Introducing SCC and Lenovo for Higher Education

SCCWe enable people to do business by planning, supplying, integrating and managing their IT. For 40 years, SCC has been delivering IT solutions across the Public Sector, resulting in improved efficiency and effective operations of our customers. We have been engaging with the Education sector to address the challenges they now face with increased competition in their marketplace and changes to the funding from central bodies.

The value SCC delivers is agility.

Consumerisation of IT through the proliferation of a plethora of different devices types and better access to information has increased user/student expectations and reduced the time to change. Institutions need to change much more quickly, and the decision cycle is shorter.

The information required to make these decisions should be more available. On the positive side, the investments required are smaller but there are many more of them. The risk is consequently minimised and under better control.

SCC is working to address these elements through a number of initiatives, operating through the national education frameworks including the NDNA.

Our heritage was established in desktop computing. This has now transformed into an approach that considers how SCC can develop an institutions capability to provide secure access to data and information from any place at any time. This considers not only individual end user devices, but additional multimedia based communications including digital signage, visual communications and desk-based secure online collaborations. The result is increased productivity and time to decision.

Starting the “Consumerisation” discussionSo what are we, or should we, be trying to achieve? In simple terms the desire to communicate with our institution requires a change in language from a ‘techie speak’ approach to a simpler language that describes the capability we are offering. From our experience working with a number of Universities these are some of the elements that we have seen described to us time and time again. Do they look familiar?

Desktop or application virtualisation enables IT managers to abstract the user experience, and thus centralise the user environment, whilst supporting a more flexible client base. Depending on the approach, it allows us to control user settings, policies, data, applications, and even the operating system (OS), placing them into a virtual ‘institutional bubble’. Thus we enable access to a well-managed and secured learning/corporate environment, even if users are doing so on an unmanaged personal device.

So, in summary, IT needs to adapt to the new device landscape. Users will increasingly demand more choice in their work devices, so we must create infrastructures that are far less device and operating system centric to achieve this.

Desktop or Application Virtualisation

A myriad of different personal devices accessing the corporate network presents some key problems for your IT department. How do you offer your students/staff a uniform experience without compromising your existing infrastructure?

What approach do you choose? Application virtualisation? Desktop virtualisation? Traditional client deployment? We would suggest it is going to be a mixture of these elements, and not so much a case of one or another.

The 4 A’s of Agility – The making of the modern client landscapeFrom a technology standpoint though, we do understand some of the key elements needed to effect this change. SCC has called these ‘The four A’s of agility’. They are some simple principles that every IT professional should consider when exploring the mobility and modernisation of what we used to call “the desktop”.

To create this strategic approach, we have taken our early experience of consumerisation, and our 38 year history and capability around the desktop to highlight four factors that will help deliver the right institutional IT solution into the modern University.

AbstractionThis is the first and most important key to consumerisation and the next generation desktop. Simply put, this is the separation of hardware from the operating system, the “apps” and the user, to create an environment where corporate data lives in a virtual space rather than on the physical device. This has several advantages, including enabling you to begin to deal with personal devices, 3rd party collaboration, and existing task and information worker demands, whilst keeping corporate and personal worlds truly separate.

ApplicationsThis is critical to the success of the new world environment. How do your users access applications today? With many users now wishing to use their own personal devices for work, both IPR protection and a duty of care to the ‘Bring your own Device’ (BYOD) or consumerised user, need to be considered. Which applications lend themselves to being mobilised? Which should, or could be done quickly and cost effectively? Which will deliver the biggest institutional benefit if mobilised? Which need more thought and development, and which will be replaced as part of this initiative?

Many Universities are already considering their mobile application strategy. This is the most important factor to consider alongside the more traditional desktop and

laptop thinking and will get us to the right answer. A holistic and device agnostic approach is by far the best way to approach this, coupled with input, exchange of ideas and feedback, to and from the staff and student users.

AccessHow do your users access your environments? With many users now wishing to use their own personal devices for learning or staff work, the problem is both protection of intellectual property and a duty of care to the new consumerised user. You must ensure that you only control your corporate data and do not damage destroy or otherwise interrogate users’ personal devices inappropriately.

The University now knows far less about the devices that are accessing, the networks they are accessing from and hence the suitability of that device to be granted access to data. We must then consider methods such as certificates to begin to address the challenges relating to normal user name and password based access methods from ‘trusted’ devices. Indeed, now we should be considering protecting the data and not the device itself. As such we must become more data centric in our thinking, focusing on the “who is asking, for what, from where and on what device” rather than the blanket pre-authenticated access based method of old.

However the access protocols should not become unnecessarily burdensome, or complex, so that you maintain governance and control in a simple intuitive way. With this approach you can ensure that you are enforcing a policy that maintains your end users as good citizens, even on their own devices.

AvailabilityIn the new world of public cloud services such as Office365, Google, Twitter and Facebook, there is no time for down time. Users just expect applications to work whenever they want to use them, whether that is 10:00am or 02:00am! The instant willingness to deal with that midnight email is a real challenge for IT, let alone the institution itself.

