The meeting on June 26 was informal and we discussed the following:

issued.

Treasurer: Kristen Ruiz reached out to Stacie Keneker but had not heard back from her. Stacie is

finalizing books for the year and providing Kristen with documents to present at July 14 meeting.

Stacie emailed and indicated she did pay the Barcelona invoice. Scott has the invoice for the GPS

sensors. Need to set up meeting with bookkeeper ASAP. Scott has contact name and number. (Renada

Patterson)

Secretary: Karla Crippen indicated that Tricia Stott had set up a QR code to use on social media and

signage; it’s a link directly to new membership sign-up page in SquareUp that Shannon Crippen set up;

Digital Media Guide / Fan Guide – would replace hard copy fanguide book with digital content, ads, coupons, student videos, parent shoutouts/videos, sports schedules and rosters, etc. Free to fans; paid for by advertisements. Sent Scott an updated contract with requested terms: Total Cost is $6000 25% due now – “Kickoff Fee” ($1,500) 25% paid upon confirmation of 2020 Football Season ($1,500) 50% Remainder ($3,000) paid prior to first football game Tommy Wallis made a motion to approve; Kristen Ruiz 2nd APPROVED

IX. New Business

Hype Video to kick off the new year / football season. Will feature Principal, Coaches, Athletes, Claw

Crew, Band, Cheerleaders, Belles, etc.; 2 “trailer” type videos to be released just before football season

starts with Hype Video to kick off the season. Cost estimate is $2,500. Would be done by Bridgeland

resident, Mike McCurdy, www.mccurdymedia.com. All costs go to the production of the videos. Ben

Stott will be heading up the project to keep it on schedule.

Pressbox Branding – Mauricio Vazquez joined the call to give a presentation on a new concept for

Bridgeland Football social media accounts. Program is designed to dominate w/ a social media

presence to bring fans and kids to the accounts. Data driven results and metrics. Take the social

media posts off Raffield’s plate. Contracts divided into three seasons: Fall (8/3-12/25); Spring (12/28-

5/21; Summer (5/24-7/30); 5 posts/graphics per week; working with photographer for quality photos

to shoot media day, headshots, poses, games; use graphics for recruiting, scouting, messaging, holiday

posts, kid highlights, etc. All with a consistent look and feel. $2,000 for each semester; $1,000 for

Summer; $500 goes toward photographer; $250 donation to leukemia research.

I. Call to Order Meeting was called to order at 6:01 PM by Scott Walle. Meeting was held by a Zoom call with all board members present.

III. Welcome / Announcements / Introductions Scott welcomed all the Zoom attendees and reviewed the agenda.

IV. Officers’ Reports Treasurer – Kristen Ruiz gave an update on the transition from Stacie Keneker to her. Stacie tuned over all the books reconciled through June 30, 2020. Spring fundraisers were mostly non-existent, so memberships and fundraising to start the new year will be a big push. The media guide is also expected to be a large fundraiser for the booster club. The annual balance sheet and profit/loss statement was reviewed. Overall net income for 2019-2020 was $61,079.50, and we have about $166K in the bank. Karla Crippen made a motion to approve the report as presented. Tommy Wallis 2nd. Approved.

V. Athletic Affirmations – Coach Raffield Coach had no update. No news from UIL on when MVP, camps or practices would be able to start back up.

VII. Committee Reports BAB Wrangler – Troy Guidry – nothing to report.

Concessions – Kirsten McFarland – kept cash to get started; deposited everything else. With inventory in concession stand, lost a few hot dog buns but that’s about it. All drinks and candy will be fine in fridge. Kirsten also mentioned Door Dash. Will liking not do this in the new school year due to COVID precautions.

Looking into purchase of Sign up genius pro version to use for all sports. $270 / year for the Silver Membership. Allows 10 admins. Scott Walle made motion to approve. Kristen Ruiz 2nd. Approved.

Fundraising – Renesse Landry taking over this job. Shannon Crippen will get with him to transition sponsorship for trailer. To start making calls and solidify 2020-2021 sponsors.

