantor shall forth-with pay to the Governors in cash the sum the student has received from the school and/or the State Government/Central Government the value of the scholarship he has received for the period the student was at the said school.

And that if there is any dispute as to the effect or meaning of these presents or in any way touching or arising out of these of presents, the same shall be referred to the sole arbitration of the Board of Governors, Sainik Schools, whose decision shall be final.

That if for any reasons not beyond the control of either the student or the guarantor the student fails to pursue his studies at the said school before appearing for selection for entry to any institution as may from time to time be prescribed by the Governors for training for entry to the Regular Armed Forces or fails to appear for the said selection, or in the event of his not succeeding in the said selection, fails to reappear for selection, till such time as his age permits him to do so, according to the rules and regulations.

For the time being in force or having been declared successful at the selection does not proceed to one of the said Institutions to which he may be directed to proceed for being trained for entry into the Regular Armed Forces or having joined the said Institutions fails to complete the training there at the entry into the Regular Armed Forces or fails to join the Regular Armed Forces after completing the training at the said Institution, then and if any such case the guarantor shall forth-with pay to the Governors in cash the sum the student has received from the School and/ or the State Government/ Central Government the value of the scholarships he has received for the period the student was at the said school.

That if after admission any of the following viz, proof of Domicile, certificate of age and statement of income supplied by the guarantor, is found to be false in any way or not in order the guarantor shall forthwith pay to the Governors in cash the sum the student has received from the school and /or the State Government / Central Government (the value of the scholarships he has received) for the period the student was at the said school.

That if after admission, the student is found to be medically unfit in any way at the time which might, according to the opinion of the appropriate medical authority, render him unfit for his future entry to the Regular Armed Forces, the student will be withdrawn at once, but it would be open to the guarantor to retain him at the school on payment of the Full Fee prescribed by the Governors from the date student is found medically unfit.

That the Governors will not be liable for any damages/charges on account of injuries which may be sustained by the student any time during his stay in the school while taking part in sports or other extra curricular activities of the school. All expenses that may be incurred in the treatment of such injuries will be borne by the parent/guardian as provided in rules of the said school.

And that if there is any dispute as to the effect or meaning of these presents or in any way touching or arising out of these presents the same shall be referred to the sole arbitration of the Board of Governors, Sainik Schools, whose decision shall be final.

(iv) The Bounden shall appear for the Union Public Service Commission Examination for admission to the National Defence Academy as long as he is within the age limits and shall join the National Defence Academy if selected.

(v) The amount of the scholarship shall vary under rule 10 of the rules in case of increase in the annual income of the Parent/guardian provided that the scholarship shall cease in case the change is such the Bounden is no longer eligible for scholarship under the said rule.

(vi) In case there is change in the income group of the Parent or Guardian for purpose of Rules 10, the same shall be communicated to the Principal, Sainik School Ghorakhal immediately by the parent or guardian.

Now the condition of the above written obligation is that in the event of the Bounden not conforming to or observing the rules and instructions and conditions regarding the studies or discontinuing the course without the prior permission in writing of the Principal or of continued adverse reports regarding the progress of his studies or of the conduct or of his failure to appear for the Union Public Service Commission Examination for admission to the National Defence Academy or his failure to join the National Defence Academy if selected for that if for any reason not beyond the control of either the student or the parent/guardian, the student fails to pursue his studies at the said school before appearing for selection for entry to any institution as may from time to time be prescribed by the Sainik School Authorities or training for entry to the Regular Armed Forces or fails to appear for the said selection or in the event of his not succeeding in the said selection fails to appear for the said selection till such time as his age permits him to do so, according to the rules and regulations for the time being in force or having been declared successful at the said selection does not proceed to one of the regular Armed Forces or having joined the regular Armed Forces after completing the training at the said institution or breach of all or any of the conditions mentioned in the previous paragraph the Bounden, the parents / guardians and the sureties shall forthwith pay to the Government a sum of Rs ______________ (hereinafter the amount of scholarship plus a sum by way of a damage) Rs _______________ (in words) and upon payment of such sum the above written obligation shall be void and of no effect, otherwise this shall remain in full force and effect.

UNDERTAKING FROM THE PARENTS & CADETS

1. The primary aim of Sainik Schools is to prepare the boys academically, physically and mentally for entry into the National Defence Academy. In order to achieve this aim, extra classes are conducted for the cadets. In addition, the school will be conducting personality development and SSB orientation programmes by engaging the services of qualified expert. The government invests a lot of money by providing scholarships in order to encourage the cadets to join NDA. A cadet who does not show any interest in attending these classes and gives applications asking to be excused from attending programmes organized by the school/indulging in indiscipline is willfully going against the laid down rules and regulations.

2. As per Rule 3.38 of Sainik Schools Society Rules & regulations, all students are liable to appear for tests, interviews and medical examination training Institutions to which they are to report. Failure to fulfill this liability, or attempts to leave these Institutions prematurely or willful attempts on jthe part of such boys to undertake this as a procedural formality only will make the parents/guardians liable to refund the entire amount of scholarship/subsidy enjoyed by such students.

3. Similarly as per Rule 3.32 and Rule 4.11 of Sainik Schools Society Rules & regulations if the conduct, behavior or influence of a cadet is detrimental to the general discipline of the school, or if the academic performance is not upto the laid down standard, the scholarship money may be withdrawn and necessary steps will be taken to refund the scholarship right from the time of joining the school.

4. IF CADET INDULGES IN ACTS OF INDISCIPLINE LIKE BUNKING, NOT ATTENDING FALL INS, NOT COMING ON TIME, CAUSING DAMAGE TO SCHOOL PROPERTY,L USING HEATERS, BRINGING MESS UTENSILS/ MESS FOOD TO HOUSES, USING MOBINE PHONES, AND ELECTRONIC GADGETS, BEING ABSENT WITHOUT LEAVE, SHOWING DISRESPECT TO THE STAFF IN ANY MANNER AND OTHER ACTS OF GENERAL INDISCIPLINE, IT WILL LEAD TO DISCIPLINARY ACTION AGAINST HIM, LEADING TO EXPULSION FROM THE SCHOOL AS WELL AS RECOVERY OF THE SCHOLARSHIPS/SUBSIDIES IN FULL.
