Chapter 1. Submission of Market Intelligence Reports

The Digital Market Intelligence System is an interface for TDC overseas staff tosubmit market intelligence reports for internal and/or public perusal through theInternet.

Steps to submit a market intelligence report:

1. Have your report ready in HTML format.¨ Prepare your report by using Microsoft Word.¨ Set font to Times New Romans for the whole document if it is written in

English, or � � � (Small Ming) if written in Chinese.¨ No pictures. Only text documents, including tables, are allowed (though the

feasibility of accepting pictures will be further explored).¨ Save the report in HTML format by

¨ choosing "Save as HTML …" option from "File" on the menu bar(Figure 1.1), or

¨ choosing "Save as …" option from "File" on the menu bar. Pick"HTML document" as the file type.

¨ Name the report and save it in your desired directory.

¨ Depending on its language version, Microsoft Word may ask you about thetype of encoding system you want to use when converting the report intoHTML format. Choose "US/Western European" if it is written in Englishand "Traditional Chinese (Big 5)" if written in Chinese.

¨ After conversion to HTML, the style and format of your original report mayhave been somewhat distorted. Please check and make sure your report styleand format are well preserved.

2. Log into the Digital Market Intelligence System¨ Go to TDC's internal web site and enter the "Digital Market Intelligence

System". Then click "Submission of Market Intelligence Reports". You willsee a page as in Figure 1.2.

¨ Enter the assigned username and password. Then click "login".

3. Fill in a report profile¨ You will be routed to a page similar to Figure 1.3 after logging into the

System. Input the following information in appropriate boxes: report title,language, author, author's e-mail, and office location.

¨ Categorise your report by region and item. You may choose up to threecategories in each case. If you cannot find any appropriate categories in thepull-down lists that best describe what your report is about, you may specifya new category in the "Other Region" or "Other Item" boxes. However, onlyone new category can be named in each of the "Other Region" or "OtherItem" box.

¨ Mark "For internal reference only" if the report is prepared only for TDCstaff. Otherwise, mark "For internal and external perusal". All articles forexternal perusal will be subject to the approval of the Research Department.

¨ Mark "Reviewed by regional director" if the report has been reviewed byyour regional director. Otherwise, mark "Not yet reviewed by region

director". Under normal circumstances, all reports intended for externalperusal must be reviewed by the respective regional director prior tosubmission.

¨ Click "Continue" after filling in all required information.

4. Upload Report¨ Click the "Browse" button. A window will pop up and ask you to choose the

file you are to submit (Figure 1.4).

¨ Make sure "HTML files" is selected in the "Files of type" box.¨ After locating your report, click "Open" to confirm. The selected file will be

shown in the "Enter Filename" box.¨ Click "Upload" to submit your report to the System. You will see a page as

in Figure 1.5, notifying you the report has been submitted to the head office.You may return to the main menu of the system by clicking the word "clickhere".

¨ You will be notified by e-mail upon approval or rejection of your report bythe Research Department.

5. Process your report after submission¨ All submitted articles specified for external perusal are subject to the review

and approval of the Research Department before posting to TDC's externalweb site. Meanwhile, these articles, whether approved or not by theResearch Department, will be displayed in TDC's internal web site as it isoriginally submitted without review or amendments.

¨ All submitted articles specified for external perusal may be commented andevaluated by the public through the Digital Market Intelligence System.

Readers may also send enquiries to the author about the report by e-mailsthrough the System. The author is to directly handle these enquiries.

¨ Articles intended for internal use only are not subject to the review andapproval of the Research Department. These articles will be displayed onlyin TDC's internal web site as it is originally submitted without review oramendments.

Chapter 2. Review by Research Department

Staff from the Research Department may access the Digital Market IntelligenceSystem to review all submitted reports specified for external perusal andapprove/reject the submitted articles. Reports intended for internal use only are notsubject to the approval of the Research Department. They will be displayed in TDC'sinternal web site as it is originally submitted without review or amendments.

