CUSTOMER MASTER
Customer details like Name,Customer Number E-mail, postal code number etc..,are going to be stored
as a master data in SAP.
Every customer master is made up with certain structure like,
a) General data structure (KNAI)
b) Company code data structure (KNBI)
c) Sales area data structure (KNVV)
In addition to these three tables other tables like…..
KNVP- Customers partner functions
KNVS-Customers shipping details
KNB4-Customer payment history
KNB5-Customer dunning data
KNBK-Customer banking details
KNC1-Customer transactional figures
KNC3-Customer special transactions
KNKA-Customer credit master-central
KNKK-Customer credit management-control data
a) Genaral data structure (KNAI):
In general data structure customers name number(KUNNR),E-mail, Postal codes is going to be
stored. This data can be accessed by all applications in SAP. since it is going to be maintained at
client level.
b) Company code data structure (KNBI):
In this section one customer financial data ex:-reconcillation account, terms of payment, is going
to be maintained.This section can be accessed by FI applications only.
c) Sales area data structure (KNVV):
In sales area data section one customers sales ,shipping,billing documents(business data) is
going to be captured
It can be accessed by SD application only

**customer master prerequisites or objects**
A)Customer account groups:-
Grouping of the customers according to their partner functions is called customer account
group.
According to the partner functions of each and every business partner one account group is
going to be defined and maintained(by FI consultants)
By using account groups customer master can be controlled by changing or assigning relevant
“field status” to each and every field in the customer master.
There are 4-predefined “field status” are available in SAP standard system that are.
1.) Supress:-
If it is assigned to one field that will be not be displayed, in the customer master.
2.)Required:-
If it is assigned to one field, that will be displayed to the user in the customer master and some “value”
should be maintained otherwise system doesn’t allow. the user to maintain further or to save the
master data.
3.)Optional:-
If it is assigned to one field,that will be displayed but value may or may not be maintained.
4.) Display:-
If it is assigned to one field,that will be displayed but value can’t be maintained.Since it wil be displayed.
B)Partner functions:-
In business in addition to natural partners every business may consider
Ex:- customers(KU)
Vendors (LI)
Contact persons(AP)
(sales) employees(PE), As a business partners.
Depending upon the business partner type every business partner performs certain
partner function, to full-fill business Transactions

So,as to make business transactions with the business by the customers and
viceversa one unique identifier is required that is “number”.
So, as to assign one numeric number to customer(master) one number range with
certain lower limits and upper limits can be defined and assign to customer account groups through
number range key along with other two controls that are “current number” and “external”
Depending upon the external control whether system (or) user assigns number to customer master
internally (after saving the customer master) ex:- externally (before saving the customer master)
according to “current number status”
**NOTE**:-
Number ranges are client specific so that for every testing and production clients. number ranges are
going to be defined.
D)Partner determination procedure:-
As account groups are going to be defined based on their partner functions relevant partner functions.
Ex:-SP, SH, BP, PY, etc….
Can be defined in IMG and assigned to relevant customer account groups through one partner
determination procedure. By using “condition technique”concept.so,that system automatically proposes
those partner functions in relevant customer master sales area data section partner function tab page.

0001-sold-to-party: SP, SH, BP, PY
0002-ship-to-party: SH
0003-bill-to-party : BP
0004-payer : PY

Specify name of the account group:-sold-to-party: FORD and save it
Check one-time account control, only if the account group belongs to one-time customers. In
business customers can be regular customers (or) one-time customers.
One-time customers data is going to be captured as a master data.since one time customer
master business transaction only once so,that,that customer data is going to be captured as a
transactional data.
In SAP one-time customers are going to be created during
transactional processing only and that is going to be stored as a transactional data.
To define one-time customers account groups in SAP standard customer groups
Ex:- Group Name
CPDA One-time customers
CPDA One-time customers
OUTPUT Determination Procedure:-
Output/message:-In business various communication methods are going to be used to exchange
business information with the business partners.
Ex: Fax,E-mail etc….
In SAP-SD output determination procedure can be used to communication with the business
partners.
OUTPUT determination procedure determines what kind of output is (Inquiry,
Quatation, order conformation, delivery note, invoice copy etc…)through which transmission
medium(printer, fax, e-mnail, EDI-electronic data interchange) to which partner (SP, SH, BP, PY) one
sales transaction is going to be processed as a output.
In SAP-SD output can be configured by following two procedures that
are.

