Graduate Studies Office Information

What We Do:

The Graduate Studies Office (GSO), under the direction of the Associate Provost for Academic Programs, provides

leadership of graduate programs, overseeing the creation, support, and academic integrity of these programs. The

Executive Graduate Council advises the Associate Provost for Academic Programs in all matters of the university’s

graduate and post-baccalaureate programs, including programs and policies, curriculum, and other issues affecting

student success. The GSO is responsible for processing graduate students’ contracts, petitions, and coordinates the

binding of thesis and projects. The Graduate Studies Office coordinator supports students in the completion of

graduation requirements and assists them in resolving issues related to progress to degree, and works with

departmental staff and faculty in issues related to graduate program policies and procedures.

Graduate coordinators

Each department graduate coordinator is responsible for the establishment and regular review of clear administrative

procedures and for enforcing them consistently and fairly in a manner that is aligned with the Executive Graduate

Council and University Policies. Graduate Coordinators regularly provide academic advising and oversee academic

standards. They approve student programs and petitions, schedule courses, and review curriculum in consultation with

department and college curriculum committees and leadership. Department graduate coordinators meet with students

opportunities.

Ch. I Graduate and Post baccalaureate Admissions

Application Procedures

Domestic Students

All graduate and post-baccalaureate applicants (e.g., master’s degree applicants, those seeking credentials, and

those interested in taking graduate level courses for personal or professional growth) must file a complete

graduate/post baccalaureate application for admission. Using www.csumentor.edu is the fastest, easiest way

for students to apply to Cal Poly Pomona.

Applicants who complete undergraduate degree requirements at Cal Poly Pomona and graduate the preceding

term are also required to complete and submit an application and the $55 non- refundable application fee.

All students are encouraged to submit their application during the Priority Application Filing Period.

Applications are subject to close at any time after this period ends. Please go to:

initial filing period, please consult the Admissions & Outreach website at:

http://dsa.csupomona.edu/admissions/grad_deadlines.asp. Click on important deadlines to see a listing of

University department graduate admissions deadlines.

Please note that there are two deadlines for admission. The application deadline precedes the supporting

document deadline. Official transcripts must be sent directly to the Office of Admissions by the supporting

document deadline. Other supporting documents required by individual departments might include unofficial

transcripts, a copy of the admission application submitted via www.csumentor.edu, results of the GRE or GMAT,

resume, statement of purpose, letters of recommendation, portfolios, etc. Such supplemental materials must

usually be sent directly to the department requesting them. Please review the departmental websites to

confirm which departments require which supplemental documents.

Former Students

Former students returning to the university after an absence of more than two consecutive quarters in a calendar year must file a complete application for admission and pay the application fee. Former students absent for five or more years should request official transcripts from all institutions to be sent to the Admissions Office.

International Students

You are considered an international applicant if you hold or will be holding U.S. visas as students, exchange

visitors, or in other nonimmigrant classifications.

The CSU has supplemental requirements in the admission of foreign nationals. Foreign nationals who are not

graduates of Cal Poly Pomona will be accepted as graduate students only if they hold a baccalaureate degree

from an accredited institution in the United States or Canada or have comparable academic credentials from a

foreign country.

Prospective students who want further immigration information should contact the International Student

Advisor in the International Center. Prospective international students who want further information regarding

admissions should direct questions to the Coordinator of International Admissions in the Admissions Office.

In addition to the Application Procedures noted above for domestic students, International Applicants must

provide a copy of their passport (name & photo ID pages), and complete the following forms:

Applicants who fail to register for the quarter for which they have been accepted will have their admission eligibility canceled. A new application must then be filed, and admission requirements existing for the term of the new application must be met. All transcripts on file for students who apply but do not attend are kept for two years if the student so requests. These transcripts may be used for admission during that period. However, transcripts of any additional work completed since the original transcripts were filed must be requested by the applicant from the college(s) attended as part of the new application procedure.

Tracking the status of your Admissions Application

Email is the official form of communication for Cal Poly Pomona applicants and students. Students are responsible for

regularly checking either the email address they provided on their admission application or the one assigned to them by

Cal Poly Pomona. If students cannot access their email account at home, school, library or place of employment, they

Admissions Notification

Graduate Students seeking admission to Cal Poly Pomona have an additional step in the admission process. The

graduate student application goes through an academic review by the major department. Once a student applies to the

University and submits all required documents, the application is forwarded to the student’s major department for a

decision. The faculty member(s) will review student’s application materials and make a decision and inform the

University Admissions Office. The University will then send an official notification to the student with an admissions

decision.