Steps to review and approve/reject a market intelligence report:

1. Log into the Digital Market Intelligence SystemMethod A:¨ Open Netscape Navigator. (No Internet Explorer!) Go to TDC's internal web

site and enter the "Digital Market Intelligence System". Then click "Reviewby Research Department". You will see a page as in Figure 2.1.

¨ Enter the assigned username and password. Then click "login". Follow step2 below.

Method B:¨ Once a market intelligence report has been successfully uploaded to the

System, authorised Research staff-in-charge will be notified by an e-mailsimilar to the one as shown in Figure 2.2.

¨ To review this report, double-click the hyperlink in the e-mail message.Your default world-wide web browser will open this hyperlink. If yourdefault browser is not Netscape Navigator, please open Netscape Navigatoryourself and go to this hyperlink by typing it in the "location" box1. You willbe routed to a page similar to Figure 2.4. Follow step 3 below.

2. Select a report to review¨ After logging into the Digital Market Intelligence System, you will see a

page as in Figure 2.3.

¨ Choose from the pull-down list an article to review. Then click "Review".¨ Only submitted articles intended for external perusal that have not been

approved or rejected by the Research Department will appear on the list.

3. Review the report profile¨ You will see a page similar to Figure 2.4. Make sure all filled information

are correct.

¨ Make sure the region and item categories suggested by the author bestdescribe what the article is about. Accept new categories printed in "Otherregion" and/or "Other item" only if you cannot find any appropriatecategories in the pull-down lists that best describe the report.

4. View and/or amend the selected article¨ Click "Click here" above the comment box to view the selected article. The

selected article will be displayed in a new Netscape Navigator window.¨ To edit the content of the article, click "Edit Page" option from "File" on the

menu bar to enter the edit mode (called Netscape Composer) of NetscapeNavigator (see Figure 2.5).

¨ After editing the article, click "Publish…" option from "File" on the menubar to upload the revised article to the System (see Figure 2.6). A dialoguebox will pop up. Click "OK" to confirm.

¨ You may now close the edit mode of Netscape Navigator by clicking"Close" option from "File" on the menu bar. The computer may ask you tosave a local copy of the amended file. You may save it for future reference atyour discretion.

¨ After closing the edit mode, you will return to Netscape Navigator. Thebrowser will show you the original article without amendments. If you wantto see the changes you have made to the article, click the "Reload" button.

5. Comment on the selected report¨ Switch to the Netscape Navigator window showing Figure 2.3.¨ Type your comments on the report in the "Comments" box, if any.

6. Approve, pend or reject the selected article¨ If you find the submitted report ready for public release, click the "Approve"

button to release the report to TDC's external web site. The report profilewill also be updated. The author of the report will be notified automaticallyby e-mail his/her report has been approved for public release.

¨ If the report is not yet ready for public release or you plan to edit the reportlater, click the "Pend" button. All changes you have made to the report andits profile will still be updated. You may edit the report later following steps1 to 4 in this chapter.

¨ If the report is not suitable for public release, click the "Reject" button. Therejected report will be deleted from the system. The author of the report willbe notified automatically by e-mail his/her report has been rejected.

¨ After clicking any one of the three buttons ("Accept", "Pend" and "Reject"),you will get a confirmation message (see Figure 2.7). Click "click here" toexit.

Chapter 3. Read by Users

TDC staff may peruse market intelligence reports submitted by overseas staff fromTDC's internal web site under the Digital Market Intelligence System. All reports,whether intended for internal and/or public use, will be displayed in the internal website as it is originally submitted. Reports specified for public release are subject to thereview and approval of the Research Department. Approved reports can be viewedfrom TDC's external web site.

This section describes how you can read submitted reports from the internal web site.There are several searching criteria for you to locate a report, including searchingthrough 10 latest reports, searching by office location, author, date and category.

Steps to view a market intelligence report:

1. Enter the internal web page to locate a report¨ Go to TDC's internal web site and enter the "Digital Market Intelligence

System". Then click "Read by Users (Internal Reports)". You will see a pagesimilar to Figure 3.1.