You need to look at what applications need to be available and when. It is also an ideal opportunity to consider which applications need to be run in-house and which applications you could out task to either private or public cloud services.

Allowing access to email and calendaring from a variety of new devices, both personal and corporate, is usually the first and most obvious step with many institutions already taking advantage of Microsoft’s “free” Office365 for staff and students. With suitable mobile device management (MDM) controls in place this is also a relatively simple and popular first step.

The question is, once delivered, what is the plan on day 2 and 3 and day 100? Once the users have tasted the new world they will be keen for more. Better then, to consider what that strategy is, particularly with regard to application access, before you allow the floodgates to open. It will be much harder to take it back or add to it later, if you do not consider the requirements and impact first.

The simple truth is that if you allow the users to work when they want, the applications you provide must be available when they want to use them. So it is vital not only to assess which applications are suitable to be presented on mobile devices, but also the potential changes in the presentation of the application and the hours that it is available.

A poor user experience, limited access, or overbearing restrictions, will soon stop users from accessing the service or application, thus rendering your efforts null and void, and reducing the benefit and positive impact of delivering.

Value from SCCThe consumerisation of IT, which is the process that brings personal productivity and social networking elements – both hardware and software – into the student learning environment, is a hot topic. As consumer technologies increasingly penetrate the learning environment, institutions must have a strategy that copes with consumer email and communication services like instant messaging (IM) and voice over IP (VoIP); blogs, social networks and other web 2.0 services; unmanaged mobile devices; network management and remote connectivity.

The generation currently entering the University now regards such technologies as part of everyday life and as a result SCC is working with major brands to create an opportunity from this challenge. SCC, which unveiled our cutting-edge Desktop as a Service offering in April 2013 – with the first UK demonstration of virtual desktop technology using the iPad, now believes that forward thinking institutions are considering exploration of ways to meet the issue head on by subsidising student laptops – wrapping learning and productivity benefits together with a desirable benefits package.

Meanwhile, SCC considers that the major issues driving the IT industry are part of a bigger consumerisation picture. Whether considering virtualisation, Desktop as a Service, cloud computing, VDI, Windows 8 or collaboration – each represents aspects of the consumerisation of IT and all need to be wrapped into an institutions’ vision for its reputational strategy.

With the capability to bench and build 500,000 devices annually, our configuration services help customers to streamline their IT delivery as an important step in the supply chain by decreasing time-to-desk and facilitating a tighter focus on core business activity.

We deliver savings of up to 50% on the cost of configu-ration by an in-house IT Team and the time it takes to purchase, deploy and configure the new system, operating around eight times faster.

CapabilitiesAsset ManagementAll devices processed through our Configuration Cen-tre can be asset managed to a varying degree of level, depending on the customer requirement. Level 1 asset management includes the installation of a customer asset tag to a predefined location on the unit and the standard daily, monthly or weekly reporting or hardware.

We can also provide bespoke reports including customer-specific information and box labelling applied to configured units. In addition or as an alternative to asset tagging, Level 2 asset management includes the stencilling of each unit with a permanent ID or smart water application, a forensic coded solution applied to hardware.

Waste ManagementWe can dispose of all hardware equipment packaging before the units leave the Configuration Centre. Packag-ing can be reduced by the packing of peripherals with the main system unit or packing of laptop or tablet plus periph-erals into a carry case for onward shipping. Larger rollouts be packaged in bubble bags and despatched in cages, reducing the amount of packaging shipped to site.

Hardware Integration & Product TestingAdditional hardware items, e.g. memory modules, hard drives and PCIe cards, can be installed in hardware units ordered. Before hardware units are shipped, they are sub-ject to rigorous product testing, including power-on testing, cosmetic checks, four-hour burn-in testing, setup of pre-installed OS & installation of patches & service packs and default install of applications.

Firmware Updates & PAT TestingUnits can have predefined or the latest versions of firmware BIOS installed with settings in the BIOS specified by the customer. All electrical equipment can be tested for electri-cal safety by our engineers using PAT testing equipment. Units and power leads are then labelled as passed and a retest date recorded.

Image Application & EncryptionCustomers can supply images / SOEs for machines they wish to purchase. We accept two main image formats, Ghost and ImageX, as well as images using other toolsets as long as we are provided with the software and proof of licensing.

Hard drive encryption can be carried out as part of the build process using either BitLocker or other propriety solution. We can also replace the original HDD with an encrypted hard drive.

Returns/Warranty ProcessAll products either include 3 year return to base warranty or can be upgraded to 3, 4, 5 year onsite next business day response.

All warranty packs are automatically registered on your behalf (providing the contact information on your purchase order is correct). You will then receive a Welcome email confirming registration.

For any DOA goods or faulty items, customers are required to report this to us within ten working days from date of delivery unless otherwise agreed.

