9:07 Officer Reports-

LTG Tran- o All clubs should have elections finished by the end of this month. o Advice: Focus on developing the membership at the baby clubs (Hood and AACC).o Advice: Have a lot of divisionals.o Advice: Make sure the UMCP puts in a request for funds early in the service year.

LTG Charles- o Hampden-Sydney held elections and have 2 people running for District office. o Randolph College had someone interested in running for District, but they stepped back.o Liberty is sending 3 members to DCON and will be attending SOTC.o Virginia Tech had their elections.o Radford is officially chartered and they held an in-house service project.o UVA Wise is trying to get to DCON, but the weather may stop themo Lynchburg, Sweet Briar, and Longwood have not had elections.o Advice: The division acts as two separate identities, so it’s hard to get everyone to work

together.

LTG Tongvichit- o VCU has 71 dues paid members and has a full board this year. They just need to plan projects

ahead of time to ensure success. o Randolph-Macon had a lot of communication issues and they couldn’t really get interested in

attending DCON.o University of Richmond had a hard time of filling positions on the board. Half of the club’s

members are doing some study abroad thing and they can’t do too much. They had to resendcheck and paperwork because it got lost.

o VSU isn’t really responding, but they have a legit club which is good.o All clubs have had elections besides RMC.o Advice: The best visits are the ones that you do spontaneously.

LTG Corish- o Emailed all clubs to talk about elections. o UMW is having elections on March 10th.o NVCC Woodbridge asked when SOTC was so that they could stay on top of it and be ready by

then.o NVCC Alexandria – Giancarlo said he had plans, but ignored contact.o NVCC Loudoun had found potential officers.o Advice: Community Colleges need focus because of the turnover rate.o Advice: Push submission of MRFs.o Advice: Make sure that clubs are getting budgets set up over the summer so they have funds

for the upcoming year.

LTG Clark- o 2 out of 3 clubs have had elections. o GW has a lot of new people that are stepping up. It’s a whole new board so there’ll be a mini-

training conference.o St. Mary’s held an eliminate dance.o Strengths: Divisionals and District-wide events.o Weaknesses: Accurate MRF submissions.o Advice: Get involved with Kiwanis Division 1 team.o Advice: GW and Howard need to go through a revitalization year so let them do their thing.

LTG Grant- o JMU had their elections o Mary Baldwin had trouble getting any interest.o Shenandoah is most likely going to shut down. Kiwanis advisor is going to meet with the

president of the university to see what they can work on.o UVA is really active and has new officers.o Advice: If Shenandoah remains a club, they will probably remain pretty weak and will need

help.

LTG Case- o University of Delaware started last week, but they had elections already. They will have 10

members attending DCON and they’ve started having some service events. o Towson had their first meeting and will have a few members at DCON.o JHU will not have elections until end of March. They will have people at DCON too.o Advice: Work on communication because it’s kind of bad.

LTG Sakany- o Christopher Newport is doing well and they are having regular service projects. o Old Dominion is doing well and are having projects.o William & Mary is doing really well.o TCC is still rocky, their secretary stepped down.o Held a divisional and all clubs were in attendance.o Advice: Stay on top of TCC. They will need a lot of support.o Advice: Push involvement in the District so that they want to go to more things.

DST Welzenbach- o MRF submission is low, and people aren’t recording service hours correctly. o Totals are:

Service Hour: 8,705 hours Fundraising: $4,105.64 Interclub: 657 hours Kiwanis Family: 482.88 hours

District Administrator Wolff- o Membership was at 682 members, but went up to 724 members! o Don’t leave convention without abandoned awards.o End of Year Reports are due March 27th.

District Governor Romanoo You guys did an awesome job this year, thanks for all of your hard work.o SOTC presentations are due by the end of the weekend.

CBR Chairperson Johnsono All of the directives have been completed.

My name is Vy Tran and I am interested in running for the position of Circle K International's 2015­2016 SubregionF International Trustee. I am writing this email in hopes of obtaining specific position endorsement from the CapitalDistrict's 2015­2016 Board of Officers. 

I have been in the K­family for approximately 5 years. As a Capital District Key Club member for 3 years, I servedas a club vice president for 2 years and actively attended DCMs and DCONs. As a Capital District Circle K member,I served as the 2014­2015 Battlefield Lieutenant Governor overseeing 4 clubs. Concurrently, I served on the CircleK International Membership & Marketing Committee in which I created an abundance of resources such as theEditor's Package Newsletter Banners, PowerPoint Color­varied templates, and the Kiwanis One Day Logo.

I am interested in running for the position of 2015­2016 Subregion F International Trustee because I want tocontinue developing my leadership abilities and to remain actively involved with CKI on an international level.

