A very warm welcome to the 2019Charity IT Leaders Conference.

This is our biggest conference yet, and I amvery proud of all the work, time andcommitment the committee have put in topull together such a fantastic agenda. At thetime of writing, we have 96 delegates – ourlargest number of delegates ever!

We have a great set of speakers andworkshops planned. The range of topics isquite broad, and again we have focused onfinding experts from both the wider worldand within the charity space. The agendaalso enables loads of time for questions,conversations, networking and even to usethe spa and gym facilities here atWhittlebury Hall...

We are also delighted to bring together adiverse, interesting and committed group ofsponsors. We spend lots of time looking forsponsors who we feel will be relevant andbeneficial to our members. Please visit themand chat with them in the exhibition space.Sponsors are the main income stream forour charity, and without them, we wouldn’texist. They also offer many excitingopportunities outside of our mainsponsorship packages so I hope you strikeup some interesting conversations.

As a trustee and the current Chair, I amalways wondering if we are still relevant?The market for events and conferences isvery crowded; do we still have a place, andwhat is that place?

I believe that we are still relevant andimportant to our members. Our place stemsfrom our uniqueness; we are one of the onlygroups run by the members and as Chair Iwill also get so much from these two days;knowledge and connections that I will takeback to work. We create safe spaces forconversation and thought-sharing and

problem-solving.

As you may know, in April 2019 weappointed Tree Hall as our BusinessManager. Her impact in the first five monthshas been brilliant. She has assembled oursponsors, launched a new annualsponsorship package, and started down theroad of member engagement. Her focusover the next year will be on memberengagement and how we can build ournetwork. Please talk with her at conferenceand afterwards – she will help us take yourideas for Charity IT Leaders and make themhappen. This is YOUR organisation, so makesure you have YOUR say.

Some of you will have noticed that I amstanding for election at the AGM on Friday. Ifirst stood for the role of Chair in 2017 for a 3-year term. Each year a third of our trusteesstand down. To ensure we stick to thisrequirement, I have agreed to stand down ayear early and plan to stand for re-election.However, I am only standing for one moreyear, and next year I will hand over the reinsto someone else, someone who I hope isreading this now. Turn to page 14 to find outabout being a trustee.

On the subject of trustees, Rahul Chauhanand Gerard McGovern have both decided tostep down from the board. I would like tothank them both for all the work they havedone and time they have given and I hopewe can welcome you back again soon.

Registration deskWe will have a manned conference desk inthe Orangery. Please come here if you haveany questions. Amy Ehlas will be on site forthe whole of the conference and is the firstpoint of contact.

Check inWednesday: you can check in at the hotelreception desk. Rooms are available from15:00.

Thursday: prior to 10:00, please head straightto the Orangery/Pavilion, this is a separatebuilding to the main hotel. You can drop offyour bags in the Orchid Room here and thehotel will offer a porter service to put bagsinto your rooms. Then you can check in toyour room at the hotel any time after 15:00.

Check out is by 11:00.

Your room fee is covered by yourregistration fee, but you will need to pay forany incidentals. If you want to charge theseto your room, you will need to go to thehotel reception to set this up. From 23:00you will only be able to charge drinks to yourroom, and only then if you have set this up.

If you wish to book a taxi to share for yourreturn journey to the train station a sign-upsheet will be available at the conferencedesk. Requests will only be permitted until11:00 on Friday 11th October.

Gala dinnerPlease check the seating plan, and nothrowing bread rolls. Please let the waitingstaff know about any pre-notified dietary

requirements. Note only those who haveregistered for the dinner in advance will bepermitted a seat.

Parking / taxi drop-offParking is available at the Orangery/Pavilionor in the main hotel car park. Werecommend that you park at theOrangery/Pavilion or get dropped here ifarriving Thursday morning. Access will besignposted.

Passport PrizeWithin your delegate pack, you will find apassport prize sheet. Visit as many sponsorsas possible to gain stamps. Complete yoursheet and enter your passport to be enteredinto the prize draw to win a special prize!

Please note that fully completed prizepassports only can be entered andmust behanded in to the conference desk before13:15 on Friday 11th October.

Wi-FiWi-Fi at the venue is fibre optic and nopassword is required as this is tap and go. Ifany problems please speak to admin at theregistration desk.

How the Committee worksAs a Charity Incorporated Organisation(CIO), we are led andmanaged by a Board ofTrustees or Committee as we tend to call it.

Each trustee stands for a three year termwith at least a third of our trustees beingelected every year.

Legally we have three roles of office wemust fill; Chair, Treasurer and Secretary.Details of these roles are below. We thenhave additional trustees who have a moreopen portfolio.

We expect all trustees to take on a “role” onthe board or share the responsibility withanother trustee. The key roles we have are:

● Events (co-ordinates the quarterlymeeting and other events)

● Conference (leads on the organisation ofour annual conference)

● Communication (leads on thecommunication strategy for theorganisation)

● Strategy (leads on setting the strategyfor our organisation)

● Corporate Liaison (the link betweenCharity IT Leaders and externalorganisations)

Get involvedHaving a committed, experienced anddiverse Committee is essential for ensuringthat our community continues to berelevant for our members and the best itcan be.

