It is with great pleasure that I welcome you to our kitchen. My brigade and I will assure
that everything is perfect for you and your guests. Please feel free to let your imagination
run wild.
All menus and services will be customized to your desires. The core menu reflects our
vision for simple elegant perfection and just a starting point to your most memorable
event. We would be delighted to add your personal touches or family recipes.
Our taste panel is where we work out the details and it will allow us to adjust everything
to your taste and style. We will offer you alternatives and seasonal delights, and no detail
will be overlooked.
I encourage you to share your ideas. Whether it is Pinterest board, Instagram account or a
simple picture, I would like to see it. A single image could be the inspiration for the most
memorable evening of your life.

GENERAL INFORMATION
Please allow our Catering Services team to assist you in customizing options that work specifically
for your meeting and dining needs. We look forward to serving you.
SPECIAL DIETARY INFORMATION
We can accommodate most dietary needs and
restrictions including gluten free, vegetarian or
vegan dishes with advanced notice. Any advanced
information pertaining to dietary needs of your
attendees, please share with your Catering
Services Manager to ensure a safe and enjoyable
time at The Cavalier Hotel. Special Orders that
are not declared on the guaranteed BEO will be
served on a first come, first serve basis as they are
prepared.
MENU SELECTIONS
To ensure the best execution of your event, we
kindly request that all menu selections be made
20 days prior to the scheduled functions.
*As per the FDA Food Codes and Virginia State
Law, all food and alcoholic beverages consumed
on property must be purchased through The
Cavalier Hotel.
SERVICE STAFF, SERVICE CHARGE
AND TAX
Guest to server ratio is 1 server per 15 guests for
plated meal functions and 1 server per 30 guests
at buffet functions. This is for service at rounds
of eight or ten. Rounds of less than eight guests
or a request for additional staffing is subject to
labor fees. Breakfast/Lunch service times are
three hours and dinner is four hours. All food
and Beverage is subject to a 22.00% service
charge and 11.5% Virginia State tax. If you are a
tax-exempt organization, please provide your
tax exempt number 30 days prior to your event.
GUARANTEES
A final attendance figure for all Food and
Beverage events must be specified 72 business
hours in advance. The Cavalier will by request
set functions for 5% above the guaranteed
attendance. There will be an additional charge
for events with preset food for the overset. All
charges will be based upon the guarantee of the
actual number of attendees served, whichever
is greater. In addition, any food items above
the guarantee and overset will be charged at the
banquet event order menu contract price. Prices
quoted do not include 22.00% service charge or
11.5% sales tax unless otherwise noted. Prices are
subject to change without notice; guaranteed
prices will be confirmed when contracted.
*Catered food events, requested within the 72
hours prior to your event, and will be based on
availability. Increases and/or new orders made
within the 72 hours prior to the event will be
subject to a 20% additional fee based on the menu
price (F&B).
MULTIPLE ENTRÉE REQUEST
As each of our guests are unique, so are our
individual palates and preferences. With this in
mind, The Cavalier’s expert chefs have designed
a special menu option that allows your guests
to satisfy their own unique tastes. Whether
hosting an intimate affair or a gala event, The
Cavalier Hotel Staff offers each guest the
opportunity to select a fine dining experience that
is commensurate with personal preferences. For
duel entrees, the client is required to provide a
form for identifying the entrée selection of each
guest at the table such as a color coded name tag,
or entrée card to be displayed at the table setting.
For an additional $25.00 per person, your guests
are presented with a customized menu featuring
up to three entrée options from which they may
choose. The Banquet Maître d’ offers the bill of
fare after guests are seated, expecting that each
will select a main course just as if they were
dining in a world-class restaurant.

MINIMUMS
Food and Beverage menus require a minimum
number of guests. In the event that the number
in your party does not meet the minimum, a
charge equal to the difference will be made at
the menu price plus 11.5% state tax. No service
charge will apply to this minimum charge.
OUTDOOR FUNCTIONS
For all outdoor event locations, we ask for
inclement weather relocation to be decided upon
at least 8 hours prior to the event start. Breakfast
events must be decided the night prior.
Decisions must be communicated to your
Catering Services Manager. If a decision has not
been made by 11:00 am for an evening event,
then your Catering Services Manager will confer
with the Food and Beverage Department to make
a decision that is best for a successful event .
Additional charges will apply for last minute set
up and venue changes.
RESTAURANT BUY-OUT FEES
Rental fees apply to premium venues around
the property. Your Catering Service Manager
will be able to inform you of settings and
areas that require these tariffs. For events
that require the exclusive use of a restaurant,
“Buy- out” charges will be incurred. These
charges fluctuate per the day of the week and
the time of the year requested.
PHOTOGRAPHY
We have relationships with several local
photographers that are staffed by professionals
with the most up-to date equipment to assure that
your gathering is preserved in photographs. A
complete tariff schedule is available upon request.
MUSIC
Our staff will assist you with all music and
entertainment requirements. Please contact your
Catering Services Manager for further information.
FLORAL DÉCOR AND
THEMED EVENTS
For your special event, we have relationships with
several local partners that can create beautiful
and memorable decors. Examples of the services
offered are: custom floral design, theme decors,
tent and equipment rentals, specialty linen, trees
and plants, exhibit and trade shows, custom signs
and graphics. You may plan floral decorations
through your Catering Services Manager. A 14-
day notice is required to guarantee availability.
ICE CARVINGS
Ice Art Inc. has long produced ice carvings in-
house for buffets, receptions, and special events.
Custom sculptures can be arranged with prior
notice. Ice carving requests require a fourteen-
day advanced notice to allow us to carve and
produce the sculpture.
LIABILITY
The Cavalier Hotel assumes no responsibility
for any items left in the conference center, ball
rooms, or coat closets.
PROPERTY DAMAGE
All groups are responsible for any damage
to the hotel’s facilities caused by you or your
groups attendees, employees, exhibitors, or
representatives. Affixing anything to the walls, air
walls, floors, ceiling of event rooms, pre-function
areas, or overnight rooms without prior approval
is not permitted.