Return logistics procedure

Once the return request is validated, a Returns Authorisation Number (RAN) is generated and the customer is provided with a Returns Pack containing:

• SCC Returns Guide

• A ‘Documents Enclosed’ envelope containing a list of the products that are authorised to be returned to SCC

• Yellow Returns Labels for each box being returned, each quoting the RAN number

• Consignment note

• Terms and Conditions of Return.

Customers are provided with a free phone number to arrange collection. We will offer a replacement product wherever possible, in advance of the item being returned to us in line with manufacturer guidelines. Once we receive the goods, the Returns Team validate the return, after which the customer is eligible for credit. The fault is confirmed by our Fault Verification Unit and returned to the relevant manufacturer.

After 20 working days from delivery, goods are subject to manufacturer warranty terms. As the single point of contact, we will advise the customer on the appropriate warranty guidelines and assist them through the process to satisfactory closure.

What Your Service Provider Will Do to Correct Problems

When you contact a Service Provider, you must follow the specified problem determination and resolution procedures. The Service Provider will attempt to diagnose and resolve your problem by telephone, e-mail or remote assistance. The Service Provide may direct you to download and install designated software updates.

Some problems may be resolved with a replacement part that you install yourself called a “Customer Replaceable Unit” or “CRU.” If so, the Service Provider will ship the CRU to you for you to install.

If your problem cannot be resolved over the telephone; through the application of software updates or the installation of a CRU, the Service Provider will arrange for service under the type of warranty service designated for the product under

“Warranty Service Information”.

If the Service Provider determines that it is unable to repair your product, the Service Provider will replace it with one that is at least functionally equivalent.

If the Service Provider determines that it is unable to either repair or replace your product, your sole remedy under this Limited Warranty is to return the product to your place of purchase or to Lenovo for a refund of your purchase price.

Replacement Products and Parts

When warranty service involves the replacement of a product or part, the replaced product or part becomes Lenovo’s property and the replacement product or part becomes your property. Only unaltered Lenovo products and parts are eligible for replacement.

We have provided IT recycling services for over 15 years. Our CarbonZero recycling operations facilitate the secure refurbish-ment, remarketing and WEEE disposal of redundant IT assets all under one roof – a unique proposition in the UK.

Our National Recycling Centre is an ADISA Distinction List X Facility, fully compliant with RoHS and the WEEE Directive to UK Government and MoD-approved standards. We are a Blancco Accredited Gold and Mobile partner and hold a number of licenses and accreditations including Lloyds ISO 9001, 140001, 27001, 20000 and 15713.

SCC was named Electrical and Electronic Equipment Recycler of the Year at the National Recycling Awards 2013.

SCC is able to offer a bespoke finance solution that complements your IT infrastructure requirements. A lease solution not only makes economic and financial sense, it also ensures you get a system build adequate to support your organisation.

The lease agreements and lease options offered by SCC are designed to reflect vendor independent advice ensuring solution delivery is to client specification.

We have provided several options that detail how customers can spread the cost of the hardware and associated costs over an agreed term with options at the end of the lease period. The Master Lease Agreement used by SCC also gives the ability to upgrade or refresh at any time that can either co-terminate with the existing lease or have a new periodic term.

Our most common finance products are described below:

Leasing options available

Finance lease agreements allow businesses to have use of the assets throughout their working life, without ultimately owning them. The asset costs are spread over the life of the agreement with no residual values built in, so the assets are fully paid back at the end of the initial period.

Finance lease

This finance product could potentially be treated as ‘off balance sheet’ for accounting purposes that can lead to improved financial ratios such as gearing and liquidity. When calculating the rentals on a residual value lease, the residual value of the asset is taken into account. The results in rentals being lower than you would be offered on a finance lease.

Residual Value Lease

Option releases the capital locked up in the existing IT capital assets of your business for use elsewhere. Wherever possible, subject to a detailed analysis, the assets will be held off balance sheet.

SCC Sales & Leaseback

This is a Single Master Lease Agreement with one set of terms and conditions. Individual schedules from the MLA can be drawn up for each office or division within your business. Each schedule can have its own contract term and options e.g. guaranteed upgrade included in certain offices or end of term options.

Master Lease Agreement

(MLA)

Our Master Lease Agreement gives you the ability to upgrade or refresh the equipment at any time throughout the contract. This gives you maximum flexibility by allowing you to add new equipment to the agreement and either increase the outstanding rentals to co-terminate with the existing term or extend the existing rental term to keep the rentals withim your budget.

Technology Refresh

The Flex Managed Service is designed around the principles of SCC being responsible for managing all of your IT infrastructure requirements. In other words it is an “out-tasking” managed service whereby the client’s IT infrastructure can be set up and any associated annual costs are delivered as a fixed predictable cost per month. The rationale for considering an SCC Flex Managed Service programme includes:

•A framework with which to account, budget and charge for a “utility” based service, underwritten by agreed Key Performance Levels.

•Monthly managed service charge that can include:
