DESPATCH ADVICE MESSAGE 0. Introduction

This document provides the definition of the EUROFER subset of the DESPATCH ADVICE message based on the UN standard DESADV message of the UN/EDIFACT directory D97A. This document replaces the previous version dated 01.08.1997, based on the EDIFACT directory D96.A. This message has been created by the EDIFER "Message development" working group. The message is to be used in Electronic Data Interchange (EDI) between partners involved in the steel industry. The manual has been structured in the following format: - A Data Model definition describes the data entities, attributes and their relationships. - The scope describes the field of application, principles and message usage. - The message definition covers the structure, the entity/attribute mapping and how the

data described in the data model relates to the message. - The message definition outlines the general structure of the message and specifies the

use of each segment group and, or segment. - Based on the branching diagram of the original EDIFACT message DESADV, the

segments used are indicated. This is followed by a detailed description of the segments used by Eurofer.

- Examples of some Despatch advice’s are provided to clarify the understanding of the

message description.

1. DATA MODEL 1.1 Data Model Format

The data model has been created, to make it possible for potential users to understand the Eurofer subset of the Despatch advice message. This data model gives the following information : - contents of the information (data elements) that can occur in the message, - relationships between the different data elements, - grouping of the data elements within the data entities, - and the relationship between data entities. To simplify the understanding of the data model, the model is defined at a summary level, specifying when necessary a group of data elements instead of each data element. The data model consists of data entities, the relationships between those data entities and the attributes (data elements) in each data entity. An entity specifies an object against which information is held; it has a name, a description and attributes. An attribute describes a unique characteristic (information which can appear on the despatch advice); it has a name, a description and a value. The relationships of the data entities within the data model are reflected in the structure of the diagram in chapter 1.2.

In this diagram, the rectangles represent data entities and the ovals show us the relationship between two data entities. How often a relationship can exist between two data entities is given in both directions and is specified as - 0, 1, N means that there is no relationship between the entities. - 1 means that there is one and only one relationship between the entities. - N means that there are many relationships between the entities. - 0,1 means that there can be no or one relationship between the entities. - 1,N means that there can be one or many relationships between the entities. - 0,N means that there can be no or many (one or more) relationships between the entities.

1.3. Data model entities

Because the data entities Company and Rules&Agreements are not really basic information in this message, they have been put outside the data model and they are treated as related data entities. This has been done to simplify and not to overload the data model, so that the data model is easier to understand. The entities are regrouped in two groups. The first group includes all the basic data entities and the second the related data entities. The following entities are contained within the data model. The related data entities COMPANY RULES & AGREEMENTS DESPATCH This entity contains the general information about a shipment ADVICE of steel products to the consignee. The consignee may be an intermediate or final destination. MEANS This entity specifies the details of the mode and means of OF TRANSPORT transport of the goods being despatched. The mode of transport, such as road, rail or sea. The means of transport, such as a truck, train or vessel. EQUIPMENT This entity specifies each equipment used for the shipment of goods, such as a trailer, wagon or container. PACKAGE This entity gives the package identification and hierarchy, type of package and the weight of the package containing one or more product units. In the transport process the outer package is better known as a transport unit or handling unit. PRODUCT This entity contains the information about a product, such as UNIT material number, serial number or unique identifier (ISO 9002), production date, quantities, size, weights, etc ... ORDER A product unit can be related to an order, an order item or to INFORMATION an order item-delivery schedule detail. The entity contains the information about the goods ordered under the conditions agreed between the buyer and the seller. Further information about the entity can be found in the document " User implementation guide of the ORDERS message". COMPANY An organisation with whom we deal for whatever purpose. This can be the buyer, sales agency, inspection authority, consignor , consignee, manufacturer, freight forwarder, etc ... . RULES & This entity contains all the rules and agreements that are valid for AGREEMENTS the production and the delivery of steel products. For example despatch limitations.

2. SCOPE 2.1. Functional Definition

This message is used by a steel supplier to inform the customer, the consignee or a third party of a certain despatch of goods to the delivery address. This message provides its receiver with detailed information concerning the consignment, such as means of transport, equipment information, despatch date, estimated date of arrival, terms of delivery, delivery place and each package containing goods in despatch.