Re-enrollment of continuing post baccalaureate students

Whenever graduate students complete a degree objective and wish to continue taking course work at this university, they must complete a graduate application and pay the admissions fee.

Requirements for Admission

You will be considered for admission if:

you have completed a four-year college course of study and hold an acceptable baccalaureate degree or its equivalent from an accredited or internationally recognized institution;

you were in good academic standing at the last college of university attended; have attained a grade-point average of at least 2.5 in the last 60 semester (90) quarter) units attempted; and you have satisfactorily met the professional, personal, scholastic, and other standards for graduate studies,

which may include qualifying examinations (Please visit the Graduate Studies website to review individual Master’s degree program requirements).

Tests and Examinations

English Language Proficiency

All graduate and post baccalaureate applications whose native language is not English and who hold a bachelor’s degree from a college of university where the principal language of instruction was not English must demonstrate competence in English. Applicants must request official results of the Test of English as a foreign language (TOEFL) to be mailed directly to the Admissions Office prior to admission. The TOEFL score requirement varies by department. A minimum TOEFL score of 550 (paper-based)/213 (computer-based), or 79-80 on Internet-Based TOEFL is required for all programs, except for MBA and Urban and Regional Planning that require a score of 580 (paper-based)/237 (computer based), or 92-93 on Internet-Based TOEFL, and English that requires a score of 585 (paper-based)/238 (computer-based), or 93-94 on Internet-Based TOEFL. The essay portion is mandatory in certain programs.

The International English Language Testing System (IELTS) is an acceptable measure of English language proficiency. The International English Language Testing System (IELTS) minimum Overall Band Score is 6.5. Applicants should contact their Graduate Coordinators in their intended major regarding IELTS minimum scores as requirements may vary by department.

Foreign nationals who are not graduates of Cal Poly Pomona will be accepted as graduate students only if they hold a baccalaureate degree from an accredited institution in the United States or Canada or have comparable academic credentials from a foreign country. The admission of international students to graduate status may be limited or suspended because of facility or staff limitations.

GRE and GMAT Test Requirements

Some departments require new graduate students enrolling at this university with a degree objective to take the General and/or Subject Test of the Graduate Record Examination (GRE) before admission. The Graduate Management Admission Test (GMAT) is required for those who seek the Master of Business Administration degree or the degree of Master of Science in Business Administration. Some departments also require the Subject Test of the Graduate Record Examination in their subject matter areas. Other departments require a locally developed qualification examination. 11 Graduation Writing Test (GWT) Requirement

All students subject to degree requirements listed in the 1977-78 and subsequent general catalogs must demonstrate competency in writing skills as a requirement for graduation. Based on action taken by the Academic Senate in 1978, writing competence at Cal Poly Pomona is assessed by means of a written test. All persons who receive undergraduate, graduate, or external degrees from Cal Poly Pomona must pass the Graduation Writing Test (GWT). Credential candidates may waive the GWT, but will need to pass it to be admitted to the master’s program. Contact the Test Center for further information. Graduate students are eligible to take the GWT upon entrance to the university and are required to take the GWT by the quarter following the completion of 8 units. If the GWT is not taken by this time, a hold will be placed on a student’s registration. While a student’s records are on hold, registration may not be allowed nor will transcripts be released. Important information about specific exemptions from the test is contained in the GWT Study Guide and Information Bulletin, which is available to all students. Since the GWT requirements are subject to modifications subsequent to the publication of the University catalog, students are advised to check for up-to date information on these requirements at the Test Center (CLA Building, Room P2-4). Students who have passed the GWT in undergraduate status at Cal Poly Pomona will not be required to take the test again when they change to graduate student status. Students who did not pass the GWT in undergraduate status and had the test waived (either for continuous enrollment or by special consideration in order to receive their bachelor’s degree will be required to take and pass the GWT before Advancement to Candidacy and a graduate degree may be awarded. The GWT cannot be waived for a second time. The waiver in undergraduate status applies only for the baccalaureate degree.

