Assignment of SpacePriority is given to Corporate Members and returning Pacific Northwest Veterinary
Conference exhibitors based on points accumulated through the last conference.
It is the Pacific Northwest Veterinary Conference’s policy to ensure that returning
exhibitors receive priority booth assignment when applying to be an exhibitor. The
priority point system is used to allocate exhibit space by March 31, 2020. After that,
booths are assigned on a first-come, first-served basis regardless of accumulated
points.
No space can be held without payment. Early reservations are encouraged.
Confirmation of booth reservations will be made promptly.
RaffleAs a way to increase traffic through the exhibitor area, we are holding raffles! Each
exhibitor will have raffle tickets to hand out to attendees who visit their booths.
Attendees will receive raffle tickets from exhibitors to enter the 2020 PNVWC
Exhibitor Raffle, which WSVMA staff will conduct. Please feel free to also hold your
own raffle if you wish.

ELIGIBILITYEligibility to be an exhibitor at the Pacific Northwest Veterinary Conference is limited to organizations whose products or services relate directly to the practice of veterinary medicine. The Pacific Northwest Veterinary Conference reserves the right to reject any application to exhibit.
ASSIGNMENT OF BOOTH SPACEVendor subscribes for booth space at the 2020 Pacific Northwest Veterinary Conference at the Greater Tacoma Convention, Tacoma, WA on October 2-3, 2020.
Priority is given to Corporate Members and returning Pacific Northwest Veterinary Conference exhibitors based on points accumulated through the last conference. It is the Pacific Northwest Veterinary Conference’s policy to ensure that returning exhibitors receive priority booth assignment when applying to be an exhibitor. The priority point system is used to allocate exhibit space by March 31, 2020. After that, booths are assigned on a first-come, first-served basis regardless of accumulated points.
Management reserves the right to make final determination of all space assignments, including changing the floor plan or reassigning booth if necessary. If exhibit space is sold out, companies will be placed on a waiting list based on the date of receipt and payment of application. Management retains the right to refuse display space to any company whose goods and/or services are not, in the opinion of management, compatible with the general character and objectives of the Pacific Northwest Veterinary Conference and the Washington State Veterinary Medical Association.
PRIORITY POINT SYSTEMThe Pacific Northwest Veterinary Conference uses a new point system to assign exhibit booth space up until March 31, 2020. After that, booths are assigned on a first-come, first-served basis regardless of points. The following is a complete breakdown of how those points are accumulated and utilized:
• Two points for exhibiting at the previous year’s Pacific Northwest Veterinary Conference.
• Two points for every $5,000 in sponsorship to the Pacific Northwest Veterinary Conference.
Sponsorship amounts are accumulated from past Conferences beginning with the 2019 PNWVC.
• Accumulated points will not hold a booth space if payments are not made according to the schedule/calendar on page 4 of the exhibitor contract.
• Companies who begin tear down or have left the Exhibit Hall prior to 3:45 PM on Saturday will lose all priority points and will have a low booth assignment at future conferences.
• If companies have the same number of points, the company that submitted their contract and pays in full first will have priority in selecting a booth.
• No-shows do not accumulate points.
BOOTH DIMENSIONSBooths are 8’ x 10’ or 8’ x 20’ in size. Backwall drapes are 8’ high and sidewall drapes are 3’ high. Fire code regulations prohibit exhibits from extending into aisles.
SUBLETTING, SHARING, OR REASSIGNMENTSubletting, sharing, or reassignment of space by an exhibitor is strictly prohibited. The exhibitor agrees not to assign, sublet, or apportion space or any part thereof contracted for, nor to exhibit, advertise, or offer for sale merchandise or services other than those manufactured or sold by the exhibiting company in the regular course of business.
BADGESAll exhibitors must wear a badge at all times. The exhibitor reserving the space is responsible for letting the Pacific Northwest Veterinary Conference know the names of their staff members by August 24, 2020. If more than two booth attendees are scheduled, additional exhibitor badges are available for $150, which includes all meals served in the exhibit hall. Veterinarians and veterinary technicians who are registered for the conference through an exhibitor can attend CE classes, but they must register for the conference as an attendee and pay the appropriate fees to receive a certificate of attendance and access to lecture notes.
DEFAULT OF OCCUPANCY• Default of occupancy is the responsibility of the
exhibitor.
• Exhibitors must be show-ready by 9:30 AM on Friday, October 2, 2020.
