    Designated Detention Officer Competency Assessment Guidance notes

    Why are we asking you to complete this questionnaire?

    Your answers, if given in accordance to the instructions and guidelines outlined below, willhelp us determine whether you are likely to have the skills and abilities needed to be aneffective Designated Detention Officer. Your answers will be used to decide whether you willbe invited to the next stage of the selection process.

    Please read all the instructions fully. It is important that you think carefully about your answers.If you are unsuccessful you will not be able to reapply for 6 months.

    Instructions

    The questionnaire is divided into two sections:

    Section 1 asks you to provide detailed examples of situations from your recent past

    experience. You must give examples of what you did or said on a specificoccasion. It is important that we can see, in as much detail as possible, exactlywhat you did.

    Section 2 asks you what you expect the role to be and your reasons for wanting tobecome a Designated Detention Officer. You are not expected to provide examples ofsituations in this section.

    When completing the questionnaire, please remember the following points:

    Each question has a number of prompts to help you shape your answer. Make sure youtry to answer them all.

    Try to use examples from situations you found challenging or difficult. Such examplestend to score better than those that were easy to deal with.

    Wherever possible, use examples from a work setting. However, if you dont have anyexamples from work, or cant think of any, you may use examples from your social,voluntary, educational, leisure or family life. Examples from settings other than work canscore just as well as work examples.

    If possible, you should use a different example for each question.

    Your answers can be handwritten or typed. Do not write in text speech.

    Write concisely because you have limited space. Pay attention to your presentation andhandwriting, spelling and grammar. If we cant read your answers, we cant score them.Try to avoid being vague because these answers will not score well. Write in completesentences, not bullet points or note form, paying attention to spelling, punctuation andgrammar. Do use a dictionary to verify your spelling if you are unsure.

    Keep to the box provided and write only on the lines. Any writing outside the box willnot be scored.

    Q. Designated Detention Officers need to be organised to ensure all necessary custodyrecords are maintained and all their duties are completed when required.

    Think of an occasion when you had to be very organised in order to meet the requirements ofthe role you were fulfilling.

    i) What was the situation and why did you have to be organised?

    I was working as a receptionist at a leisure centre. As well as dealing with telephone enquiries,I had to check the facilities for health and safety compliance on a regular basis during the day.It could become quite hectic during the day with customer enquiries to handle as well asmaking the checks on time. It was necessary to be organised so that I did not fail to carry outthe checks, nor missed deadlines for responding to customers.

    ii) What did you do to ensure you were meeting the requirements of the role in anorganised way?

    I kept a telephone call register where I marked down the calls I took, the information requestedand contact details if I needed to send the person some information or get back to them. Ichecked this register on a regular basis to ensure I met the deadlines required. I also used anelectronic task reminder to inform me when the next health and safety check was due. I kept arecord of when I did the checks and of anything I found that needed fixing.

    iii) If you were caught short of time to accomplish different tasks, what would you do?

    I would consider the different tasks that remained to be done and evaluate how urgent they allwere. I would start with the most urgent. If they all needed to be done within a certain time and

    I wasnt going to manage it then I would ask my colleagues whether any of them could help. Ifthat wasnt the case I would notify my manager that some tasks were outstanding.