2.2. Field of application

This message provides the definition of the Eurofer despatch advice message to be used in Electronic Data Interchange between European steel suppliers and their customers or intermediate warehouses.

2.3. Principles

The Despatch advice message has been created as a subset of the UNSM DESADV message of EDIFACT. The message relates to a single despatch point and a single destination point, with possible multiple unloading points. It may cover a number of different packages containing product units.

This message allows for the recipient to : - know when the goods have been despatched or will be ready for despatch, - have the precise details of the consignment, - reconcile between the despatched goods and the received goods.

The message can contain some product details, such as quality, size, quantities and references numbers, but cannot be used to give all the details about the product units. The complete material specification of the product units should be given by using the Quality data message. With the Quality data message it is possible to provide : - technical details of each product unit, - the chemical and mechanical properties.

2.4. Message usage

The DESADV message of EDIFACT offers various possibilities concerning the relationship between the packages and the products. These possibilities are dependent on the requirements of the partners involved, the necessary information of the products with or without the relationship to their package. These possibilities are explained in this chapter. The Despatch advice message is used to convey information about the contents of a consignment. The general information of a consignment is to be given in the heading section of the message. The contents (packages and goods) of a consignment are specified in the detail section. The CPS segment, trigger segment of the detail section, is used to specify the hierarchical packing relationships, such as a pallet contains boxes, on the pallet there are packages, etc ... The message allows the following three possibilities : 1. To report only at package level (Package) 2. To report only on the product unit level (Product unit) 3. To report on the package level and the product unit level (Package and product unit).

Package level When the despatch advice contains only information at the package level, it is not possible to give information about the items. This approach can only be used, when the receiving party is not interested in the content of the packages, for example transportation of packages to an external warehouse under full responsibility of the owner of the goods. Product unit level When the despatch advice contains only information at the item level, only restricted information regarding the packages can be given for each product unit, such as package number. Each package can at be identified by its marks and number, measurements and quantities. Package level and product unit level When the despatch advice contains information at the package- and item level, it is possible to give all the information about the package type of each package and the information about each item in the package. If necessary the relationship between package and item can be given starting from the lowest package level followed by the items in this package. This solution is available for detailed information on packages and items, but the handling of this message is more difficult than the other possibilities. The segment CPS is followed by two segment groups. The first segment group is used to identify the packaging levels, the packing at a certain level, physical dimensions and the marks and numbers of the package. The second segment group provides details of the despatched items and if necessary their placement in the package and in the equipment.

For the steel industry the transmission of the correct information can be performed in different ways. The two main ways are, one starting from the package level and the other starting from the product unit level (product). To facilitate the understanding of the different ways an example is added.

A. Starting from the package level 1. Use the first segment group (trigger segment PAC) to identify the type of package and

to use the second segment group (trigger segment LIN) for each individual product unit. 2. Use for each of the product units, the first segment group provides the information

about the package and the second segment group (trigger segment LIN) provides the information related to the product unit(s) within the package.

3. Use the first segment group (trigger segment PAC) to identify the type of package and to use the second segment group (trigger segment LIN) at the order item / part number level (same product specification). In this case the identification of the product units belonging to the order item / part number level must be given in a depending segment GIN.

B. Starting from the product unit level 4. Use only the second segment group (trigger segment LIN) to identify each product unit

level of the despatch advice and no references are made to the package. 5. Use only the second segment group to identify each order item of the despatch advice

and if necessary a reference to the package is made by the serial number of the package, by using the depending segment GIN.

For each of the above given possibilities a description is provided in chapter 3.1.3. how to use the different segment groups in the message.

EUROFER recommendation The despatch advice allows you to give information at the package level and at the article definition level. Article definition level can be presented by either order item / part number or product unit. Eurofer recommends to use one of the four solutions shown in the table below.

3. MESSAGE DEFINITION 3.1 Message Structure

The DESADV message of UN/EDIFACT is structured in three sections, a Heading Section, a Detail Section and a Summary section.