Being a trustee brings great benefits with ittoo, including an expanded professionalnetwork, direct board experience and achance to develop your skill set in areas suchas governance, strategy, marketing,communications supplier management andfinance.

This year, we are electing the posts of Chairand Secretary and we strongly encourageyou to put yourself forward for one of theseroles or to stand as a generalist trustee.

If you wish to be nominated for a post, orwould like more information about what therole involves, as well as what benefits it canbring to your professional status, please docontact one of the post holders above whowill be happy to chat with you.

Howmuch work is there?The Committee meet at the following times:

● four times a year before the quarterlymeetings

● one day per year for an “away day”

● once a month for a conference call

Along with this, you will also need to put in acouple of hours a month reading papers andpreparing for meetings. You may also havesome short additional calls as part of yourother roles e.g. 30 minute monthly planningcall for conference organisation (thisbecomes more frequent as we get closer tothe conference).

Trustee roles and responsibilities

All trustees must:

1. Ensure Charity IT Leaders is carrying outits purpose for the public benefit

2. Comply with Charity IT Leadersgovernance policies, procedures and theTrustee Code of Conduct

3. Act in the best interests of Charity ITLeaders

4. Ensure wemanage Charity IT Leadersresources responsibly

5. Ensure Charity IT Leaders is accountable

6. Encourage the retention and attractionof members to the CIO through publicactivities

7. Contribute to the regular newsletter sentout on behalf of the trustees

8. Host the occasional Topical Event

9. Assist the Chair in the development andupholding of the CIO’s constitution

10. Support the Chair, Secretary andTreasurer in the timely execution of theirduties

11. Attend all Trustee meetings

12. Take on additional Trusteeresponsibilities.

13. Ensure that the group is aware of, andsupportive of trends and changes in ICTand in charities, so that members can beprepared and take advantage of thosechanges to the benefit of the charity theywork for and for their professionalcommunity

15. Act as a spokesperson and ambassadorfor the CIO with the outside world,particularly with IT suppliers, otherpertinent professional bodies, othercharities, and the media etc.

There are three roles with additionalresponsibilities:

Chair

1. Provides direction and leadership to theCIO – so that it meets its aims andobjects consistent with the preferencesand priorities of its members

2. Works with the other Officers to supportand drive forward the CIO’s aims, andsupports them in the timely execution oftheir duties

3. Develops and defends the CIO’sconstitution

4. Acts as a focus and arbiter for internalgroup communication and contributes tothe regular newsletter sent out on behalfof the trustees

5. Acts as Chair at official meetings of theCIO, including the Annual Conference andthe Annual General Meeting, delegatingthe role where appropriate to another

6. Leads and coordinates the officers of theCharity IT Leaders so that planning andenabling work for the CIO (and itssubgroups) proceeds effectively

7. Reports to the annual general meeting ofthe CIO on the activities of the previousyear and the challenges faced bymembers and the CIO

8. Working with the Treasurer, sets thebudget annually

Secretary

1. Has overall responsibility for maintainingthe Membership of the CIO

2. Ensures compliance with CharityCommission and ICO rules andrequirements

3. Assists the Communications Officer bywith publicising the CIO wheneverpossible (for example, at appropriateevents)

4. Assists the Chair in the development andupholding of the CIO’s constitution

5. Works with the other Officers to supportand drive forward the CIO’s aims, andsupports them in the timely execution oftheir duties

6. Line manages the appointedadministrator in the a) conduct ofmembership duties for the CIO, and b)preparing of agendas and production ofminutes of Trustee meetings andconference calls

7. Manages contracted 3rd parties(excluding supporting the CIO’s website)

Treasurer:

1. Acts as a central point of coordination forall income and expenditure issues formembers and the CIO’s , the groupsbankers, and the groups creditors anddebtors

2. Manages the finances of the CIOefficiently, ensuring all legal and moralfinancial obligations are met in anaccurate and timely manner

3. Moves money between the operatingaccount and the high interest assetaccount ensuring there are adequatefunds in the operating account whilstmaximising the earning potential fromany investment interest on the fundsheld in the asset account

4. Ensure the subscription invoices areissued annually.

5. Proposes at the AGM the appropriatemembership subscription fees needed toensure the CIO remains solvent

6. Presents the CIO’s financial statement tothe membership at the AGM, answeringany finance questions that may arise

7. Ensures the production of signed offaccount before the AGM.

8. Oversees the maintenance of anaccounts ledger of all income andexpenditure transactions

9. Pays all agreed invoices within the statedpayment schedules of the suppliers toCharity IT Leaders

10. Ensures that the Charity IT Leaders getthe best price for any goods or services,and that they meet the standardsrequired

11. Arranges for there to be at least threeauthorised signatories on the CIO’s bankaccounts with agreed signing rules, andthese individuals shall nominally be theChair, Secretary and Treasurer, makingany changes with 1 month of new officerelections

James Luke is an IBM DistinguishedEngineer and Master Inventor. In his currentrole he is the Chief Technology Officer forthe UK Public Sector in IBM Global BusinessServices.

In his IBM career, James has held several keyleadership roles including being ChiefArchitect for Watson Tools and has over 20years’ experience in the delivery of machinelearning and cognitive systems.
