The Division of Student and Enrollment Services (SAES) has an outstanding opportunity for an Administrative Assistant in the Office of the Vice Chancellor. The Administrative Assistant provides administrative support to the Office of
the Vice Chancellor for Student & Enrollment Services’ staff and serves as a general resource for staff and units within. General duties of this position include office coverage, reception and scheduling for VC office staff, back-support for
the Campus Operator, timekeeping, budget reconciliation and assistance and coordination of major initiatives, projects and divisional/campus-wide events.
Specific responsibilities:
• Serves as the primary front desk contact for patrons of the Office of the Vice Chancellor, provides office coverage, answers department phones (including back-up coverage of Campus Operator lines)
• Assists the Vice Chancellor Office staff with a wide range of complex, confidential and diverse issues and projects
• Manages scheduling for the Office of the Vice Chancellor staff. This includes complex scheduling of meetings that include multiple parties (internal/external) and multiple locations and logistics
• Performs complex word processing tasks, assists with mailing, faxing, scanning, copying and other general office duties
• Attendance and coordination of divisional and special committee meetings, including coordination of meeting agendas/minutes, room locations and other logistics
• Assists in budget reconciliation tasks for Office of the Vice Chancellor budgets
• Assists in purchasing transactions for the Vice Chancellor's Office and division, including eProcurement, reimbursement, invoice processing and procurement card transactions
• Assists in management of timekeeping documentation and entry and maintenance of leave records for divisional employees
• Secures and coordinates travel arrangements for staff and external consultants and/or candidates
• Coordinates participation in conferences and events for divisional staff
• Maintains divisional files, including electronic files
• Maintains organizational documents and directories
• Updates departmental web pages
• Assists in oversight of daily tasks of office student employees
• Serves on divisional and campus committees as assigned
• Performs a wide range of tasks related to management of special projects and coordinates the details of special events
• Assists with other essential office duties as assigned
REQUIREMENTS:
• High School graduation or equivalent AND four years of progressively responsible experience in office, secretarial, bookkeeping, accounting, or general administrative work OR equivalent education/experience
Additional Requirements:
• Strong interpersonal skills that demonstrates warmth, positive attitude, helpfulness, willingness to learn and proactive team involvement
• Excellent written and oral communication skills
• Organizational skills and the ability to prioritize and handle multiple tasks
• Detail-oriented
DESIRED:
• Bachelor’s degree
• Experience working with diverse populations
• Ability to work with minimal supervision and exercise independent decision-making
• Sensitivity to the need for confidentiality
• Experience and familiarity with University of Washington databases, software and management systems (OWLS, ARIBA, Online Timesheet, MyFinancial Desktop, Procurement Card etc.)
• Experience and familiarity with web-based content management applications (such as Drupal)
Condition of Employment:
Appointment to this position is contingent upon obtaining satisfactory results from a criminal background check