3.1.1. Message structure - Heading section

The heading section is used to give the general information relating to the whole message. Examples of this kind of information are despatch advice number, departure date, estimated date of arrival, parties involved, terms of delivery, details of the mode of transport and information about the equipment used. The heading section can also be used to give information which has the same contents for each line in the detail section. Examples of this kind of information are references valid for all detail items specified in the detail section.

3.1.2. Message structure - Detail section

The detail section is controlled by the segment group 10 with the mandatory segment CPS (Consignment packing sequence), which can have a maximum of 9999 repetitions. Each segment group 10 can consist of the segment group 11 with the trigger segment PAC and the segment group 15 with the trigger segment LIN. The detail section can be used to provide details of all packages and the individual despatch items contained in the consignment. The segment group CPS provides the capability to give the hierarchical packing relationships. The group defines a logical top-down structure. The lowest level package information of the hierarchy can be followed by the segment group 15, triggered by the segment LIN, to provide detailed product information. The segment group 10 gives the possibility to provide information on the packages and on the products of a consignment : - case 1 : by using only the segment group 11 with the mandatory segment PAC, the

information is limited to the package level and no information is given at the product unit level

- case 2 :by using only the segment group 15 with the mandatory segment LIN, the information is limited to the item level and all information is given with relation to products unit(s).

- case 3 : by using both segment groups (group 11 and 15) together, the information is given at the level of the packages (group 11), and the product units (group 15). In this case it is possible to define the content for each of the lowest package level, by using the relationship between the segment groups 11 and 15.

3.1.3. Message structure - Summary section

The summary section can be used to give control totals for the whle despatch advice message.

An example of indicating the package levels in CPS segment

There are two containers C1 and C2 in the example that the consignor has loaded in the railway wagon P1234. The wagon number is indicated in the TDT segment in the element 8213 Id. of means of transport identification. Hence the container is the outermost level indicated in CPS segment. There are flats in each containers. In the container C1 there are three flats F1, F2 and F3. On each flat there are four boxes; B11, B12, B13 and B14 on the flat F1, B21, B22, B23 and B24 on the flat F2 and B31, B32, B33 and B34 on the flat F3. In the boxes there are the products the buyer has ordered and their article numbers are indicated in the LIN-segment. Hence there are three packing levels that are indicated in the CPS segment. To indicate the products that are packed in the box B11 there are three repetitions of the CPS segment in the message the content of which are as follows:

LIN segments are in the segment group the root segment of which is the repetition 3 of the CPS segment. The corresponding segments in the message are of the form: CPS+C1++3’ CPS+F1+C1+2’ CPS+B11+F1+1’

3.1.4. Options on how to use the Despatch advice message The segment group 10, triggered by the segment CPS (Consignment packing sequence) to provide the hierarchical packing relationships, as a top-down structure is not explained in this paragraph. Information on the hierarchical packing relationship can be found in the official EDIFACT document of the DESADV message. All the options start at the lowest package level containing the product unit(s).

3.1.4.a. To report only at the package level (case 1) This option can be used, when the receiving party is not interested in the content of the packages, for example transportation of packages to an external warehouse. This approach can also be used for the transportation of the product units if each package contains only one product unit and if all further information about the product unit is given by using the Quality data message. This means that the product information is already known at the despatch time of the product units. In this case only the segment group 10 (triggered by the segment CPS) and the segment group 11 (triggered by segment PAC) is used. As a first possibility, the message allows the reporting of the different types of packages, the number of packages can be given, and each package can be identified by its identity number. For this, in the segment PAC the type of package is given and if necessary the number of packages. The identification of each package is given in the segment GIN of the segment group 14. As a second possibility, the message allows the reporting of each package by specifying physical dimensions, marks and numbers and quantities per package. In this case for each package the segment group 11 is used. In the segment PAC the type of package is given, the segment MEA is used for the physical dimensions. The quantities per package can be provided in the segment QTY and the marks and numbers (also identity number) can be specified in the segment PCI of segment group 13 and the segment GIN of segment group 14.

