Welcome

Welcome to the Project Management Excellence– Project Management

Pathways.

The Department of Justice and Regulation (DJR) developed a standardised Project and Program Methodology, the Project Management Excellence (PME) Framework, to provide staff and contractors with a set of consistent templates, tools and techniques to strengthen the department’s project management capability.

To assist the PME community in improving project management capabilities, Project Management Excellence in partnership with the Australian Institute of Management (AIM) is offering you the opportunity to undertake one of the following qualifications:

Certificate IV in Project Management Practice

Diploma of Project Management

The above qualifications are designed to develop and refine your skills in project management areas whilst complementing your work roles with formal learning.

The key objectives for the Certificate IV in Project Management:

Define, develop and manage scope control processes

Develop, implement and evaluate project schedules

Plan for and implement processes to ensure quality project outcomes

Determine project budgets and measure performance to manage expenditure

Establish a team of suitably skilled project personnel and manage performance to achieve project objectives

Plan, develop, implement and assess project communication processes

Identify and address stakeholder needs through effective engagement practices

Analyse and implement controls to mitigate risk

Initiate and manage procurement activities and outcomes

The key objectives for the Diploma in Project Management: Deal with complexities and address the challenges that come with leading projects

Integrate project activities in order to achieve project outcomes

Document and apply control processes to ensure project governance

Collate, analyse, create and disseminate project documentation

Student Charter AIM is committed to the pursuit of excellence in all aspects of teaching and learning. Excellence in teaching and learning involves students as active learners in their educational experience.

This Student Charter sets out the expectations students can properly hold as they receive their education. It recognises that ethical and honest behaviour and treatment underpins the relationship between AIM and its Learners.

AIM Responsibilities Learners can expect:

To be treated with courtesy and respect

AIM to address the reasonable needs of all learners regardless of gender, ethnicity, age, disability, race, background or mode of study

To enjoy a study environment free from harassment, bullying or discrimination of any kind

To be provided with a harmonious work and study environment in which concerns and complaints are addressed as quickly as possible

To have personal privacy respected. Learners may expect that personally sensitive information will be requested only where necessary for AIM academic or administrative functions and that, once collected, it will be adequately protected against inappropriate or unauthorised access

To have access upon request to personal records which AIM may hold about them, subject to the provisions of the Freedom of Information Act 1992 and relevant AIM policies and procedures

To be provided with accurate, timely and helpful information regarding their studies, enrolment and other administrative procedures that apply to them

That program and course content will be up‐to‐date and informed by current research and industry standards

To have reasonable access to AIM staff for individual consultation outside class times, in person or by other means (such as by telephone or electronic mail)

That feedback on assessment will be recognised as a valuable part of the educative process

That the facilities or equipment in use are safe and comply with the AIM’s health and safety standards

Student Responsibilities AIM/ Project Management Excellence Learners are expected to:

Treat others with respect and courtesy

Respect the opinions of others and deal with disagreement by rational debate

Respect property and the facilities

Avoid conduct which disrupts the teaching, learning or research activities of other students and staff, or which interferes with others performing their duties

Avoid conduct which might reasonably be perceived as discrimination, harassment, bullying or intimidating

Acquaint themselves with AIM and Project Management Excellence’s policies and procedures relevant to their enrolment and studies and observe the statutes, policies and procedures of AIM

Maintain steady progress in assessment in courses and qualifications undertaken

Incorporate feedback into their learning

Not plagiarise in assessments and submit work that is genuinely theirs

Adhere to the assessment, re‐submission or extension processes

Learners concerned about the application or contravention of the principles outlined in this Student Charter (and the policies that underpin these principles) should be aware that grievance procedures exist to deal with inappropriate conduct, such as harassment or discrimination and breaches of personal privacy.

Manager Responsibilities Line managers are expected to:

Foster a supportive environment for learning and development

Provide guidance and support to students to assist in transferring skills, knowledge and insight back to the workplace

Assist in scoping relevant workplace activities to meet assessment requirements

Assist in providing resources and removing barriers for student development

Provide Third Party Reports for assessments as required

Discuss and implement student support strategies as required

Ensure students can attend training free of workplace distractions

Work based Applications

Assignments

A challenging aspect to any Learning program is making sure that the skills and knowledge covered are applied back at the workplace. In addition to the course material, individuals will be drawing on their own experience and skills, and relevant resources within the organisation. It is the intention of the assignment and of the activities, to provide participants with an immediate application for some of the material covered in the notes back in the workplace.

The focus when implementing the assignment will be on what you are learning and how you are applying the concepts and ideas in your work environment, rather than focusing on what you are aiming to achieve in the particular task.

Following completion of the identified group of Modules (reading and writing in relation to the Activities and Group Activities), you are to prepare a report describing how you have applied some of the concepts and frameworks in dealing with a selected topic from the list that follows in this document.

