    Application Process and Key Dates

    The application period for the upcoming round is from 15 June 2009 to 4 September 2009.

    Following are step by step of Application Process and key dates:

    Step 1

    Applicant sends the complete ADS application form to the ADS Office by 4 September 2009.

    Step 2

    Applicant is notified of the result of selection for interview by November 2009.

    Step 3

    Selected applicant for interview receives information of interview / IELTS test date/location(December 2009).

    Step 4

    Applicant attends interview and IELTS test in January 2010.

    Step 5

    Applicant is advised of the result of their ADS application by End of February 2010.

    Frequently Ask Questions (FAQs) - Applicants

    1. Application formQ: How can I apply for ADS?

    A: You must complete the application form, answering all relevant questions, attach the required documents and then

    submit it in person, by post or by courier service to the ADS Office.

    Q: Where can I get the ADS application form?

    A: You can download the ADS application form from this website or from government organisation departmental training

    bureaus, governors offices, Kadins, university rectors, IDP Offices, IALF Offices, AEC Offices, AusAID projects or from the

    ADS Office in Jakarta.2. Types of Scholarships

    Q: Who can apply for the scholarship and what are the categories?

    A: The program is open to all public sector employees and employees from private universities and NGOs, private

    companies or recent graduates. There are three categories of ADS applications: Public, Open and Targeted. Candidates

    who are government employees apply for ADS through Public category. Candidates who are non-government employees

    may apply through the Open category. Targeted category is available for candidates employed by government or non-

    government agencies associated with AusAID projects or AusAID related activities identified by AusAID.

    3. Eligibility

    Q: What are the eligibility requirements for ADS?

    A: Eligibility requirements are listed on the front page of the application form. The main requirements are:y Apply for courses that fall within the four areas of development priority (see next page); y Have a Grade Point Average (GPA) of at least 2.9 (on a scale of maximum 4.0) and an English language

    proficiency of at least 5.0 in IELTS (or 500 in Institutional TOEFL or equivalent). The IELTS or TOEFL result mustbe current (a test result obtained in 2008 or 2009 will be considered current);

    y You must hold an undergraduate degree, if applying for a Masters;y You must hold a Masters, if applying for a Doctorate;y You must be applying for a degree at a level higher than your current highest qualification;y If applying for a Doctorate, you must be a staff member of university, higher education institution, research

    institution, key policy makers and targeted candidates in other agencies associated with AusAID activities. It ishighly desirable for Doctorate applicants to have a letter of support from an Australian university for their proposedfield of study;

    y Answer all relevant questions on the application form;Be willing and available to take full-time (Monday - Friday, 08.00 - 16.00) English for Academic Purposes(EAP)training in Indonesia prior to studying in Australia, if offered a scholarship; and

    y Be not older than 42 years old at time of application.

    4. Submitting Application and Required DocumentsQ: What are documents required for submission with the ADS application form?A: Following is the list of required documents to submit with your application form:

    y Copy of birth certificate;y KTP or Passport;y Current Curriculum Vitae; y A certified copy of your academic transcript from your S1 or S2 program;y A certified copy of your tertiary certificates from your S1 or S2;y A certified copy of your IELTS or TOEFL result;y Doctorate applicant must also attach certified S1 degree certificate / transcript; y Academic reference from S2 supervisor for Doctorate candidates;ERHy Outline of the proposed research project for Doctorate and Master by Research

    Q: What is meant by a certified copy of an original document?

    A: This is where an authorized person has checked the copy of the document against the original document to ensure that

    the copy is true and accurate. A Solicitor or an IDP Counselor is acceptable as the certifying person.

    Q: When is the last day to submit the ADS application by post?

    A: Applications must be received by the ADS office by the closing date if submitted by hand directly to the office.

    Applications that are submitted via courier or by post must be date stamped no later than the closing date. Applications

    received after the closing date will not be considered.

    Q: I am a recent graduate, and have not obtained my certificate yet. Should I submit my transcript only?

    A: For a fresh graduate whom have not had their certificate yet, they could submit their transcript and an acknowledge letter

    from the university stated that they have completed their degree.

    Q: If I cannot get a reference Letter from my S1 supervisor, whom should I get the reference letter from?

    A: There is no obligation for applicants to submit a reference from their S1 supervisor. The obligation to submit an academic

    reference is only for applicants applying for this PhD. In this case it is necessary to submit an Academic reference from their

    S2 academic supervisor during their S2 program.

    Q: How do I get a GPA for an overseas university undergraduate qualification that I possess?

    A: This is not necessary. It is only necessary to submit your academic transcript and award from the overseas university.