Membership/Sport Liaison – Tricia Stott – She created a QR code for the membership web address on SquareUp. Will need to work with Shannon to get report of members by sport before each parent meeting. Asked if there was a way to get list of coaches and parent meeting dates – Coach Raffield said not yet but will share. Shannon will get with Tricia and send her a list and can show her hot log in and run reports if she wants to.

Social Media – Stacie Guidry – member of all “class of” sites to spread news on Facebook. Also manages Twitter and Instagram. Can post about memberships, but how often?

Spirit Gear – Shannon Crippen – he was not present, but Karla Crippen gave an update. Have been working with Halo to get new designs ready for Bear Necessities. Right now, it’s still August 19, but AP Jill English said she would reach out to Shannon once they went back July 20. Also working with Trademarks to design a football shirt and masks. There have been some memberships coming in; will get a report to Tricia.

Webmaster – Renelle Cadena – making updates to the website. Took down all old stuff. Added QR code and membership information/link. Have all social media accounts on there. Will make updates as received. Ask for Tricia to send her names and mention website at parent meetings. A parent can be given rights to the sports page to maintain.

VIII. Old Business Scott Walle will get invoice for the GPS sensors to Kristen to pay. $4,025. Approved at meeting in Spring.

IX. New Business Pressbox Branding – one-time contract to create graphics to brand BHABC social media, Facebook, Digital fan guide, website. 100 graphics for a one-time service. $1,500. Scott will send proposal for board to read for more details. Scott Walle made motion to approve. Tommy Wallis 2nd. Approved.

BHABC branded tent – currently BHABC borrows tent from school when needed. Will be used at all events such as Bear Necessities, BBQ cook off, Spring festival, Dad’s Labor Day lunch, etc. Other events where spirit gear will be sold or memberships will be set up. Keep tent in BHABC trailer so it’s available when needed. About $1,500 for 10’x20’ tent. Motion to approve by Tommy Wallis. 2nd by Kristen Ruiz. Approved. Karla will order from Halo.

Teacher Breakfast – Friday before school starts. Currently planned for Friday, August 21. Need to get donations or purchase food for about 280 teachers. Tommy Wallis is taking the lead. Tricia Stott and Renesse Landry will help.

Banners for membership / media guide – Karla and Tricia Stott will discuss and get pricing. Banners to hang at BHS sports complex and gyms.

Kristen McFarland asked about eventually buying 2 new iPads so she doesn’t have to transfer between gyms and outside concessions or share with SpiritGear. We currently 4 iPads / set ups. Spirit Gear uses 2 sets ups and concessions uses 2 set ups. Karla will talk to Shannon about AT&T account and thoughts on getting a Verizon hot spot for Berry Center. AT&T does not always work. Renelle has one we can borrow to try.

Update: Karla spoke to Shannon and BHABC has 4 iPads they bought outright. They are AT&T and on Shannon Crippen’s personal account. $52.04 is charged for the accounts each month. Will eventually need own BHABC account so may want to price shop between AT&T and Verizon. Two of the iPads carry data plans, two do not.

III. Welcome / Announcements / Introductions Scott Walle welcomed all attendees and presented slide deck to discuss topics. 24 attendees on zoom call. Many with no camera but looked to be new members and potential members. Will do introductions at next meeting so attendees know who is on the call.

IV. Officers’ Reports Treasurer report given by Kristen Ruiz. She presented balance statement showing $196K in bank. Kristen indicated that she and Scott would use some of the data from the last few years and start to do some trending reports on memberships, spending, and other categories. This fiscal year, we have collected $1800 in memberships. Discussed old checks that have not been canceled. A separate discussion will be set up to go through names and determine if replacement checks were written. Possible there is an outstanding invoice for Sign Champs that needs to be paid and Kristen will get with Coach Raffield. As presented, Karla Crippen motioned to approve the financials for August meeting and Tommy Wallis 2nd. Approved.