• Failure to occupy by the designated set-up time does not excuse payment in full for the contracted booth.
• The onsite contact for the company must check-in with show management or Convention Center Services no later than 9:00 AM on Friday, October 2, 2020, or the exhibitor will be considered a “no show.” Space will be re-assigned at the discretion of show management. “No shows” at the conference do not get a refund and will not be allowed to exhibit at the next Pacific Northwest Veterinary Conference. “No shows” also do not accumulate priority points.
• Removing display items and/or dismantling a booth before the scheduled breakdown time for all exhibitors is a violation of this contract and will be considered the same as a “no show.”
PAYMENTFull payment for vendor’s booth space shall accompany the Exhibit Booth Reservation form and must be received by the WSVMA at the time of reservation to hold your booth space reservation. Payment must be made by check drawn on a U.S. bank or credit card (Visa, MasterCard, AMEX, or Discover only); dishonored checks or credit cards will prevent booth(s) being assigned until rectified. There is a $25 charge for returned checks.
CANCELLATION POLICYAll cancellation and refund requests must be received in writing on company letterhead. If Vendor is not able to attend the 2020 Pacific Northwest Veterinary Conference, Vendor may be entitled to a refund on the following schedule.
• 60 day—If written cancellation is received by August 2, 2020, and if booth space is resold, Vendor is entitled to an 80% refund.
• 30 day—If written cancellation is received by September 2, 2020, and if booth space is resold, Vendor is entitled to a 50% refund.
• Less than 30 days—If Vendor cancels after
September 2, 2020, Vendor will not receive a refund.
HOURS OF OPERATIONHours of show on Friday, October 2, 2020 are 9:50 am to 6:00 pm and Saturday, October 3, 2020 from 8:30 am to 3:40 pm. Set up of exhibits begins at 7:00 am on Friday and Vendor shall have their exhibit completely assembled and ready to be viewed by guests no later than 9:30 am Friday, October 2. Vendors shall staff their booth during all hours of the 2020 Pacific Northwest Veterinary Conference. Vendors shall not begin disassembling their exhibit until 3:45 pm on Saturday, October 3, 2020. There is an afternoon coffee break on Saturday, and attendees will be told that this is their last chance to complete their contacts with the exhibitors.
INTERFERENCE PROHIBITEDExcessive noise, bothersome lighting or other use by vendor which interferes with the exhibition space used by other vendors is prohibited, as is the creation or maintenance by vendor of any dangerous or hazardous condition or situation. The aisles belong to the show. Neither vendor nor advertising material shall protrude into the aisles. Booth shall not exceed 8 feet in height without show coordinator’s approval.
SERVICES NOT PROVIDEDThe 2020 Pacific Northwest Veterinary Conference does not provide equipment, decoration, labor, carpenters, storage for exhibit materials, special lighting, gas, water supply or other related services. All arrangements for these items must be made by the vendor, and vendor shall defend, indemnify and hold harmless the 2020 Pacific Northwest Veterinary Conference for any and all claims, losses, damages, injuries or other charges which may occur from such arrangements made by vendor.

SECURITY SERVICESAdmittance to the exhibit area will be by official identification badge only. The Greater Tacoma Convention Center will be locked when we are not in the building, however the Pacific Northwest Veterinary Conference assumes no liability for exhibits, their contents or personnel.
PRE-SHOW INSPECTION AND VIOLATIONS NOTICEA walk-through takes place by conference management at 9:30 AM on Friday, October 2, 2020. Any booths not meeting the rules and regulations set forth in this exhibitor prospectus are in violation of show standards. A violation notice, stipulating required action, will be posted in the booth. If an exhibitor receives a violation notice, they must correct the problem by 9:50 AM on Friday, October 2, 2020, or their booth will be dismantled at the expense of the exhibitor. Violations include exceeding booth height and width restrictions as specified in this exhibitor prospectus. Any pop-up, pre-fabricated, or other custom-designed booth that appears unfinished from the sides or the back will be draped by Convention Center Services and billed to the contracting exhibitor. No refunds are issued for booths that are dismantled due to a violation of the booth construction guidelines.
SUITCASINGSuitcasing is a business practice in which companies will gain access to an event by obtaining some type of event credential (attendee badge, expo-only badge, etc.) and then solicit business in the aisles or other public spaces used for the conference. This practice skirts the support of the organizer and the industry. The Pacific Northwest Veterinary Conference has a zero-tolerance policy regarding suitcasing. If there is someone who has obtained credentials for the sole purpose of suitcasing they will be asked to leave the conference.