Ch. III Financing Your Education

California Forgivable Loan/Doctoral Incentive Program The CSU Chancellor’s Doctoral Incentive Program is the largest program of its kind in the nation. The purpose of the

program is to increase the number of individuals who complete the doctorate and who may be interested in potentially

applying and competing for future CSU instructional faculty positions. The program seeks to accomplish this goal by

providing financial aid in the form of loans to doctoral students with the motivation, skills, and experience needed to

teach the diverse student population of the CSU. If the participant obtains a full-time instructional faculty position in the

CSU, the loan principal and interest are "forgiven" at the rate of 20% for each year of service. After five years of full-time

CSU faculty service, the entire loan amount can be forgiven. For more information, please visit:

California Pre-Doctoral Program

The California Pre-Doctoral Program is designed to increase the diversity pool of University Faculty by supporting the

doctoral aspirations of CSU students who have experienced economic and educational disadvantages. A special

12 emphasis is placed on increasing the number of CSU students who enter graduate programs at one of the University of

Employment Cal Poly Pomona offers the student assistant programs to enrolled students who are interested in working on campus.

The student assistant program does not require that you show financial need. If you are interested in student assistant

job openings, contact the Career Center. Some positions may involve work in your academic department.

Federal/State Financial Aid Programs

Information about all state, federal, and institutional aid programs is available from the Office of Financial Aid. The

The most important thing to remember about financial aid is that dollars awarded are limited. The priority application

deadline is January 1 to March 2. Applications received after March 2 will be considered for limited funding only.

The mission of the Society for the Advancement of Chicano and Native American Students is to encourage Chicano/Latino and Native American students to pursue graduate education and obtain the advanced degrees necessary for research careers and science teaching professions at all levels.

Graduate Assistantships/Teaching Associates

Inquire in your department about the availability of graduate assistantships. In general, graduate assistants work from

five to twenty hours a week, assisting professors in laboratory classes or as graders in large classes. Graduate

Assistantships are not available in all departments and are most often available to advanced graduate students. In some

instances, advanced graduate students are hired as a "Teaching Associate" and may actually serve as instructors in

some lower division lecture or laboratory classes. Research assistantships as well as graduate traineeships may also be

available to graduate students and information of their availability can be obtained by consulting the specific

CH. IV Academic Polices

Academic Renewal

Academic renewal is not available to graduate students.

Changes in Degree Objective

Examples of graduate changes are: (1) changing from one major field to another for the master’s degree; (2) changing from a certificate/credential objective to a master’s degree objective; (3) changing from no objective to Master’s degree and/or certificate objective; (4) and adding a master’s degree objective to a credential objective. The evaluation of credits transferred to the university is based primarily upon the student’s objective. Thus, a change in objective may affect the acceptance of transfer credits. A student who wishes to change his/her master’s degree objective from that indicated on the original application must follow these procedures:

a) Obtain a Petition to Change/Add Graduate Degree Objective from the Graduate Studies Office or its website, or a department office. b) Obtain the signature of the current graduate coordinator and the signature of the new graduate coordinator, department chair, and College Dean of the department/college to which the student plans to transfer acknowledging approval of the request. c) Submit a new graduate program of study in the new discipline to the Graduate Studies Office.

The petition to Change/Add Graduate Degree Objective does not waive any admission requirement which the new program requires. The department can still request letters of recommendation, GRE test scores, etc. from the students. Graduate Coordinators can obtain undergraduate transcript information from the Office of Admissions & Outreach. A student who discontinues working for a master’s degree in one department to undertake master’s work in another department shall replace the first master’s program by one in the new field. Degree credit may be transferred from the original program, but the transfer of credits must be approved by the new department and the Graduate Studies Office.

Concurrent Enrollment in Post baccalaureate Programs

A student may not enroll for a bachelor’s and a master’s degree or for two master’s degrees concurrently. This does not apply to enrollment with the goal of obtaining a master’s degree and a credential at the same time. Qualified students may request to enroll in a credential program concurrently with a master’s degree at this university.

Continuing Status A student may be absent from the university (“stop-out”) without filing for a leave of absence if the leave does not

exceed the absences permitted: http://dsa.csupomona.edu/registrar/acad_regulations.asp.

Contract (Degree Program of Study)

At the time students are admitted to a Master's program, they should arrange to meet with the graduate coordinator to

prepare an official program (graduate contract). If they are admitted as unconditional graduate students, they should

accomplish this step as soon as possible. A graduate contract must be prepared and submitted for approval to the

Graduate Studies Office no later than the end of the second quarter of attendance, or prior to the completion of 13

units. Graduate students will see a service indicator placed on their account during their first quarter enrolled in a

Master’s program. It will not affect the student’s registration until the 4th quarter of enrollment. As soon as the student

files a contract with their major advisor or graduate coordinator, the department can remove the hold.