Greetings Subregion F! Throughout this convention, I hope all of you have the opportunity to meet new friends who have a strong affinity for service and fellowship, just like you and me! Throughout all of my life experiences, Circle K International has truly shaped my personal character and enabled me to grow as a leader and make long-lasting friends. Growing up, I was taught the importance of giving back to the community and “treating others the way I wanted to be treated.” This principle has guided me throughout my life and shaped my greatest strength: compassion. This compassion instigated my strong work ethic, friendliness, organization, and leadership abilities to motivate myself and others to take action in the community. With your vote, I hope to utilize these qualities while serving as your Subregion F Trustee.

Greetings 2015-2016 Capital District Board,

My name is Calvin Charles, and I am interested in running for the position of Circle K International's 2015-2016 International Trustee at Large. I am writing this email in hope of obtaining general endorsement from Capital District Board 2015-2016 Circle K International.

I have been active in the K-family for 3 years. I am a past Capital District Key Clubber. However, I decided to continue serving when I joined Circle K International in 2013. In addition, as a Capital District Circle K member I served as the 2014-2015 Foothills Lieutenant Governor overseeing 7 chartered clubs and 3 that are still in the process of officially joining the K family.

I am interested in running for the position of 2015-2016 International Trustee at Large because I would like to continue building my service and leadership skills by remaining actively involved with CKI, but this time on an international level. I believe that by becoming International Trustee at Large, I can build many relationships with the clubs abroad. Also I will be able to help bring some of our American traditions, customs, and ideas to them, while also bringing some foreign ones back to the Capital District.

If elected, my goals include being adaptable to each club and country’s individual needs. More specifically, I want to work closely with Japan, Malaysia, Taiwan, and the Philippines by acting as their international representative. Also, I plan to work with DACA, the District that contains regions such as Panama and Columbia. I will work with these diverse clubs in order to bring a stronger international presence to CKI through culture inclusion. I plan to have timely communication through Facebook and email, so that I can understand each of their challenges. I will continue working with them to improve their clubs and District, while also bringing a stronger international presence to CKI. I would like to make these goals possible by allowing local members to see what the drive of service has done for members across the world. One way to do this is by sending letters to the district editors. Another way I would like to do this is by have international tables at the international convention so that members can see the impact that CKI has made in the world. I plan to work with the International Expansion committee to make sure their presence is known, and maintaining a fluid flow of communication, so that I may effectively represent them on the International level.

DOTC Committee Chair Board Report 2015

Introduction

Hello Capital District Board of Officers!

My name is Ben Romano, and I am serving this year as your Club Building and Revitalization Committee Chair. Last year, I served as your District Governor, so I’m very excited to continue working with our clubs this year. I can’t wait to build the Capital District by building several new clubs, and I have already been talking to several Kiwanis Clubs about chartering new CKI clubs. I’m looking forward to working with all of you this year!

Actions Since Last Report

I have sent out introductions to newly chartered clubs to make sure they know who I am, and make sure that I start to develop a relationship with them. We have begun to talk about recruitment and retention ideas for the Fall semester, with the hope that these clubs will develop a fully inclusive recruitment and retention plan by the end of the summer. Though this is something that I am working on with new clubs specifically, it’s a good idea to implement for all clubs, as they all need a strong recruitment plan.

I have made contact with several Kiwanis clubs regarding potential or pending charters. We are in the process of identifying the necessary people at these colleges/universities. We currently have 1 charter for the 2015-2016 service year, University of Richmond. Hopefully, we will be chartering several new clubs over the next month or two. Please see the Committee Update section for a complete update on these clubs. I have also provided clubs with a customize-able flyer that they can use for recruitment and retention. This is a useful resource for all of our clubs, and I recently sent it to the District Board, so please feel free to distribute it to your clubs.

I have also created a Kiwanis Club Guide to Chartering a CKI infographic. This infographic explains the Kiwanis Club’s responsibilities both during and after the charter process. If you know of any Kiwanis Clubs that are interested in chartering a Circle K club, please let me know, and I can give you the infographic. If you are interested in learning about the chartering costs for a Circle K Club, let me know and I’ll send you the infographic as well.

Updates on Committee* Meetings I don’t have any committee members, so every time I do CBR work, I’m meeting with myself. If you know any club members who are interested in recruitment and retention or club building, please pass me their names and contact information. CBR works best when you have several people who are on the committee.

Directive 1: Regional Representatives This directive was aimed at increasing the divisional representation on the CBR committee. Ultimately, the hope was to have one representative from each division to be the main contact for Kiwanis Clubs and potential CKI clubs in the division.

Progress – In Progress

Completed Actions – I have reached out to all of the Lt. Governors to attempt to

identify members who could potentially serve on the committee. So far, no one has identified any members. I am reaching out to members of Capital District that I know, but no one has expressed any interest so far.

Future Actions – I plan to continue working with the Lt. Governors to identify

members who would be good additions to the committee. That being said, if you know of any members of Capital District who have potential as a club builder, please let me know. I’ll do all the work and sell them on the committee, I just need some names.