1) By using logistics-general component
2) By using SD-basic functions component
1) If output has been configured by using logistics. General component then it can be
configured as a customer specific only and assigned to customer account groups from where it
will be proposed into sales document header.
NOTE:-
If output determination procedure has been assigned to customer account group.
Ex:-ProcDescription
DB0001 output for sold-to-party.
Then system automatically activated document tab page with the standard output types
between billing and partner functions tab pages in the customer master sales area section.
2)If output determination procedure has been configured by SD-basic functions component then it can
be configured for different combinations by using “Access sequence facility” and assigned to sales
document header or items by using condition technique concept.
NOTE:-
If output determination procedures are configured by using both components then system can use one
control that is “access to conditions”
At defining output type .If it is activated system determines output by using SD-basic functions
component. If it is de-activated system uses logistics general component.

And assign relevant field status in general data company code data and sales area data structure.

NOTE:-Defining customer account groups assigning field status in general data section company-code
section and defining and assigning number ranges to customer account groups is always carried out by
FI consultant.
2) Define partner determination procedure:-
In IMG relevant partner functions like SP,SH,BP,PY,etc
are going to be defined and assigned to one partner determination procedure which in term is
assigned to customer account groups by using “Condition technique” concept.
Note: Assigning field status in sales area data section configuration of partner determination procedure,
configuration of certain field values in sales area data section is always carried out by SD consultant.
3) Customer master configuration settings as a SD consultant:-
As a SD consultant if we take the responsibility to define
customer account groups.

c)Define and assign customer number ranges:-
In this work step number ranges are going to be
defined to the customer account groups(OVZC->transaction code) and assign those number
ranges to customer account groups.
d)Define condition groups:-
Go to new entries and define condition groups. It can be used for pricing
purpose

4)Create Tab Layout:-By using this work step the sequence of tab pages and field groups can be defined
or changed.

One Sales area should be specified that means that master data is applicable to that particular sales
area only and transaction can be created for that customer master under that sales area only.
But customers may make transactions under other sales area also.So that customer master is to be
extended to other sales areas manually.

consumption process SAP has develop one concept called “COMMON DISTRIBUTION CHANNELS AND
COMMON DIVISION”by which relevent master data is going to be created only once under reference
sales area.So that system automatically extends customer master data to all other sales area
automatically.

Maintain Reconciliation account as a account receivables.
In Business so as to capture various financial transactions number of general ledges accounts are going
to be maintained.,among those two general ledges(G/L) are mandatory.That are sundry debtors and
sundry creditors.
So as to capture credit sales and credit purchases of all customers and vendors.Asa account receivables
and account payables.
In SAP these two GL Accounts are going to be created as a recancellation accounts and assigned to each
and every regular customer master and vendor masters.So that system automatically updates account
receivables and account payables.Amounts of outgoing invoice and incoming invoices in those two GL
accounts through respective sub.ledges accounts (Customer or vendor account number).

Item proposal:- It is a concept by which user can place the order on behalf of the customer for the
materials that are regularly purchased by the customer. It works as a order entry tool & its facilities

Unit of measure group:- (UOM group):- In IMG all allowed/this allowed alternate unit of measures can

If number unit of measure control activated than system excludes alternative UOM from unit of

This is going to be used by the system when customer currency &
document currency differs exchange rates types are going to be define by FI consultants.