When the program has been approved by the Graduate Studies analyst, a copy is sent to the graduate coordinator who has approved it. A copy is retained by the Graduate Studies analyst. The original contract is sent to the Evaluations Office and is used as the official record of the student’s progress toward the degree.

Course substitutions It may be necessary to change a Program of Study, or Master’s contract, based upon special circumstances, or course unavailability. The substitution of a course on your Program of Study is done with the approval of your advisor, graduate coordinator, dept. Chair, and College Dean. This request is done with a Graduate Academic Petition form before the course is taken. Culminating Experience

Advancement to Candidacy

Some type of culminating experience is required for each master’s degree. Acceptable culminating experiences include thesis, project or comprehensive examination. Individual departments permit the experience in one or more forms. It is only upon the removal of all conditions, having an approved contract on file, being in good academic standing (at least 3.0 GPA), completing all preparatory courses, and receiving a pass/waive on the GWT that the graduate student will be advanced to candidacy for his/her culminating experience for the master’s degree.

Comprehensive Examination

A comprehensive examination may be required in lieu of a thesis or project as a culminating experience for the master’s degree. When a comprehensive examination is an element in a candidate’s approved degree program, it must be completed satisfactorily before the candidate will be certified to receive a master’s degree. The comprehensive examination is administered by a departmental graduate faculty committee under the leadership of the graduate coordinator or major professor. A candidate for the master’s degree at this university shall be permitted to take the comprehensive examination no more than two times. Failure to complete the examination satisfactorily the second time will result in termination of the candidate’s master’s degree program and of further registration in the department in which the candidate is enrolled.

15 In some departments credit is given for successful completion of parts of the comprehensive examination. There may then be different criteria than stated here for full compliance. Candidates will be fully informed of any departmental variations in requirements.

Thesis Committee Requirements

This policy is under review. Please check with your department on thesis committee requirements for your respective

field.

Thesis/Project Enrollment

If a thesis or project is included in the degree program, the candidate may register for 695 (project) or 696 (thesis) only with approval of the major professor. Before registration for thesis, the candidate shall confer with the thesis advisor and have selected a thesis committee and a tentative subject. Each candidate registering for thesis or project is required to register each succeeding regular quarter until the work is complete in order to receive university services. However, total registration shall not exceed the number of units of thesis or project in the approved degree program. The candidate who has enrolled for the maximum number of units of thesis or project prior to completing the work should register for 699 (Master’s Degree Continuation) to avoid break in residence. During any break in residence, non-enrollment or leave of absence, a candidate may not use university facilities or receive faculty assistance. When a candidate has failed to maintain resident status through non-enrollment or leave of absence after commencing a thesis or project, readmission to the program will require departmental approval. Since passing the final oral exam is a part of the completion of thesis in several disciplines, the graduate candidate must be enrolled the quarter the oral exam is taken. A thesis or project in the official master’s degree program will carry not fewer than 2 or more than 9 units of credit depending upon departmental policy. When the thesis has been completed, the committee has signed the approval page, and there has been library clearance of the thesis, the credit for course 696 or 695 will be submitted by the professor to be recorded on the official transcript. Deadline dates for submission of the thesis to the Graduate Studies Office can be found in the academic calendar or the Graduate Studies website. Projects (695) must be completed on the same time schedule but may have separate departmental rules for approval and submission.

Disqualification/Reinstatement for Graduate Students Master’s degree students, conditional or unconditional, and credential students, conditional or unconditional, will be subject to disqualification and may be disqualified from the university if their cumulative grade point average falls below 3.0 (B) in upper-division and graduate courses after their second quarter of attendance. Graduate Students will be restored to good standing when they are no longer subject to disqualification. Graduate students admitted to a master’s degree curriculum may be considered to be maintaining satisfactory progress provided they are fulfilling the conditions of their respective degree programs in a timely manner as determined by the graduate coordinator of the department concerned.

Subject to Disqualification-A graduate student will be subject to disqualification if the Cal Poly Pomona or

cumulative grade point average falls below 3.0 (B) and they have less than (-9) grade points below 3.0. The

student will receive a registration hold in the following quarter that will block enrollment the quarter following

the assignment of this academic standing. Students will receive a letter from the Registrar’s Office notifying

them of their academic standing and will be notified and asked to consult with his or her department.

