What is assetTRAX ?
• assetTRAX is asset management “software that TALKS”™
• It is the most accurate, easiest to use and the FASTEST to use asset management software available
• Physical Inventory mode makes child’s play of doing an inventory of a trailer, truck, or building full of tools or equipment
• The line at your tool crib will disappear and probably for the first time you will really know where all of your tools are.
How does it work?
• Enter an employee number• Enter the location that the tools are going to• Enter the tool numbers, as fast as you like!
– Listen for the audio “Issue” that confirms the tool was really issued
– Or listen for the word “Turn In” confirming the tool was turned into the tool crib
• We include our custom Label Maker software designed around the assetTRAX™ program
• Any existing alphanumeric numbering system will work for both employee numbers and tool numbers up to 50 characters each
Physical Inventory ModeHow does it work?
• Enter your employee number & location• Enter the building/truck/trailer number (the parent
barcode number) to be inventoried• Answer Yes to the question “Yes to issue children?”• As fast as you can, scan all barcodes in sight, listening
for assetTRAX to say “Turn In”• You only need to look at the screen when you hear
something other than “Turn In”– “Enter Quantity” is said when there are more than one item with
this barcode number, i.e. cribbing, carbiners, bandages, bags of saline solution, etc.
– “Issue” is said, telling you this item does not belong in this place. Change the Parent Barcode number on the spot OR move it to where it belongs

Simple Instructions to Turn in tools
You don’t have to ‘switch screens’ to turn in tools! assetTRAX assumes that if the tool is already issued then you must want to turn it in.
Tool Issue Log
When there is no employee on the screen, the log displays all previous transactions.
With a valid employee on the screen, the log displays only tools currently issued to that employee.
Employee name displayed, Computer says “Employee” Enter location that tools are going to:
Location displayed and computer says “Location” Now enter your tool numbers:
Tool barcode number “AGS008” entered, Computer says “Issue”
Click the “Show Tools that are out” menu option to see all of the issued tools
Log displays all tools currently issued to this employee
Filters remove tools that are issued for an extended period of time. This display has the tools issued to “ONW WEAPON”, etc. removed because of a deployment. See all of the tools by clicking the ‘Stop Filter’ button

Audio Warnings:
• “Overdue Calibration” warning when you issue a tool that is overdue calibration
• “Inspection Overdue” warning when you issue a tool that has an overdue inspection. Unlimited number of inspections for every “tool”
• “Employee not certified” warning if you are not certified to take this “tool” and this tool’s Certification box is checked
Consumables• Check the “No Turn In” check box for Consumables. When issued the
quantity in stock is reduced by one.
• If the “Issue multiple of this tool with single scan” box is checked assetTRAX asks you how many by saying “Enter Quantity” then it removes that many from inventory
Physical Inventory Mode

Enter the Parent Barcode Number (Trailer #, Truck #, or Room #)
assetTRAX checks all children and in this case warns you that a child is overdue some sort of calibration (like a Hydro Check), it issues the parent to this employee, then asks “Yes to issue children”. You click Yes to issue everything within the parent.
assetTRAX instantly issues all of the children. Now you simply walk around the truck/trailer/room scanning every barcode in sight, listening for assetTRAX to say “Turn In”. As long as you hear “Turn In” you move to the next barcode. If you hear anything else then you stop and look a the computer screen to see what you have to do.
Barcode number 521 is turned in and removed from the list
Barcode number 522 is turned in and removed from the list
Barcode number 523 is turned in and removed from the list
Barcode number 524 scanned however the computer says “Enter Quantity” and prompts you with the number of these items that should be there. You count them (in the example there should be 20). If they are all there you hit enter, if any are missing you change the quantity as necessary.
All 20 are there so you hit the Enter key and all 20 are turned in.
Selecting the “Show Tools that are Out” menu option on the main screen displays the list of things that are missing from this Physical Inventory.
All of these features are found in the Pocket PC version as well.
Reports
• What tools went where• Who took this tool out and when• Where any tool has been• What consumables need to be ordered• When was an inventory last performed• Find a piece of a tool in an aircraft? assetTRAX
will tell you who took what so that you can get the parts back to the tool
• Find a broken tool? assetTRAX will tell you who took it last and where it was taken

Shift Change
Click the “Quick Turn at Shift Change” menu option from main screen• You can quickly assign responsibility for tools from one person to
another. Tools are selected by employee number OR by the location that the tools were taken.
Parent – Child Relationships
• Assign the parent barcode number to the torque wrenches and other inspection or calibration items that are in a parent tool box. When the tool box is issued assetTRAX checks all child calibration and inspection dates and warns you if any are overdue.
• If a child tool had been previously issued then assetTRAX warns you that a tool has been removed. One button click and you see which tools caused the warnings.
assetTRAXMobile Pocket PC version
assetTRAXMobile, the Pocket PC version of assetTRAX works in concert with your PC version. It acts as a smart scanner, performing all of the assetTRAX functions including saying “Issue”, “Turn In”, and all other audio prompts. This works with any pocket PC, iPAQ, Dell Axim X50, Symbol, that has a compact flash socket or built in scanner.