    Q: Do I need a TOEFL or IELTS score if I have an overseas university qualification?A: If you studied at an overseas university where English language was the language in use, then an IELTS or TOEFLscore is not necessary.

    Q: Do I have to submit a research outline? What are the points that should be included in my research outline?

    A : If you apply for a Masters program that include at least fifty percent research or a PhD program then you must submit an

    outline of the proposed research project (1 page) and include details of any proposed fieldwork outside of Australia that you

    would need to undertake as part of your research. Please refer to page 6 section Research Outline of the ADS application

    form on how to write the research outline.

    Q: When is the last date of IELTS/TOEFL result date that can be accepted for consideration during the application

    process? Can I submit TOEFL institutional?

    A : Any certified IELTS or TOEFL English language test results obtained in 2008 or 2009 will be considered current and will

    be considered for application. TOEFL institutional is also accepted.

    Q: Does an ADS applicant need to apply to their preferred university and course before applying for thescholarship?

    A: ADS applicants are not obligated to apply to Australian universities before applying for a scholarship. The ADS Office will

    arrange the placement process for the awardees after they have been selected for an ADS scholarship.

    Q: Where can I get the IELTS/TOEFL results for submission with my application form?A: TOEFL/IELTS results issued by any formal/legal IELTS/TOEFL institution (local universities, LIA, EF, etc.) are valid.

    Q: What is meant by TOEFL Institutional and TOEFL International?

    A:

    y TOEFL Institutional : TOEFL results administered by legal/formal local English language institution such as LIA,EF, universitys Language centre, etc.

    y TOEFL International : TOEFL results administered by TOEFL International institution. There are 2 types of this: a

    computer based TOEFL and a paper based TOEFL.

    Q: Do I have to submit an English translation of my certificate, transcript and birth certificate when applying?A : No. However you must provide these documents if you are shortlisted for an interview.

    Q : Where can I get a certified copy of the documents required?

    A: All applicants must attach copies of a certified transcript of academic records and copies of their certificate. Copies of

    original documents are to be certified by your university or notaris, or an IDP Office.

    5. Proposed study programQ: What are the ADS fields of study?

    A: ADS offer fields of study which relates to four areas of development priority. Examples of fields of study are included in

    ADS application form and on the ADS website. Please important to note that those are only examples of fields of study.

    Applicants can apply in most fields of study offered by universities as long as it is not a particular profession that includes

    the practical training period required for professional registration, e.g. medical internships, legal articles etc.

    Q: Is it possible to choose a different field of study related to my education background?A: Yes. As long as the proposed field of study will support your career in the future and contribute to the development ofIndonesia.

    Q: Do you have to identify an Australian university and a course for your proposed study program when you make

    your ADS application form?

    A: No, you make this choice during your English for Academic Purposes (EAP) training after receiving the scholarship. All

    you need to identify on your ADS application is the priority area that your course of study fits into and also some key words

    to describe your proposed course of study.

    6. Selection ProcessQ: What is the ADS selection process? What are the requirements during the selection process?

    A: There are two stages in the selection processes: the shortlisting process (pre-selection process) and Final Selection

    process (JST Interview and IELTS test).y During the 1st stage (Shortlisting process) an independent Joint Selection Committee comprised of Australian and

    Indonesian academics will consider all applicants and shortlist all applicants based firstly on academic merit andIELTS or equivalent scoring. Only short listed candidates will be invited to participate in the 2nd stage of theselection process (JST interviewed and IELTS test).

    y In the 2nd Stage (Final Selection JST interview and IELTS test), the JST Interview will assess candidatesacademic ability, clarity of study goals, cultural adaptability, future planning and relevance of study to Indonesias

    development. The interview will be accompanied by an IELTS test to assess applicants level of English.

    7. Length of the Scholarships

    Q: What is the duration of the scholarship?

    A: Scholarships will be available for full-time study an Australian post-graduate qualification for the minimum period required

    to complete the award through the relevant Australian university selected from AusAID contracted universities (normally

    approximately between 1 - 2 years for Masters and 3 - 4 years for Doctorate).

    Q: What will happen if I need an extension to conclude my study?

    A: A Period of extension will only be allowed in a special case; or only when major-force conditions apply.

    8. Scholarship EntitlementsQ: What does ADS cover? Does ADS offer full scholarship?A: Yes, ADS offers full scholarships. Scholarship entitlements include:

    y Fortnightly stipend to be paid at single stipend;y Tuition fees;y Return air fares;y Establishment allowance;y Health cover (only for student during the length of stay in Australia);y Some overseas fieldwork travel cost;y A reunion air fare at the completions of each successful year of study, except the final year. (only available to

    students whose immediate family - spouse/dependant, child - do not accompany them);and

    y Editorial / Tutorial assistance