Academic Disqualification-Graduate Students will be disqualified at the end of any quarter (except their first

quarter) if the Cal Poly Pomona or cumulative grade point average falls 9 or more grade points below 3.0.

Students will receive a letter from the Registrar’s office notifying them of their academic standing. Students will

also be informed of a deadline by which they should submit a petition for reinstatement. The only way

disqualified students can be reinstated in University and into their graduate program is if their petition for

academic reinstatement is approved by the graduate coordinator, department chair, and College Dean.

Election of Requirements

Graduate students remaining in continuous attendance may elect to meet the degree requirements in effect either (1) at the time they take their first course as a conditional or unconditional student in that degree program or (2) at the time they graduate. Substitutions for discontinued courses may be authorized or required by the department offering the degree. The curriculum year for a Master’s student will remain the same if the change is from one option/sub plan in the same program/plan.

Election of Requirements for Inactive Graduate Students

This policy is under review.

Election of Requirements for Credential Students pursuing a Master’s Degree Credential students pursuing a Master’s Degree and remaining in continuous attendance may elect to meet the degree

requirements in the quarter they are admitted into a Master’s degree program, or at the time they graduate from the

Master’s degree.

Grades

Appealing a Grade

Under the provisions of Executive Order 1038, “Assignment of Grades and Grade Appeals,” and Cal Poly Pomona University’s “Statement of Student Rights, Responsibilities, and Grievance Procedures,” students may appeal grades that they consider to be unfair. In the appeal process, however, it is a basic presumption that the grades assigned to a student are correct. Thus, the burden of proof rests with the student who is appealing. For specifics of the appeal procedure, including petition deadlines, students can refer to the Academic Programs website at: http://www.csupomona.edu/~academic/programs/grade-appeals.shtml.

Grading System

The university employs the following grading system for graduate courses: A. Superior work, representing effective representation, unusual competence, and high skill. B. Very good work, meeting full requirements for performance at the graduate level. C Adequate, meets minimum requirements of the course; acceptable for graduate credit, (2.0). D. Minimally Acceptable Work; not acceptable for graduate contract work. F. Unacceptable, below minimum requirements of graduate courses.

A “C–” grade or lower would not be acceptable and the course would have to be repeated. The “RP” grade is approved for all university courses numbered 690-699. All “RP” symbols must be changed to letter grades within a one-year time-limit. The only exceptions are Project 695 and Thesis 696 which have two-year allowances. After an RP grade has expired (without the assignment of a letter grade by the instructor), the Registrar’s Office will convert the grade to a grade of NC. This grade will indicate lack of credit on the student’s transcript. The units will not contribute to satisfying degree requirements, but the grade will not affect the student’s GPA. In any 600 level courses, if not completed within the allotted time, the student must re-enroll to receive credit.

Minimum Grade Point Average

If a graduate student has attempted all the courses in an approved master’s degree program with less than a 3.0 (B) average in contract courses, with less than a 3.0 (B) average in graduate work at Cal Poly Pomona, or with less than a 3.0 average in all upper division and graduate work attempted while on graduate standing, the student’s major department may (1) terminate the program, or (2) require the student to take additional courses in an attempt to raise the program grade point average to the minimum 3.0. When the student’s major department recommends that he/she be allowed to do the latter, the additional courses selected must:

1. Include at least two courses at the 500-699 level and total not less than 6 quarter units. 2. Apply directly to the student’s master’s degree objective, although they need not be drawn from offerings in the student’s major department. 3. Be new courses (courses previously completed but not originally listed in the master’s degree program may not be used).

If the student fails to earn the minimum 3.0 (B) grade point average on completion of the revised master’s degree program as outlined above, the program may be terminated without award of the master’s degree. Grades earned at another institution may not be used to offset grade point deficiencies in courses taken at this university.

Graduation Procedures

Candidates must be enrolled in the University during the quarter in which they graduate. Students must submit

a graduation application through BroncoDirect by the appropriate deadline. Please visit the Registrar’s website

at: http://www.dsa.csupomona.edu/registrar/GradAppInfo.asp for deadline dates and instructions on how to

apply for graduation and pay for graduation fees online. The application is valid only for the quarter for which it

is submitted. Students failing to submit their application by the appropriate deadline may be required to

graduate in a future quarter.

