Logging-In and Password Management

Logging into your PC for the first time 1. Obtain your password by going into ETK (via Internet Explorer.)

� Click Get Your First Time Password at the bottom of the log-in screen.

� Follow the onscreen instructions to receive your password.

2. When you first log-in, Begin Logon box will pop up. Press the Ctrl, Alt, and Delete keys to

log on. 3. Type in your User name which is the same as your employee ID.

� Please be sure to remember to type in your letter in front of your number if you received one during New Hire Orientation.

4. Type in your initial password that you received. 5. Click on OK.

Password Guidelines Must Have:

• Exactly 8 characters. • At least 1 letter. • A leading letter (e.g. Tsal378). • Contain either a number 0-9 or # or $. • Contain only the letters a-z, the numbers 0-9, or #, or $.

Must Not:

• Contain a restricted word. • Be your username with the letters rearranged. • Be an old password you have used in the last 360 days. • Have repeating characters (e.g. Tsal3378).

To keep your password from being easy to guess:

• Do not use a common word (one that can be found in the dictionary), not even backwards. • Do not use your name or the name of a relative or close friend. • Do not use your driver's license number, social security number, car license plate number,

telephone number, etc. • Do not tell anyone your password, for any reason (except in very special cases, the system

support staff or Help Desk do not need it to work on your account; anyone claiming otherwise is a fake).

Password Reset

1. Go to ETK. Click Change Your Password from the log-in screen.

2. Follow the onscreen instructions to complete

the password change.

Leaving your work area

1. If you're going to be gone from your

desk for any length of time, press Ctrl-Alt-Del to lock your workstation.

2. Click on Lock Workstation to complete

the process.

End of the day

1. At the end of each day, do not turn off your PC. Simply log-off. This allows security updates to be loaded during the evening.

Adding a Printer Connecting a printer is very easy and generally takes less than one minute! 1. Go to ETK. Under the Technology area,

click on Tech Self Help, then click Printer Installation

2. You are now on the Self Service page. On

the top of the page, there is an option for Printers. Click Printers to open page.

3. You will be taken to a listing of buildings

and floors. Click on the floor of the building where the printer you would like to add is located.

4. Next, you see the map of the floor you

selected. Click the printer icon of the printer you would like to add.

• A page stating the details about the printer will appear.

5. Click Install this printer to complete the

installation

6. You know your printer is successfully installed

when you receive the following message: The Printer is now Installed.

Navigating and Accessing 1. To view the drives you have access to, double

desktop computer icon. � To request access to a network drive or computer system,

submit a BEAM (Best Buy Enterprise Access Requests) request.

2. Network Drives � C: is your hard drive.

− Important: Any data stored on C: is not backed up. Best Buy Technology Group is not responsible for restoring data lost from your C: drive.

� P: is your personal drive

− Important: You can store only 100 MB of data on your P drive. This includes your Outlook archived files.

− Information on your P drive is backed up by Best Buy Technology Group.

� V: is your department’s shared drive.

− It’s very beneficial to store files on the shared drive rather than emailing them back and forth.

− Information on the V drive is backed up by Best Buy Technology Group.

3. Commonly Used Sites

� Sharepoint − Sharepoint allows sharing of

documents and discussion points. Your team may have a site or other areas that are related to your job.

− Request a colleaguelink to the site, you will be denied access at first, but can request access directly on the site.

� Employee Tool Kit (ETK)− This is a portal used to access all

the Best Buy information you need.− ETK is accessed by opening the

community knowledge sharing and reference.

− Think of the Wiki as Best Buy’s encyclopedia.

− A link to the Wiki and search function are located on the main page of ETK.

� Learning Center − This is used to complete all required

elearning classes and view the catalog of available classes. The classes you take are tracked as part of your learning path.

− Learning Center is listed as an application in the lower left-hand corner of ETK.