Directive 2: New Clubs This directive is aimed the several clubs in the Capital District that are in the process of chartering or reactivating, or have recently completed the process. These clubs include NVCC Anandale, NVCC Woodbridge, NVCC Alexandria, Lynchburg College, Longwood University, Virginia Western Community College, University of Richmond, and University of Maryland: Baltimore County.

Progress – Ongoing

Completed Actions – I have initiated contact with all of these clubs. The following

clubs have answered my emails, and I have started to help them: Lynchburg College, Virginia Western Community College, University of Richmond, and University of Maryland: Baltimore County. I have provided them all with the customize-able flyer, and have answered all questions that they have regarding recruitment and retention plans for the fall.

Future Actions – I plan to reach out to the remaining schools that have not answered me yet. I hope to develop a relationship with them prior to the end of the school year so that we can begin to establish a cohesive plan for them to each recruit as many members as possible. In several cases, I have started to be in contact with the sponsoring Kiwanis Club to help make sure we establish a strong contact with these new clubs so they don’t fall apart their first real year of being a Circle K club.

Directive 3: Potential Clubs Proposal This directive required the submission of a proposal based on which clubs I would like to focus on throughout the year. Several clubs have expressed varied levels of interest, and I have documented this in the proposal that is attached. Part of the proposal to identify clubs in all divisions, so several of these are clubs that have either shown interest in the past, or have potential to show interest. We are looking for interested members at all of these listed clubs, so if you know anyone who is interested, please let me know!

Progress – Completed

Completed Actions – There is interest at several clubs that have expressed varying levels of interest. These clubs are: Ignite Academy, University of Richmond, Lynchburg College, Virginia State University, and American University. These clubs are excited and getting ready to charter. As for the rest in the proposal, like I said, please let me know if you know any former Key Club students or potential members at these universities.

Future Actions – None. This specific directive is complete.

Short-Term Future Plans*

- Establish contact with the remaining newly chartered clubs: University of VirginiaWise, NVCC Anandale, NVCC Woodbridge, NVCC Alexandria, and LongwoodUniversity

- Establish contact with Kiwanis clubs that have expressed interested in potentiallychartering Circle K Clubs

- Continue to develop relationships with the currently existing clubs that I havealready been in contact with

We have no committee members. I just have meetings with myself every once in a while.

2. Whether or not you have committee members, how do you plan to recruit additionalmembers for your committee?

I’ve been reaching out to the Lt. Governors, but no one has come forward yet with any names. I will probably work with some club members/officers that I know to try and promote the committee, as well as work with Katlyn to make sure that we can advertise on the Facebook page.

3. What are your plans for staying in touch with your committee over the summer andensuring that progress continues through the summer months?

I don’t have any committee members, so staying in touch with myself should not be that difficult. I’m used to being a Circle K Officer, so checking and responding to emails is second nature by this point. I’m already planning to meet with or visit several Kiwanis Clubs throughout the summer to either give presentations on Circle K, or work with them and the school they’re interested in.

4. What would you like to accomplish with your committee that has not already beenassigned as a directive?

The next step for me is to contact the Kiwanis Clubs I have identified to see if they are interested in sponsoring a Circle K Club.

5. How can the district board better assist your committee?

I could really use some suggestions for committee members, as well as potential schools in each division.

Introduction The LRA committee has begun work on amending the current guidelines regarding campaigns for District office: specifically, what campaign means as it applies to Circle K and how to incorporate that into the current policy. The Committee will soon begin work on the development of a Membership Recognition Program (MRP). The Committee is structured such that the chair and its members hold each other accountable: members submit short, weekly updates on their progress and the chair provides weekly updates to the members as well. In addition, providing specific timelines for directives helps members and the chair plan accordingly, stay on track and remain accountable. Actions Since Last Report N/A

Updates on Committee* The LRA Committee is in the final stages of defining and constructing a policy that clearly defines what constitutes campaigning for district office. We have concluded the research phase, and have begun to refine the ideas and definitions found. Our goal is to provided a comprehensive and concise definition. Having worked with the Committee members for only a short while, I am very impressed with their diligence in completing tasks. I am looking forward to serving the District with the aid of these fantastic Circle K members.

Committee Goals The LRA will begin work on developing a Membership Recognition Program that will diligently recognize club members for their hard work in meeting the District goals. We hope that in surveying current programs employed in other districts, and similar programs from other organizations, that we can develop a solid program. Our vision it two-fold: developing and easily maintained program with minimal accounting, but one that increases motivation to meet those goals the District establishes as paramount.