Assessment for all qualifications

The overall assessment will take into account the following:

Attendance at workshops

Completion of the Assessment Parts (Assignments)

Undertaking workshop activities that will be specifically conducted for assessment purposes to support competency decisions

Submitting your Assessment

You are required to submit your assessment by the due date, set out as follows:

The Assessment Cover Sheet must always be included as part of your assessment report. These should be scanned (or soft copy will be provided) and included as the cover of your submission. Assessments submitted without a cover sheet will not be accepted.

Assessments must include the completed Candidate Background Information (this is only required once with your first assessment submission)

Assessment Lodgement

All Assessments are lodged by an online portal called MyAIM. Once you have completed your enrolment, login details will be forwarded to you for this site.

The web address for this site is https://my.aim.com.au/login/index.php.

After setting up your MyAIM login, you will access and submit all assessments through this online portal.

Extensions

Requests for extension of time must be directed to prior to the due date to [email protected].

The maximum extension period is 4 weeks after the original assessment due date.

Late assessments will not be accepted.

Section 1: Qualification Requirements

Qualification Requirements Project Management Excellence in partnership with AIM will be delivering:

Certificate IV in Project Management Practice ‐ 9 units of competency

Diploma of Project Management ‐ 9 units of competency

Listed below are the competency areas. Specialist facilitator who will present the course content and be your support throughout the program duration will facilitate the program. The PME Foundation structure is based on the Competency Standards from the Business Services Training Package BSB41515 and BSB51415. All qualifications are nationally recognised within the Australian Qualifications Framework. You will be required to complete assignments associated with each module, some parts within the workshops and other aspects by submission.

Certificate IV in Project Management Practice – BSB41515 If you are completing a Certificate IV in Project Management Practice, the PME Foundation

course aligns to the following units of competency from the Business Services Training

Background Nationally recognised training is any training that meets the outcomes set down in either Training Packages or Accredited Course and endorsed by the National Skills Standards. Council.

These outcomes have been determined through an extensive consultation process including state and Federal training authorities, industry representatives, employee representatives and Industry Skills Councils (ISCs).

Course Materials Each learner will receive a set of comprehensive course materials, including handouts and relevant reference materials.

Individual Needs AIM and Project Management Excellence is committed to supporting learners with individual needs and provides support services ranging from disability access to support in English language, literacy and numeracy. Learners with individual needs or requirements for support services are encouraged to contact AIM on 1300 658 337 at least three working days in advance. This will assist with room allocation and lesson planning.

If you require support with English language, literacy and numeracy issues, AIM will arrange an interview and assessment of abilities with a numeracy or literacy specialist. Some one‐on‐one support is provided during training and during the assessment process.

Confidentiality and Privacy AIM sets the highest standards in relation to confidentiality of training records and achievements. We respect your right to privacy. We advise that the information that you may provide to us could be Personal Information as defined in the Privacy Act 1988 (Cth).

The provision of the information is voluntary, but if this information is not provided AIM may not be able to process your enrolment or respond to your enquiry.

We may use your Personal Information to inform you about our products and services and may disclose it to Approved Third Parties. Pathway 3 – Diploma of Project Management To pursue the Diploma of Project Management, after completing PME Foundation, you can attend one of the AIM Project Management Practitioner public programs and complete the Diploma assessment after that two‐day course.

via DOJ‐MPPO‐[email protected].

Unique Student Identifier From 1 January 2015, the Commonwealth government is introducing the Unique Student Identifier (USI). The USI is a reference number made up of numbers and letters that gives students access to their USI account. The USI will account will store the training records of the student which the student can access at any time. The student may also grant access to others including training organisations such as AIM and employers.

The USI will need to be supplied to AIM before AIM can issue any certificate for training completed through AIM. Students can create their own USI by accessing the USI website https://www.usi.gov.au/students/create‐your‐usi. Once created you should provide AIM with the details of your USI.

Statements of Attainment and Qualifications A student who has been assessed as competent in a unit of competency will be awarded a Statement of Attainment. The relevant type and number of Statements of Attainment build to provide a Qualification. A Statement of Attainment or Qualification issued by AIM is an official document, imprinted with the Nationally Recognised Training logo and will be recognised by other Registered Training Organisations across Australia.

Recognition of Prior Learning Recognition of Prior Learning (RPL) is a legitimate assessment pathway that enables Learners to demonstrate competence from prior experience and learning. RPL Learners submit a portfolio of evidence to AIM for assessment and undergo a competency conversation as part of the assessment process.

Credit Transfer RTOs in Australia operate within the Australian Quality Training Framework (AQTF) or the NVR VET Quality Framework. Statements of Attainment and Qualifications issued by other RTOs will be recognised by AIM and may count as credit towards a qualification with AIM. For further advice, please contact AIM on 1300 658 337.