EXHIBITORS AND CONVENTION PROMOTIONName of confirmed and past exhibiting companies may be used by the Pacific Northwest Veterinary Conference for promotional purposes. Photos or video taken in the Exhibit Hall or at any other Pacific Northwest Veterinary Conference event by the
Pacific Northwest Veterinary Conference staff or designated photographers of exhibiting companies and their employees may be used by the Pacific Northwest Veterinary Conference for promotional purposes.
EVENTS, ACTIVITIES, AND HOSPITALITY SUITES All requests for any exhibitor/sponsor events, activities, and hospitality suites must first be approved by the Pacific Northwest Veterinary Conference. Competing events are prohibited and include: seminars, sessions, or receptions conducted at one of the conference contracted properties or off property during any Pacific Northwest Veterinary Conference scheduled activity. Exhibitors/sponsors requesting a suite must notify the Pacific Northwest Veterinary Conference if it will be used for hospitality. Industry-related events, entertainment, and hospitality activities may not overlap with Pacific Northwest Veterinary Conference program events.
RAFFLESRaffle drawings are permitted within a booth, but the exhibit hall and/or Pacific Northwest Veterinary Conference public address system cannot be used to promote these raffles in any way, or to announce the winners. Exhibitors must make it clear, both during and after the conference, that the raffle is theirs and not an official Pacific Northwest Veterinary Conference raffle.
DRAYAGE AND SHIPPING Greater Tacoma Convention Center Services has been selected as the official decorator for this event. Additional requirements are to be ordered directly from the decorator.

EXHIBITOR SERVICE LINKExhibitor service link will be emailed to exhibitors 60-90 days prior to the start of the Pacific Northwest Veterinary Conference for ordering items that you will need inside your booth. POST EVENT SHIPPING INSTRUCTIONSPlease make sure you set up your own outbound shipping before you leave the Greater Tacoma Convention Center. This should include printing shipping labels, adhering labels to packages and calling to schedule the pick-up with preferred carrier. The WSVMA and the Greater Tacoma Convention Center are not responsible for setting up any outbound shipments. Label printing will not be available on-site. Packing tape is not available on-site so please make sure you bring your own. Once shipment is set-up and packages are labeled, please leave all boxes/cartons/containers in your booth. The Greater Tacoma Convention Center will move them to the shipping dock.
INSURANCE NOT PROVIDEDVendor acknowledges 2020 Pacific Northwest Veterinary Conference provides no insurance covering vendor’s property. It is vendor’s sole responsibility to obtain interruption, property damage, personal injury, vandalism, theft and any other insurance it may need to cover any losses it may suffer at the 2020 Pacific Northwest Veterinary Conference.
LIABILITY/INDEMNITY The exhibitor agrees to make no claim for any reason whatsoever against the Pacific Northwest Veterinary Conference, the Washington State Veterinary Medical Association, the Greater Tacoma Convention Center, the official general service contractor and their officers, directors, employees, agents, and authorized representatives, for any of the following: loss, theft, damage to goods, or injury to himself, his employees, or attendees while in the exhibition area, nor any consequential damage to his business for failure to provide space for the exhibit or for the failure to hold the event as scheduled.
The exhibitor assumes entire responsibility and hereby agrees to protect, indemnify, defend, and hold harmless all parties from claims, losses, damages to persons or property, governmental charges for fines, and attorney’s fees related to the use of the exhibition premises or part thereof. In addition, exhibitor acknowledges that neither the Pacific Northwest Veterinary Conference, the Washington State Veterinary Medical Association, the Greater Tacoma Convention Center, or the official general service contractor maintain insurance covering exhibitor’s property and that it is the sole responsibility of exhibitor to obtain business interruption and property insurance covering such losses by exhibitor.
ADVERTISING, SPONSORSHIP PAYMENTS, AND CANCELLATIONNotification of intent to cancel advertising in the conference program must be provided in writing on company letterhead. Cancellation, refund, or advertising change requests will not be accepted if received by the Pacific Northwest Veterinary Conference after July 15, 2020. As of this published date, an ad is considered to be “in production.”
CHARGES FOR ADS IN THE CONFERENCE PROGRAM If a sponsorship was reserved and a request is made for cancellation or deletion of any portion of the sponsorship, the canceling sponsor will be charged the non-sponsor rate for ads already published, ads in production, or ads to be subsequently published, if necessary.