V. Athletic Affirmations – Coach Raffield Kids gathering at school for strength and conditioning are doing a great job of obeying social distancing rules. Football – 72 freshman and 149 10 – 12 grade boys are working out. Proving it can be done safely. 2 kids have tested positive for Covid but not at camp and no spreading. Confident scrimmage and 1st game is a go and schedule should be released soon. Cross Country – 100 cross country kids are running

Volleyball is working out. Tennis. Swimming. All gearing up. Official UIL start state is September 7.

Concessions – Kirsten McFarland. Nothing to report until there are events.

Fundraising – Renesse Landry. Working with Scott and JD to help with Fan Guide sales. Will start to work on calling current trailer sponsors. Received report from Karla Crippen.

Membership/Sport Liaison – Tricia Stott. 53 memberships as of last Friday. Letter went out to coaches asking 3 questions about their teams and asking for a name for the team sports liaison. Received 3 back and will send follow up email next week. Also working on a welcome email to go out to all new members. Talked about doing a quick video of athletes to circulate and gain interest in supporting BHABC. Mentioned that vouchers need to go out to previous members who had purchased a multi-year membership. If parent meetings for sports are held by zoom, would like to present one slide with information about Booster Club for parents. Need help finalizing what that would look like.

Social Media – Stacie Guidry. Posting about memberships. Will post what people send. Ask if there was anything different she could do to generate interest in membership. The idea of the video came up and Tricia will look into it.

Spirit Gear – Shannon Crippen. Working on new stuff with vendors. Placing a smaller order than usually do to start the new year since no in person Bear Necessities. Sending link to store with a 15% discount code to teachers at Bridgeland. Increasing shipping costs to $10 per order. Once back up and running like normal with concessions and in person sales, need to think about purchasing additional iPads. Also working with a few coaches to update team store offerings.

Webmaster – Renelle Cadena. She was unable to attend. Karla Crippen mentioned the discussion about renewing Sports Engine. Needs to be paid. Although we do not use all the functionality of the tool, it would be best to just renew this year and work on finding a cheaper web host for the future. Board agreed. Kristen will pay the invoice.

Fan Guide – JD Grier. JD joined the meeting and presented goal, update and plans for Fan Guide. He presented dollars from last year and announced already have commitment for $13K. Belles, Cheer, Football, all have given $3K in commitments to raise money. Sold table of contents page and other ads with just limited information. The Bridgeland Media is committed to a weekly update of 3 – 7-minute video showcasing all things BHS to drive traffic to webpage. Goal is $50K. Have draft cover page and graphics. Will need help from members to sell ads, sell shout outs. Packet of information to use to should be ready by week of August 17 and deadline will be September 15.

VIII. Old Business Teacher Breakfast. Set for BHABC to provide to teachers Friday, August 21. For 300 teachers. Tommy Wallis got contact names from Shannon Crippen. Called Chick fil A but no return call yet.

Tricia Stott received estimate for pricing for banners and signs from Ink Dots. They would hang at BHS stadium and in gyms. And have available for events to announce memberships and provide QR code. Would like to use some of the graphics Coach Vazquez is developing. Motion by Karla Crippen to approve up to $500; 2nd by Tommy Wallis. Approved.

IX. New Business Shannon Crippen mentioned that the data account for iPads (AT&T) is on his personal account that Booster Club reimburses. Really need to look into a BHABC account. Trailer insurance is also on his personal account and it really needs to be it’s own policy.

Fan Guide is asking for $750 to cover additional costs and expenses to get up and running. Motion by Tommy Wallis. 2nd by Kristen Ruiz. Approved.

XI. Member Inquiry / Questions Question was asked about Father/Son cookout on Labor Day for football boys. Nothing will happen like that until Governor makes changes to 50% capacity rule. No Luby’s for game day meals can happen as of now. All food served at school for any activity must be pre-packaged. No serving lines. This changes things for concessions too. Must be pre-packaged. More to come on these things as school opens.

Question was asked about recording zoom meetings. They will not be recorded. Face to face meetings held at the school are not recorded and no plans to record zoom. Meeting minutes will be kept and posted on BHABC website.