Avoiding "Mailbox Full" Problems When you receive a message from Exchange informing you that you have exceeded your mailbox size limit it is usually caused by a small percentage of the messages taking up a large amount of space.

� You will get a message when your mailbox contains 40MB of data.

� At 50MB you will be unable to send e-mail

� At 100MB your account will be locked.

Take the following steps on a regular basis to avoid getting these messages in the future.

Adding Size Column To find the large messages in your mail account you will need to add the size column to the folder view to determine how large each message is.

1. In your In-box view, right click on the fields (i.e. From, Subject, Received, etc.)

2. Select Field Chooser which opens the Field Chooser window

3. In Field Chooser, scroll down and find Size

4. Drag and drop Size into your fields

5. Close the Field Chooser window.

Note: You will need to do this for each folder in which you want to view the size of the messages.

6. Sort the files by clicking on the Size field.

7. After locating the large messages, delete the ones you do not need.

8. If the message contains an attachment that you need to keep, you can save the attachment to the network and then delete the attachment from the message.

Searching for Large Messages in all of your Outlook folders Option 1 1. The easiest way to search for large files is to

select Search Folders and then click on Large Mail.

2. After cleaning up the unneeded messages

empty the “Deleted Items” folder by clicking on Tools / Empty Deleted Items.

3. Note: Any messages left in the deleted Items folder will still count towards your total mailbox size.

Option 2 For advanced searches, use this option. 1. Click on Tools, go down to Find, and then

Advanced Find.

2. In the Advanced Find window, click on Browse to select the folders that you would like to search

3. In the Advanced Find window, select the More Choices tab.

4. Select how you would like to search for the file Size (e.g. greater than; equal to; etc.) and the size of the file.

5. Click Find Now

8. If you need to recover a recently deleted from your Deleted Items folder:

� Open the deleted items folder

� Select Tools and click on Recover Deleted Items.

� You can recover these “permanently deleted” items for a period of seven days.

Accessing Outlook Remotely

You can access your e-mail from anywhere that you have internet access!

1. If you are on ETK, click on Outlook Web Access.

• Open the Applications tab

• Click Outlook Web Access (OWA)

2. If you not on Tagzone but have internet access, type in https://owa.bestbuy.com into your browser.

3. Type in your User ID (the same one that you use to log-in)

� You don’t have to put in the Domain

4. Type in your Password (the same one that you use to log-in)

� You will have full access to most Outlook functions.

� You will not be able to see other people’s calendars when scheduling a meeting.

Tips on Setting up a Meeting

1. Subject line

� Make sure to include a meeting subject. Some people only read the subject lines before deciding to accept or decline the meeting

� Keep the subject line brief but description.

2. Location

� If you selected your rooms as a resource, the location will automatically fill in.

3. Start time/End time

� By default, the meeting length in Outlook is 30 minutes.

� You manually change the time to be any length you desire. For example, you could have a 10 minute meeting. This tip is often useful for brief phone meetings.

4. Reminder

� It’s best to check reminder so that a notice will pop up on your screen. Many people rely heavily on their Outlook reminders.

5. Show time as:

� By default, the Show time as: is blue which denotes that you are busy. You can mark the time as Free, Tentative, Busy, or Out of office.

6. Meeting notes area

� The first and most important step in running a meeting that works is knowing your purpose for calling the meeting. − The purpose defines the overall scope of the meeting.

� The second most important step in running a meeting that works is knowing what outcomes you want by the end of the meeting. − Outcomes define and detail what you want to accomplish by the end of the

meeting.

7. Private

� If you do not want anyone to see the subject of your meeting, check the Private box.

Tips on Reserving a Room

1. Type in @mr plus the building and floor number when selecting meeting rooms

� Example: @mr B2 will bring up all of the meeting rooms in building B, floor 2.

� The number is parentheses will indicate the capacity of that room

� Example @mr B2-086 (10) will hold 10 people.

� You can highlight several rooms at once.