Aside from our directives, members are also encourage to bring their fellow clubs members to join committees—not just LRA—emphasizing the unique opportunities afforded through the experience.

a. I would like to address the District awards handed out atDCON. I personally believe that they focus too heavily on theDistrict development—which is a great thing—but not enoughemphasis is placed on development and success at the clublevel. After all, we can only be as strong as our weakest club.The awards need to be rewritten to encourage clubmembers to seek the success of their club in paramount totheir District involvement. However, there still needs to be aresidual focus on attending District events and pursuinginterclub communication, but they should be weighed less incomparison to club achievement.

b. Also, the awards need to be restructured in terms of theevidence or supplements required. The focus needs to bemore on quality and substance rather than quantity.Basically, it would be beneficial to shorten the awards andencourage many to apply rather than shy away from beingrecognized for their outstanding work because of a dauntingapplication.

5. How can the district board better assist your committee?a. The 2015-2015 LRA Committee is currently well satisfied with

the support so far; however, being in our infancy we can onlyspeak so much to this. But, it can be assured that we willreach out and ask for assistance when needed. We wouldalso encourage District commentary on our current works; attheir convenience.

Goal: Our goal is to define what ‘campaigning' means, and promulgate a definition that provides specifics and examples.

What you need to do: Define ‘Campaigning’ what it constitutes • 1) Please search around various CKI and Kiwanis websites for their bylaws, and find

definitions of ‘campaigning’. Another option is to search for various definitions of what ‘campaigning’ means in other contexts (e.g. dictionary, your student government’s definition, etc.).

• 2) After you have done some research, compile a list of the definitions and placethem in this Google Doc as you find them.

• 3) When you place items in the Google Doc, please attach a link or cite the sourcefrom which you found the items.

• 4) I will place various experts from our current policy in the Google Doc for yourreference.

• After we have place all of our research in the Google Doc, I will put everythingtogether and create a draft of the policy to submit (I will notify you when I am done).• Then, I ask that you review the proposal and make comments by April 16th at 5pm. Iwill compile all the comments and suggestions and then as a committee we willsubmit the proposal to Governor Matt.

We want to base this Monthly Recognition Program (MRP) on rewarding those who meet the district goals—once those have been developed I will notify you. We also want to think about other ways to recognize our members.

Goal: Develop a CDCKI Membership Recognition Program

What you need to do: For this we want to brainstorm different ways we can accomplish the following: • 1) Define what categories that the MRP will focus on (service hours, inter clubs,

district involvement, kiwanis family hours, etc.) • 2) Develop a list of the requirements to receive the recognition. We can

create system that awards base on points or a tier requirement (whatever we decided and find out will work out the best).

• 3) Determine how the members will submit the award (is it via email, a google form,via club officers?)

• 4) Determine the Mode of Recognition (something inexpensive): e.g. a ribbonattachment for their name tags at DCON. Other ideas might be names in the DCON program, a certificate, ribbon, highlight in the Capital Courier, etc.

• 5) Place all of these things in the Google Doc.I also will place helpful resources in the Google Doc.

This is a large task, so it will be best to split it up into stages: Stage 1: Brainstorming Goal: We will brainstorm and collaborate ideas about what NOs. 1, 2, 3 and 4 should look like; we will qualify them.

Introduction Hello fellow board members. I hope everyone is off to a good start to their

term. I have been working on communicating with my clubs and starting

to develop communication methods with various clubs. So far I have

developed two different newsletters. One for everyone in the division, and

the other for club board members. Each of these are biweekly, and they

alternate weeks in an effort to keep everyone updated on what’s

happening. Since April 1st I have visited Radford University, worked closely

with my home club while they transition, and visited Kiwanis DCON.

Actions Since Last Report As the Foothills Division Lt. Governor:

I have started to communicate with my clubs. I have started my

two newsletters, which are both sent out biweekly.

I have attended a board meeting with Radford University where

they developed their goals for this coming year, and by the time of

this board meeting I will have attended their chartering ceremony.

I have also communicated with Virginia Western Community

College and Randolph College to provide them with training

materials for their club officers.

I have also been working on getting updated on the status of my

division, because I was not given a lot of information about the

current status of the clubs.

I attended Kiwanis DCON.

Promoted CKIx to club members.

Advertised committees to clubs.

Contacted each club president individually to introduce myself and

get an update on their club.

I have worked closely with my home club to make sure the officer

transition was smooth.

As the acting Technology Chair:

Updated the website to reflect the changes in leadership.

Short-Term Future Plans* I am still working on contacting my clubs that have not yet

I am visiting Hampden-Sydney for their March of Dimes/March for

a. I have sent out two newsletters to introduce myself. I have

also contacted all the club presidents to personally interact

with them. I have also visited both my home club, Virginia

Tech, and the Radford CKI club. I am scheduled to visit

Hampden-Sydney later this month. I am also planning on

trying to host a training session for VWCC after they elect their

new officers.