IV. Officers’ Reports About $187K in the bank. Income this month include about $9K in memberships, over $30K in spirit gear sales and Fan Guide ads are starting to come in. Working on CFISD financial report; will reach out to former treasurer to see if the report was completed. Kristen made a motion to approve; Karla 2nd. Approved.

V. Athletic Affirmations – Coach Raffield Football started. Cross Country is running. VB tryouts are coming up and then scrimmage soon after. Swim and Dive is underway. Tennis tryouts are soon.

VI. Coaches’ Requests Boys Basketball asked for equipment for $1200. The equipment being requested can be used by all sports; it is work out / conditional equipment such as ropes, weights, etc.

The following items were approved by the executive board by email after the meeting held on Sept 8:

• “The Coffee Bean” book study / program for coaches - $510.10 • Bridgeland Media requested equipment to help film for media guide. Received multiple bids

and approved equipment for $3840 • Fog Machine to use with run through bear - $500 • U-Haul truck to haul equipment for Varsity games - $100 each game • 2 new iPads and Stands for Spirit Gear store (2 set ups are in indoor concessions and 2 set ups

are in outdoor concessions) - $800

Fundraising – Working on ads for trailer. Calling companies from last year’s fan guide.

Membership/Sport Liaison – Sending updates to coaches. Reaching out to all new liaisons. Have bar graph of % of members. 174 families have joined the booster club. Will work on getting banners and signs printed.

Spirit Gear – Not selling at games or events as of now. Over $45K transactions through the square account. $16K in football athletic gear. $15K in SpiritGear. Other transactions are memberships, advertising and donations. Have team stores up for Cross Country, Football, Swim& Dive, Volleyball, Soccer, and Basketball. Working on store for Tennis.

I. Call to Order Meeting was called to order at 6:34 PM by Vice President Tommy Wallis

First order of business was to vote and accept current President, Scott Walle’s, resignation from his board position. Karla motioned to accept and Kristen 2nd.

Next, Board presented Tommy as taking over President role, and nominating Tricia Stott to fill the Vice President role. This was motioned and 2nd and approved.

V. Athletic Affirmations – Coach Raffield Coach gave an update on COVID protocols and expectations of students. Wear mask in class and sit behind a desk shield. 1st contact within 6 feet and no mask or behind shield, home for 14 days – period. Negative covid test does not count. Sports . . . Swim duels, CFISD meet for cross country. District meet coming up very soon. Volleyball doing awesome. Ranked. Football teams are doing well. Varsity is ranked. Do have a few athletes on protocol for exposure. 250 students coming back to school building 10/19.

Concessions (Kirsten McFarland) – Needs help. Husband having surgery. Need parent to shut down Freshman and JV games at football. Shannon Collier will help. Heather Hurley and Shannon Crippen have also been helping. Joyce Spencer has stepped up for handling indoor concessions for volleyball games. Has put together a proposal to spruce of the indoor concession with paint, signs, cabinets and shelves. Have started to sell spirit gear. Total supplies are about $500. Need new printer for outdoor concessions – about $200. Approved

Fan Guide (JD Grier) – was not present. John Booker has offered to take over and work directly with Fan Guide team for all Bridgeland sports and updates. In one month, Bridgeland guide accounted for 48% of all Fan Guide traffic. 58,000 hits and 95% stayed on our guide for more than 5 minutes.

BBQ cook off was a success . . . about $1200 in plate sales and about $2000 in Spirit Gear sales. Still

expect a check from Frio Grill. And SunPro referrals.

V. Athletic Affirmations – Coach Raffield

Girls and Boys track both won district. District Tennis happing this week.

Girls Soccer won district; lost in first round;

Boys Soccer didn’t finish 1st in district but made it 5 rounds in the playoffs. Softball and Baseball doing

great. Girls are tied for 1st; boys are playing for district title.

Coach updates: Coach Williams is retiring; Coach Livingston is stepping down; Coach Vasquez is

stepping away from coaching.

Baseball - $1,176.09 – new outfield sign and pennant.