Students can monitor their degree progress through BroncoDirect. The Degree Progress Report is a tool that

provides information about the completion status of graduate degree requirements. It indicates which

requirements have been satisfied and which ones still must be completed. The Degree Progress Report is based

on the student’s curriculum year of when they were first admitted into the Master’s degree program and is

reconciled with the student’s Master’s contract. Due to the broad choice of electives some programs allow, the

Degree Progress Report may not accurately reflect the Master’s contract until the graduation check is

completed. Students who become inactive due to non-enrollment and do not file a leave of absence will have to

be re-admitted to the University and will follow the curriculum year requirements for the newly admitted

year/term.

External master’s programs (MIA, PMBA, MSHM, and PBAS) do not have access to a Degree Progress Report.

Students in these programs should follow their master’s contract and should consult with their major advisor for

questions or clarification regarding degree progress. The graduate coordinator and the Registrar’s office can

provide guidance and assistance on graduation policies and procedures.

Graduation checks for all Masters (excluding Masters in College of Education) are done automatically after the

completion of 35 units (65-70 units for MLA, MURP, and MARC). Please note that the Masters of Education does

not have a Degree Progress Report to assist them with tracking their progress. However, a graduation check will

be completed at the appropriate time and will be mailed to the Cal Poly, Pomona email account, so it is best to

follow the Master’s contract to track student progress. Students will be notified by the Registrar’s Office via

email when their graduation checks have been completed. Students are to monitor their Degree Progress

Report once a graduation check has been completed to view any deficiencies and take appropriate action.

Graduate academic petitions and official transcripts from other institutions should be received by the Registrar’s

Office in a timely manner to ensure accuracy of the graduation check.

All Master’s students are required to submit a Report of Culminating Experience Form to the Graduate Studies

Office upon completion of their terminal requirement. The form is available on the Graduate Studies website at:

http://www.csupomona.edu/~academic/graduatestudies/documents/RCEform_Oct.2010.pdf.

Leave of Absence When a student finds it necessary to interrupt progress toward a degree for a reason related to the educational

objective and acceptable to the appropriate university authorities, the student may be granted a leave of absence. A

leave of absence will be granted when the student has filed an approved petition with the Registrar's Office. The leave

of absence petition form, which must be approved by the department chair, or graduate coordinator and school dean,

shall specify the reasons for the leave and the duration of the leave. A student granted a leave of absence has a

commitment from the university to be reinstated in good standing. This commitment must be validated by a written

notice of return from leave for the quarter of return specified in the leave application submitted to the Registrar's Office

no later than two weeks prior to the rescheduling of continuing students for that quarter. The Leave of Absence Form

can found on the Forms & Services page of the Registrar’s Office website. The Student petition for a Leave of Absence

can be used to request an absence of more than two consecutive quarters, but no more than eight consecutive quarters.

Maximum Unit Load The normal maximum load for graduate students is 16 units (Architecture allows 18 units). Exceptions may be made by the advisor. A student must petition for permission to carry over 16 units in one quarter. Maximum program limits will be waived only upon presentation of evidence of the student’s ability to complete successfully such a group of courses. Graduate and post baccalaureate students are considered as full-time for most purposes, such as veteran’s benefits, when they are enrolled for 8units.

Participation in Commencement Ceremonies

Any graduate students who receives a Cal Poly Pomona Master’s degree during the academic year (fall, winter, spring

and the preceding summer quarter) is automatically eligible to participate in that year’s Commencement ceremony held

in June. Information regarding the June commencement ceremony may be obtained at www.csupomona.edu , or by

calling the Commencement Hotline at (909) 869-5369.

Graduate Students, who have not completed all of the graduation requirements, including the GWT, and/or the terminal

requirement, may not participate in the commencement ceremonies.

Repetition of Courses

A graduate or post baccalaureate student may not file a repeated course form, but may repeat a course if a grade of “C–” or less was assigned. All grades received in repeated courses will be included in the calculation of the CPP, overall, and contract GPA.

Retroactive Withdrawal Retroactive Withdrawal is a Cal Poly Pomona process that allows students to petition to withdraw from all classes in one

or more quarters after those quarters have ended. Students must apply for retroactive withdrawal within one calendar

year from the last day of the quarter they unofficially withdrew from their classes and provide a clear explanation of why

they did not withdraw from the university by filing appropriate forms with the Registrar’s Office during the quarter(s) in

question. Please refer to the Academic Programs website to review the policy, petition deadlines, and suggestions for

Time Limit for Master’s Program The graduate degree program of not fewer than 45 units shall be completed within 7 years from the time the first course (including transfer courses) which applies to the degree requirements is started. This time limit, at the option of the university, may be extended for students who pass a comprehensive examination in the entire subject field or who validate the outdated coursework by examination. The plan for validation of outdated coursework must be negotiated in consultation with the graduate coordinator and approved by the College Dean and the Associate Provost for Academic Programs. Documentation of the approved plan must be placed in the student’s permanent file. Please click on Procedures for recertifying expired courses for more information.