2. Have all of the club officers in your division received training at

SOTC or from you individually? What plans do you have to train any

officers that haven’t received training yet?

a. Randolph College, the University of Virginia: Wise Campus,

and Virginia Western Community College did not attend

SOTC. I have sent training materials to both Randolph and

VWCC to help their presidents train their officers. I have not

been able to get in contact with UVa: Wise yet, but I am

going to be reaching out to their other officers to see if they

need additional training. I am also planning on having a

training session for VWCC following their elections.

3. What plans do you have to stay in touch with your clubs over the

summer? What plans do you have to keep them excited and

involved?

a. I am planning on having a PCM at the end of April. I will be

discussing membership recruitment and other topics that

relate to the start of next semester. I would like to ensure that

they are prepared for next semester before they get back, so

that they can take advantage of all the new students. I also

plan on sending out newsletters and emails over the summer

to club boards. I will try and have each newsletter related to

a different topic that will help them prepare for the next year.

a. I believe that Randolph College is going to Liberty College’s

members to Radford’s Installations on April 18th. I am also

encouraging clubs to attend Hampden-Sydney’s March of

I will use facebook mainly and email. I’ll have a get together with afew VCU members. VCU just made a sign-up sheet to plan for GeekWeek which is our first week at VCU next semester. I am also reallytrying to get my snapchat up and running for the division.Snapchat has blocked a bunch of third party apps, so it’s beendifficult to make it reliable.

Yes, I emailed the metro-richmond list-serv as well as posted in themetro-richmond facebook group and each individual clubsfacebook. As of right now, no one has told me they were comingyet.

No, I did tell UR president about it, but I believe with April being new for the new boards and the month of last exams before finals it’s been pretty hectic. I saw a huge decrease of members at our last meeting due to exams.

Greetings everyone! I am excited to serve as the

incoming Potomac LTG and contribute in the success

of the Capital District. I’m Sancho from George Mason

University CKI. I have held different positions in CKI but

hasn’t experienced having such administrative

responsibility as a Lieutenant Governor. With this new

division, I will do my best to support our current clubs

and work on starting new clubs to grow CKI.

Updates on the Potomac Division:

We had our first divisional/interclub yesterday at GWU’s

Lost in DC which was attended by GWU, Howard

University, and GMU CKI clubs within the division. A lot

of members had a great time.

GMU CKI has a successful meeting last Monday, April

13, which was started by an ice breaker rock, paper,

scissors game then announcement of service, district,

and international events. The members showed interest

for these activities.

I also talked to NVCC-Woodbridge CKI and they had a

bake sale last Wednesday, April 15. They have also

submitted their paperwork to reactivate their club

which is now in process. A key clubber from Michigan

contacted me about starting a CKI club at American

University where she is going to attend in the fall. I sent

a text to Hannah Lane who is starting a CKI club at

NVCC-Annandale.

Woodbridge is reported to be in the process of

just have to follow-up with them to finalize the

transaction so they can be an official club again.

All clubs have representatives at SOTC but not all their officers.

There’s a request from NVCC-Loudoun to have a summer training

We started a GroupMe text for presidents at SOTC. We will continue

use it to keep in touch. I’ll get them excited by making sure each

event they attend to is worth their time by making it as enjoyable as

possible.

Yep. A couple from GMU are going, I’m not sure about the other

clubs yet. CKIx was also advertised during the GMU CKI’s meeting.

There is some funding from the school to those who wants to go.

I told them about it. A couple from GMU members are district

committee chairs. Advertised during GMU CKI meeting.

Yes, we already have one with Lost in DC but we’ll see if there are

I am planning on transferring to Towson, Virginia Commonwealth, or George Mason to double major in Dance Performance and Business. I’m super excited to serve as the 2015-2016 Capital District Secretary-Treasurer and I am determined on completing my goals for the year and helping us reach new heights. Update on District Goals* Membership (As of 4/15/2015) 737 members out of a set goal of 900.

Clubs NVCC Alexandria folded, we didn’t succeed with

that part of the goal. We chartered or rechartered 7 clubs, so we did reach this portion of the goal.

Eliminate Project According to the numbers collected through the submission of MRFs, the district has raised $7,058.09, meaning we have an average of $9.57 per member, surpassing our goal of $9 per member.

Service Hours According to the numbers collected through the submission of MRFs, the District’s service hour total is 11,149.95 hours. This means that we have an average of 15.12 hours per member, meaning we haven’t reached our goal of 25 hours per member.

District Event Attendance The goal was to increase event attendance by 15%. FMR –18.4% DCON – ~15%

Interclubbing A goal was set to provide clubs with four interclub opportunities outside of DCON, FMR, etc. Last year, we reached 100 hours, but totaling the numbers given in the MRF, we reached 758.5 hours this year.

1. Have you introduced yourself to all of the secretaries and treasurers? How did you go about introducing yourself? So far only the ones that were at SOTC. I am working to create my monthly memo templates, and as soon as they are done, I will be emailing the ListServs to introduce myself, provide a resource database, and give tips.