Dynamic product proposal procedure:-Is a concept by which system automatically proposes all the
materials as soon as user specify SD to party number in the sales order dynamically.
Cross selling:- Is a concept by which system can suggest combination material for the order material
during transaction processing.
3) Pricing/Statistics:-
a) PRICE GROUP:- Grouping of the customers according to the certain criteria for pricing
purpose
Ex:- 01- Bulk buyer.
The value of this field is going to be proposed into sales document header –sales tab &sales document
item-sales B tab. where it can be changed.

b) Customer pricing procedure:- Assigning one pricing procedure Ex:-1-standard to the
customer that is going to be used by the system as one of the factor determine one pricing
procedure in one sales document.

c) Price list:- Assign relavant price list to the customer accordingly business changes basic

d)Customer statistics group:- specifying stastical relevancy of the customer statistical data as a one of
the prerequisite to obtain customers statistical data into SIS(sales info structure) from where relevant
stastical reports can be generated.
LIS Logistic information system:- Is an open data warehouse in SAP R/3 system which consist of no.of
infrastructure for each & every operative module into which transactional data can be uploaded &
reports can be generated.

for “ Back order processing” as well as for “collective delivery processing”.
Back order:-Any sales order has been confirmed with quantity as a “0”(zero) that sale order is called
back order, which can be confirmed by following reshedulling concept.
Collective Delivery:- Combining no:- of sales order of same ship to party into single delivery document is
called collective delivery processing.
The value of this field is going to be proposed into sales document line item-shipping tab
where it can be changed.

Go to new entries-define delivery priorities.
B)Shipping Conditions:- Assign relavant shipping condition to customer sold to party Ex:-
10(immediately) that is going to be used by the system as a one of the factor to determine shipping
point for line item in one sales document.
Note:-If shipping conditions where maintain in both areas then system gives the priority only to sales
document header.
The value of this field is going to be proposed into sales document header shipping tab where it can
be changed.

Go to new entries and define shipping conditions.
c)Delivery Plant:-Assign delivery point to customer ship to party that is going to be user by the system to
determine one delivery plant for a line item in one sales documents according to plant determination
strategy.
Note:-If plant has been maintain in customer material into record or all three area’s than system gives
the priority only for customer material into record only.
d)Relavent for POD:-
Proof of delivery:-Is a concept by which business can use “Acknowledgement”
Fuctionality in SAP.
In business once shipment dispatched to the ship to party than it may expect
acknowledgement from ship to party to create invoice.
In SAP this control can be activated to post POD.So that invoice can be created .if POD has not
been confirmed then system doesnot allow the user to create invoice.
POD Time Frame:- Specify limit in days to wait for POD.After this time period invoice can be created by
assuming that ship to party has received shipment by using trasassion code[VLPODQ] automatic POD
conformation.
This control can be proposed in sales document header shipping tab and item-shipping
tab.where it can be changed.
E)Order Combination:- Check this control as a pre requisite to combine no.of sales order’s for same ship
to party into single delivery as a collective delivery processing.

This control is going to be proposed into header – shipping tab-order combination and item –
shipping tab.
Where it can be changed.
B)Partial Deliveries:-This partial delivery aggrement will have a influence on the result of availability
check.
a)Complete delivery record by law:-This control determines whether one “sales order” can be split into
no.of partial delivery or not.
1.If it is activated order can not be split into partial deliveries.
2.If it is deactivated order can be split.
This control is going to be proposed into sales document header shipping tab only.

d)Unlimited Tolerence:- This control specifies wheather over/under deliveries are allowed or not for
particular line item.

If it is blank system fallows one priority rule to determine tax classification number i.e.,if payer & sold to
party are different then system takes tax classification no from the payer only(without considering ship
to party) or it will go to ship to party or it will go to sold to party.
1.If it is “A” system takes only from sold to party even through payer is different.
2.If it is “B” system only take from payer even through sold to party is different.
3.If it is “C” system fallows as a blank but it consider country key of ship to party so, as to determine
domestic sales or export sales