Transfer Credit from a domestic institution

If accepted by the faculty of the discipline involved, graduate credit (up to 13 units) from another accredited institution may be applied toward the master’s degree. The stipulations under “Time Limit” apply to transfer courses. Extended University course work (up to 13 units) may be used to satisfy prerequisites or degree requirements when such work is acceptable to the department or school offering the master’s degree. A limit of 13 transfer, Extended University, and/or units petitioned for graduate credit may be included on a contract. Correspondence courses may not be used to satisfy degree requirements. Please note that all transfer work is posted (not just the courses the student is petitioning) regardless if it is being used on the contract or not and will be computed into a student’s overall GPA. A student needs to file a graduate petition with their department to request that a transfer course be used to fulfill graduation requirements. Official transcripts should be mailed to the Admissions & Outreach department.

Transfer Credit from foreign institution

Before any international coursework is posted, the international institution must be accredited. This is the procedure

for transferring credit from a foreign institution:

1.) The official transcript is submitted to the Admissions & Outreach department for processing, attention to

Victoria Ortiz. The student should email Victoria at [email protected] to inform her that he or she will be

petitioning the international coursework and that an official transcript was mailed to Admissions. This will

trigger Victoria to look for an official transcript.

2.) Once Victoria posts the international coursework, she will scan the transcript and inform the student and the

Graduate Studies Office that the transcript has been posted on the student’s transfer credit report.

3.) The student can then meet with the graduate coordinator to fill out a graduate petition to indicate where the

transfer credit (include course title, units, where and when it was taken) is to be applied on the Master’s degree

contract.

4.) The Graduate Studies Office will process the petition, and then forward the petition to the student’s evaluator

so that the petition can be posted on the student’s degree progress report.

It should be noted that once the student transfers in coursework, all the transfer work (not just the courses the student

has petitioned) will be calculated into student’s overall GPA. Up to 13 units of transfer work may be applied to a

student’s master’s contract. The stipulations under “Time Limit” apply to transfer courses.

Transfer to another Master’s Degree Program A student in good standing in a master’s degree program may transfer to another program with the approval of the new department. The amount of credit transferred from one program to another will be determined by the new department. Credit earned at this university in one master’s degree program may be carried from that program to another subject to approval. Students who finish one Master’s degree must submit a new admissions application for a second Master’s degree.

hereafter referred to as the University Catalog. Students are responsible for the information contained in the University

Catalog. Failure to read and understand the deadlines and regulations will not exempt a student from whatever

consequences may occur.

University Requirements for a Masters Degree

Graduate programs are based upon adequate preparation at the undergraduate level. Students who plan to become candidates for a master’s degree must hold a bachelor’s degree substantially equivalent to that of California State Polytechnic University, Pomona in the discipline in which they intend to do their advanced work, or they must be prepared to undertake additional work to make up any deficiency. Students seeking a master’s degree at this university will submit an acceptable thesis, or project, or successfully pass a comprehensive examination after advancement to candidacy. General Requirements The requirements for graduation depend upon the master’s degree program undertaken and upon the major field. The following requirements apply to all master’s degrees offered by the university:

1. The program for the one-year master’s degree must consist of not fewer than 45 units in courses numbered 300 (400 for Engineering and Business Administration) and above, with a minimum of 24 units of 500 and 600-level courses completed at the university consistent with departmental requirements. Master’s programs requiring a total of more than 48 units will require more than 24 units of 500-600 level courses.

2. A total limit of 13 transfer and/or extension and/or units petitioned for graduate credit may be included on a master’s contract.