2. How do you plan to work with and communication with secretaries and treasurers throughout the year? I plan on establishing and improving communication through the usage of monthly memos, creating Facebook groups for each officer position, and holding bi-monthly webinars. I will also be reaching out to individual clubs if there is a problem that was addressed in the MRF, or by one-on-one contact.

3. What plans do you have to stay in touch with secretaries and treasurers over the summer? What plans do you have to keep them excited and involved? Monthly memos, Google Hangouts/Webinars, emails, Facebook. I plan on making contact exciting by utilizing forms of recognition as well as using one-on-one contact to reach out to officers and receive club updates and information.

4. What plans do you have for increasing the accuracy and on-time

completion of Monthly Report Forms (MRFs)? I plan on creating an MRF how-to guide that will go through the basics of their submission. I also want to push resources such as the “How to Calculate a Service Hour” document made last year, and the recognition of clubs through the MRF scoreboard to be included in my memos. I would like to push more recognition and incentives so they feel special, but I also need to stress the importance of the information included, so giving them insight into what we use the information towards would be beneficial.

5. What plans do you have specifically for improving the reporting of service hours? Educating the officers on how to correctly calculate the hours recorded. This has been an issue in the past and is probably one of the reasons that the hours goal has had some difficulty being reached.

6. Have you reached out specifically to any secretaries or treasurers that did not attend SOTC to offer them the opportunity for position-specific training? JMU Secretary, Radford President (regarding secretary), AACC Secretary. However, I have not given any kind of individual training yet. I have compiling my resource database – which I hope to have completed by the Board meeting and that will be sent out to the officers. I will also be reaching out to both Secretaries and Treasurers that have not attended SOTC to give insight, a list of duties, and a timeline of when certain things should be a main focus.

7. What new ideas do you have for working with secretaries and

treasurers this year? I want to increase the recognition that officers get. While the job isn’t about getting noticed, people do like a congratulations for all of the work that they do, especially when the task seems daunting. I also want to be extremely active in being a resource that they can use as officers. I hope to do this by having a constantly updating resource database that includes things on topics such as MUC, dues, minutes, etc. I want to open communication and idea sharing even further through the bi-monthly webinars that people can use as a roundtable to talk to their counterparts and receive feedback from other clubs, as well as assistance from the District level.

   Greetings Capital! My name is Kelly Chan, I am a speech-pathology graduate student at St. John’s University in Queens, New York, I have been a member of the Kiwanis Family for over 7 years, and I am serving as your 2014-2015 CKI Subregion F Trustee. While it is just the beginning of your term, my term will be ending shortly after CKIx, on June 30th but before it ends, allow me to address some relevant topics that may be on your mind: What is Subregion F? Subregions are a cluster of districts; similar to divisions are clusters of clubs. Subregion F includes the districts of: Capital, Eastern Canada, New England, New Jersey, and New York. At the moment, like Capital, all districts are seeking committee chairs and members to serve on district committees. Many District Officer Training Conferences and various other forms of training conferences are being held to prepare for the end of the semester and to ensure that clubs are prepared for the fall semester. If you’re serving as a lieutenant governor, it is your responsibility to ensure that your clubs are receiving the guidance and resources they need. Offer a training conference within your division or with individual clubs and get them ready for a successful service year! CKIx 2015 - June 23-27, 2015 - Indianapolis, IN A combination of CKI’s 60th Annual International Convention (ICON), CKI’s 15th Annual Large Scale Service Project (LSSP), and last but certainly not least, the celebration of 100 years of Kiwanis! It is a 5-day experience where we will all get the chance to celebrate CKI’s 3 tenets to its full capacity alongside thousands of members from not only Circle K but with members from Key Club, Aktion Club, and Kiwanis International.

• Celebrate Kiwanis 100 –Kiwanis Pancake Throwdown, Kiwanis birthday bash on Georgia Street, Kiwanis Family baseball night

• Leadership opportunities – many great luncheons, workshops, sessions devoted to our service partners, awards ceremony, House of Delegates, caucus, the retirement of the 2014-2015 International Board, the election of the 2015-2016 International Board

• Fellowship opportunities – a scavenger hunt around Indianapolis, a free Hellogoodbye and A Great Big Pile of Leaves concert, and many other opportunities to mingle with K-Family members from all over the world!

• Service opportunities – build a playground, serving the Hawthorne neighborhood, home to many lower income families and first generation citizens. This is on top of various other service projects such as volunteering at an achievement center for Down syndrome children, a bike race for cancer research, and the local food bank.

Membership  Dues  and  Club  Status  -­‐  As  of  the  4/08/15  Club  Information  Listing,  we  have  38  clubs.    Of  those,  29  are  Active,  7  are  Inactive,  and  2  are  Suspended.  Our  total  paid  membership  stands  at  730  (100  more  than  this  time  last  year).  At  this  time,  we  are  the  3rd  largest  district  in  Circle  K  International  behind  Cal-­‐Nev-­‐Ha  &  New  York.  

