Introduction The Webtop application is the next generation multi-purpose web interface into the Documentum Enterprise Content Repository. It is based upon J2EE standards and uses the Web Development Kit (WDK) 5 as its foundation. Webtop will provide two user interfaces that will be available for the different types of roles or users within the enterprise. The first user interface is called, Classic View. This interface provides a more traditional view into the Documentum repository and is geared towards the more sophisticated administrator or coordinator types of users.

The second interface is called, Streamline View. This interface provides a very lightweight and “webby” interface that allows all levels of users to access Documentum and it also provides an excellent solution for extranet applications or environments with low bandwidth and high latency issues.

1.0 Documentum Webtop – General Topics # Questions Answers 1.1

What is the target release date for Webtop?

The target release date for Webtop is December 18, 2002.

1.2 Will there be an application server that will be bundled with Webtop?

No.

1.3 If I’m a customer under maintenance, is there any cost associated with obtaining Webtop?

Customers on maintenance will not be charged any additional fees from Documentum and will receive the Webtop application as part of the normal software upgrade process.

2.5 Are there any compatibility issues related to DFC 4.2.x and DFC 5.x?

Yes. Webtop uses DFC 5.1. If you are installing Webtop on a application server that already has any DFC 4.2.x based applications, then those applications will break. If you are connecting to Webtop from a client machine that already has a DFC 4.2.x based application installed and you download the content transfer applet onto that machine, this will have no adverse effect.

3.0

Localization

3.1 Which Language Packs will be provided with Webtop and when?

Webtop 5.1 will ship with the core English product and will be able to download the Language Packs for the following languages: French, German, Italian, Spanish, Japanese, and Korean.

3.2 What other supporting information will be a part of the Webtop Language Packs?

The Language Pack will also provide On-Line Help and the “Using Documentum Webtop” User Guide in English, French, German, Italian, Spanish, Japanese, and Korean.

3.3 Which Webtop documentation will only be supplied in English?

The following documentation will be supplied in English only:

3.4

Will there be a localized Webtop Installer?

The Webtop Installer will only be provided in English since it is primarily used by the administrator.

3.5 Will error messages be localized?

Error messages from Webtop are not localized, since the administrators and developers for the most part are the people that will need to deal with them, rather than the end users.

3.6 Will Webtop support the European Date format?

Yes. Webtop will support the European date format. When a user logs into Webtop, they can choose their “locale” and Webtop will support the local date format. Please note that Webtop only supports the numerical representation of a date. Supported Example: dd/mm/yyyy 22/11/2002 (numerical) * Not Supported: dd/mmm/yyyy 22/Nov/2002 * Please note this can be done using WDK.

4.0 Webtop Architecture 4.1 Will there be any plug-ins

associated with the Webtop application?

No.

4.2 Will there be anything that needs to be installed on the client machine?

Yes. There will be a “content transfer applet” that will be downloaded automatically when it is first required. The content transfer applet will manage the import, export, view, check-in, and check-out of content files across the web. Also, there are two applets, one is a lightweight applet for “standard” content transfer and the second is a more “full functioning” applet that provides additional XML capabilities. Webtop will use the lightweight applet, unless it detects the use of XML content, then it will download the full functioning applet.

4.3 What are the file sizes of the standard content transfer applet and the full content transfer applet?

The standard content transfer applet is 471KB, while the full content tranfer applet is 2.4KB.

4.4 Can I enable both the Microsoft’s JVM and Sun’s Java Plugin within the same browser?

No. Webtop supports the use of only one JVM for all client browsers. (see the certification in 2.2).

4.5 Do I need to configure anything on the Application Server in which Webtop is installed in order to run a particular JVM within the client browsers?

Yes. Within the /wdk directory on the application server, there is an app.xml file that needs to be configured appropriately. To support Microsoft JVM: <usepluginforie>false</userpluginforie> To support Sun Java Plugin : <usepluginforie>true</userpluginforie> See Webtop Release Notes for more details.

4.6 Will Webtop support SSL connections within the browsers?

Webtop will support SSL within the Internet Explorer browser 5.5 (SP2) and 6.0. The first release of Webtop will not support SSL within any browser that uses the Sun Java Plugin.

4.5 Is there a way to set a default view for all Webtop users?

You will need to configure the XML <entrypage> tag in the "webtop/config/main_component.xml" file with the desired default view.� Example: Change From: <entrypage>classic</entrypage> To: <entrypage>streamline</entrypage>

5.0 Webtop Functionality 5.1

Does Webtop support DRLs?

Webtop provides a DRL icon for cabinets, folders, and documents that allows the saving of DRLs to the local filesystem, or as an e-mail attachment, or to the Favorites within your web browser. Example of DRL icon :

5.2 Can I double-click on the DRL and have it launch Webtop?

Yes. Once the DRL is saved to your local filesystem, you will be able to double-click on it and it will launch Webtop in your default browser. If you do not have an active Webtop session, then you will be prompted to log in, after which it will take you to the appropriate location or if is a document, then it will prompt you to either “View” and/or “Edit” depending on your access rights. If you are already logged in, it will go directly to the appropriate location.

5.3 What type of cross Docbase functionality is supported?

Within Classic View, you will be able to use the navigation tree to traverse multi-Docbase hierarchies once you have successfully logged into each repository. Within Streamline View, you can use the Docbase selector pulldown menu to switch from one Docbase to another.

5.4 What type of multi-select operations are supported by Webtop?

Multi-select operations are provided within Classic View and apply to the following actions: Edit, checkout, export, delete, add to clipboard, lifecycle management, convert to VD, create renditions, subscribe, and quickflow.