3. For lower division course work (100-200 level at this university), no graduate credit will be given. 4. All 600-699 courses are open only to graduate students classified as unconditional. 5. At least 32 units of upper-division and graduate-level offerings must be completed in residence at this university. 6. Two-year master’s degrees have higher unit requirements than specified above. 7. A minimum of 3.0 (B) average must be earned in all graduate work taken at this university while in post

baccalaureate standing and in degree programs. No course with a grade lower than “C” (2.0) may apply toward the fulfillment of degree requirements. 8. A course may not be used for credit toward both a baccalaureate and a master’s degree. 9. A thesis, a project, or a comprehensive examination is required in all programs. 10. A favorable vote of the department, school, or center faculty is required before the degree may be conferred. 11. A graduate student who expects to receive a degree at the end of any quarter must submit an application online

through Bronco Direct prior to the deadline listed in the academic calendar. The student must be enrolled in the university the quarter he/she graduates. Degree requirements are outlined in departmental sections in the University catalog. Students seeking a master’s degree will be held responsible for meeting requirements applicable to the program of their choice and for fulfilling general master’s degree requirements.

12. The Graduation Writing Test requirement must be fulfilled before Advancement to Candidacy. 13. A Report of Culminating Experience must be submitted to the Graduate Studies Office during the quarter of

graduation. This report certifies that a graduate student has successfully completed all components of the Culminating Experience for the designated degree as specified in the Catalog.

Concern for Animal Welfare

The University is committed to the proper care and use of vertebrate animals used in research and instruction on campus. The University Committee having oversight is the Animal Care and Use Committee (ACUC), which has the responsibility to evaluate proposed uses of vertebrate animals and to approve or not approve such uses at the University or under the sponsorship of the University or the Cal Poly Pomona Foundation. Privacy Rights of Students’ in Educational Record

The information contained in a student’s educational record is protected under the federal Family Educational Rights

and Privacy Act, also known as FERPA. Only directory information may be released to individuals outside the university

without the student’s written consent However, FERPA does not require the university to release directory information.

Students may request that directory information not be released by completing and signing a Privacy Request and

submitting it to the Registrar’s Office. Campus employees may not release directory information when the student’s

record has the confidentiality flag set.

Note: The University is required to comply with subpoenas and search warrants that are issued in a manner prescribed

by law.

Student Conduct & Discipline

Rules of student conduct are included in the California Code of Regulations, Title 5, and beginning at Section 41301.

It is expected that all students are enrolled for serious educational pursuits and that their conduct will preserve an atmosphere of learning. All students are expected to assume the responsibilities of citizenship in the campus community. Association in such community is purely voluntary, and students may withdraw from it at any time that they consider the obligations of membership disproportionate to the benefits. While enrolled, students are subject to university authority, which includes the prerogative of dismissing students whose conduct is inimical to the aims of an institution of higher education. A student who violates university policies or regulations is subject to disciplinary action which can result in a warning, probation, suspension, or expulsion. Procedures under which the university may take disciplinary action against a student are specified by the Chancellor of the California State University as described in Executive Order 1043. These procedures are on the Judicial Affairs website and are on file in the Judicial Affairs Office, Building 26, Room 110. Inappropriate conduct by students or by applicants for admission is subject to discipline as provided in Sections 41301 and 41302 of Title 5, California Code of Regulations. Children’s Center

Provides a safe and nurturing environment where student-parents can leave their children with confidence while they

fulfill their educational goals and working parents can have peace of mind concerning their children’s wellbeing. The

Children's Center is designed to create an atmosphere where the children enrolled can grow emotionally, intellectually,

Public Safety

The University Police Department is responsible for law enforcement, security, and emergency response at Cal Poly

Pomona. The department is staffed by trained professional police officers, civilian staff and auxiliary personnel and is

operative 24 hours a day, year-round. The peace officers of this department have statewide police authority, and are

vested with law enforcement powers and responsibilities, identical to the municipal police or sheriff's departments in

your community.

The department is responsible for all crime reports and investigations on campus (except homicides and missing persons

per the Kristin Smart Act). The department responds to over 10,000 calls for service annually and offers a wide range of

programs and services, including alarm system and security surveys; crime prevention presentations; police Ride-

Alongs; special events, and self-defense workshops.

Student Health Services

Student Health Services (SHS), located at the top of University Drive in Bldg. 46, is a fully staffed ambulatory care facility,

providing high quality and convenient basic medical and educational services at little or no cost to you as a student. They

are funded primarily by a mandatory student health fee. Quality of care is demonstrated through continuous

accreditation of Student Health Services by the Accreditation Association for Ambulatory Health Care (AAAHC).

Operating similarly to a family medical clinic, SHS places an emphasis on preventive medical and health education

programs to help you stay healthy and fully productive in school. A wide range of services are offered to students,