3.1.4.b To report only on the product unit level (case 2) In this option no information can be given on the type of package, only restricted information regarding the packages such as package number, physical measurements and quantities per package can be provided. In this case, only the segment CPS and the segment group 15 (triggered by segment LIN) is used. For each product unit the segment group 15 is used. In the segment LIN the product unit is identified by its identity number and supplementary product identifications can be given in the segment PIA. For each product unit it is possible to give the physical measurements, product description, quantities and the production date by using the segments MEA, IMD, QTY and DTM below the segment LIN. References to the order, order item or production schedule detail can be made by using the segment group 16, triggered by the segment RFF. If detailed information on the package level is needed, the segment group 20 (triggered by the segment PCI) can be used.

Remark :If the package type is requested, the information can be given by using only the segment PAC in the segment group 11.

3.1.4.c To report on the order item/production schedule detail (case 2) In this option a report is given at the order item or order item/delivery schedule level in the detail section of the message. Below each order item or order item/delivery schedule detail, its product units are given. In this case only the segment CPS and the segment group 15 (triggered by segment LIN) is used. For each order item or order item/delivery schedule detail the segment group 15 is used. In the segment LIN the order item is identified by its number and supplementary product identifications can be given in the segment PIA. For each order item it is possible to give the ordered measurements, product description, ordered and delivered quantities, the requested delivery or production date by using the segments MEA, IMD, QTY and DTM below the segment LIN. References to the order can be made by using the segment group 16, triggered by the segment RFF. Each product unit for the item can be specified by using the segment GIN or the segment group 20, triggered by the segment PCI. In these cases each product unit is specified by its package identity number. In the segment group 20 the physical measurements and quantities in the package can be given. 3.1.4.d To report on the package and the item level (case 3) In this option it is possible to give the content of each package by specifying the product unit(s) in the package. In this case the segment groups 10, 11 and 15 are used. For each package, the segment group 11 is used for package information and the segment group 15 is used for each product unit in the package. Segment group 11 - package In the segment PAC the type of package is given, the segment MEA is used for the physical dimensions. The quantities per package can be provided in the segment QTY and the marks and numbers (also identity number) can be specified in the segment PCI of segment group 13 and the segment GIN of segment group 14.

3.4 General description of the message - subset of Eurofer 3.4.1 Message definition and segment clarification

This section is provided to give clarification and further explanation to the usage of the segments within the message defined by Eurofer. The message consists of three sections, a heading section, a detail section and a summary section. The heading section is representing the transportation details, the corresponding references and the parties involved. Some detail information which applies or relates to all the line items of the detail section can also be given in the heading section. This section should be read in conjunction with the segment usage and the branching diagram (chapter 3.3.) which indicates the required (R) and optional (O) segments and segment groups. The following guidelines and principles apply to the whole message of Eurofer and are intended to facilitate the understanding and the implementation of the message. All the specified data/times (segment DTM) should be in the format 'CCYYMMDD'/'hhmm' unless all parties involved in the transaction agree that there is a functional requirement for an alternative format. Periods should be specified as whole numbers representing the required period as indicated in the format qualifier (weeks, month, etc) Where a choice of code or text is given, only the code element should be used if possible. Optional (conditional) data that are not required in the message should not be included. Care must be taken that the segment qualifier in dependent segments do not conflict with the segment qualifier of the trigger segment of the group.

A segment specifying the carriage, and the mode and means of transport of the goods being despatched. If required, the carrier's address should be indicated within the NAD segment group.

Segment group 7 : LOC-DTM

A group of segments giving the location and date/time information relative to the transportation. Eurofer has decided to use only the segment LOC of this group. The other segment for giving associated information should not be used.

A group of segments providing information relative to the equipment used for the transportation of goods relevant to the whole despatch advice. Segment EQD, Equipment details

A segment to define fixed information regarding equipment used in conjunction with the whole despatch advice, and if required, to indicate responsibility for supply of the equipment.

A group of segments providing details of all package levels and of the individual despatched items contained in the consignment. This segment group provides the capability to give the hierarchical packing relationships. The group defines a logical top-down structure. The lowest level package information of the hierarchy is followed by the detailed product information.

