Attention OTC Priority Exhibitorsotc companies with a priority rank of 1-715 will have the opportunity to participate in the advanced or on-site exhibit space selection process. this process allows you to select and reserve your exhibit space for otc 2014 before or while at otc 2013.

Advanced Priority Exhibit Space Selection

Who: Exhibitors with a Priority Rank of 1-350 When: 25–29 March 2013

Exhibitors with a priority rank of 1-350 must submit an Exhibit Space Application/Contract no later than 18 March 2013 to participate in the advanced exhibit space selection process.

On 25 March 2013, OTC Show Management will begin calling exhibitors, in priority order, to pre-assign those with a priority rank of 1–350. This pre-assignment will help with companies whose space selection sometimes require redrawing of the floor plan during the selection process.

Please refer to the enclosed preliminary floor plan (subject to change). Once the selection process begins, the OTC 2014 floor plan will be updated in real-time and will be available at www.otcnet.org/2014.

On-Site Priority Exhibit Space Selection

Who: Exhibitors with a Priority Rank of 351-708 When: 6–9 May 2013

Approximately two weeks prior to OTC 2013, the on-site space selection schedule will be posted on the OTC website at www.otcnet.org/2014. Exhibitors with a priority rank of 351-708 will receive a link to the on-site space selection schedule via email. This schedule will include your appointed time slot for exhibit space selection. The schedule will also be distributed to your booth at OTC 2013.

Exhibit space selections will take place Monday, 6 May–Tuesday, 7 May in Reliant Center, room 200; and Wednesday, 8 May–Thursday, 9 May, in Reliant Arena, Stockman’s Club.

On-Site Rebooking Instructions1. Review all exhibit information carefully.

2. Read the Terms & Conditions on the Exhibit Space Application/Contract.

3. Select five exhibit space choices based on the enclosed floor plan. (Those with lower priority numbers need to be realistic with the preferred choices you are considering.)

4. Consult the space selection schedule and priority point list to determine your appointed time.

5. View the updated OTC 2014 floor plan online before leaving for OTC 2013 to see how the selections of the top 350 priority exhibitors affected your choices.

6. Complete the Exhibit Space Application/Contract and bring it with you at your appointed time to the rebooking lounge.

7. Arrive 10–15 minutes early to submit your Exhibit Space Application/Contract and to review the current OTC 2014 floor plan for available space before making your final selection.

If you are unable to attend the On-S ite Priority Exhibit Space Selection at your appointed time, you must submit your Exhibit Space Application/Contract by 15 April 2013 to OTC by fax at +1.866.491.7171 or email at [email protected].

OTC Show Management will act as your proxy to assign the best space available to your company during your appointed time. You must receive a confirmation that an Exhibit Space Application/Contract has been received by OTC Management to insure your proxy will be made.

Please do not submit an Exhibit Space Application/Contract before your appointed time slot if you will be rebooking on site.

If you miss your appointed time slot and have not submitted your Exhibit Space Application/Contract for OTC Show Management to serve as a proxy, you can still select space by coming to the Rebooking Lounge and checking with OTC staff. However, the selection of available space will diminish rapidly.

Post-Show Priority Exhibit Space Selection

Who: Exhibitors with a Priority Rank of 709 and Higher When: 20–31 May 2013

Exhibitors with a priority rank of 709 and higher should submit an Exhibit Space Application/Contract and Designated Contact form by 17 May 2013. Please review the updated OTC 2014 floor plan at www.otcnet.org/2014 before making your five preferred booth selections.

Space will be assigned in priority order then by date of receipt of contract for exhibitors with the same priority ranking. OTC Management will attempt to contact exhibitors whose selections are not available. If the attempt is unsuccessful, the best available exhibit space will be assigned.

Important information for OTC Priority Exhibitors who plan to exhibit at OTC 2014.

All Exhibitors with Priority rankAfter all advanced, on-site, and post-show priority time slots expire, space selection will be offered on a first-come, first-served basis regardless of priority rank or past participation. OTC 2014 exhibit space will not be assigned without a completed Exhibit Space Application/Contract. A 25% deposit will be due on 5 July 2013 to confirm exhibit space.

All exhibitors will have until 5 July 2013 to request a reduction in size or cancel their space with no penalty.