Being Respectful of Others All students are entitled to access face‐to‐face sessions and workshops free from disruption by others. If a student disrupts a course, it will be brought to the attention of the Head of RTO or their delegate who will counsel the student. Successive disruption will result in the student being removed from the class. For more matters that are serious, the student may be directly removed from the class at the discretion of the facilitator, in consultation with the Head of RTO or their delegate. The action taken will be recorded on the student’s record.

The AIM assessment model The assessment is designed to help you gather evidence of your competence in relation to the units covered in this program. At the end of this document, we have outlined the competency standards for each unit in the Diploma. Evidence may take a variety of forms but must be:

authentic (your own work)

valid (related to the competency)

reliable (show that you meet the competency in numerous opportunities over time)

current (show that your competence is current).

Additional evidence An essential part of assessment is the submission of evidence of workplace application to demonstrate the skills you have acquired during your training. To be deemed competent, you must be able to demonstrate your competence in the workplace.

In some instances, it may be relevant/appropriate to include additional evidence, the types of additional material you may include with your responses to the assessment tasks could be:

documents produced by your organisation or department (e.g. position description, budget, team summaries)

time schedules and/or extract from logbook

minutes or notes from meetings (e.g. team meetings, meetings with your manager)

action plan prepared by you alone or in conjunction with others

a quality improvement plan

written feedback from your team members

a report you have prepared for management

a survey or customer feedback summary

a newsletter or broadsheet

copies of correspondence—letters, faxes or email

Important Qualification Information The following terms and conditions apply to students enrolling in Vocational Education and Training (VET).

Tuition Fees It will be the participants’ responsibility for fees and they must be paid. If an invoice is issued by AIM it must be paid no later than 14 days from the date of the invoice.

The fees include all training materials, assessment fees, catering during face‐to‐face training and access to AIM resources.

Payment can be made by the following methods:

Credit card All credit cards are welcome, payments can be arranged over the phone and no credit card surcharges will apply.

Purchase Order If you need to raise an internal purchase order please advise. Your space on the course is not secured until you have provided us with an official Purchase Order with all relevant details completed.

Withdrawal and Deferral The information below refers to the term 'unit of study'. Each qualification is composed of three or more units of study. For VET qualifications, a unit of study is made up of one or more units of competency.

Withdrawing from a Course If a student wishes to withdraw from a unit of study or their entire course they need to understand the significance of the 'census date'. The Census Date is the published date for each Unit of Study up to and including which a student can elect to withdraw from their at any time date for a unit of study will have any upfront fees paid reimbursed to them. Students can withdraw before the census date by sending an email to [email protected] stating their reasons for wanting to withdraw.

After the census date has passed, there are no fee refunds unless the student can provide evidence of Special Circumstances where, due to unforeseen circumstances, they can no longer study without financial penalty. This means that students withdrawing on or before the census.

Special Circumstances AIM will review its refund policy in cases of special circumstances that include:

Medical circumstances: where a student’s medical condition has changed to such an extent that he or she is unable attend face to face classes; or

Family/Personal circumstances: death or severe medical problems within a family; or

Unforeseen family financial difficulties, so that it is unreasonable to expect a student to attend.

Evidence sufficient for a claim of special circumstances shall include (but is not limited to) the following:

In respect to medical circumstances, the provision of a medical certificate from a medical practitioner

• In respect to family/personal circumstances, a statutory declaration witnessed by a Justice of the Peace, and where family medical problems are cited, a copy of a medical certificate from a medical practitioner

AIM will be satisfied that a student’s circumstances are beyond the student’s control if a situation occurs that a reasonable person would consider is not due to the person’s action or inaction, either direct or indirect, and for which the student is not responsible. The situation must be unusual, uncommon or abnormal.

Each review will be examined and determined on its merits by considering a student’s claim together with independent supporting documentation substantiating the claim.

Cancellations, Refund Policy, Transfers to Alternate Short Courses Notifications of cancellations, refunds and requests for transfers must be made in writing to [email protected]. Alternatively, call AIM on 1300 658337 to discuss your options.

In the event of a cancellation, the Institute will refund the fees paid in full if AIM is advised in writing of a cancellation more than 10 working days prior to the Course commencement date.

In the event of notification of a cancellation 10 working days or less before the Course commencement date fees paid will not be refunded or allocated to another Course. AIM cannot accept responsibility for changes to work commitments or personal circumstances within this 10 working day period.

Non ‐ Attendance (No Show) If a student fails to attend a program, course fees will not be refunded or allocated to another course.

General AIM reserves the right to cancel, postpone or re‐schedule courses due to low enrolments

or unforeseen circumstances. Where a fee refund is due to a student such a refund will be provided within 30 days.

The information provided by AIM is correct at the time of publication but may be subject to change. AIM reserves the right to change course fees, dates, content or facilitators at its discretion.

AIM reserves the right to record, via video and/or audio, learning sessions for quality assurance purposes and to support students.
