CHRONOTRACK REGISTRATIONROADMAP TO SUCCESS

Follow the simple steps in this document to get yourself, and your registration, up and running in no time.

GLOSSARY of ChronoTrack terms:

EVENT: This is your overarching event (for lack of a better word). “Run for the Woods” or “Mountview Challenge” are sample event names.

RACE: One distance that is part of your event. So an event can have a variety of races such as Marathon, Half Marathon, 10k, and 5k.

REGISTRATION CHOICE: Pricing options like Elite, Military, or Youth. You can set multiple registration choices for one race if you are offering different pricing or price phases, ex: Half Marathon Individual vs. Half Marathon Team.

PRICE PHASE: Set prices to change automatically at midnight the day you specify the change.

FORM VERSION: Any time you make a change in registration a “Test” form version is created so you can view changes before publishing. Remember to hit “Release” to make any changes live.

COUPONS: Coupons are used to offer a percentage or dollar amount discount. You can have a single coupon or a series of coupons, with one or multiple uses.

STEP 1: Set up an account with ChronoTrack

Click here to create a new account. (You can also get here by clicking on the ChronoTrack Live link in the top right corner of the ChronoTrack.com home page).

This is where you’ll provide us with basic information about yourself, as well as create your login credentials.

Once you’ve filled out this form, contact us at 888.600.2298 or email your ChronoTrack representative. We’ll enable your account on the back end and send you on your way in no time.

STEP 2: Set up your event

This is your baseline, where all your admin info goes. It’s a straightforward, fill-out-the-fields, basic form to gather information about you, your event details, your timer, and what services you will be using (like on-site registration, live athlete progress updates, photography, etc). There are 7 steps. Easy. When we get you set up on the back end, we’ll likely fill out what we know about your event to help you out. Otherwise, you can start here and click on the +New Event button (top right).

STEP 3: Create your race(s)

This is where you build out your race details and registration info. You can’t get here until you have completed step 2, so don’t try to jump the proverbial gun.

It’s here where you’ll manage your race details, pricing, teams, t-shirts, merchandise sales, waivers...basically everything related to registration. It’s all laid out in a simple tab-navigation format.

STEP 4: Set up basic registration

Once you’ve added information about your event and individual race(s), you’re ready to dive right into the registration form. Click on the “Registration” tab and you’ll see a simple sub-tab navigation to follow. You can post your registration live with no more than pricing (Registration Choices) and a waiver if you’re keeping it simple.

You can also add custom questions (including free t-shirts and merchandise sales), enable fundraising, create coupon codes, and more, all from that same “Registration” tab (more on that in the next section, “Beyond Basic Set-Up”).

NOTE: Whenever you make changes to your registration form, they do not automatically update in your live registration path. You must “Release” the changes from the Registration Overview page. This helps cut back on errors and it provides you a history of all form versions you have created.

Your reports can all be found...well, on the ‘Reports’ tab. (Keeping it simple). You’ll find various existing reports to help you understand what’s going on with your registrations and your financials (and scoring, too, if you’re timing with us).

There are a lot of reports already in the system for you to choose from. Here’s your guide to what you’ll find, where.

You can edit any of them to pull additional targeted data. Just save your new report with a different name. The original report will always be there.