2. Search through the 10 latest reports submitted¨ Click any title under "10 Latest Reports" to view the report.

3. Search by office location, author, date or category¨ There are four searching criteria available for you to find a report: "Office"

location, "Author", "Date" and "Category". Clicking any one of thesearching criteria will lead you to a new page.

¨ Example: Searching by Office¨ Click "Office" and Figure 3.2 will be displayed.

¨ Select an office from the pull-down list and then click the "Search"button.

¨ You will see a list of reports that meet the searching criterion (Figure3.3).

4. View and comment on a report¨ After obtaining a list of reports that meet your searching criterion, you may

peruse these reports by clicking their titles. Click any report title and youwill see a page similar to Figure 3.4, showing the complete report .

¨ To comment on the report, click the "Feedback on Report" button.¨ You will be routed to a page similar to Figure 3.5 where you may give a

grade to the report, make comments and/or raise questions to the author.

¨ There are four levels of grading from "Very useful" to "Not useful". Selectonly one of them by clicking its corresponding radio box.

¨ Type your comments on the report in the "Comments" box, if any.¨ If you want to raise questions about the report, follow step 5 below.

¨ If you do not have any questions about the report, you may submit yourgrade and comments by clicking the "Submit comments" button. You willget a confirmation message (see Figure 3.6). Click "click here" to exit.

5. Raise questions about the report

¨ Click the "Further questions" button and you will go to a page similar toFigure 3.7 where you may send questions to the author.

¨ Fill in all required personal information.¨ Click the "Submit" button to send out your questions.¨ The author of the report will receive an e-mail detailing your personal

information and enquiries.¨ You will get a confirmation message (see Figure 3.8). Click "click here" to

exit.

Chapter 4. Feedback Reports

There are two kinds of feedback reports in the Digital Market Intelligence System -Summary Reports and Detailed Reports on Individual Submissions. A SummaryReport gives the total number of articles submitted by each individual overseas officeand readers' overall evaluation of these articles. A Detailed Report provides detailedinformation about a specific article such as comments and evaluations by readers andthe Research Department.

Steps to view feedback reports:

1. Log into the Digital Market Intelligence System¨ Go to TDC's internal web site and enter the "Digital Market Intelligence

System". Then click "Feedback Reports". You will see a page as in Figure4.1.

¨ Enter the assigned username and password. Then click "login".

2. Select a type of feedback reports to view¨ After logging into the Digital Market Intelligence System, you will see a

page as in Figure 4.2. There are three types of feedback reports available:Complete Summary Reports, Monthly Summary Reports and DetailedReports on Individual Submissions.

3. View Complete Summary Reports¨ Click "Complete Summary Reports" and you will see a page showing the

distribution of submitted reports, external reports, internal reports andrejected reports, as well as the overall evaluation of all reports for eachoverseas office since launching the Digital Market Intelligence System.

4. View Monthly Summary Reports¨ Click "Monthly Summary Reports" and you will see a page showing the

distribution of submitted reports, external reports, internal reports andrejected reports, as well as the overall evaluation of all submitted reports foreach overseas office for the current month (see Figure 4.3).

¨ You can read previous monthly reports by specifying the month and thenclicking the "Go" button.

5. View Detailed Reports on Individual Submissions¨ Click "Detailed Reports on Individual Submissions" and you will see a page

similar to Figure 4.4 where you can locate a report.

¨ There are three searching criteria available for you to find detailedinformation of an article submitted: "Office" location, "Author" and "Date".

¨ Example: Searching by Office¨ Select an office from the pull-down list and then click the "Search"

button next to the pull-down list.¨ All matched records will be shown in a list box similar to Figure 4.5.

¨ Select one of the records from the box and click "Go" to see detailedinformation about the article selected.

¨ Detailed information about the article selected will be displayed on thescreen, including comments and evaluations by readers and theResearch Department (see Figure 4.6). If you want to go back to themain menu, Click "Back".