CKI   Leadership  Academy   –  This   5   day   retreat   on   building   servant   leaders   continues   for   another   year  from  July  26  –  July  31,  2015.    It  is  open  to  all  CKI  members.  The  event  is  $195  and  that  covers  everything  once  you  arrive.  Members  are  responsible  for  getting  there.  The  value  of  the  event  is  actually  $800  per  student.  Capital  is  going  to  send  two  students  with  free  registration.  They  only  have  to  get  there.  It  is  an  online   application   process   at   www.circlek.org   /leadership   academy.   Please   apply   by   June   1   to   be  considered  for  the  free  scholarship.  Anyone  can  register  through  June.  

International   Convention   in   Indianapolis   –   As   a   District   Officer,   your   room   and   registration   will   be  covered   for   ICON,   you   only   cover   your   travel   there   and   any   food   outside   of   the   convention.   Your  attendance  at  ICON  is  mandatory.    Lt.  Governors,  if  there  is  a  club  (in  good  standing)  in  your  division  not  sending  2  delegates  to  convention,  you  may  serve  as  a  delegate  for  them.      You  need  a  letter  signed  by  that   club’s  president   indicating   that   you  are   serving  as  a  delegate   for   them.       This   is   also   true   for  S-­‐T  Colin   and   Editor  Matthew,   but   you  may   serve   for   any   club   in   the   district   not   sending   the  maximum  number  of  delegates  already.    

Please  also  assist  OTIC  Chair  Ben  by  heavily  promoting  ICON  attendance  in  your  first  newsletters.      We  want  to  have  a  strong  showing  of  voting  delegates  present,  especially  if  we  have  a  candidate  running  for  Intl.  President.  Make  sure  your  clubs  know  to  use  the  “thirds”  system  for  ICON  funding.    1/3  should  be

Introduction Greetings  Capital  District  CKI  Members  and  District  Board  Members:  

I  look  forward  to  beginning  this  year  with  all  of  you  and  moving  forward  to  continue  in  our  efforts  to  further  Circle  K  International’s  tenets  of  Service,  Leadership,  and  Fellowship.  I  hope  that  we  can  work  as  a  District  Board  and  as  members  of  the  Capital  District  to  see  the  potential  that  we  all  have  within  ourselves  to  be  better  Servant  Leaders.    

At  District  Convention  this  year,  I  presented  a  platform  with  specific  goals  that  I  plan  to  continue  to  support  and  accomplish  throughout  this  year.  Specifically,  strengthening  committees,  focusing  on  learning  and  education,  appreciating  the  hard  work  of  our  officers  and  members  as  a  means  of  motivation,  ensuring  steady  communication,  supporting  the  activities  of  our  district  board,  club  officers,  and  clubs,  and  focusing  on  all  of  you  as  members.    

Thus  far,  I  have  worked  to  reach  out  to  potential  committee  members  and  committee  chairs,  and  we  are  still  in  the  process  of  filling  all  of  our  committee  chair  positions  and  getting  more  members  on  these  committees.  This  is  an  excellent  opportunity  for  our  members  to  reach  their  leadership  potential,  and  I  encourage  everyone  to  take  advantage  of  these  opportunities.  We  will  begin  another  push  for  committee  members  in  the  fall.    

We’re  continuing  the  Monthly  Education  Topics  and  will  focus  on  advertising  those  to  club  officers  to  share  at  meetings.  A  proposed  calendar  has  been  included  in  this  board  book  for  review  by  the  district  board.  We  will  continue  our  efforts  to  educate  members  and  club  officers  throughout  the  year.    

I’m  starting  my  efforts  to  appreciate  members  by  sending  emails  to  all  of  the  Members  of  the  Month  listed  on  Club  Monthly  Report  Forms  (MRFs),  so  far  8  members  have  been  recognized  for  the  month  of  March,  though  every  club  has  the  opportunity  to  select  a  member  for  this  recognition.  The  Laws,  Regulations,  and  Awards  committee  is  also  reviewing  the  possibility  of  adding  a  Membership  Recognition  Program  (MRP)  with  the  other  District  Convention  awards  to  recognize  members  that  reach  certain  requirements  and  involvement  levels.    

In  an  effort  to  create  steady  communication,  I  have  set  specific  time  frames  for  my  updates.  Presidents  and  Vice  Presidents  will  receive  an  update  every  other  Monday,  the  District  Board  receives  an  update  every  Wednesday,  and  our  entire  membership  receives  an  update  on  the  15th  of  each  month.