Segment CPS, Consignment packing sequence

A segment identifying the sequence in which packing of the consignment occurs, e.g. boxes loaded onto a pallet.

Segment FTX, Free text

A segment with free text information in coded or clear form to give further clarification, when required, as to the package sequence.

Segment group 11 : PAC-MEA-QTY-SG12-SG13

A group of segments identifying packaging, physical dimensions, and marks and numbers, quantities, date and time information, handling information and information about packing at this level.

Segment PAC, Package

A segment specifying the number and type of packages/physical units and the physical type of packaging for the despatched goods.

A segment for describing the product being despatched. This segment should be used for products that cannot be identified by a product code or an article number. In the iron and steel industry this segment can be used to give a detailed description of the products, the steel grade or the general description of the product group.


A segment specifying physical measurements of the despatched item in original or unpacked form. For example this segment can be used to specify the dimensions or the weights and diameters of the product.


A segment to give quantity information concerning the product. Segment ALI, Additional information

3.5 Detailed description of the message - subset of Eurofer 3.5.1 Detailed segment clarification

This section is provided to give detailed clarification and a further explanation to the usage of the data elements in the segments of the Despatch advice message defined in the subset of Eurofer. The message consists of two sections, a heading section and a detail section. The section 3.5.2. describes each segment used in the heading section of the Eurofer Despatch advice message. The section 3.5.3. describes each segment used in the detail section of the Eurofer Despatch advice message. The original EDIFACT segment layout is listed. The appropriate comments relevant to the Eurofer subset are indicated. The segments are presented in the sequence in which they appear in the message. The segment and the segment group tag is followed by Mandatory or Conditional indicator, the maximum number of occurrences and the segment description. Reading from left to right, in column one the usage indicator is for the use of the EDIFACT data elements in the Eurofer subset. In the other columns the information is given about the data element tag, data element name, followed by the EDIFACT status and the format.

The codes used for the usage indicator (USG. IND.) for the data elements are, R for REQUIRED - Should always be used in the message O for OPTIONAL - May be used by trading partners if required. X for EXCLUDED - Not used in the message.

4. ANNEXES 4.1. Recommendation on how to use the segments LIN, PIA, RFF and GIN

In the detail section of the despatch advice message the despatched articles can be described in the segment group 15, triggered by the segment LIN. In this segment group related information to the articles, such as part number, order numbers given to a certain order by the buyer, seller, manufacturer, can be given by using the segments LIN, PIA, RFF and GIN. In function of the level the article is defined (order item/part number or product unit) in the despatch advice line, the related information must be given in one or another segment. To make it clear to the potential users of the message, Eurofer has decided to make a recommendation on how to use the segments LIN, PIA, RFF and GIN.

The use of the segment LIN, PIA, RFF and GIN

- The segment LIN is used to identify a line of a despatch advice by its line number and,

or by an article defined by an order item/part number or product unit number as agreed between the partners.

- The segment PIA is use to provide additional product information linked to the article

defined in the LIN segment.

- The segment RFF is used to give additional references (e.g. contract number, letter of credit, export licence number, etc ...). In the case that the product unit number is given in the segment LIN, the segment RFF may also be used to give the Buyer's order item number and the Buyer’s order line number.

- The segment GIN can be used to provide the product unit numbers if the product unit

number is not given in the LIN segment.

4.2. Different ways to use the despatch advice

This chapter provides an overview of the different ways how to use the despatch advice message. This overview is based on the different possibilities foreseen in the EDIFACT despatch advice message and to cover the function of steel products. As a minimum requirement, the details of a despatch consist of the identification of each article associated to the delivered quantity. For the steel products the article can be defined at : - order item number level or part number level - or product unit level. Linked to the article it is possible to give details about how the articles are packed and if necessary how packages are put together on a handling unit (outer package). For some of the consignments the information about the despatched goods can be restricted to the level of the handling units. For example transportation of the goods to an external warehouse. In the table below, the different ways how to present the information about the consignment at goods and package level in the despatch advice message are given. This information is split in the following three groups : - only information at the handling unit level - package information, with article information of each package - article information, without or with restricted package information.