Football - $2500 for professional cleaning of shoulder pads.

Virtual Combine - $1500 for football and $500 for any other sport if they want; keeps track of stats and

highlights for kids and can be posted on social media accounts.

Banquets / Varsity gathering - $10 / kid can be used to rent alternate location for gathering to mimic

somewhat of a banquet. No food.

Kristen purchased a Sam’s membership for $100 to buy snacks and candy instead of using Ben E. Keith

for those items. It’s more cost effective. Kirsten would like to move one cooler from inside

concessions to outside concessions. Coke will do this with a purchase; she purchased 10 cases of

water to use at upcoming baseball, softball and several track meets.

Kristen Ruiz, Treasurer, presented the financials. Concessions did great in March – over $9000;

SpiritGear still coming in. Football fundraiser brought in over $24,000. Have over $300K in back and

need to discuss dollar amount to put in savings / CD. Rates are low - 02% or .05% on money market.

V. Athletic Affirmations – Coach Raffield

18 Sports teams and 12 were district champs at Varsity level. 17 of 18 made a post season playoff run.

Amazing accomplishment! Tennis was at state meet, #1 and #2 girls and #3 doubles. Girls and Boys

Track took athletes to state. Girls won district and area and 2nd in region. Baseball and Softball in

playoffs – softball is playing for regional quarter finals and baseball is playing for bi-district.

IV. Officers’ Reports Kristen Ruiz presented the treasurers report. Talked about Amazon smile account and how it is an easy fundraiser to link to Amazon purchases. Will share info with coaches to use in parent meetings for new school year. About $279K in bank, and working on closing out the year and finalizing financials for the year.

V. Athletic Affirmations – Coach Raffield Coach discussed the successes for softball and baseball and their playoff run.

Tennis was had a doubles team and two singles make it to state.

Coach talked about the Lone Star Cup. A prestigious award from UIL honoring schools. Bridgeland finished in the top 20 for 6A schools. A great honor!

The UIL Lone Star Cup is awarded annually to six high schools, one in each of the six UIL classifications (1A, 2A, 3A, 4A, 5A and 6A), based on their team performance in district and state championships. The winning schools in each classification will receive the UIL Lone Star Cup trophy and a $1,000 scholarship. The UIL would like to thank Texas Farm Bureau Insurance for their sponsorship of the UIL Lone Star Cup. Honoring the best overall athletic and academic programs in Texas, the UIL Lone Star Cup is open to all UIL participant high schools.

VI. Coaches’ Requests Coach Perkins for Swim requested end of season plaques/awards and banners to hang. Did order banners but wrong year so will save for next year! Need 2020-2021 banners. $459 total.

Coach Khalil from Volleyball is requesting items needed to kick off the new school year . . tournament fees, membership fees, hotel and travel for one varsity tournament. $5,419.52

Girls Track – shot / discus training, plaques. To Coach Kennedy for $171

VII. Committee Reports Fan Guide (John Booker) – John is finalizing contract to review and sign by board with new company. Digital Sports Consulting. Product should be very similar, if not better and definitely better customer service. Product is less expensive than what was being proposed by former company – by over $5,000. John has been in contact with Clay at Image 2C for getting team photos and head shots. Hope to have forms and kick off ready to go by July 1.

VIII. Old Business Savings/CD/Money Market – interest rates are very low. Hate to get large sum of money tied up in an account for a $15 annual return. Karla and Kristen will investigate other investment options and will reach out to National Booster Club association for contacts.

IX. New Business Proposed Amendments to By-Laws – board conducted research on set up and positions at other booster clubs and local PTOs. President Elect position had no duties or real responsibility. Propose multiple VPs with distinct ownership of large committees. Executive Board positions would include: President, VP Membership, VP Fundraising, VP Spirit Gear, Secretary and Treasurer. Other changes included minor formatting, punctuation, spelling. Adding date and time of meetings. Draft was provided to members by email. Discussed and approved. No objections from members present. Will finalize draft and get signatures from current board.