Teams and/or Costumes: Space → Buzz lightyear, Aliens, Astronauts, planets Scooby Doo → Characters from Scooby Doo or those they captured, anything scary like the movie Jeepers Creepers Shipwrecked → Pirates, fish, boat captain, stranded vacationer,sea creatures mermaid, etc Carnival/Circus → scary/psycho clowns, mime, elephants Hocus Pocus → Witches, black cat, mummies Monster Mash → mummies, vampires, werewolf take any costume and monster-fie it! Nurse monster, etc

Decorations: Space → stars, planets cut outs, space ship and astronaut face-in-a-hole, take different color paper lanterns and add tinsel to made planets, Rocket ship (could even have a cut out so it looks like people are in the ship), aliens

Scooby Doo → Face- in- the- hole van, monsters from the shows, ghosts, haunted house, Scooby seemed to be a fan of Scooby snacks so maybe something with that, castle from the opening credits, triple decker sandwiches (Shaggy always ate them), sign for the Malt Shop,

Shipwrecked → pirate signs (for directions or humor), sharks, treasure box, “boat” made of cardboard, skeletons of past people on the island that didn't make it alive, swords, palm tree, broken boat, coconuts, SOS sign, map searching for gold, totem polls,

Carnival/Circus → clowns, elephants, lions, tigers, roller coaster cut out, pom-pom party hats, pinwheels, circus director cut out, juggling equipment, face painting station, signs for various of fried food, balloons, cotton candy (use cotton balls to make it 3D),

Hocus Pocus → witches brooms, “poison” bottles, witches pot, black cats, witch hats, cut out of witches to take pictures with, the spellbook, crystal ball,

Monster Mash → one-eyed monsters, characters from monsters inc., green balloons with “eyes” glued on them

Team Building: Candy wrapper, Shape Communication and Trust Walk as team building.

● Trust Walk is blindfolded participants must rely on instructions given tothem in order to avoid various obstacles

● Shape Communication is team building in which everyone pairs up (we coulddo it by teams) and person A has a blank paper and person B has a shapescreating a picture. Person B has to describe the picture to person A exactlyhow it is shown- the image closest to person B's image wins. Lastly, switchsides if and where the big wind blows are very popular icebreakers that wecould always pull out if time permits.

● Candy Wrapper NEED: Pair of mittens for each player, Wrapped candy foreach player, Starting line/finish line. Divide the group into teams Have oneperson from each time stand on the starting line and have everyone else onhis team line up behind them. The first person puts on the mittens. On "GO",the first person runs to the candy, picks up a piece and runs back to thestarting line. The unwrap the candy, pop it into their mouth, and then removethe mittens and hand them to the next person on their team. That personputs on the mittens, runs and grabs a candy, and then races back to thestart line to get the candy unwrapped and into their mouth. Continue thisuntil everyone from each team gets a piece of candy. The final person on theteam should remove the mittens and hold their hands up. The first team whohas a person who hold their hands up over their head wins.

● Ghosts and Spooks Pick a person to be a scary creature (Player 1) and havethem blindfolded. As they walks about blindly, the rest of the team are in acircle around and when Player 1 touches someone he/she has to direct themto the sandwich (placed somewhere inside the circle)

Theme Specific Workshop for Space → Make Your Own Moon Sand

● 6 cups of play sand (preferably colored sand)● 3 cups of cornstarch● 1 1/2 cups of cold water Directions:Mix the sand and cornstarch

together. Add water, and mix everything together with your hands. Workthrough until you no longer see the white cornstarch. Add toys or moldinto shapes. Store in airtight container. You may have to add a coupleteaspoons of water the next time you play with moon sand.

This year’s International Convention marks the 100th year anniversary of Kiwanis International. All of the branches of the Kiwanis Family will be joining in Indianapolis to celebrate the centennial. Besides the fact that this is a once in a life time opportunity, we also have three candidates running for International Office. This convention will be an event you don’t want to miss.

● Foothills○ HSC- doing well. Not all of the officers were at SOTC. Emailed them

training stuff and materials on MUC. Had induction ceremony.○ Ignite Academy- potential, not official○ Liberty - very active. the president and secretary are maintaining great

communication.○ Lynchburg - inactive○ Radford - had reactivation ceremony. up to 26 members. President is

organized and hardworking and they have plans for next year.○ Randolph - Recruitment is a necessity because they are so small.○ UVA Wise- hasn’t contacted back, so going to contact all of the other

officers○ Tech is doing really well, all officers went to SOTC. Should have really

strong board this year. Events every single weekend and have themuntil the end of the year.

● Potomac○ GW- had lost in dc and it was really good. Met with officers at SOTC

and Lost in DC and they seem really close. The Kiwanis club is reallysupportive too.

○ Howard- president said that they had officer problems last year, butthis year is hopeful

○ GMU- good and do a lot, but we should strengthen the membership○ Woodbridge-active, and sent in their paperwork.○ Loudon- new club, but they’ve been decreasing in quality. There was a

conflict between the officers.○ Alexandria- suspended but found someone that might be able to help○ American- wants to start a club