5.5 Is there a way to select all items that are listed within a particular page?

Yes. In the column sorting area within the Classic View content pane, there is a “Select All” checkbox.

What does the “key” icon in the sorting column area mean?

The “key” icon allows the user to sort their documents based upon documents that are currently checked out. If you click on the key icon once, it will put all the checked out documents at the top of the list. If you click on it once again, it will toggle and put the checked out documents at the end of the list.

5.7

What type of XML support will be available within Webtop?

Webtop will provide the ability to import an XML file and its associated content and assign an XML category during the import process. During the import, the XML content will be chunked, validated against a DTD or XML Schema, stored in the appropriate cabinet/folder hierarchy, automatically populate attributes, in addition to assigning a lifecycle and ACL. In addition, the checkin, checkout, and export of an XML file will have an option to act upon the top level file or all associated files.

5.8 On the Webtop login screen, the “More Options…” link allows users to “Change Password”. Does this change the user’s password if the Documentum Server is using LDAP as the user source for authentication?

Yes, with Content Server 5.1 it is supported for Netscape/IPlanet and Oracle Internet Directory, but the Change Password API for Active Directory is currently not supported.

5.9 Will there be a way to find the status of workflows?

Yes. There will be a menu item under Tools � Workflow � My Workflows This will display a view of all current workflows that you have either started, own, or supervise. From this view, you will be able to stop, pause or resume a workflow.

5.10 Will there be a way to search on workflows?

Not in the first release of Webtop.

5.11 Can I save my searches?

Yes. Once you receive the results from either a simple search through the “one-box” search or through the advanced search screen, there will be a “Save Search” button that will allow you to save that specific search as a dm_query object within the Docbase for re-use.

5.12 How can I access and run a saved search?

You can either go to the “Saved Searches” tab within the Advanced Search screen or you can navigate to the “Saved Searches” folder within the user’s home cabinet. From either of those locations, you can select the appropriate saved search object and run it directly from that location.

5.13 Are smartlists objects supported within Webtop?

You will be able to see a smartlist object, but not be able to execute it within Webtop.

5.14 In which versions of the Documentum Server is the Subscriptions capability supported?

For the 4.2.x versions of the eContent Server, a DQL script must be executed in each Docbase in order for the new Subscription Relation Object to be created. This will enable the Subscribe feature within Webtop. For Content Server 5.1, the Subscription Relation Object is automatically created for each new Docbase.

5.15 Can a user attach a document to a workflow without having to navigate the entire Docbase?

Yes. Within the Classic View, you can mark the checkbox next to the content that you would like to attach to the workflow and from the Pull-down menu go to Tools � Workflow � Quickflow. Within Streamline View, there will be an inline menu option More � Tools � Quickflow. If you would like to use a Workflow template, you have 3 options on how to associate a document to the workflow. They are as follows:

1. Navigate to the file. 2. Choose from your “my files” list. 3. Choose from your subscriptions list.

5.16 Will a user be able to view the task

information associated to a workflow without Web Workflow from the Intranet Client?

Yes. The following workflow task information is provided:

You will also have access to the “Workflow Progress” properties, such as:

5.17 Will the same functionality be available across all client platforms (i.e. Win2k, HP-UX, Solaris, AIX)?

Yes. Webtop is a true thin web application and all functionality will be identical across the different client platforms.

5.18 Will Drag-and-Drop be supported now or in the future?

We are in the process of evaluating support for Drag-and-Drop for a future release, but no plans have been made as of yet.

5.19

Will MS Office Integrations be available?

Not in the first release of Webtop, but it is planned for a future release.

5.20

Can I get the document “location” from the results returned from a search?

Yes. The folder path is returned inline with the search results.

5.21 Can multiple documents be attached to a workflow?

Yes. Within the Classic View, you will be able to mark the documents that you want to attach to the workflow and then initiate the workflow from the Tools � Workflow � Quickflow. Using workflow templates, you will be able to “Start Workflow” from either the Classic or Streamline view and add multiple documents as long as the workflow template was created to support multiple packages.

5.22 When a user logs into Webtop, will they have to click on the “Login Button” within the login screen instead of hitting the Enter Key?

Both the “Login button” within the login screen and the “Enter” key will invoke the login process for Webtop.

5.23 Will there be a way to discern between a linked document and the original document (as in DTC)?

Not in the first release of Webtop, but is planned for a future release.

5.24 Will there be a way to find out where a document is linked?

Yes. There is a “Locations” menu action that will provide a listing of all the cabinets, folders and virtual documents that the file is associated with.

5.25 Will thumbnail creation and viewing be supported within Webtop?

Yes.

Webtop will detect whether or not a Media Services Server is available and if so, it will "turn-on" thumbnail capabilities. Once enabled, there will be a checkbox to activate thumbnail viewing within the Webtop.

Will there be a “send to” option to e-mail content from the repository to an outside party?

Not in the first release of Webtop, but is planned for a future release.

5.27

What is the relationship between Webtop and WDK 5?

Webtop is built entirely upon the WDK 5 architecture and is comprised of a suite of WDK 5 components that are packaged together as an application. Webtop will be the replacement to the existing RightSite-based Intranet Client.

How is Webtop similar/different than WDKSpace?

WDKSpace is a sample application that was built using the WDK 4.X product. Webtop is a packaged application that is built using WDK 5 and will be sold as the standard web client for Documentum.

Will Term-Hit Highlighting be supported?

This is being evaluated for future support.
